INTRODUCTION
What is Congress KnowWho for Salesforce?
Congress KnowWho is a managed package application for Salesforce that integrates seamlessly
into the standard Salesforce Account and Contact objects.
This add-on provides Salesforce users with a comprehensive congressional directory, including
Members of Congress, their staffs, committees, caucuses, leadership offices, and legislative
officers.
NOTE:
Each night KnowWho automatically updates all congressional data to ensure users are
accessing the most up-to-date information.

1. GETTING STARTED
Congress KnowWho seamlessly integrates into the standard Salesforce Accounts and Contacts
objects. Once Congress KnowWho is installed, users can immediately begin working with the
congressional data as they would any other Accounts or Contacts in Salesforce.
Congress KnowWho is automatically updated each night so users always have the most up-to-
date information on congressional members and their staffs.
Users can access a dedicated navigation bar for Congress KnowWho by choosing the KnowWho
application from the options in the upper right corner of the Salesforce navigation bar.
Only licensed users will see the KnowWho tab added to the navigation bar, as well as any other
KnowWho tools, such as Lobbying Activity Tracker or ZDM (ZIP Code to District Matching).

Users can also add the KnowWho tabs to their existing navigation bar by clicking the (+) symbol
on the right side of the navigation bar and then click Customize My Tabs.
Highlight the Tab or Tabs to add to the navigation bar and click the Add button. Use the Up and
Down buttons to change the position of each Tab.
Now that you have added Congress KnowWho to the standard navigation bar, there is no need
to manually change over to the KnowWho application to access it’s features.

2. SEARCHING FOR PEOPLE
Congress KnowWho adds information about congressional offices, committees, and caucuses as
Accounts, and information about Members of Congress, and their staff as Contacts.
Looking up individual Members or staff is as easy as looking up any other Account or Contact in
Salesforce.
Use the Search box to enter the name of a Member of Congress, congressional staffer, commit-
tee or caucus.

2.1 Member Offices
Finding a Member office is often the best place to begin. The example below illustrates how to
locate Senator mark Warner’s Capitol Office.
Start by entering the Member’s last name into the Search box.
Salesforce will suggest matching items that user’s have recently viewed. To selectd one of those
items, simply click it, or click Search for… to run the search.
Once the search is completed, select the result from the list provided. Search results in
Salesforce are grouped by Object so that Accounts and Contacts are grouped separately. If there
are more listings than shown on the screen, the Show More button will appear. Click on this
button to continue scrolling through available listings.

When search results aren’t specific enough, they can be filtered to help users find exactly what
they need. In the example below, the addition of the asterisk, allows you to search for the name
“Warner” across all of KnowWho’s directories.
To find Senator Mark Warner’s DC office, click Show Filters, then select CongressForce from the
KnowWho directory drop-down menu, and click Apply Filters.

Members of Congress are listed as Contacts in their congressional offices along with their staff.

2.2 Members and Staff
Members of Congress and congressional staffers are listed on the Account pages for their office.
Once a user has opened a Member office Account they can scroll down to the Contacts section to
find the Member and his or her staff.
Notice the Member of Congress is listed first, followed by staffers, listed in order of title rank.
Use the Show 5 More or Go to List (xx) links to view more staffers,
Members of Congress and congressional staffers may also be found using the Search box and
choosing the Contacts from the list of objects to the left of the search results.
The example below, shows the results for all Members and staffers with the last name “Smith.”

2.3 Committees and Caucuses
Committees and caucuses can also be found easily using the Search box in Salesforce.
In the example below, the user is looking for the House Foreign Affairs Committee.
The results for committees, subcommittees and caucuses are shown in the Accounts
object.
While staffers that work for those committees, subcommittees, or caucuses can be found in the
Contacts object.

