It is expected that teacher’s follow the present school board regulations for arriving by 7:30 a.m. and remaining for a minimum of 30 minutes after the close of school (or 3:00 p.m., whichever is earlier) unless an administrator makes an exception.

*All staff must sign in and out at the counter in the Public Office* If it is necessary that a teacher leave the building, teachers must sign "In and Out" in the

faculty book in the Public Office. Please do not leave the building without having done this.

Teachers will not leave the classroom while classes are in session unless it is absolutely necessary. This is in the teacher's own interest as legal responsibility is involved.

Using Aesop on the phone

Not only is Aesop available on the web, but you can also create absences, manage personal information, check absence reason balances, and more, all over the phone.

To call Aesop, dial 1-800-942-3767. You’ll be prompted to enter your ID number (followed by the # sign).

If you create an absence over the phone, be sure to make note of the confirmation number that Aesop assigns the new absence for reference.

If you intend to use vacation leave (two days allotted annually), it is beneficial to request a substitute as far ahead as possible through AESOP.

Planned absences for meetings, in-service training, workshops, etc. must be arranged as far in advance of the absence date as possible. Calendar numbers are required for all of “Option 9 Educational Release Time” absences. Calendar numbers are already supplied for any downtown generated absences for meetings, etc. You will need to request one through Sheryl for any that is initiated through Shadle Park. These numbers go quickly and

when the allotment for each day is used we will not be able to get one. Get your requests into Sheryl as soon as you know you will need one.

To use "Vacation Leave" in conjunction with a 3-day weekend or on either end of a vacation, permission must be first obtained from Executive Director - Human Resources. Once approval is obtained, then a request for a substitute should be made through AESOP.

While email can be a very useful and effective means of communication if used appropriately and with good judgment; if used inappropriately it

can also expose you and your employer to a damaged reputation, liability, and reduced productivity. Spokane Public Schools currently receives over 300,000 emails each day, of which more than 95 percent are SPAM, phishing, contain viruses or are non-work related. We are in a time of increasing public openness, and face increasingly more issues related to online safety and information security. Legal requirements such as the Family Educational Rights and Privacy Act (FERPA), Children’s Internet Protection Act (CIPA) and the Health Insurance Portability and Accountability Act (HIPAA), require us to manage email, as well as all other written correspondence, in specific ways, which sometimes includes providing copies of email to third parties, thereby exposing correspondence that may have been sent assuming there was some degree of privacy. The following is provided as a guideline to help employees of Spokane Public Schools meet the legal, moral and ethical obligations associated with professional correspondence and communication when using the district’s email system.

• Email is a public record. Keep all language professional and cordial. Email that is too casual or harsh is prone to misinterpretation. Email should pass the “elevator test.” If you are in a crowded elevator with colleagues, parents and reporters, what would you say? If youwouldn’t say it aloud in an elevator, don’t write it in an email. All email sent and received is saved and archived and subject to search and public disclosure even if you have deleted it from your mailbox. You also don’t know who else might receive a forwarded copy of your email.

• Be specific and succinct. Be respectful to the recipient(s) of your email by keeping them brief and to the point. If you need to be lengthy, consider using another format. If sending an email to several people that requires action, be specific about who you expect to take action.• Don’t delay. Read and, if necessary, respond in a timely manner to email questions and requests, reducing the need for follow-up emails or phone calls. Avoid using email as a stalling tactic.

• Pick up the telephone or talk face-to-face. Email is not appropriate or most effective for all communication. Consider other methods of communication and if the content or issue being addressed is not resolved or understood within 2-3 email exchanges, pick up the phone or schedule a face-to-face meeting.

• Limit use of reply-all for simple email exchanges that really do not require an answer to “All.”

• Limit recipients to only those needing to know. Don’t become a spammer who sends unnecessary emails

• Deliver good news in writing, bad news in person (not via email). Never use email to let off steam. A poorly worded or inflammatory message could make a difficult situation worse. Compose the email but don’t immediately send it; think about it for a day or two.

• Vacation or out-of-the-office notices. Consider restricting your set up on email vacation, or out-of-the-office, notices to internal users only to prevent tipping off outsiders you are away from home.

