GUIDELINE & PRECAUTIONARY MEASURES FOR FILING VISA *A MUST TO-DO-LIST BEFORE SUBMITTING ANY FILE FOR PROCESSING TO VEGA-CORPORATE

1. Please ensure that all documents are written in English, if they are in any other languages than do get them

translated to ENGLISH.

(You can always get translation done through VEGA in 60 SAR per paper – Arabic to English)

2. Please ensure the bank statement is original and recent covering up to 3 – 6 months of transactions with a

remaining balance of 30,000 Saudi Riyals.

(Bank statement should bear applicant or customer name and Bank’s official STAMP)

3. Iqama or residence permit should be valid for at least 3 months or preferably 6 months

(Add a copy of residence permit for all applicants or ID copy for Saudi nationals)

4. Please ensure passport is valid for at least six months after the designated travel plan

(Two adjacent empty pages are required; make sure passport is duly signed by applicant)

5. Please ensure exit re-entry is valid before, during, and at end of planned travel trip

(Only submit copy of valid exit re-entry visa)

6. Please ensure employment letter or letter from sponsor is addressed to relative embassy stating joining

date, position, monthly salary, and purpose of travel for applicant.

(The letter should be original bearing recent issue date and Chamber of Commerce STAMP)

7. Applicants owning a business should submit the C.R. copy along with English translation from a certified

Translation office.

(You can always get translation done through VEGA in 60 SAR per letter – Arabic to English)

8. In case of business visa, C.R. copy of inviting business, residence permit copy & passport copy of inviter, a

guarantee letter from inviting company is required.

(Invitation should bear recent issue date, stating purpose of travel, and details applicant)

9. Please ensure photographs are recent and not matching any previous visa or passport, photos should bear

white background and applicant should not wear any covering or glass.

(You can always take photos at VEGA in 40 SAR as according to embassy guidelines)

10. Hotel confirmation should not be a voucher but a confirmation stating tracing number, applicant name,

number of members, and duration of stay with arrival and departure date.

(You can always make 15 days a hotel reservation at VEGA in 100 SAR per applicant which is duly accepted

by all relevant embassies, VEGA also offers real hotel reservations)

11. Please ensure a ticket confirmation stating applicant name, destination, and round-trip details. Ticket

reservation should bear same dates as hotel reservation.

(You can always make ticket reservation at VEGA in 100 SAR per applicant for mere processing of VISA; VEGA

also offers cheap options for tickets)

12. Please ensure that Insurance is an original paper from Certified Insurance Company stating details for policy

holder, Insurance should be valid during planned trip duration.

(You can always acquire insurance at VEGA through AL-ALMIYA & TAWUNIYA)

13. Please ensure that a copy for all previous US, UK, CANADA, Schengen, and whichever applicable granted or

rejected visas is included while submitting documents.

14. Please ensure that you have submitted your file one month prior to travel at VEGA, nearly 70% of embassies

require 10 to 15 working days in order to grant or deny your application.

15. All applicants above 12 must carry own individual passport, however children under 12 can be registered

only on parent’s passport (not in sibling’s passport) – a separate application must be submitted for each

child.

VISA REQUIREMENTS FOR BELGIUM / LUXEMBURG Short-stay visa (business or tourism) For Schengen-States

1. Visa applications at the Belgian Embassy have to be introduced at least 3 weeks before the date of

departure.

2. Applying for a visa does not involve the right of obtaining it.

3. Visa fees are not refundable and have to be paid cash in SAR when applying for the visa. (Visa fee SR. 320

(Three hundred twenty Saudi riyals)

4. The visa should be requested at the relevant consular section as follows:

a) If the visa applicant has the intention of staying in only one SCHENGEN-STATE, he should apply at the

consular section of that country.

b) If the applicant wants to travel within different SCHENGEN-STATES, he should apply at the consular

section of the country where his main destination or his visit’s purpose is situated.

c) If the main destination cannot be ascertained, the competent consular section to issue the visa shall

be that of the SCHENGEN-STATE the applicant will first enter.

A. FOR SAUDI NATIONALS GOING ON BUSINESS TRIP TO BELGIUM AND / OR TO LUXEMBURG

1. One duly and legibly completed, signed and dated application form;

2. Two recent passport-sized photograph resembling the applicant’s current look;

3. Passport, bearing the signature of the holder, valid for at least 3 months after the expiration date of the

requested visa; (passport copy + copy of previous visas SCHENGEN).

4. Valid Saudi identity card + a photocopy of it;

collecting the visa); flight reservation is important while applying.

6. Invitation from a company situated in Belgium or in Luxemburg, sent directly to the Belgian Embassy,

preferably by facsimile (fax nr. 00/966/1/488.20.33), mentioning the purpose of the invitation and the

wanted duration of the stay;

7. Job certificate;

8. Confirmation of a hotel reservation in Belgium or in Luxemburg.

9. Verifiable evidence of sufficient means (credit cards, bank statements) or binding agreement of a sponsor

in Belgium (see B, 6, b).

10. Comprehensive health/travel insurance (minimum coverage Euro 30.000 per person).
