Steps to help with your Reflections Program Pace yourself... July/August

Local PTA President and/or Council President receive Ohio PTA Resource Guides.

The President reviews the Reflections Handbook and passes it on to the Reflections Chairperson.

The Reflections Chairperson reads the Reflections Handbook cover to cover. The Chairperson makes preliminary plans (recruits volunteers, sets a meeting time with volunteers, meets with the volunteers to review handbook - including deadlines, rules, paperwork).

Prepare materials for distribution to staff members and students about the Reflections Program.

If you are a member of a Council, meet with the Council Reflections Chairperson to obtain dates and deadlines.

Call on the Ohio PTA Director of Family-School Partnership or your District Advisor to give a workshop about Reflections to your committee, staff, students, and teachers in your school.

Check to make sure Reflections Program is included in your PTA budget.

Complete Reflections Leader e-learning program. See pta.org/Reflections.September

Celebrate National Arts in Education Week Sept. 10-16, 2017 go to pta.org website for suggestions on how to kickyou’re your Reflections Program.

Host a workshop for students.

Share announcements widely using PTA, school and community communication channels. Be sure to include a deadline and drop off location as well as submission instructions. Send a reminder notice home to parents/teachers about the Reflections Program. (Hint: personalize the “Reflections at a Glance”)

Check to see if your PTA has made a dues payment.October

Remind staff and volunteers of deadlines.

Follow up with students about their progress.

If you are in a PTA Council, be sure to meet their deadline for submitting work for Council level judging.

If dues weren’t paid in September recheck this month on dues payment.

November and December

Follow up with fall training and proceed with your plans for judging etc.

Check-in entries and review artwork for qualification. Organize entries by division and category and assign them to a judge.

Check with your unit: Your PTA is ineligible if a dues payment has not been made by November 30.

January

Prepare your entries to forward to Ohio PTA. It is suggested that you keep backup copies (photocopy and/or electronic) of all visual arts photography, literature, music, dance and video entries.

Make sure that all winning online entries are completely filled out, including artist statement and electronic signatures.

Plan early...mail. We advise shipment via UPS because of ability to track shipping.

ENTRIES must be received in the OHIO PTA office no later than Wednesday, January 17, 2018 by 4:30 pm.

February and March

Wait with anticipation to hear how your students finished at the state level of the competition. A report will be sent to each participating Council and Non-Council Unit Reflections Chairperson with a report of how many entries received, any disqualifications and reason why.

You will also receive participation ribbons for students who competed at the state level and ribbons, and winner certificates.

You will receive a list of Ohio PTA winners.

Students participating at the national level will be contacted by National PTA directly.

April and May National PTA announces winners at the national level on May 1. See pta.org/reflections Celebrate and recognize your participants. Host an awards reception for your local winners. Watch for the May issue of The Ohio PTA Voice (e-newsletter) featuring Reflections. Send flyer with next year’s theme to principals/teachers so they may prepare.

June

Prepare your 2017-2018 procedure book detailing how, who, and what happened with Reflections and pass on to the new Reflections Chair as soon as appointed. Set a time to talk about what worked, what did/did not work, and how to improve.

July/August...time to begin again!

CHECKLIST OF CHAIRPERSON’S RESPONSIBILITIES Read the entire Ohio PTA Reflections Handbook. The rules set by the Ohio PTA and National PTA are very specific.

Set your deadlines. Keep in mind other deadlines (council, district, state). Be certain to allow enough time for items to reach the next level of judging.

Meet with the principal, participating teachers, staff, and volunteers involved with the project. Provide a copy of the rules and regulations to each of them. Go over deadlines, answer questions, and encourage participation.

LOCAL CHAIRS Local chairs complete the Online Group Entry process (page 9)

Arrange for displaying, judging, and appropriate local awards. Ask your Publicity Chairperson to assist with the Reflections program’s success by submitting press releases and news articles about the program to the local media.

After judging, complete the Online Report of Student Participation as explained on page 9. (This is the total number of participants at the individual unit level.)

PTA units not in a council or whose council is not participating and Community PTAs should advance their entries directly to the Ohio PTA office by the deadline. (This includes ALL entries.) Prepare mailing entries with appropriate paperwork to the state level. Complete the Official Ohio PTA Participation Form (page 12).

After the local judging, winning STUDENT entries must complete the Online Student Entry process. This may be done by the student, family member or local chair. Notify the council when completed.

COUNCIL CHAIRS

Councils meet with PTA units, review the Reflections Handbook together cover-to-cover. Go over deadlines, answer questions, and encourage participation.