• Limit Personal Email. Personal use of the school district’s computing and electronic mail systems must be limited to occasional and infrequent use and only during breaks or after work hours (see Policy 6400 - Internet Acceptable Use Policy). Use of district email for or insupport of politically related activities or candidates for public office; or sending information for personal financial gain is strictly prohibited.

• Email is not secure or private. Email passes through many systems on its way to be delivered to the recipient and it could be unknowingly captured and used for unintended purposes. Also, you don’t know to whom the recipient may forward your email. The security of the email should be considered when sending information that may be subject to HIPAA or FERPA regulations. Unless secured using an encryption key all email is subject to potential misuse by unintended parties.

• Special caution regarding student information. Regulations require that special care be taken to protect student privacy when emailing student specific information including health, discipline or any other information that must remain private between the school system, student and family.

• Record retention rules apply. Email messages should be treated as formal business documents. Most district correspondence, including email, is subject to Public Records Requests and court ordered disclosure. Requests are received on a regular basis from news/media organizations. Most records can be used in legal proceedings for or against the district and its employees.

• Wireless web access. Security concerns abound in the wireless environment. When you are using wireless Internet, unless you are using a VPN, anyone else with a laptop and a piece of readily available free software can read your email along with you.• Email can be unsafe. Great care must be taken before opening and responding to any email received from unknown senders. It could contain SPAM, a computer virus, or a phishing, where thieves pose as real businesses and con people into giving personal information (social security and credit card numbers), or spyware that gets loaded on your PC and tracks your activities while slowing down your computer.

Daily Student BulletinThe daily bulletin is the school's chief instrument to provide information to students and teachers. Please be sure to see that students receive the information.

The bulletin must be read by all teachers during the first class of the day and then posted on the bulletin board.

Staff members should go over the bulletin before reading it to the class to determine what needs to be read.

Always try to give proper emphasis to get the messages across--elaborate if necessary.

An announcement will only be run for three consecutive days, unless prior approval is received from the assistant principal for activities.

The bulletin should be used for all general student body and faculty business announcements.

Advisors are responsible for notices of activities.

Announcements must be written on proper bulletin forms and be turned in by 12:45 p.m. Announcements received later will be published the following day.

Announcements must be turned to the Public Office. Please make them legible, concise, and to the point.

If an item appears in the daily bulletin, please do not ask to have that item read as an announcement.

Daily Staff DispatchThis will contain information about guest teachers in the building, staff who are out of the building, and other pertinent information for your day.

Teachers must read this by 7:50 am. There will be a notice of any coverage that is needed.

Faculty Parking

Staff members may park in the new parking lot. The first three rows are for staff members. Please do not park your vehicle in the Visitor Parking area. Emergency or handicapped spaces must remain open unless a handicap permit is displayed. All cars must display a staff parking pass or risk being towed. To obtain parking pass see the Public Office.

P.A. Announcements All-calls will be used for messages, such as student recognition, group or team

recognition, important student and staff reminders, and important administrative messages. The bulletin will be used for everything else. All-calls will not be used for those who forget to get bulletin announcements in on time.

All-calls will be made at the beginning of each day. Emergency calls will be made only after 8:30 A.M. The principal or principle designee will ascertain what constitutes an emergency.

All-call announcements must be written out on the announcement form. They should be legible and concise.

The assistant principal overseeing activities (Brandon Bouge) reserves the right to direct the all-call announcement to be placed in the bulletin rather than making an all-call.

Purchasing Procedures

All miscellaneous orders purchased from outside vendors, repair and capital requests are to be processed through the Business Office.

All textbook and warehouse orders are to be processed through the Bookroom.

Teachers wishing to buy a major item can pool their money from their individual $200 accounts. These major items become the property of the school district.

Textbooks and Supplies

All textbooks will be checked out from the Bookroom and returned to the Bookroom. This procedure is for students and teachers.

Basic supplies may be obtained from the Bookroom and Department Heads. Other supplies may be purchased from the Bookroom clerk.

Textbook Checkout Procedures

Check out by Classes: The teacher may bring their class to the Bookroom as a group to check out books. The teacher signs up for the time they wish to check out books on the form in the bookroom. The students will need their I. D. when with the class.

Check out by Individuals:If students come without their class to check out books, they will need their I. D. to complete the process.

Returning Books: All books need to be turned in to the Bookroom. This can be done as a class or as individuals. In the case of paperback books for English classes, it is best to bring the completed books to check in at the time you are checking out the next book. Lost or damaged books will be charged to the individual who checked out the book.

