    This virtualized solution integrates with your Cisco Unified Communications environment

    Cisco WebEx Meetings Server is a virtualized, software-based solution that runs on Cisco UCS x86 Servers and VMware 5.0. It uses virtual appliance technology for rapid turn-up of services to end-users. VPN-less access for mobile users can be achieved in one of two ways: either by deploying reverse proxy (edge servers) in the DMZ, or by deploying the reverse proxy (edge servers) behind your internal firewall, thereby eliminating all DMZ components and related security and information security concerns. In addition, it uses simple port forwarding on Ports 80 (HTTP) and 443 (SSL) to minimize the number of ports that need to be opened in your external and internal firewalls. Backend servers then integrate with Cisco Unified Communications Manager (UCM) for high-quality teleconferencing.

    3. Understanding the Offer The pricing, packaging, and ordering of Cisco WebEx Meetings Server are simplified to simplify the ordering process. There are four primary components of a Cisco WebEx Meetings Server solution, with some additional options. The four primary components include:

    Cisco WebEx Meetings Server user licenses. These licenses are based on the number of customer users that want to host meetings. If your company has 5000 employees and you wish to enable all 5000 employees to host meetings, then you must purchase 5000 licenses (this is the most common scenario). In some situations, you may wish to offer conferencing to only a subset of your user base. In that case, each user in that group will need a license.

    Cisco UCS Servers (hardware). The number and type of Cisco UCS servers required for a solution are based on the number of concurrent users, or ports, that the customer needs to support. As in the example above, if this 5000-person company expects that its peak number of simultaneous meeting participants across meetings will be 800 concurrent users2, then the company will need hardware to support 800 concurrent users, or ports.

    Note that Cisco WebEx Meetings Server runs only on Cisco UCS servers for version 1.x. But the hardware is specifications-based, and both blade and chassis UCS servers can be used, as long as it meets or exceeds specifications (see the Sizing Tools and Worksheet referenced in Other Important Resources).

    VMware and vCenter. VMware 5.0 is sized on the exact same basis as Cisco UCS Servers. If the customer already has existing licenses of VMware 5.0 and vCenter that meet specifications and can be used in this solution, that will suffice.

    Cisco Unified Communications Manager. Cisco WebEx Meetings Server requires Cisco UCM version 7.1, 8.6, or 9.0 to support telephony for meetings. Existing UCM deployments or licenses can be used in the solution, including BE6K. Note that Cisco WebEx Meetings Server can run on numerous voice gateways, as long as UCM serves as the SIP integration point to those other voice gateways. Without UCM, WebEx Meetings Server can only support VoIP over desktop or laptop telephony.

    With just the four components listed above in a data center, an operational WebEx Meetings Server system can be deployed. Some additional options include:

    High availability. For additional redundancy and a hot backup system, WebEx Meetings Server can be set up with high availability. This has no impact on user licenses required, but rather impacts (and roughly doubles) Cisco UCS server and VMware requirements.

    Disaster recovery. For even more redundancy a cold backup disaster recovery can be set up in a separate (or the same) datacenter. Again, the impact is on Cisco UCS server and VMware requirements.

    Internet reverse proxy (IRP). A standard WebEx Meetings Server solution has both the backend conferencing servers and an IRP at the front end (typically in the DMZ). In specific types of deployment scenarios, a customer can opt to deploy WebEx Meetings Server without the IRP, and thereby save some money on purchasing Cisco UCS servers and VMware. But that will result in some crucial functionality missing from the solution, such as the ability for users outside the corporate firewall to participate in meetings, and the ability for users to participate in meetings from mobile devices (i.e., iPhone and iPad).

    Network file server (NFS) storage. If a customer wants to enable meeting recordings or disaster recovery, the customer will need NFS storage to store the recordings or system snapshots, respectively. NFS storage is commonly available from many IT suppliers.

