1 Introduction

All staff and students at LJMU have access to many resources and facilities when they are off

campus i.e. not working at LJMU. Some resources are available directly from the staff or student

home pages on the LJMU intranet e.g. Email, Canvas and Library Resources. Others are available

via Off Campus Applications. This guide aims to help users locate and access some of the most

heavily used resources off campus.

2 Getting started

2.1 Setting up your LJMU Computing Account

All LJMU students and staff are allocated a computing account when they

join the university. To be able to use this account you need to activate it. You

only need to do this once, and you will need the barcode number starting

with 21111 from your LJMU card to do so. If you have not yet received your LJMU card, you can

enter PN followed by your student or staff number instead of your barcode number.

You can activate your account, create and manage your password from web page:

https://myaccount.ljmu.ac.uk/ Follow the online instructions and enter your personal details,

including answers to security questions and create your own initial password.*

At the end of the activation process your LJMU username and Email name and address will be

displayed on screen – make a note of them, and memorise your password.

Once you have your password and username, keep them secure. They will give you access to all

the LJMU resources available off campus, such as Canvas, your LJMU email account, electronic

databases and journals and Off campus Applications.

Remember your password only lasts 60 days!

Your username remains constant throughout your time at LJMU, but for security reasons your

password expires every 60 days. It is up to you to remember to change your password before it

expires, as access to LJMU computing facilities and electronic resources is only available with a

current, valid password. Please refer to web-page https://myaccount.ljmu.ac.uk/ to manage your

password.

*Passwords should contain a minimum of 8 to a maximum of 14 characters, with no spaces or punctuation. They can be

alphabetical or numeric, or a mix of both. Remember also that passwords are case-sensitive!

3 Accessing IT Facilities From Off Campus

3.1 Email

Every LJMU computer account has an LJMU email account. Use your LJMU email account, as it is

the email address used by the university to send you information from or about:

LJMU tutors

Canvas

Library Services

Finance/Student Services

Internal distribution lists

It is important that you check your LJMU email account regularly. If you do not, you risk missing

important information. You can access your email from the email tile at

https://www.ljmu.ac.uk/student or https://www.ljmu.ac.uk/staff. You will need to login with your

LJMU username and password.

Guidance on how to configure your mobile phone, smart phone, laptop or tablet to access your

LJMU Email account is available in section 3.35 below.

3.2 Canvas

Canvas has information on all modules and provides opportunities for you to interact with LJMU

staff and your fellow students. It also gives you 24/7 access to materials such as module

timetables, assignment titles, reading lists, PowerPoint presentations and online assessments.

Visit Canvas at: https://canvas.ljmu.ac.uk/ and login with [email protected] and your

LJMU password. Please note that you should not enter your LJMU email address.

If your tutor has included links to electronic journal articles or books in Canvas, you will probably

need to follow the steps illustrated on page 11 to login to OpenAthens to be able to view the

articles while off-campus.

3.3 The Off Campus Applications Service

A range of programs and resources are available via the Off Campus Applications Service. To

access these you will need to download and install a piece of software called Citrix Receiver. Once

you’ve done this, you can run the current version of the Microsoft Office suite and some other

specialist programs being used at LJMU, access your M: Drive (your personal filestore on the LJMU

network), and view web pages restricted to LJMU students and staff.

3.31 Getting connected to the Off Campus Applications Service

If you have a desktop PC or a laptop, and have not used Off Campus Applications before, we recommend that you use Internet Explorer as your web browser, as it is then very straightforward to download and install the correct version of Citrix Receiver.

If you wish to access Off Campus Applications on a mobile device, e.g. a tablet, please install the Citrix Receiver app from the appropriate app store before attempting to run Off Campus Applications.

The most direct route is via the Off Campus Applications Gateway at https://offcampusstore.ljmu.ac.uk

Enter your LJMU username and password and click Log On. Alternatively, you can click on Off campus applications on the student home page. Check

the news items on the page you land on for updates to the off campus applications service. Frequently Asked Questions and further information are listed on the left hand side of this page.

Click on Login to the Off Campus Applications Service Log in with your LJMU username and password Click on the button to install the Citrix Receiver software if you are asked (You only need to

download and install Citrix Receiver once). The XA65 Off Campus Desktop icon is displayed.

Click on XA65 Off Campus Desktop A security warning may pop up asking if you wish to permit access to a device attached to

your computer. Selecting Permit use will allow you to access your own computer’s hard drive through the off campus applications. This can be handy when transferring files between your M drive and home computer.

After a short delay the Off Campus Applications desktop is displayed You can now access all the Off Campus Applications by simply selecting the relevant icons

(see Figure 5 below). Once you have completed your session remember to Log off the Off Campus desktop by

clicking Start and then Log Off. It is important to log off after finishing your session through the Off Campus Applications as if you close the window your session will remain active, preventing you from re- connecting immediately.

Any connections to the Off Campus desktop which are "idle" that is, where no user activity is taking place, will be automatically disconnected after 30 minutes. After 28 minutes, a message will appear to warn you that if no further activity takes place within the next 2 minutes, you will be logged off automatically. To stay connected, simply press any key, or click on OK. Note that this dialog box appears on the Off Campus desktop, not on the desktop of your local PC, and you will not see it if the Off Campus desktop has been minimised.