Grading

At the beginning of each course or unit, students shall be informed of the general objectives of the courses or unit and of the basis upon which achievements will be evaluated.

Each teacher will turn in his/her grading, attendance, and makeup procedures to the assistant principals of curriculum and student administration by the end of the second week of school. These policies and procedures are to be explained to the students and posted in the classroom.

Student behavior shall be evaluated separately from academic achievement.

Absences can only affect a student’s grade if the teacher’s grading policy specifically states how the student earns points when his/her participation in the class meets instructional objectives and goals.

Classroom ExpectationsTeachers with high expectations set high goals, provide greater focus, demand student accountability for work, and offer equal attention and feedback to each individual. In order

to facilitate these expectations:

Each teacher will turn in classroom expectations (classroom discipline plan) to the Julie Lee by the end of the first week of school.

Each teacher will explain these expectations to the students.

Each teacher will post these expectations in the classrooms.

Each teacher will check for understanding and clarification of their classroom expectations.

Each teachers will include their progressive discipline process in the expectations.

Teachers should periodically reteach to students as appropriate.

Student Progress Reports

Student progress reports are completed on the computer at the mid-quarter point of each quarter. Specific deadlines will be published and distributed to teachers and parents.

Phone Calls/E-Mail to Parents to Report Progress

Parents and students need to be kept apprised of when students are not making satisfactory progress so corrective action can be taken. You are expected to make the appropriate phone or e-mail contacts as soon as the concerns arise and most especially if a student’s progress indicates he/she is in jeopardy of failing the class.

Academic Assistance

Students sent to the office by the classroom teacher for academic reasons are to be referred to their counselor.

The student's counselor will take charge of the student and handle all aspects of the problem unless the counselor feels that no progress is being made. The counselor may proceed with any or all of the following:

Work with the staff and all others concerned to straighten out or help direct the student

Arrange for a parental interview

Student Lockers

See Mrs. Gray in the Student Office or go to the Public Office, to get a locker. Please advise students to not share their locker or locker combination with anyone. If a student is

using a locker that is not assigned to them in the computer, we will not give out the combination.

Student lockers are the property of the school district and may be opened by a school administrator.

Money Collection Procedures Fees can only be paid in the Business Office before school, at lunch, or after school,

not during class time. The Business Office is closed daily for 45 minutes immediately following second lunch to allow for daily cash balancing. If assistance is needed during this time, please see the Public Office for help.

When students pay fees a receipt will be issued to him/her. It is the student’s responsibility to show the teacher his/her receipt.

Makeup Work ProceduresAs a means of instilling values of responsibility and personal accountability, and in keeping with the belief that the classroom situation itself and interaction within the classroom are important aspects of the education process, students whose absence is not excused shall experience the natural consequence of their absence. At the option of the teacher, the student may or may not be permitted to make up missed work assignments in the case of truancies.

A student who has been suspended will have the opportunity to make up missing assignments.

A student's academic grade or credit in a particular subject or course may be adversely affected by reason of tardiness or absences only to the extent and upon the basis that:

The student's attendance and/or participation are related to the instructional objectives or goals of the particular subject or course.

The student’s attendance and/or participation has been identified by the teacher pursuant to policy of the school district as a basis for grading in whole or in part, in the particular subject or course. WAC 180-40-235 (2).

If an absence is excused, students shall be permitted upon request to make up all missed assignments outside of class under reasonable conditions and time limits established by the school. It is the student's responsibility to check with the teacher and to complete the required makeup (normally outside of class time) within the allowable makeup period.

You are encouraged to use access time on Monday, Wednesday, and Friday to assist students who have been absent, for completion of make-up assignments, and for taking make-up tests. Students may need to make transportation arrangements.

A student shall be given no less than the same number of days as he/she was absent to makeup the work missed.

Home/Hospital Students and Tutors

When a student is registered for school who will not, for whatever reason, be physically in attendance for an extended period of time, and who will thus require a home or hospital tutor, a meeting between the grade level counselor, the teachers involved, and the appropriate administrator will be scheduled and conducted at the time of enrollment or at the time the tutor is assigned.

Following this meeting, the Home/Hospital Tutor Policy, negotiated between the school district and the Spokane Education Association, will be followed.