    SAML 2.0 Single Sign-On (SSO). In WebEx Meetings Server v1, LDAP, and Active Directory integrations are supported through a standard SaaS WebEx approach, SAML 2.0 Single Sign-On. Customers that want to utilize existing user and password management systems for WebEx Meetings Server need to set up a SAML 2.0 Single Sign-On integration. More details on this integration are available in the Technical Overview Deck posted on Partner Resources and CEC.

    3.1 What Else Is Included in the Offer All WebEx Meetings Server capabilities are available with the purchase of standard user licenses. Some options, such as recordings storage, high availability, and others require additional hardware, but they do not require any additional fees or license keys.

    3.2 What Is Not Included in the Offer Customers are expected to take responsibility for all standard data center-related components, such as Ethernet connections, connection from the voice gateway to the PSTN (and the related billing), firewalls, etc. A customer can opt to have a managed services provider (MSP) manage its WebEx Meetings Server data center-related equipment and operations for the customer.

    4. Licensing Terms, Standard Hardware, and SKUs There are some terms and limitations to note around WebEx Meetings Server licenses:

    Licenses are perpetual For new systems, there is a 50-user license minimum order For existing systems, there is a five-user license minimum to an add-on order There is no maximum user license size to a system order, but WebEx Meetings Server scalability is limited

    to 2000 concurrent users or ports for a single system in version 1 Meeting participants in a single meeting are limited to a maximum of 100. More details on this limitation are

    provided in the Technical Overview Deck. If this limitation is an issue for a customer, directly ordering SaaS WebEx Events Center is a viable option (see Appendix B)

    4.1 Licensing Enforcement As Cisco WebEx Meetings Server is a private cloud or on-premises solution, and can be completely contained to a customers data center, Cisco is unable to monitor licensing compliance. Therefore, the system has been set up so that it will automatically shut down after six consecutive months of license violations. The system administrator will receive emails and other notices on a monthly basis each time there is a license violation, but unless additional licenses are purchased after six consecutive months of license violations, the system will shut down. Additional information on the workings of the licensing enforcement mechanism is available in the Technical Overview Deck.

    4.2 Standard Hardware Orders There are four deployment sizes for a WebEx Meetings Server system:

    50 concurrent users (ports) 250 concurrent users

    800 concurrent users

    2000 concurrent users

    To simplify ordering, Cisco recommends the following hardware orders for each deployment size. Note that the tables 2 through 5 present just a single configuration by deployment size. WebEx Meetings Server deployments are specifications-based, and can run on multiple Cisco UCS options, including blade servers (B series). See the Technical Overview deck and UC Sizing Tool for more details.

    Table 2 identifies the recommended hardware orders for up to 50 concurrent users. The hardware would include two socket 2.5 GHz, 40 Gigabits of RAM, two terabits of storage, and the VMware vSphere Essentials Kit.

The first server acts as the primary system and vCenter, with two-socket 2.4 GHz, 64 Gigabits of RAM, two terabits of storage. The second server (IRP) is equipped optionally with two socket 2.4 GHz and 36 Gigabits of RAM. VMware Enterprise Standard is also included.

    The product orders listed in table 3 are based on co-resident configuration with vCenter and a primary system. Details on other configurations available can be found in the Technical Overview deck.

    Only one set of memory is needed per server, the first row is for the primary server, the second row is for the IRP.

    Table 4 lists the recommended hardware orders for up to 800 concurrent users. Orders include two servers. The first server acts as the primary system; it has four sockets 2.4 GHz, 80 GB RAM, 2.4 TB of storage, and 4 - 10 Gbps network interface cards (NICs). The second server (IRP) comes with two sockets 2.4 GHz, 36 GB RAM, and 4 - 10 Gbps NIC cards. VMware Enterprise Plus is also included.