After judging at the council level, be sure to indicate online only the appropriate number of pieces to move forward to the state level of judging by the deadline. (This includes ALL entries.) Prepare mailing entries with appropriate paperwork to the state level. Council chair must include the Official Ohio PTA Participation Form (page14).

All forms and student entries should be together in one package and mail to the Ohio PTA Office. It is easier to track if it should get lost. (If more than one package, mark your package as such.)

ALL CHAIRS

Host an awards ceremony honoring participants and winners.

Send thank you notes to staff, PTA volunteers, and judges for their part in the success of the Reflections program.

JUDGING TIPS

Welcome Reflections Judge!

We thank you for supporting the arts and cultural exploration of our students by serving as a volunteer

judge for the PTA Reflections program! As an expert in your arts area, your enthusiasm contributes to the

vibrancy and creativity of our school community.

Before you begin your review, please familiarize yourself with the following judging criteria, Reflections

theme, program rules and helpful tips.

All PTA Reflections program entries are judged on three criteria:

1. Interpretation of Theme (20 pts.)

2. Creativity (10 pts.)

3. Technique (10 pts.)

Notice how “Interpretation of Theme” is weighted? This is what makes the National PTA Reflections Arts Program unique. A well-developed concept is more important than technique. If two entries are tied, the entry with the higher score for interpretation of theme receives more recognition. Use the judging rubric on the next page to help you guide your review.

Entries should be judged primarily on how well the student uses his or her artistic vision to portray the

theme: “Within Reach”

The following entry information will be provided to you during your review:

Title of Artwork and student’s Artist Statement: This may provide insight on the student’s

artistic style/genre and materials used when exploring the arts category. Look for personal

meaning and reflection on the theme that contribute to the student’s Interpretation of Theme.

Grade Division: The student’s division may provide insight on student’s range of technical skill,

ability and competences displayed in their submission.

Additional Artwork Details: If noted, artwork details will offer information related to cited

material, submission size/length, etc.

Please record your points for each entry on the provided score card. To flag questionable entries, contact

your PTA Reflections Chair immediately. When your review is complete, please submit your scores to the

PTA Reflections Chair.

General Rules for Participation

All students must adhere to the General Student Participation Rules, as well as the rules for their specific arts

category. Program rules and student entry forms are provided by your state PTA. To reference national rules, visit

PTA.org/ReflectionsToolkit

Student Eligibility and Entry Guidelines: Students must participate in the National PTA Reflections program

through a local PTA/PTSA in good standing, as determined by their state PTA. It is your Local PTA Reflections

Committee’s responsibility to confirm that your PTA is in good standing and to determine each student’s eligibility.

If you are not sure whether your PTA is in good standing, talk with your PTA president. The following additional

guidelines apply to student entries:

Each entry must be the original work of one student only.

A student may develop an entry inside or outside of the school.

A student may submit entries in more than one arts category.

Each student entry must be accompanied by a paper student entry form, signed by a parent or

guardian.

Student entries must include a title and an artist statement, which communicates the artist’s

inspiration for the work and how it relates to the theme. The statement must describe the content

and include at least one sentence, but not exceed 100 words.

Students with Disabilities: Students with disabilities may participate in the National PTA Reflections program in

one of two ways.

1. Enter in Special Artist Division to receive non-artistic accommodation and assistance from an adult.

Students are recognized and awarded prizes as part of the Special Artist Division. The Special Artist

Division is an optional division of the Reflections program, accepting students in all grades whose physical,

cognitive or mental health challenges meet guidelines set forth in the Americans with Disabilities Act.

National PTA will honor one special artist from across all arts categories to receive an Outstanding

Interpretation Award. Up to six additional special artists will receive a National PTA Award of Excellence.

2. Enter in grade division most closely aligned to the student’s functional abilities. Students are

recognized and awarded prizes as part of the general student population without regard to special needs or

challenges. In this case, students follow all general rules and arts category rules but may submit their

entries in the grade division most closely aligned to their cognitive or functional abilities.

Originality: Specific rules related to originality for each arts category are provided by your state PTA. National

rules can be referenced at PTA.org/ReflectionsToolkit. In general:

An adult may not alter the creative integrity of a student’s work.

Only one student may be recognized for each entry; collaboration with other students is not

allowed. Other individuals may appear in or perform a student’s work, but the work itself—the

dance choreography, film production (i.e., screenplay, camera work and directing) or musical

composition (i.e., written score and any lyrics)—must be the creative product of one student

alone.

The artwork must be inspired by the current year’s theme and created expressly for the program.