Teacher must work in a timely way to provide homework. Teacher must provide student work in a timely manner to the home tutor.

Sensitive MaterialsPolicy 4310: Sensitive materials are any print and non-print materials perceived by the general public to be controversial in content or manner of presentation. Examples are materials on sexuality, vulgarity, promotion of radical points of view, etc.  These materials require approval of the Instructional Materials Committee (instructional committee) and the board of directors.  Citizens' committees will generally be involved in the recommendation of materials in sensitive curriculum areas, such as human growth and development.

Guest Speakers

Guest speakers and resource persons are a tremendous enhancement to your regular classroom program. Please use your own judgment when inviting outsiders to your classroom to determine that their goals and views are consistent with the objectives of your class. The speaker's ability to interact with high school students should be given strong consideration.

Please notify the assistant principal for curriculum of any speakers you have arranged and any arrangements you need to make in getting the speaker to your classroom. Also, please notify the parent(s) of each student before the guest speaker arrives. The guests need to wear a visitor's pass to be picked up from the secretaries in the Public Office.

Classroom Parties

Because classroom parties are a disruption to the learning environment in other classrooms, parties are not a part of the school culture at Shadle Park High School. There may be special exceptions (reason of the class curriculum or ASB awards). Administrative approval is needed for all class parties. The use of a BBQ on school property is not allowed.

Classroom Use of Interpreter Aides

Students depend heavily on hearing for learning in all situations. Separated from meaningful sound, the hearing impaired student must depend largely on sight to profit from instruction. Only a very small percentage of information can be picked up through lip-reading and the use of hearing aids, and not all hearing impaired students have lip-reading skills. Therefore, a sign language interpreter is provided for the deaf students.

The interpreter's job is to facilitate communication by signing what the teacher says and voicing what is signed by the student. Sometimes this is done by interpreting the original message word for word. However, often it must be worded differently to

get the message across to a student with lower-level English skills. Because of this, the interpreter may have anywhere from a 3 to 15 word "lag."

Suggestions for proper use of the interpreter

Look at and speak directly to the deaf student rather than the interpreter (i.e., "Have YOU done YOUR work?" as opposed to, "Has HE done HIS work?") Try to include the deaf student in discussions.

Make sure the student is watching the interpreter. If he is not, he is not "listening" to you!

Try to seat the interpreter and deaf student close to you and your teaching equipment. This will enable the student to have visual access to the interpreter, equipment, and you simultaneously. The interpreter should not sit in front of a window or "busy background."

Speak at a comfortable pace.

Inform the interpreter of forthcoming activities and classroom format (movies, slides, tests, etc.) if possible.

Share important information with the teachers of the deaf.

The interpreter is not responsible for student discipline or accountability.

The interpreter can be available, outside of class time, to discuss any problems you see pertaining to the interpreting process.

It is the interpreter's responsibility to continue signing everything that you say as long as there is a deaf student in the room. Therefore, if you have questions or concerns about the student, arrange to discuss these outside of class time.

The interpreter is a professional. Be assertive in telling the interpreter how he/she can be of help to you. Contact the supervisor if you have any problems, questions, or comments.

Pupil Accounting

The attendance secretary is charged with the responsibility of reporting an accurate check on attendance to the proper authorities and submitting that information to the courts for the Becca bill and to the automatic phone caller for calls home. That report can be no more accurate than the classroom daily attendance report. Therefore, it shall be the

responsibility of the teacher to record attendance. Students are NOT to take attendance. Furthermore, questions resulting from errant calls home will be directed to the teacher responsible for clarification.

Attendance RegulationsThe only valid excuse for absence from school recognized by the state of Washington is for illness. Shadle Park High School will also recognize absences as being valid for:

Illness or death in the immediate family.

Dental or doctor appointments, which cannot be scheduled outside of the school day.

Absences, which result from a student's participation in one of the education programs of the school.

Prearranged absences that have been authorized by the principal or the assistant principal.

Excused and Unexcused Passes

If a student is late to class, the teacher marks them tardy. Do not send them to the office.

It is the student’s responsibility to present an excusal note to the Student Office in the absence of a parent phone call. Students who have been absent from school must bring a written note signed by one of his/her parents or guardians to the attendance office. A note is not required if the parent has made a call or e-mailed.