    4.3 Other Requirements - Unified Communications Software Subscription (UCSS) When purchasing WebEx Meetings Server you will be required to purchase a Unified Communications Software Subscription (UCSS), which entitles the UCSS holder to free WebEx Meetings Server upgrades for the life of the subscription. Following are important points about the terms and limitations of WebEx Meetings Server UCSS seats:

    Terms are available for one, two, three, and five-year subscriptions For initial purchases, a UCSS seat must be purchased for each user license There is no maximum order of UCSS seats, although there is no reason to purchase more than the number

    of user licenses

    For add-on orders (assuming a customer is adding UCSS seats mid-term), there is a five-seat minimum order; again, aligned with the number of WebEx Meetings Server user licenses ordered

    A valid Cisco Essential Operate Service contract must be purchased with the Cisco Unified Communications Software Subscription.

    4.4 Other Requirements - Essential Operate Services (ESW) To maintain a reliable and operationally efficient WebEx Meetings Server deployment, ESW support is required for each user license of WebEx Meetings Server sold. This support entitles the customer or relevant partner to receive application maintenance and minor releases, 24x7x365 Technical Assistance Center (TAC) technical support and registered access to Cisco.com online self-help knowledge case, tools and resources.

    4.5 Choosing the Correct SKU Cisco has Cisco Commerce Workspace (CCW) to help you to select the correct SKU. Please read this section for guidance, and be sure to use CCW at https://cisco-apps.cisco.com/cisco/psn/commerce when it is time to choose your SKUs.

    When purchasing WebEx Meetings Server there are five high-level configurations to choose from. Which one you choose is dependent upon the following:

    Type of delivery: WebEx Meetings Server can be physically delivered when the software and licenses are shipped through the mail (with a USB thumbdrive), or it can be delivered electronically which allows for the software to be downloaded.

    Electronic delivery SKUs are designated by R- (see Figure 3). Physical delivery SKUs do not have an R- (see Figure 2).

    With or without audio encryption: Based on your customers needs you will want to choose either the audio encrypted or the audio unencrypted version. The regulatory drivers for audio unencrypted versions are explained in Appendix A. In general, most customers should receive audio encrypted versions of WebEx Meetings Server (which provides more options), except for customers in Russia or Turkey. Audio unencrypted SKUs are designated by AU (see Figure 4) Audio encrypted SKUs do not have the AU (See Figures 2 and 3)

    Adding licenses to an existing deployment: Your customer may already have the software and is simply trying to add additional licenses to their WebEx Meetings Server solution (see Figure 6).

    Below are examples of the five high-level SKUs that can help with understanding how to interpret them.

    Unified Communication Software Subscription (UCSS) for WebEx Meetings Server

    Customers purchasing WebEx Meetings Server will be required to buy a Unified Communication Software Subscription (UCSS). The Unified Communication Software Subscription will entitle the customer to future versions of WebEx Meetings Server software for free for the duration of their subscription. Figure 7 is an example of a UCSS SKU. You can find a full list of UCSS SKUs in Appendix C.

    5. Before Placing an Order: Checklist While Cisco WebEx Meetings Server takes full advantage of Cisco experience and market leadership with SaaS WebEx, it is still a new product. Cisco views it as highly important to highlight any potential feature and technical issues that could impair the experience of new customers.

    Cisco is initially utilizing two processes to help ensure customer success. The first is a Deal Qualifying Questionnaire on the front-end of the sales process to ensure that the prospective customer is a good fit for Cisco WebEx Meetings Server. On the back-end of the sales process, Cisco has introduced a Compliance Hold Assessment to Quality (A2Q) process, where the Cisco WebEx Meetings Server team reviews the A2Q questionnaire submitted by the account team to ensure the customer is a good fit for this solution.

    As partners and the market become more familiar with the Cisco WebEx Meetings Server solution, Cisco will likely minimize the use of these processes. In the interim, it is important that partner and Cisco account teams comply with these sales processes. This checklist will help you comply.

    5.1 Question 1: Have You Compared the Customers Requirements to the Deal Qualifying Questionnaire? This is the front-end process to help ensure customer satisfaction with WebEx Meetings Server. This questionnaire can be found in several sites, including Cisco Partner Resources and CEC.