Artwork produced before the dissemination of the theme or used for another competition or

program may not be submitted.

Use of Copyrighted Materials: Use of copyrighted material is prohibited in the literature, music composition,

photography and visual arts categories. This includes the use of copyrighted cartoon characters, copyrighted

material from the Internet, advertisements or advertising ideas, musical themes from existing copyrighted

compositions, copyrighted recorded music, copyrighted photographs or stock images. Use of copyrighted music in

dance choreography and film production entries is acceptable when the title, composer and performer of any

music in the submission are cited on the student entry form.

Film productions, photography and visual art may include public places, well-known products, trademarks or

other copyrighted material, as long as that copyrighted material is incidental to the subject matter of the piece and

is a smaller element of the whole. Visual arts collages may include portions of existing copyrighted works, such as

portions of photos, magazine clippings, internet images and type cut out of a newspaper, as long as those pieces of

copyrighted works are used to create a completely new and different work of art. A collage should be judged for its

whole—not its parts—and its creativity as an original work of art. Misuse of the above materials constitutes

plagiarism—taking and using another’s words, ideas or inventions as one’s own.

Addressing Student Ineligibility: Occasionally, entries submitted to the Reflections program are ineligible. One

reason for ineligibility is that the local PTA is not in good standing. It is very important that you check with your

PTA president to ensure your PTA is in good standing with the state. Other common reasons for ineligibility are

plagiarism and resubmission. The following recommended procedures apply to both plagiarized and resubmitted

entries:

1. Scan entries to ensure that all are original and have not previously been submitted to Reflections

or another art competition.

2. Alert judges to the possibility that some pieces may not be original and encourage them to

communicate when one may be questionable.

3. Check questionable entries via Google or another search engine.

4. Return ineligible pieces to students, and explain why they are being returned.

5. Talk with appropriate school personnel, such as school counsellors, the principal or teachers

about ways to address the seriousness of copying someone else’s work or resubmitting artwork

with the student and his/her family.

If ineligibility is confirmed after judging, determine whether awards (including award money, pins, certificates, etc.) should be returned.

General Unit and Council Participation Rules PTAs and Students must adhere to the

General Participation Rules

Eligibility of PTA Units and Councils

PTAs in good standing with membership dues paid to OHIO PTA by NOVEMBER 30, 2017 may participate. Reflections chairman need to verify.

Number of Entries - Councils need to check how many units are in your council

Council with 3 - 15 PTA units may submit up to 28 entries to Ohio PTA

Council with 16 - 39 PTA units may submit up to 60 entries to the Ohio PTA

Council with 40 or more PTA units may submit up to 76 entries to Ohio PTA

Others

Non-council Units may submit up to 16 entries to Ohio PTA

Community PTAs (per bylaws) may submit up to 28 entries to Ohio PTA

Units whose council does not participate may submit up to 16 entries to Ohio PTA

REQUIREMENTS Every participating PTA unit and council MUST complete an online registration process.

Every winning student’s entry MUST complete an online Student Entry Form.

Every Student must fill out a hard copy of the Student Entry Form and attach it to their Reflections entry. All lines must be filled in with appropriate information. All students must sign the Student Entry Form. Parents must sign the Student Entry Form for children under 18 and for all children with Special

Needs The Local Unit Information must be filled out entirely.

Submit the official Ohio PTA Participation Form (page 14) with entries mailed to the Ohio PTA Office.

Deadline for submitting entries and required paperwork to the Ohio PTA office is Wednesday, JANUARY 17, 2018 by 4:30PM. They must be received in the office at this

time. There will be no exceptions to this deadline.

Ohio PTA has a moral obligation to adhere to the rules set forth by the National PTA and the Ohio PTA.

Failure to follow these rules will result in disqualification

2. Report Student Participation & Program Success from September 1—March 1 at

PTA.org/Reflections.

Enter your National PTA 8-digit ID Number.

Select which grade divisions your PTA offered.

For each division, Enter student participation totals for each arts category.

Enter total number of participating students.

Select true statements regarding your program’s success.

Click “Submit” and receive a confirmation email.

Student Entry Portal Instructions:

1. Create an Account.

Visit PTA.org/Reflections and click the “Submit Student Entry” button.

Click “sign up” and enter your full name, email and create a password.

Click “register” and receive a confirmation email.

Click the unique link in your confirmation email to activate your account.

2. Submit Advancing Student Entries.

From your account’s home page, click “create a submission” for each

student entry advancing to the next round.

Click “Student Entry Form” to enter Student Entry Information.

Click “Upload Artwork” to upload a digital copy of the entrant’s artwork (optional).

