September 16,2013

Promotion and tenure recommendations are due on or by Tuesday, January 21, 2014, in the Provost's Office (to Veronica Williams) so they can be forwarded to President Wilson by April II, 2014. The guidelines for this process as well as all necessary forms can be found on the Provost's web site: http://provost.wayne.edu/resources/promotion-tenure.php. Please use current versions of these forms.

Provost Winters has spoken with you about the importance of the tenure and promotion process, so there is no need to repeat that here. Instead, there follow a few important points that emerged

from last year' s process. Please call if you have any questions .

./ Where scholarship is important-which is most of the time-provide objective evidence.

Where available, provide journal impact factors for articles important to the tenure/promotion

case. In addition, or where impact factors are not available, provide data on journal rankings

and/or selectivity, and other indicators of excellence and national/international recognition.

Wherc significant and where the information is available, indicate the number of times a publication has been cited. This ancillary information may best be incorporated into the "List of Publications Forwarded" that is located at tab 15 of the main application. Descriptions of

creative exhibitions or performances should indicate whether the forum was juried or

refereed and if it has local, regional, or national or international visibility .

./ Please remind candidates that there is a difference between requesting and receiving. Lists of

publications should be limited to publications. An article accepted and forthcoming passes

muster; an article in draft or submitted for (re)consideration does not. Candidates should

include documentation (a copy of a letter of acceptance or email correspondence with an

editor) of the status of " in press" or "forthcoming" publications at the end of their

Professional Record Form (tab 6 of the application). The "externally funded research" form (tab 14) requires information on grants awarded, not applied for.

reported here, especially with respect to funding and the candidate 's proportional effort. For those candidates with no externally funded research, enter "not applicable" in the first row of the form.

15. List of Publications Forwarded. This is the numbered list of publications that have been forwarded with the Tenure and Promotion application. Where available, provide journal impact factors for articles important to the tenure/promotion case. In addition, or where impact factors are not available, provide data on journal rankings andlor selectivity, and other indicators of excellence and national/international recognition. Where significant and where the information is available, indicate the number of times a publication has been cited.

The School/College should provide one complete set of Promotion and Tenure applications from the School/College on a single CD or flash drive. The CD or flash drive must be submitted to Veronica Williams in the Office of the Provost on or by Tuesday, January 21, 2014.

Include, in one separate binder, one copy of each publication that the applicant would like the committee to consider, numbered to correspond to the numbering of the list contained in tab 15.

../ Credit for multi-authored works should be made clear. Where a discipline has a convention as to the order of authorship (e.g. that the corresponding author is listed last), an administrator should set this out .

../ At least four letters must be submitted from external evaluators selected by administrators

and committees and not identified to the candidate. Evaluators should be selected for their

standing in the field and for their detachment from the candidate. Evaluators should normally be from distinguished, research extensive (former Carnegie I) institutions with

tenure/promotion standards similar to or more demanding than WSU' s. Submit every letter

received-not just the favorable ones. If letters have already been solicited but the list does

not include sufficient reviewers of distinction and independence, please solicit additional letters .

../ Note that the "Summary of External Evaluators" form requires specific disclosure of each

evaluator' s "relationship to candidate." Failure to disclose that a reviewer is a former colleague merely weakens the strength of a positive review when reviewers mention their close ties (as reviewers so often do) .

../ Requests to external reviewers for letters must include a copy of the candidate ' s professional

record and a list of the publications that are enclosed, so everyone is clear about what is

being reviewed. The publications can be listed in the letter of request or on an attached

document. If letters have been sent without a professional record, please send it separately .

../ Teaching information must include the numerical SET scores for each of the three global

questions-not just a total-for each course taught since appointment to the tenure track (the

past five years for applications for promotion to Professor). Data reflecting Departmental or

School/College norms should be included in the numerical table (sample attached).

Additional information about teaching is also welcome. If SET scores are not available,

explain why, and submit (and explain) the best available alternative metric .

../ If student comments are quoted by any evaluator (which is not required), explain how the

comment was chosen . In particular, explain whether only selected student comments are

being submitted . The best documentation would be ALL comments (or at least all for a given

class) or none at all .

../ If information on the Externally Funded Research form (tab 14) is inconsistent with the

Professional Record, please explain the inconsistency (although it is preferable to make them

consistent since one reviewer might rely on one, one on the other). For multi-investigator

grants or contracts, the applicant must indicate the portion of the funding that is credited to

his or her role on the project. Indicate whether a grant is in a no-cost extension.

./ Please submit files on CD or flash drive; make sure that any PDFs are searchable and are bookmarked for ease of use. Remember the University Committee will review candidates

using these files .