Early dismissals should be taken care of prior to the absence. If a student becomes ill during the school day, they should report to the Student Office and call a parent. Students who need to be excused from school for an appointment with a dentist or

doctor or for any other reason should also obtain an early dismissal pass. Such passes should be obtained before school by the presentation of a written request from the parent.

Other Attendance Items If an emergency arises and the teacher holds the student after the bell rings, he /she

will send the student to their next class with a note. Please remember that no student is to leave class without a hall pass. The teacher is still in control of how many times the student is allowed to leave the room. In order to support this system, Do Not allow students to leave without a yellow pass.

Truancy does not require the teacher to provide the make-up work.

Students have the legal right to make up all work due to an excused absence, school activity, or suspension.

If you accepted a student as an OJT, you are reminded that the student becomes your responsibility just like any other student assigned to you. A teacher can be found to be personally liable if that teacher allows the student to float in the building or leave campus during which time the student is harmed. All OJT students are to be present in the assigned classroom during the full class period unless sent on an errand. OJT students should expect to do assigned work during the class period. If the teacher has no work, the student must bring his/her own homework to do in class. The student should bring his/her own work each day. Students serving as an OJT are NOT to leave campus at any time for any reason during the class period.

Becca BillThe Becca Bill requires that students are in school until the age of eighteen. If a student has five unexcused days in a month, the school is required by law to file a stay petition with the State of Washington. If at the hearing the student is found to be absent without an acceptable reason, the juvenile court will take jurisdiction over their attendance and order him/her to be in school every day, all day and on time. Shadle Park is a closed campus school with the possible exception of lunch. With the exception of lunch, students are considered truant if they are off campus without permission (including being across the street, the softball field, track or park) or out of their scheduled classes without permission but within the building when school is in session.

1. RCW28A.67.060—Certificated Employees to Enforce Rules—requires certificated employees to faithfully enforce the course of student and rules prescribed by their district, the state board, and the state superintendent.

2. RCW28A.87.020—False Attendance Reports—requires the revocation of a person’s certificate to teach in the event a false attendance report is given.

3. WAS180-44-030—Excuses for Pupil Absence—requires teachers to require an excuse from a pupil’s parents or guardian in all cases of absence, tardiness, or dismissal.

4. RCW28A.27.020—Teachers to report Truancy—Requires each teacher and counselor to report all cases of truancy or incorrigibility in his or her school to the principal or, if none, to the appropriate attendance office. Principals are required to transmit such reports to the attendance officer, if there is a city superintendent, then to the city superintendent.

5. RCW28A.27.102—Failure to Comply with Compulsory Attendance Laws—Makes it a crime for any superintendent, teacher, or attendance officer to fail or refuse to perform duties required by the compulsory attendance low, Chapter 28A.27.RCW.

Accident/Incident Reports Every accident in the school building on the school grounds, at practice sessions, or

at any event sponsored by the school, must be reported immediately to the person in charge and to the school office. The appropriate accident report form must be completed and turned in within 24 hours.

If an accident happens during class time that required a student to leave your class room, contact the office to notify an administrator of a potential problem. If an administrator hasn’t arrived and you have determined that it is necessary to call 911, please do so. It is very important though that you contact the Student Office with that information immediately after you have made that call. All calls to the police or fire department are referred to security for verification.

Do not allow the student to leave your room without supervision. If in your judgment, a student should leave your room immediately, either you accompany the student to the office (if you can leave your class attended) or send the sick or injured student to the office with another responsible student.

The Student Office has the appropriate accident forms for both student incidents. Staff incidents should be reported to the office manager. Eligibility for insurance coverage may depend on the timelines of the report.

Grade and Attendance Record Books The grade and attendance record is an official school record and should be treated

as such with respect to the privacy of the student and teacher. The grade/attendance record book should be the type furnished by the school. Students and/or OJT’s are not to enter grades.Each book should have the sections labeled noting the class, period, and semester dates. A legend or grading scale should be included to determine the grades and the particular days of absence.

Grade/Attendance books will be collected at the end of the school year. Please turn in your grades from both semesters. If grades and/or attendance information is retained on a computer or on a disk, it must be printed out in full for each semester to be stored. They will be stored in the safe for one year, then moved to the “Halfway House” for storage.