3.32 What are the Off Campus Applications?

The Off Campus Applications Service makes available to you a number of programs including

Microsoft Office, SPSS, Minitab and many other specialist packages. Please note that not all

programs available on the LJMU Network are available through Off Campus Applications.

Using the LJMU version of Microsoft Office through Off Campus applications avoids compatibility

problems. Whether you are working on a spreadsheet from within one of our Libraries or from

home, you do not have to worry about which version of Microsoft Office you are using.

3.33 M: Drive (personal files)

While you do not need to remember to save your work on a USB stick or CD-ROM when studying

on campus in order to use your files off campus later, it is good practice to back-up your work.

Using the Off Campus Applications Service, you can manage your personal files from home.

To access all the files that you created on campus and saved on your M: drive, all you need to do is

login to the Off Campus Applications Service. You can then access your M: drive from the off

campus desktop.

If you are a permanent off campus learner, the M: drive provides an additional networked storage

facility for your work. This networked drive is backed up regularly, and accessible from anywhere

in the world. You might make best use of it as a back-up storage facility.

3.34 Free Home Use Software

A selection of software is available for free from the LJMU website to download to your own

computer. Data analysis tools such as NVivo and Minitab are available as well as McAfee Antivirus

Select the Home Use Software option on the left of the page. You will need to login to access the

software which is available to download.

LJMU students and staff have access to Office 365 with the ability to install Microsoft Office on up

to five devices. Further details are available at:

3.35 Configuring Your Mobile Devices

You can configure your mobile phone, smart phone, laptop or tablet to access some LJMU facilities

such as Email. Full instructions can be found on the Help with IT pages at:

4 Accessing and Searching Electronic Information Resources Off campus

As an LJMU student or member of staff you have access to a large number of electronic

information resources including databases, electronic journals and electronic books. The gateway

to these resources is the Electronic Library:

https://www.ljmu.ac.uk/microsites/library/resources/electronic-library You do not need to use

the off campus applications in order to access these electronic resources.

If the following page appears when you try to access LJMU’s electronic resources off campus,

ignore the boxes on the left and type Liverpool John Moores University into the Search box on the

right.

This will direct you to the page below, where you can type your LJMU username and password

into the boxes, click on the Login button and then have access to LJMU’s electronic information

services.

If you are checking for the full text of articles off campus, please refer to the notes under the link

to the publisher’s /supplier’s website before clicking on the link to view the article.

4.1 How Do I Find Articles on a Topic?

If you are looking for articles on a topic for an assignment, the best place to start is usually Discover.

This is a powerful online system which searches many of LJMU’s print and electronic library

resources in one go. It is a Google-style search engine for academic information.

4.2 Can I Access and Search an Individual Database Off Campus?

If you wish to search individual databases, click on the Databases A-Z link on the Electronic Library

page.

Guidance on which databases are relevant to your subject area is available via links from our

Subject Support page: https://www.ljmu.ac.uk/microsites/library/learner-support/subject-support

Click Databases A-Z.

Click on the initial letter of the database you wish to search.

Before clicking on the link to database, check the notes to the right of the entry for extra steps you may need to take to be able to access the database off campus.

You can access most databases off campus by logging in with your LJMU username and password when prompted. However, some databases have their own specific usernames

and passwords. These databases are identified by to the left of the database title. To

get the username and password, click on the icon to access an alphabetical list of database usernames and passwords.

If you are off campus you will need to login with your LJMU username and password to view the passwords web page. You may need to input users\ before your username to access this web page e.g. users\leajsmit

To access the database, click on the title link on the passwords page.

4.3 Can I Access an Electronic Journal Off Campus?

Most of the journals we subscribe to use the OpenAthens authentication system when you are off

campus. Logging in involves the two steps shown on page 11 above. You may also need to look for

an option to Login via OpenAthens or Login via your Institution once you have reached a

publisher’s website.

4.4 How to Access an Electronic Journal

From the student or staff home page on the LJMU website select Library and then Electronic Library.

Click on the E-Journals A-Z tile on the Electronic Library page. You will be prompted to login in order to access this list.

Type the title of the journal you need, e.g. Management Accounting Quarterly, into the E-Journals A-Z search box and click the Search icon.

Assuming that the title appears on the Search Results list, click on the Online access link to discover which issues are available and the name of the database(s) or collection(s) from which they are available.

Some journals are available through more than one service. Check the notes on which issues are available through each service listed and click on the link to the one which includes the issue you need. Read the notes about additional steps you will need to take to access the journal off campus.

Click on the name of the database/collection from which you wish to access the journal.

The home page for the journal will be displayed in the new tab which opens. To search for articles on a particular topic in this journal, look for a “Search within this publication” option. If you already have a reference to a specific article, look for an option to select a year of issues and then select the volume and issue number given in your reference.

4.5 How to access a specific article

Discover includes a Find a Reference facility (accessible via a button on the dark blue tool bar

across the top of the Discover page) which allows you to check easily whether LJMU has access to

a particular journal article.

Typically the journal title, year, volume number, issue number and start page number are

sufficient.

4.6 Can I Access an Electronic Book Off Campus?

LJMU libraries buy electronic books from a number of different suppliers. The best way to trace

and access our full range of electronic books is through Discover.

Run your search in Discover. In the column on the results page headed Tweak My Results, select

Books under Resource Type and Full Text Online under Availability.
