VE6023 Telephone Page Server - User Manual Page 4

Overview

The VE6023 Telephone Page Server extends the functionality of an IP phone system allowing it to

integrate seamlessly with an overhead paging system. The VE6023 allows pages from other Valcom

devices to play on Avaya, Cisco or NEC IP desk phones, essentially turning those phones into additional

IP speakers.

System Requirements for Managed VoIP Products

• Network Hardware Requirements:

◦ 10/100 Mbps Ethernet network

• Bandwidth Requirements:

◦ 86 kbps per active One Way Page

◦ 172 kbps per active Two Way Call

• TCP Requirements:

◦ Port 21 for FTP (Gen 2 only)

◦ Port 22 for SSH

◦ Port 23 for Telnet (Gen 2 only)

◦ Port 80 (or 443 if using SSL) for Web based access

◦ Port 5147 for SSH

◦ Additional ports are required depending on the telephone system (Avaya, Cisco or NEC)

• UDP Requirements:

◦ Bi-directional Ports: 4097, 4098, 4099, 4120, 4121, 4122, 4197, 123 (for NTP)

• Multicast Requirements:

◦ A correctly configured multicast (IGMPv2 or IGMPv3) enabled network

◦ 4+ Multicast addresses (239.1.1.2, 239.1.1.3, 239.1.1.4 and 239.1.1.5 are the defaults) plus at

least one multicast address for telephone paging (default 239.1.1.10)

• Other Suggested settings:

◦ Separate VLAN for optimal performance

Initial Setup

Before the VE6023 can discover the IP phones on the network, the phone system must be configured to

allow the VE6023 access. Follow the instructions for the appropriate phone server before configuring the

VE6023.

VE6023 Telephone Page Server - User Manual Page 5

Avaya Setup

The VE6023 works with Avaya IP phones on either Aura or IP Office systems, using Avaya's push

feature to stream audio to IP desk phones. The VE6023 will be defined on the phone as a Trusted Push

Server and a Subscribe Server, and the Push Capabilities of the phone will need to be set appropriately.

These settings are defined in the 46xxsettings.txt file. Additionally, the VE6023 uses SNMP to monitor

the Avaya server for updated information on the phone system.

The VE6023 uses the multicast push feature built into Avaya IP phones. This feature is not supported in

all phone firmware versions or for all Avaya phones. Generally, any recent phone model and recent

firmware will have this capability. Consult Avaya’s documentation for details of which phone models

and firmware combinations are supported. Additionally, some phones that do not support multicast

paging will support unicast paging. The VE6023 is capable of paging via unicast to those phones. This

option should only be used when necessary, as multicast is more efficient on the network.

Determining the URL of the VE6023 Push Server

The IP address of the VE6023 is initially set using the VIP-102B IP Solutions Programming Tool. Once

you have configured the IP address of your VE6023 you can determine the URL of the Avaya Push

Server that runs on the VE6023. This URL is determined using this formula:

http:// + IP_of_VE6023 + :8989

You must use the IP address that you set when using the VIP-102B Tool. The port number (8989) is the

default value on the VE6023. If you change this value, you must also adjust the URL used in the steps

below. If, for example, you set the IP Address of the VE6023 to 192.168.1.100 and used the default

port number then the URL would be:

http://192.168.1.100:8989

NEC Setup

The VE6023 works with NEC DT830/DT830G series telephones with firmware version V94.0.6.0 or

higher. The user will need access to the NEC Programming software to retrieve a list of telephone

extensions. Using the NEC PCPro application, the telephone extensions can be exported to a text file to

be imported into the VE6023.

The CSV file must contain a header line, followed by telephone information on separate lines. An

example format is:

TN,IP_STN,RSC,SFC,LENS,TEC,KIND,IP Address,MAC Address,Station kind

1,1000,1,1,20,12,23,192.168.96.117,00-60-B9-BA-E7-CA,SIP Multi-Function Telephone

1,1001,1,1,21,12,23,192.168.49.106,00-60-B9-BA-E8-0D,SIP Multi-Function Telephone

The key fields in the file are the “IP_STN” (extension number of the phone), “IP Address” (IP address of

the phone) and “MAC Address” (MAC address of the phone). The example above includes multiple

unused fields. These other fields are not used during the import process and are ignored.

The telephones that will participate in paging must also be programmed with the appropriate information

to authorize the VE6023 to send pages to the telephone. The phones may be configured using the on-

screen menus of each telephone or through the web interface. The telephone Security menu has a

subsection named Push Server.

Under this menu there are three settings to be configured:

Push Server Access

This option enables/disables the ability of the telephone to be a paging endpoint.

VE6023 Telephone Page Server - User Manual Page 13

Client IP Address

This option provides entry fields for the server(s) that will be allowed to send pages to this

telephone. The IP address of the VE6023 will be entered in this menu.

Push Server Port

This option provides an entry field for the port on which this telephone will listen for pages. The

allowable values are 82 (default), or the range from 1024 to 65535. The value set here will also

need to be set in the Setup of the VE6023.

Valcom Setup with the VIP-102B IP Solutions Setup Tool

The VE6023 extends a Valcom IP paging system to a phone system. As a result, additional pieces of

Valcom equipment are required before a page can be received from a phone. At a minimum, a device

that can source pages is needed. All the paging equipment must be programmed with Valcom's VIP-

102B IP Solutions Tool.

Before attempting to configure the Valcom devices, please ensure the network is configured to support

IP paging. The network should support broadcast and multicast traffic within local subnets and

multicast traffic among all subnets where Valcom IP devices are connected. If the network cannot be

configured to support these protocols, some features of the IP paging solution may not be available.