Pre-Arranged Absences

Prearranged absences must be cleared through, and signed by, an administrator or counselor and teacher of the activity.

Students must have the pre-arranged absence forms signed by their teacher (s) whose class they will miss at least one day in advance and returned to the Student Office.

"Please Report" forms are to be used by administrators or counselors only, or with their signed approval.

For group counseling situations, passes for students will be placed in teacher's boxes one day in advance, and will be subject to teacher consent.

Unlawful Discrimination and Harassment Prohibited

Spokane School Board Policy 5170 specifically prohibits:

Discrimination due to race, sex, age, handicap, national origin, religion, or color;

Harassment on the basis of sex, which includes unwelcome or uninvited sexual advances, requests for sexual favors, sexual comments, cartoons, innuendoes, and other uninvited or unwelcome verbal or physical conduct of a sexual nature;

Harassment in the form of slurs or other harassment based on race, religion, ethnic origin, or disability (physical, mental, or sensory) which may be any derogatory action such as remark, word, joke, picture, or gesture.

Other harassment defined as intimidating based upon another person's race, religion, ethnic origin, sexual orientation, or physical, mental, sensory disability that causes physical injury, or by words or conduct places that person in fear of harm to his/her person or property or causes disruptive conduct.

It is important to acknowledge that this policy applies to the behavior of all persons involved in the educational process at schools, school buildings, and while on school business off school district property. This behavior may occur between adults, adults and students, students, and between patrons and employees and students. Spokane School Board Policy 5170 specifically describes the formal and informal procedure to address every complaint. As a staff member and as a school we must model intolerance for these violations. These behaviors attack the respect and esteem that we must maintain in our school. All staff is required to complete harassment training as scheduled by the human resources office.All complaints regarding Policy 5170 will be expeditiously investigated and corrective action will be taken to resolve such complaints.

Activity Calendar/Fundraising ProceduresThe following steps must be followed in order to obtain a fundraising activity:

Fill out the appropriate fundraising intent form from the Business Office.

Check with the assistant principal for activities to see that your fundraising activity does not conflict with any already scheduled and obtain approval.

Return the form to the Business Office by the Friday previous to each ASB meeting to be put on the ASB agenda. Any forms that are turned in later than Friday will be scheduled for the next meeting. [Meetings will be held the first Thursday of each month.]

You will need to have a representative from your club present at the ASB meeting. Approval cannot be given for your fundraising activity without someone representing your club at the ASB meeting.

If your fundraising activity is approved, return to the Business Office for the necessary paper work (request to purchase and a purchase order). If there is a contract involved, it needs to be signed by the advisor and the business manager.

State laws regarding accounting of student funds are very specific; therefore, please complete the proper purchase requests (obtained from the Business Office) before ordering any materials. The school cannot be responsible for unauthorized orders.

School Dances—Procedures and Policy(Information to Advisors of School Groups)

Any school group sponsoring a dance should follow these instructions.

Check with the assistant principal for activities for a date on school calendar. Only one dance per month will be held at Shadle Park High School.

ASB approval may be accomplished by completing a fund raiser intent form and sending a member of your group to an ASB meeting and making the wishes of your group known. Please be sure the ASB president knows you are there so that you will be recognized.

Notify the Business Office concerning sales of tickets and purchase request at least three (3) days before the dance.*The Business Office is closed to students during class time.

For use of the ASB sound system and/or stage equipment, follow these procedures:

1. Schedule sound system use with Leadership.2. The GROUP ADVISOR is responsible for setting up all equipment and will supervise

the group when removing equipment.3. The sponsoring group will furnish members from their organization to set up

equipment under the direction of the CLUB ADVISOR. The club advisor will determine the number necessary at the time the sponsoring group makes their equipment request.

4. There is $100.00 fee to use the sound system.

Money-Handling Procedures Requests for a cash box (or boxes) requiring change should be given to the business

office one (1) day in advance of the function. Such requests should be made by the club advisor.

Club advisors should pick up the box or boxes from the Business Office. If it is necessary to send a teacher aide, a note must be sent bearing the date, time and student's name and the name of the organization. Full responsibility for the cash box or boxes rests with the advisor until returned to the Business Office.

Money must not be left in classrooms or unattended at any time.

Tickets should be handled in the same manner as cash.