    5.1.1 Target Customers There are other helpful guidelines for targeting good WebEx Meetings Server customers, included in Table 7. It is recommended to target customers that meet three or more of the criteria in this table.

    5.2 Question 2: Have You Properly Sized the Customers WebEx Meetings Server User Licenses, Hardware, and VMware 5.0? The UC Sizing Tool can assist with this process. Standard hardware orders are also provided in tables 3 through 6.

    5.3 Question 3: Prior to Placing a Cisco WebEx Meetings Server Order, Have You Submitted the A2Q Questionnaire? A2Q helps avoid moving forward with an order or deployment where the chances of success are minimal (based on mis-aligned customer expectations or other factors). The A2Q process should be completed prior to placing the Cisco WebEx Meetings Server order. Please contact your Cisco account manager to facilitate the A2Q process; it is not a difficult process to follow after completing the initial Deal Qualifying Questionnaire. The A2Q questionnaire is also available online within Partner Central and CEC.

    Once you complete the A2Q questionnaire, you should send it to [email protected]. The A2Q questionnaire will typically take Cisco five business days or less to review. If the deal is approved, then the order can be processed; otherwise, Cisco will follow up with the account team to notify them that the order has been terminated or to ask additional questions. The order can be terminated for caveats outlined in the Sales Playbook and Deal Qualifying Questionnaire, such as mis-aligned customer expectations around scalability or extensive MeetingPlace-type audio features.

    5.4 Question 4: What Are the Customers Particular WebEx Meetings Server License or SKU Needs?

    Is customer a new WebEx Meetings Server customer or just adding licenses to an existing deployment? If adding licenses, the customer must select the high-level configuration below. This selection ships licenses only.

    L-WBXMTSVR1-ADDON If implementing a new system, the customer must select one of the four high-level configurations, based on additional questions. Each of these selections ship software and licenses.

    Does the customer require a standard audio (encryption possible) or audio unencrypted system? Audio encryption standard, the customer must choose one of the following two high-level configurations:

    6. Placing an Order 6.1 Quote-to-Deployment Process for WebEx Meetings Server Before you submit an order for a WebEx Meetings Server on the Cisco GPL, you should understand the quote-to-deployment process. Figure 8 offers a high-level summary of a transaction.

    Step 1. A customer notifies a Cisco partner it wants WebEx Meetings Server. The partner discusses the Deal Qualifying Questionnaire with the customer to ensure that WebEx Meetings Server will meet the customers requirements.

    Step 2. The Cisco partner provides an initial quote to the customer which the customer agrees to. For details on building a quote see the rest of this section.

    Step 3. Cisco partner and Cisco account manager go through A2Q process.

    Step 4. Upon completion of the A2Q process, the Cisco Partner gets final quote approval from customer.

    Step 5. The Cisco partner places order in their preferred Cisco Ordering Tool. For details on how to place an order see the rest of this section.

    Note that after the order is placed it will go on Compliance Hold. Compliance Hold is enacted to ensure the partner and Cisco account team have reviewed the customers system architecture to prevent any delays in deployment of the WebEx Meetings Server software. During Compliance Hold and prior to releasing the order, Cisco will make sure the partner and account team have gone through the A2Q process. Orders for which the A2Q process have not been completed will be left on hold until it is.

    Step 6. Upon release of the order, Cisco will ship software and licenses.

    6.3 Placing an Order - How to Get Started There are three ways to create orders in Cisco Commerce Workspace.

    1. Standard Contractual Discount-Based Orders Orders being placed using a partners standard Cisco contractual discount rate can be placed simply by building the configuration and converting it to an order within the system (see Figure 22). No additional approvals are necessary.

    2. Partner-Initiated Deal-Based Orders Partners requesting additional discount rates or Opportunity Incentive Program (OIP) discounts can register deals in CCW, and then coordinate with their Cisco account team to create the configuration and quote. The deal can then be exported to the Partner Quote Tool and converted to an order through Cisco Commerce Workspace (see Figure 23).