Please contact Valcom Technical Support for details.

After the endpoint devices are connected to an appropriately configured network, programming is

accomplished through the use of the VIP-102B IP Solutions Setup Tool. This software tool should be

installed on a Microsoft Windows based computer connected to the same network as the Valcom IP

devices.

The general procedure for programming Valcom IP devices involves the following steps:

• Install the devices on the network.

• Scan the network using the VIP-102B IP Solutions Tool to create an inventory of available devices.

• Program the devices with IP addresses and other network information appropriate to the physical

network on which the devices are installed.

• Rescan the network to allow the IP Solutions Tool to retrieve complete device configuration

information.

• Configure the individual device settings within the IP Solutions Tool for each device on the

network with the specific settings necessary for the paging system being installed.

• Upload the new configuration to each device from the IP Solutions Tool.

• Restart the device to enable the new configuration settings.

For more information, refer to the VIP-102B IP Solutions Setup Tool Reference Manual.

The NEC phone can have its display changed when a page is sent to the phone.

Group Membership

All of the Valcom paging groups known to the VE6023 will be displayed in this list. Click the

box next to any groups this phone should be a member of. Groups are created and managed using

the VIP-102B IP Solutions Programming tool.

Select Filter

A filtering function is provided for every column in the Phone Editor page. When viewing large lists of

phones, it may desired to display only a specific group of phones. This can be done in the phone editor by

simply typing some text in the text box directly below each of the column names and pressing enter.

Only phones that match the criteria will be displayed. If a certain filter is used frequently, it can be saved

and retrieved using the options in the Select Filter menu.

Scan Phones

Clicking the “Scan Phones” button will cause the VE6023 to refresh its data with the phones and phone

servers. This operation usually takes a few seconds. On Avaya systems this button may only be used once

during any 60 second window, as a result the button will temporarily disable itself once clicked.

Other options in the Scan Phones menu will display Unassigned Phones (phones that have not been added

to any Valcom paging groups) and Hide Phones. Hidden phones will not be displayed in the Phone

Editor page. Phones that have been previously hidden can be unhidden and will display normally.

Paging Displays

The Paging Displays window lists the Paging Display files that are available on the VE6023, with options

to create new ones or upload custom files. Paging Display files are used to control the display area on

phones with displays. This is supported on NEC phones only.

Add Paging Display

The Add Paging Display option opens the Paging Display editor window. Double-clicking an existing

Paging Display definition will also open this window for editing. In this window, the following fields are

defined:

Filename

Enter a filename to store the Paging Display being created. This filename will be shown in the list

of defined Paging Display files in the Phone Property Editor and may be assigned to a phone.

Title

Enter the text that will be displayed along the top of the phone display screen.

Text

Enter the body text that will be displayed in the main portion of the phone display screen.

Delete Selected File

Use this option to remove Paging Display files.

Upload Custom Paging Display

Use this option to upload a custom Paging Display file created separately from the Add Paging Display

built-in option.

Address Pool

The Address Pool window is used to create and manage the multicast addresses that will be used by the

VE6023 to send pages to the phones. At least one multicast address must be entered for paging to work.

Each concurrent page requires a separate multicast address. Enter as many multicast addresses as

necessary.

VE6023 Telephone Page Server - User Manual Page 24

Add

Use the Add option to enter new multicast address(es) to be used by the VE6023. The Add window

allows inputting a consecutive range of addresses by entering a starting address and ending address. If

only a single address is being added, only fill in the Multicast Address field.

Delete

Use the Delete option to remove a previously entered address.

Group Attachments

The VE6023 listens to the same audio or text pages that is sent to Valcom IP speakers. The phone audio

paging is slightly delayed due to the time required to contact the phones and initiate the paging function.

Consequently, if there are IP speakers in the same listening area as phones, the audio may be played by

the speakers before the phones. The Group Attachments function can solve this synchronization problem

by coordinating the audio playback to both phones and speakers.

The use this feature, create two Valcom paging groups, one that contains only phones and one that

contains only Valcom IP speakers. The audio page is then sent to the group containing only phones. The

other group (containing only speakers) is then “attached” to the first group. The VE6023 will coordinate

the audio delivery to make sure the audio streams are playing simultaneously.

Add

Use the Add option to create a Group Attachment definition. The window provides two drop-down list

boxes to choose the appropriate groups.

TPS Group Code

Choose the Valcom paging group that only has phones as members. This is the main group that

will be used as the paging destination for this zone.

Valcom Group Code

Choose the Valcom paging group that only has speakers as members.

Delete

Use the Delete option to remove a previously defined Group Attachment.

Group Definitions

The Group Definitions menu provides a method to automatically assign phones to groups. Using this

function allows phones to be included in paging groups as soon as they are known to the VE6023.

IP Addresses

The IP Addresses page displays the Group Definitions that are defined by the IP address of the phone.

Phones that are known to the VE6023 can be added to paging groups based on the IP address reported by

the phone.

NEC Phone Import File Format

The Comma Separated Values (CSV) file that is used to import NEC telephones into the VE6023 must

include specific fields for the extension number, IP address and MAC address. Other fields may be

included in the file, but are ignored.

The first line of the CSV file must contain the field names. Of these fields, the three used by the VE6023

must be named “IP_STN”, “IP Address” and “MAC Address”. The second and subsequent lines contain

the data for the telephones being imported.

Example:

TN,IP_STN,RSC,SFC,LENS,TEC,KIND,IP Address,MAC Address,Station kind