Field Trip Information Sheet

Before leaving on a field trip, you must have filled out a field trip information sheet. On return, a copy needs to be given to Mrs. Gray complete with a roster of student names.

In order for a student to drive they must fill out the Private Vehicle Transportation Approval Form.

These can be picked up from the activities coordinator. No student will be allowed to drive or be driven without turning in this Private Vehicle Form. This form is only used to travel within Spokane Public School boundaries.

Extracurricular and Field Trip RequestsWhen a school bus is needed, the following procedures must be adhered to:

Transportation Requests may be picked up from the secretaries in the Student Office or the Assistant Principal/Activities.

Fill out and obtain approval from the Assistant Principal/Activities fifteen (15) days prior to the trip in order to assure that a substitute is ordered.

Confirmation will be made prior to the date of the trip.

If the trip is canceled due to any reason, the person requesting the trip must notify the Assistant Principal/Activities at least two and one-half hours prior to departure time. Note: Coaches--in case of rainouts, the above-mentioned cancellation deadline also applies.

Do not call transportation to make any arrangements. NO TRIP WILL BE APPROVED BY A PHONE CALL.

The minimum number of students to be transported must be fifteen.

All field trips and extracurricular trips need to be prearranged.

All prearranged absence forms should be turned in to the student office once the forms are completed and prior to the trip.

In addition, a list of those students who were actually in attendance should be sent to the student office upon return.

If any problems arise, contact the Assistant Principal/Activities or the athletic secretary. They are the only two people authorized to order buses, change schedules, or be in direct contact with the transportation department.

You must check if any of your students take medication at school or have severe allergies and must check this medication out of the student office.

General Supervision

Supervision of this building is a total team effort.

Please be visible in the hallways during passing period if at all possible. Please also be at your doors to greet the students at the beginning of each period.

All students are to have passes.

Anytime you see a student out of class, ask for a pass.

Please go into lavatories once or twice a day just to look around. Report any vandalism, graffiti, or other problems to the office as soon as they are observed.

During student access days, teachers must be in their rooms and available to students. Since students may choose to contact teachers at any time during the period, teachers must remain in the room for the entire period.

The con supervision will be divided up by grade level taught (or prominent grade). Staff must sit in stands in their designated area.

Staff, please do not stand on the wall or all sit together in stands!

Security/Crisis Policies and PracticesIn order to assure that Shadle Park provides the safest and least disruptive environment for students and staff, and recognizing the need for a building response to security and crisis situations, the following policies/practices are to be implemented.

Many of the policies/practices listed below are currently being followed for campus supervision and are, in fact, security related. These, therefore, need to be strictly followed by all.

No plan is perfect. Security issues are not just administration or counseling issues. They involve the ENTIRE STAFF. Total staff cooperation and awareness are the major factors for success in meeting building safety and security issues.

Policies and Practices Personal safety comes first. Do not place yourself or students in a position of

danger. Any security policy/practice must be prefaced with the need for personal safety.

Nonstudent(s)/trespasser(s) in the building need to be dealt with immediately. There should be no one in the building without ID. A staff member has the right to ask for identification from anyone in the building. This should be done so long as it is not placing the staff member in a dangerous or confrontational situation. If the nonstudent/trespasser fails to give identification or to produce a pass, the staff member may escort them to the office. In the event the staff member does not escort them to the office, the office needs to be alerted at once.

When reporting a nonstudent/trespasser via intercom or telephone to the office, please follow the following steps:

Students in class - All students are to be in class, on time, and are not to be released until the end of the period as defined by the bell schedule. TAs, OJT students, and science interns are expected to follow these rules. Furthermore, TAs, OJTs, and science interns are not to be released from the teacher's room unless they are doing a specific task. If the teacher does not have work for them to do, they are to remain in the classroom with the teacher and study.

Hall Passes - No student, at any time, is to be in the hall without a hall pass or his or her TA, OJT ID. No exceptions!

Any staff member may request a student in the hall to present a hall pass. Students who fail to produce a hall pass should be sent back to the teacher to get one. In such instances where there is a chronic problem or the student is uncooperative, the student office needs to be notified.

Visitors and Visitors’ Passes - All visitors, parents, guest speakers, etc., must check in the office for clearance and to obtain a visitor pass. The pass is a clip-on pass and will be worn at all times. Visitors are to then return the pass when they check out. All student visitors must be prearranged with teachers and an administrator!