2.4 Creating Views
Salesforce makes it easy to focus on a predetermined group of Accounts or Contacts by allowing
users to create and save Views that provide a list of Accounts or Contacts based on saved crite-
ria. KnowWho provides several predefined Views, but any user can create their own view. Views
can also be created by a Salesforce administrator to be shared amongst groups of users.
To create a View for an object, click the Tab for that Object. The example below illustrates how
to create a View of Accounts. This example will build a view of Congressional committees with an
office location and phone number for each committee.

On the Create New View page, users can set the criteria for the Accounts they wish to see in
the View. The criteria and filters for Views works the same as they do for reports. The example
below will create a list of all congressional committees.
Use the Lookup function to quickly find the appropriate values for the filter criteria. More
information about the custom fields added by KnowWho for Salesforce can be found in the
Appendices section of this guide.

Once completed, the View will display only the Accounts that meet the criteria set by the user.
Views are useful if a user commonly works with a subset of Accounts or Contacts and needs to
be able to find them quickly. Some additional examples of highly useful Views are:
All the Legislative Assistants that cover a particular issue
All Chiefs of Staff for Members of a particular party
All Appropriations committees and subcommittees

Congress KnowWho uses Accounts to store and display information about congressional offices,
including Member offices, leadership offices, congressional officers, committees, subcommittees,
and caucuses.
This section will provide an overview of the information stored for each office type and some key
features to help you navigate the data more effectively.

Both Members and their staff are Contacts listed inside their congressional office Account. To
find detailed information for a Member or staffer look up the Contact.

4. CONTACTS
Congress KnowWho uses Contacts to store and display information about people, including Mem-bers and congressional staffers. Each Contact is associated with the Account for the office in which they work.
Any logged activities with Contacts will “roll-up” to the Account record for the office so that users
can quickly see all of the communications with a particular office.
NOTE:
Contact records are the primary records for working with and tracking activities with members
and their staff.

The first few sections of a Member Contact record reproduce the information found on an
Account record for a congressional office. This makes it easy to find the information you need
without toggling back and forth. It also allows users to run reports on Contacts for Members
instead of Accounts. The next few pages provide a look at the unique data included in a Member
Contact record.

5. Web Applets
Congress KnowWho offers several web applets that give users access to additional information
hosted by KnowWho about Members of Congress.
Web Applets show up on both Account and Contact pages, and always open in a new browser
window or tab so a user’s workflow is not interrupted.
1. BRIEFING REPORT— creates a PDF version of the information contain in the Account or
Contact. Available for Members, Staffers, Committees, and Caucuses
2. CURRENT NEWS—provides current headlines and stories about current Members. Available
for Members.
3. RESEARCH SERVICES— listing of external sources for more information about a Member of
Congress. Available for Members.
4. CAMPAIGN FINANCES— Access to complete candidate campaign finance information.
5. INTERACTIVE MAP— interactive district map includes congressional districts down to the
street level. Available for Members.
6. BILLS AND LEGISLATION— provides bills and legislation sponsored by a Member or re-
ferred to a Committee. Available for Members and Committees
7. ROLL CAL VOTES— recent roll call votes. Available for Members.
8. CANDIDATES AND ELECTS— information on candidates competing for election. Available
for Members.

6. List Wizard
The List Wizard allows users to quickly build lists of Members and staff without the need to build
or customize a report in Salesforce. Once a list is created via the List Wizard, that list can be
saved for future use. The List Wizard also simplifies the process of setting up Campaigns in
Salesforce to track interactions and communicate with Congress.
This List Wizard is designed to walk users step-by-step through the process of creating a list.
Users are able to generate many different types of lists easily with the List Wizard. However,
more complex lists combining criteria in more ways can be created using Reports.

6.1 Creating a List
Users have two options to create a list— call up a saved list or create a new list.
To call up a previously created and saved list, the user would choose a list from the Select
Saved List drop-down menu as shown below. The list will be generated using the saved criteria
and the results will be completely refreshed with new updated data.
NOTE:
To recover an historical list, users can find the Campaign that was created using the saved list.
See the Campaigns section in this guide for more information.

Creating a new list begins by selecting the type of list to be created from the Select New List
Type drop-down menu.