Click “submit your student entry” to submit student entry. If you submit a student entry by accident or

need to make edits to completed forms, please notify your State PTA.

3. Confirm Student Submission Status.

From your account’s home page, view a list of created submissions. Confirmed submissions will show a

status of “Submitted.”

Look for State and National PTA award announcements and special invitations to Reflections celebration

events.

Ohio PTA Awards include Award of Excellence, Award of Outstanding Achievement, Award of Merit and Honorable Mention in each age category for Visual Arts, Literature, Dance Choreography, Video Production, Musical Composition, and Photography.

Ohio PTA’s Visual and Photography artwork is returned to the local units in March, except for those that are selected by Ohio PTA. Check with your District Advisor for specific return dates. The selected works are returned to the local units in September. Literature, video, music and dance entries are not returned.

Ohio PTA exhibits the awardees’ works at the annual Ohio PTA convention in April and at various locations (announced) in a Reflections Roadshow during months May-September.

State Specific Instructions: Students must follow state specific requirements and instructions.

VISUAL ARTS include many art forms that are visual in nature. The artist (student submitting entry) is a person who captures their own thoughts and ideas to create a visual piece of art.

2017-2018 Theme: Within Reach

Accepted forms of visual art include: Architecture (2D/3D), carpentry, ceramics, collages, photographic collages (multiple photos cut/pasted), computer-generated image, crafts, design, dioramas, drawing, fiber work, jewelry, kites, metal etching/punch work, mobiles, painting, printmaking, sculpture and wind chimes.

Originality: Only new pieces of artwork inspired by the theme may be submitted. Reproductions or enlargements of other artwork are not accepted. Each entry must be the original work of one student only.

An explanation of the art form might be a useful addition to the artist statement. Whether an entry displays use of formal technique or a simple approach, it will be judged primarily on how well the student uses his or her artistic vision to portray the theme, originality and creativity.

Copyright: Use of copyrighted material, including any copyrighted cartoon characters or likeness thereof, is not acceptable in any visual arts submission, with the following exceptions: • Visual artwork may include public places, well-known products, trademarks or certain other

copyrighted material as long as that copyrighted material is incidental to the subject matter of the piece and/or is a smaller element of a whole. The resulting work cannot try to establish an association between the student and the trademark/business/material, or influence the purchase/non-purchase of the trademarked good.

• Visual arts collages may include portions of existing copyrighted works, such as photographs, magazine clippings, internet images and type cut out of a newspaper, as long as those portions of copyrighted works are used to create a completely new and different work of art.

Presentation: Framed artwork and artwork containing loose materials is not accepted. Matting is accepted.

2D artwork (e.g. painting) Dimensions must not exceed 24x30 inches, including matting. Paper entries must be mounted on sturdy material.

3D artwork (e.g. sculpture) Must be able to move for display purposes. Must include packaging materials and 3 photos of the entry (a combination of angles) for judging, ID and exhibition purposes (entries that require assembling/repairing from transporting will be disqualified).

Digital photo(s) of artwork: Must be high resolution (300 dpi or higher).

Packaging: Label back of artwork and photo file(s) with your State, Arts Category, Grade Division, Last Name,

First Name (Example: PA.DANCE.PRI.SMITH.JOHN). Submit artwork and student entry form according to your PTA’s instructions.

Ohio PTA Important Information: Put the Student Entry Form in a plastic sheet protector and tape to the back. Visual Art entries will be available from your District Advisors, Council President, or by direct mail after

April 2018. Winning entries will be returned after September 2018.

LITERATURE is the art of writing. The author (student submitting entry) is a person who expresses their own thoughts and ideas through the use of words. Authors submit a single literary work, handwritten or typed, using grade-appropriate grammar, punctuation and spelling. Collections of literary work (such as poems and short stories) are not accepted.

2017-2018 Theme: Within Reach

Consider the following literary styles to portray your original work of fiction or nonfiction: Prose, poetry, drama (screen play and play script), reflective essay, narrative, or short story.

Originality: Only new pieces of artwork inspired by the theme may be submitted. Each entry must be the work of one student only.

An explanation of the storyline and/or the significance of the literature style might be a useful addition to the artist statement. Whether an entry displays formal writing technique or a simple approach, it will be judged primarily on how well the student uses his or her artistic vision to portray the theme, originality and creativity. Spoken word audio recordings and illustrated entries including books with pictures drawn by the student author are acceptable; however, only literary content is judged.

Copyright: Use of copyrighted material is prohibited. Plagiarized entries will be disqualified.