Teacher visibility in the hall - Teachers are asked to be in the hall by their classroom between classes. Teacher presence in the hall is a proactive approach to supervision and security problems and needs to be demonstrated regularly by all in order to be effective.

Fights/arguments need to be dealt with and the office needs to be notified of their occurrence. Any altercation, no matter how minor or trivial in appearance, may have other ramifications and could continue or escalate. Likewise, any rumor of a disturbance should be reported for investigation.

Locked doors assist supervision and security by limiting access. Rooms not in use should be kept locked. In addition to locking interior doors, specific entrances will be locked in order to control unwarranted entry and to facilitate visitors checking in at the office.

Harassment of any nature is not to be tolerated. It must be dealt with immediately either by teacher intervention or referral to an administrator/counselor.

Disrespect to staff and/or student is not to be tolerated either. Please make an intervention. You are always welcome to assign a student detention to be spent with you, or make an administrator referral.

Threats need to be reported to an administrator. Please do not make assumptions as to the intent of the student making the threat, report it immediately.

Accidents

Employees should use good judgment in order to minimize interruption of instructional time by the telephone.

Staff should forward the telephone to voice mail during instructional time.

In a case of emergency, the phone should be set to ring in the room.

Staff may take the phone off forwarding during non-instructional time, or during times when it is relevant to the instructional process.

Staff should check their voice mail and e-mail at least two times a day.

Every attempt should be made to return e-mail and phone calls within twenty-four hours.

There is no need to change the greeting daily, however you should state in your greeting when you are normally available, i.e. your prep time & when you will be returning calls. Before leaving for the summer vacation change your message to indicate when you will be available.

As an option, the teacher may change the greeting daily and leave the homework assignments on voice mail, which could then be accessed by absent students.

The office will be able to contact a classroom through the telephone intercom line, even if the phone is forwarded to voice mail.

Staff should call other classrooms using the main classroom line. The telephone intercom line will disrupt a class and it should be kept clear for emergencies.

Phones, e-mail, and school computers should be used primarily for district business only.

Poster ProtocolFor All:

Posters are not allowed on the 2nd and 3rd floor window. Please do attempt to place posters on those windows, even with blue tape!

For Individual Posters:

1. Individual desiring to post posters must receive prior approval before posting.2. Poster can only be attached to appropriate hallway surfaces.3. Poster must be approved by the ASB teacher, the principal, or assistant principal.4. Approved posters will be stamped and dated with approval.5. Individuals will be responsible removing posters.6. This policy does not apply to student work or class/course/policy information that teachers

may choose to post on or near their classrooms.

For Club/Activity Posters:

1. Clubs or Activities will follow the same procedures as above, but will have permission to make multiple copies of their posters once approval has been given and the poster stamped. They will not be required to have each individual poster stamped.

Shadle Park High SchoolBuilding Improvement Request Protocols:

For BIRs using Building Level Funds (typically projects costing less than $500):

1. Individual describes improvement to principal (Eric) and gets thumbs up or down (may require consulting with anyone else affected by the improvement)

2. Principal sends email to office manager (Cheryl), business manager (Diana), and head custodian (Pat) that project is approved.

3. Individual wanting improvement meets with head custodian to let them know what the project entails

4. Business manager generate funding code5. Head custodian fills out building improvement requests and gives to office manager6. Office manager get request to principal to sign and then sends to secondary director (Jon

Swett) for approval7. Once approval is received, improvement can be done

For BIRs using district level improvement funds (typically projects costing more than $500):

1. Individual describes improvement to principal (Julie) for thumbs up or down (may also require consulting with anyone else affected by the improvement)

2. If project is given a go ahead, the individual fills out the building improvement form and returns it to principal for a signature.

3. Principal or office manager sends to secondary director for approval4. Secondary director sends request to district improvement committee, which meets three

times a year, for approval or disapproval

Maintenance ProjectsPer district policy staff is not allowed to do any maintenance projects (e.g. painting their room, carpeting, electrical and minor construction work, etc.). This type of work can only be done by maintenance workers trained in codes and regulations enforced by local, state and federal agencies. Any unauthorized maintenance work that is done by staff may have to be corrected, which will be charged to the school’s location budget.