Once the list type is selected, click the Next Step button to define the desired criteria required
to build the list.
In Step 2, users define the criteria for their list. List types have two global criteria.
Address Type— Does the staffer work in the Capitol office, District office or either.
Gender— Filter staffers by gender.
The Address Type selection will be overridden when a Staffer Issue or Responsibility or Staff
Title or Position is selected to guarantee results for each office.

To select criteria for the list, click on the blue bars to expand the list of options under that
criteria section, and select the option or options to be included Options selected under a criteria
section work as OR selections. In the section shown below, selecting two or more states would
return staffers from Members representing any of the states.
When selecting options from more than one criteria section, the options in each section are AND
selections. If a user selects one political party and two committees as shown below, the list will
include staffers from Members who are in that political party AND service on both of those
committees.

The criteria available in the List Wizard for Member of Congress staffers is as follows:
1. Member’s State of Representation (the state represented by the Member)
2. Member’s Political Party (the political party of the Member)
3. Member’s Committee (the committee assignments of the Member)
4. Staffer Issue or Responsibility (the issues covered by the staffer)
5. Staffer Title or Position (i.e. Chiefs of Staff / Administrative Assistants would be grouped in
one category)
Click on each bar to expand the criteria options available under that section. For a full list off
staffer issues and responsibilities, see the Taxonomy Report in the Appendices section. For a list
of staff titles or positions, see the table in the Appendixes section of this guide.

To create a list of all Legislative Directors in Congress, a user will click on the Staffer Title or Po-
sition bar to expand the options, then click the box next to “LEG LD—Legislative Director”, then
click the Next Step button.
Selecting Legislative Director will return any staffer who fills the “role” of a legislative director,
regardless of that person’s title. For example, some offices may call their Legislative Director a
Policy Director. The selection of Legislative Director would include those staffers.
In Step 3, users can exclude an office(s) from the list. This is useful to prevent sending messages
to Member offices that would not react well to a message or proposal and offices that have
expressly asked not to receive messages. To complete the list, click the Review List button.

After selecting all the desired criteria, users will see a list preview page that details the criteria
used to create the list and a count of records in the list
From this page, users can save a list, add the records to an existing Campaign, or create a new
Campaign.
NOTE:
Creating a Campaign or adding the list to an existing Campaign, will provide a permanent record
of the list at the time it was run.
Running a saved list later, will reflect any changes that may have occurred since it was last run.

Users may save a list by naming the list in Enter Name for Saved List, and providing an
optional description in Enter Description field. To save, click the Save List button.
To save to an existing campaign, click on the drop-down menu Select Existing Campaign, and
then Add Contacts to Selected Campaign.
To create a new campaign, click Create New Campaign button. In the example below, the user
created a new Campaign called “Q1 Email to LDs.” Once the required fields are completed, click
the Create and Add Contacts button.
Once a user clicks the Create and Add Contacts button, the button will change and a processing
indicator will appear to the left of the botton to show that the Campaign is being created and the
Contacts are being added.

Once the Campaign is created, the user can see the list of campaign members, add or remove
members, export the list or use a third-party application to send a mass email to the list.
Users can refine the list using the Manage Members button or view and export the list with the
View All Campaign Members link.

Users can easily refine their lists to add or remove Contacts with the Manage Members button.
Begin by clicking the Manage Members button and select the Edit Members—Search link from
the drop-down menu.
A filter screen will open, where users can add criteria to refine the list and search for Contacts
they may want to remove from the list.

Below is an example of how you can use the filter option to search for items in your list. In this
example, the user wants to see all Contacts (Members) who do not work in the Capitol office, and
will then allow the user to remove them from the list.
After the filters are set, click the Go! Button to bring up the list of Contacts/Members who fit the
criteria.
To remove all the Contacts/Members from the list, use the top checkbox to the left of the Action
button to highlight all entries, the click Remove. (You may also select items to remove individu-
ally by clicking the Edit | Remove button next to an individual name(s), then click Remove.
Now only Legislative Directors who work in the district offices remain on the list.
NOTE:
Users may also edit the Contacts/Members on a list after the list has been exported to Excel.