Presentation: Entry may be hand written or typed. Writing must not exceed 2,000 words.

FILM PRODUCTION is the process of making a film. The producer (student submitting the entry) is not required to appear in the film but if the student chooses to, a camera tripod may be used. All screenwriting, directing, camera/filming and editing must be done by the student producer. PowerPoint presentations are prohibited.

MUSIC COMPOSITION is the process of creating a new piece of music. The composer (student submitting entry) is a person who expresses their own thoughts and ideas through the use of sound. The student composer may submit an entry performed by an individual or group and/or make use of a sound library generated performance of a composed score. Student composers are not required to perform their composition. Middle and high school grade divisions require music score/tablature/notation, either traditional or tablature.

Consider the following musical styles and instruments to portray your original composition: A cappella, blues, choral, country, electronic, hip hop, jazz, world music , musical, orchestral, pop, R&B, religious, rock, symphonic/concert band and traditional.

All instruments, sounds, styles and combinations are accepted. Software may be used to produce an audio recording that does not include commercially pre-programmed imported MIDI or other source files. Entries containing algorithmic composition techniques are not accepted. An explanation of the origin of the music and/or the significance of the music style might be a useful addition to the artist statement when submitting a music composition that involves traditional, cultural or regional instruments. Whether an entry displays formal composition technique or a simple approach, it will be judged primarily on how well the student uses his or her artistic vision to portray the theme, originality and creativity.

PHOTOGRAPHY is the process of creating an image. The photographer (student submitting entry) is a person who captures their own thoughts and ideas with a camera. By focusing on objects using various lenses, filters and light sources, photographers may demonstrate the use of photographic techniques conventionally or digitally.

Accepted forms of photography include: A single photo, panoramic, photomontage (one seamless print of multiple original photos), a multiple exposure, negative sandwich or photogram. Original black-and-white and color images are accepted. Non-accepted forms of photography include: Entries with added graphics over the image, including lettering, are not accepted. Original film (negatives or transparencies) and multidimensional pieces are not accepted.

Originality: Only new pieces of artwork inspired by the theme may be submitted. Each entry must be the work of one student only.

April 2017. Winning entries will be returned after September 2017.

ELIGIBILITY. The National PTA Special Artist Division is an option for students with disabilities who receive services under IDEA or Section 504 to have the opportunity and accommodations they may need in order to participate fully in the program. The Special Artist Division offers modified rules and guidelines to ensure that every student has the chance to be part of the National PTA Reflections® program.

Who qualifies as a disabled individual under the law? The Americans with Disabilities Act (ADA) defines an individual with a disability as a person who: (1) Has a physical or mental impairment that substantially limits one or more of the major life activities of that person; (2) Has a record of such an impairment; or (3) Is regarded as having such impairment.

HOW TO ENTER. Students who identify as having a disability have two ways to enter the National PTA Reflections®

Program. All students may enter in only one division. Student Entry Form requires parent/legal guardian signatures.

Option 1. Enter in Grade-Level Divisions: Regardless of age, students with special needs may enter in the grade division most closely aligned to their functional abilities. Students may not receive assistance other than that which is allowed for all children. The divisions are as follows: Primary (preschool – grade 2); Intermediate (grades 3-5); Middle School (grades 6-8); High School (grades 9-12). Students are recognized and awarded prizes as part of the general student population without regard to special needs or challenges.

Option 2. Enter in Special Artist Division: Eligible students entering the Special Artist Division create their own artwork, but may receive non-artistic accommodation and assistance from an adult. Students are recognized and awarded prizes as part of the Special Artist Division.

SPECIAL ARTIST GUIDLINES. Special artists should follow the general rules and guidelines outlined in the arts category student rules specific to their submissions, modified only by accommodations for individuals with disabilities. The accommodation, in general, should be both specific and limited to the student’s disability.

Allowable Accommodations: Given the diverse range of physical and mental disabilities that exist, it would be impossible to outline specific accommodations for each and every disability, but the following provides a non- exhaustive list of allowable accommodations:

o The Special Artist Division will not be divided by age or traditional school grade level. o Use of adaptive technology is allowed. o All submissions must be solely created by the special artist. However, a parent, teacher or other adult may

assist the special artist with typing, holding a camera, etc.

Accommodations that are Not Allowed: Individuals providing assistance to special artists may not, in any way, involve themselves in the actual artistic process by:

o Personally selecting a title for artwork. o Writing, editing or interpreting a student’s artist statement, story, poetry or script. o Choreographing a dance, composing music or writing lyrics. o Drawing, painting or personally creating a visual arts submission, choosing a camera angle, etc.