    3. Account Manager-Initiated Deal-Based Orders Partners requesting additional discount rates or OIP can create the configuration in CCW, and then pass it along to the Cisco account manager, who will then register the deal on the partners behalf. The partner can then export the bill of materials (BOM) from CCW to build the customer-facing quote. The deal is imported to the Partner Quote Tool, and then converted to an order through Cisco Commerce Workspace (see Figure 24).

    6.5 Trial Downloads and Proof of Concept Systems After First Customer Ship in late October, Cisco WebEx Meetings Server will be available for trial downloads (see the Promotional Software Store section of the Cisco MarketPlace: http://www.cisco.com/pcgi-bin/marketplace/welcome.pl). You can use this trial software to create a proof-of-concept (PoC) system at a prospective customers site, if you engage a Cisco systems engineer (SE) or collaboration sales engineer (CSE) for support. Cisco employees can download the WebEx Meetings Server software at the Collaboration Software Library: http://wwwin-collabsw.cisco.com/.

    No license keys are required for trial systems. They will shut down automatically after 180 days without a license key, as described in the license enforcement terms. Note that the Cisco Technical Assistance Center (TAC) and Cisco Support are not available to support PoC systems. A Cisco SE or CSE needs to be engaged to ensure the PoC will be successful.

    6.6 Not for Resale Kit (NFR) NFR kits are available to Cisco Unified Communications Specialized Partners or Learning Partners for demonstration and lab purposes. See the Unified Communication Partner Bundle Offering (NFR) at http://www.cisco.com/web/partners/sell/promotions/uc_system_release_nfr_program.html for details on eligibility.     6.7 Cisco Unified Workspace Licensing Cisco Unified Workspace Licensing (CUWL) is an ordering method for customers and their users to realize the total value of Cisco Unified Communications applications in one package. Unified Workspace Licensing provides the licensing, access rights, and application software on a per-user basis for numerous Cisco Unified Communications applications. As an alternative to the ordering method described in this ordering guide, the Cisco WebEx Meetings Server may also be ordered as a part of CUWL. Incidentally, Cisco CUWL Pro can be ordered as part number NEW-CUWL-PRO, and the WebEx Meetings Server option is WBXMTSVR1-CUWL.

    7. Migrating from MeetingPlace to WebEx Meetings Server Using a Unified Communication Software Subscription (UCSS) Customers who own Cisco MeetingPlace or MeetingPlace Express licenses and have an active MeetingPlace or MeetingPlace Express UCSS agreement can upgrade their licenses to WebEx Meetings Server for free. Note that this is a commercial upgrade program. The technical migration is a completely new installation, and is described in more detail in the Sales Playbook and Cisco WebEx Meeting Server Technical Overview.

    The license migration is based on MeetingPlace audio licenses, and nothing outside of the audio licenses (e.g., SaaS WebEx subscription, MeetingPlace video licenses, etc. do not impact the number of WebEx Meetings Server licenses a customer can upgrade to). It provides a:

    One-to-one exchange for MeetingPlace audio user licenses, and One-to-ten exchange for MeetingPlace and MeetingPlace Express audio port licenses

    If a customer owns 100 MeetingPlace 8.X audio user licenses, that customer is entitled to receive 100 WebEx Meetings Server user licenses through this migration. If a customer owns 100 MeetingPlace X.X or MeetingPlace Express audio port licenses, that customer is entitled to receive 1000 WebEx Meetings Server user licenses through this migration. Cisco CUWL Pro customers follow the same license upgrade approach. If a Cisco CUWL Pro customer owns MeetingPlace licenses with a current UCSS contract, that customer would follow the same steps to upgrade its licenses to WebEx Meetings Server. Note that Cisco is planning a promotion for customers who own MeetingPlace licenses but do not have a current UCSS contract. However, no details have been announced as of October 2012.