By clicking the View All Campaign Members link, a new window opens. To export your list,
click the Export Details button. It is best to export the file as a .CSV file.
The exported file can be used in a variety of ways. In addition, you can edit the file using Mi-
crosoft Excel.

7. Reports
Reports in Salesforce allow users to find, display, and extract information stored in many
different ways. Because Congress KnowWho is fully integrated into Salesforce the congressional
data that it adds to your Salesforce is available for reports.
Congress KnowWho includes several standard reports in Salesforce that users can run and
customize to suite their unique needs. The reports that Congress KnowWho adds can be found
grouped in several folders in the Reports object.
This section provides an overview of the Congress KnowWho reports and tips on customizations.

Congress KnowWho Reports are divided into two folders:
1. KW—Congress: contains reports on Members, committees, caucuses, and leadership offices
2. KW—Congress Staff: contains reports on congressional staffers

1. REPORT OPTIONS—these options allow users to summarize reports and adjust the time
scale for information to be included in the report. The options reset each time a report is run.
2. REPORT FILTERS—this section of the report shows the filters that have been applied to
generate the report. They can be changed using either the Edit link or Customize button.
Filters are saved with a report.
3. REPORT DETAILS—these are the records found by the report filters. Each line links back to
the record listed. The information contained in a report can be changed using the Customize
button. The details shown are saved with a report.

Any report in Salesforce can be customized to better suit a user’s unique needs. Any data found
in the Object(s) the report is based on (Account or Contact) can be used to build, and displayed

9.1 Key Terms
Knowing these key terms will help users work with Congress KnowWho for Salesforce and
Salesforce in general more effectively.
ACCOUNT
An account is an organization, company, or consumer that you want to track—for example, a
customer, partner, or competitor. Congress KnowWho for Salesforce creates Accounts for con-
gressional offices including Members, Committees, and Caucuses
ACTIVITY (Calendar Events/Tasks)
Planned task or event, optionally related to another type of record such as an account, contact,
lead, opportunity, or case. Activities are used to log interactions with Members and congressional
staff including emails sent.
CAMPAIGN
A marketing initiative, such as an advertisement, direct mail, or conference, that you conduct in
order to generate prospects and build brand awareness. Campaigns are used to create lists of
congressional staffers or others to send mass-email messages.
CONTACT
Contacts are the individuals associated with your accounts. Congress KnowWho for Salesforce
creates Contacts for every Member of Congress and congressional staffer.
CUSTOM FIELD
A field that can be added in addition to the standard fields to customize Salesforce for your or-
ganization’s needs. Congress KnowWho adds many Custom Fields to Salesforce.
OBJECT
An object allows you to store information in your Salesforce organization. The object is the over-
all definition of the type of information you are storing. For example, the case object allow you to
store information regarding customer inquiries. For each object, your organization will have mul-
tiple records that store the information about specific instances of that type of data. Other Ob-
jects are Accounts, Contacts and Campaigns.
RECORD
A single instance of a Salesforce object. For example, “John Jones” might be the name of a con-
tact record. Each congressional office, committee, caucus, Member of Congress, and congres-
sional staffer are Records.
REPORT
A report returns a set of records that meets certain criteria, and displays it in organized rows and
columns. Report data can be filtered, grouped, and displayed graphically as a chart. Reports are
stored in folders, which control who has access. Congress KnowWho for Salesforce adds many
Reports to Salesforce which users may customize to better meet their unique needs.

TASK
Assigns a task to a user you specify. You can specify the subject, status, priority, and due date of
the task. Tasks are workflow and approval actions that are triggered by workflow rules or ap-
proval processes. Tasks are used to log interactions with Members of Congress, committees, and
congressional staffers. They can be created and completed by a single user or assigned by one
user to another.
