1. WBS elements (Summary elements and Work Package elements)
Work packages are elements at the bottom of a WBS branch, the work is
estimated & planned at this level.
Summary WBS elements are used to organize logically the work packages.
Some Summary elements can also be used as control accounts.
The can also be sud as controlled accounts.

2. Application functions
3. WBS id
The first space separates the WBSid from the element description. A short description is entered in the WBS element while a longer more detailed description is
entered in the WBS dictionary. Each WBS element must a unique id. The usual format is 1, 1.1, 1.1.1 etc..

a time) 1. Select this size of WBS element rectangle. This affect the number of characters available
for description and status information. Default
is Medium.

4. Selecting elements
To select a WBS element click inside the box once. To select multiple elements click the Multi select check box and select elements.
To unselect element(s) click anywhere on the screen.
5. Collapse and expand
Double click on a WBS summary element to collapse or expand

6. Move, Indent & Outdent
Move right or left
You can select a WBS element and click on one of the arrows to move elements.
Elements in a horizontal layout can be moved left & right:

To Outdent or indent, select an element and click the left or right arrow:

7. WBS Dictionary (use is optional) For each WBS element a detailed description can be entered in the WBS planning or estimation file can be selected as a new file or to replace an existing file. A
URL link is added to easily open and update the file as required.
To share the WBS directory with others, the Export to Excel function can be used.

8. Export for Microsoft Project
To export the WBS to Microsoft project following steps:
1. Under File, click Export for Ms-Project
2. A Save As dialog box open:

3. Enter a filename and save it to the directory of your choice. Note that the file extension is xlsx, this is an Excel file extension.
4. Open Microsoft project and open the file created in the previous step. The steps to open the xlsx file may vary depending on your version of Microsoft project.
For Microsoft project 2010:
Select File, Open, click the arrow next to mp* Format, and pick Excel Workbook and open the file you saved in step 3.
For Microsoft Project 2013 and above
Choose ‘New from Excel workbook’ click the arrow next to XML Format, and pick Excel Workbook and open the file you saved in
step 3.
5. The Import wizard opens up, click Next. Follow the following instructions:
a) Select ‘New map’ unless you have saved a map before:

b) Select ‘As a new project’:

c) Select ‘Tasks’ and ‘Import includes headers’ :
d) Select ‘Sheet1’ and click Finish:

Select the ‘Task mode’ column and click ‘Auto Schedule’:
9. Export for Primavera
An Excel file is created to assist the Import of the WBS elements to Primavera. The following fields are generated:

10. Setting WBS elements Status
Entering the status manually
1. Select WBS elements for which you want to display and enter status information
2. Choose Status/View
3. Enter manually the status information in the status box
4. Select a color indicator as required
5. Collapse elements as needed

Importing the status from Microsoft Project
You can generate status information from Microsoft Project fields. The status data is automatically formatted and updated for all WBS elements.

Select File, Export, Save Project as File, and under Other File Types, double-click Microsoft Excel Workbook. Name & save the file in the directory of
your choice. The Microsoft project export wizard opens:
a) Export the fields of your choice from Microsoft Project as follow:

b) Select the fields of your choice in the column ‘From:’ and rename the field names in the column ‘To:’ to include the following formatting symbols:
For monetary fields, add your currency symbol $, € or £.
For percentage fields add the % sign.
(optional) The color field must contains codes from 1 to 3 which corredponds to (1.green, 2.yellow, 3.red)

For the numeric fields and one * sign for each decimal digit needed.

c) Click ‘Finish’ or Save Map button to save your mapping:
2. Import the status data in the WBS as follow:
a) Select Status, Import and open the file created in the previous step.

b) Enter text in the text boxes and select corresponding fields to create your status format. The status format appears in the ‘Preview’ box. Click Apply when
done.

c) Select WBS element(s) and use Status, View or View All to show WBS element status as needed.