    Customers who meet these requirements and wish to upgrade their licenses to WebEx Meetings Server should follow the steps outlined below:

    1. Obtain your UCSS contract number. You will need this when placing the migration order in Product Upgrade Tool (PUT).

    2. Visit the Product Upgrade Tool (PUT) at http://tools.cisco.com/gct/Upgrade/jsp/index.jsp. 3. Enter your contract number into the required field, select the Advance option, and click continue

    4. You will be taken to a list of available upgrade and migration SKUs available to the customer. To migrate to WebEx Meetings Server you can select one of two migration SKUs. Order one of the following SKUs based on your preference to have the software include audio encryption or no audio encryption:

    5. Select how you would like the software to be delivered - either physical shipment through the mail or electronic delivery which will allow you to download the software. If standard delivery is selected, the software will be shipped to the ship to address provided in PUT. If electronic delivery is selected, the email address provided in PUT will receive an email with a link on where to download the software.

    6. After completing the PUT workflow, you will need to submit the A2Q Questionnaire and follow the A2Q process, as described in Section 5.

    7. You will receive an email after completing Step 6 that contains instructions on how to contact the Cisco Global Licensing Organization (GLO). Once software is received, the customer or partner will need to contact GLO to receive licenses.

    8. The GLO agent will verify the customers UCSS contract number, Sales Order Number, and Mac address. If the customer does not have a WebEx Meetings Server Mac address (because they have not installed WebEx Meetings Server yet), then the GLO agent issues PAK to the customer and asks customer to go to the licensing website to obtain their licenses.

    9. The customer now has the WebEx Meetings Server software and licenses, and is ready for installation.

    8. Sample Deals 8.1 Sample Deal 1: Bill of Materials (BOM) for 50 Concurrent Users In this example of a company with 2500 employees, 500 employees want to host meetings. In planning discussions, it is clear that conferencing use is light, so a 50-port, concurrent user system is sufficient. Table 8 illustrates a sample BOM for such a customer (with list prices).

    8.2 Sample Deal 2: BOM for Existing MeetingPlace Customer with UCSS Contract In this example, there scenario is virtually the same: the company has 2500 employees, of which 500 employees want to host meetings. A 50-port, concurrent user system is sufficient. The major difference in this example is that the customer owns MeetingPlace licenses and has a UCSS contract that is soon expiring, so they get a free license upgrade. Note that no fees on UCSS or ESW are due until the contracts need renewal, at which point they are renewed at the CWMS rates. Table 9 outlines the costs for each item and quantity needed.

    9. Add-Ons For add-on orders, as described in Section 4, you should order the license-only SKU, L-WBXMTSVR1-ADDON. Otherwise, add-on orders are largely the same as other orders. UCSS and ESW are also required for add-on user licenses. But in the case of add-on orders, a customer will likely opt to true-up their UCSS expiration dates with the dates of their earlier orders. This is achievable through monthly UCSS SKUs listed in Appendix C.

    Appendix A: Regulatory Requirements Regulatory issues related to audio encryption in Russia and Turkey require that customers in these countries purchase the audio unencrypted version of WebEx Meetings Server. It is the partners and account teams responsibility to comply with these regulations and order AU SKUs for customers located in Russia or Turkey.

    Appendix B: Ordering SaaS WebEx Events Center for Very Large Meetings As noted in Section 4, WebEx Meetings Server has a maximum limit of 100 participants in a single meeting.     Appendix D: Placing an Order (Electronic Software Delivery Guidance) It is highly recommended that you use the eDelivery Download Manager (DLM) to ensure a successful download of the WebEx Meetings Server software. DLM is a computer program that performs the task of downloading standalone files from the Internet to your local computer. DLM provides a means to recover from errors without losing the work already completed and allows you to resume the download process if it is interrupted. DLM allows you to monitor, pause and resume, or cancel software downloads. The ability to resume file transfers is especially helpful for customers that download large files or experience unreliable Internet connections. You will be able to view the details of the image being downloaded in the Current Download section.

    The Download Status section shows the status for all the images being downloaded. Any images that are not downloaded continue to remain in the Download Cart.
