INTRODUCTION

MS Word 2010 provides various graphical tools, such as SmartArt, Shape, and Clip Art, in its interface that help a user to make the document more interesting and appealing.

MS Word 2010 also provides advanced features for picture editing, such as the Background Removal, Color, and Artistic Effects options, to provide painting and sketching look to the graphical objects in the document.

MS Word 2010 also enables you to create tables in a document to present the data in a tabular format. You can further modify the table by inserting rows or columns, splitting or merging cells, and splitting the table.

The Mail Merge feature of MS Word 2010 helps the user to create letters, envelopes, and mailing labels for mass or bulk mailings in a word processing document. In Mail Merge, you can type a letter and send this letter to multiple recipients at the same time.

OBJECTIVES

Learn the insertion and modification of pictures

Explain how to insert tables and perform operations on a table such

as adding and removing a row or a column from a table, merging

cells, splitting a cell, changing table style, splitting a table, sorting a

table, and adding formula in a table

Learn the Mail Merge, which includes setting the environment for

Mail Merge, adding and editing recipients, creating Address Block

and Greeting Line, inserting merge fields, and previewing and

finishing Mail Merge

Create macros by using keyboard and button, and running the

Macros

WORKING WITH

PICTURES

In MS Word 2010, you can insert pictures as well as

resize and reposition them in a document. When you

insert a picture, the Format tab appears on the Ribbon.

MS Word 2010 provides the Remove Background

feature to remove the background of a picture in a

document. In other words, this feature helps you to

remove the selected portion of a picture.

You can enable gridlines in a document by selecting the

Gridlines check box under the Show group of the View

tab. The gridlines view of the document helps you in

editing and setting the height or width of the graphical

objects, such as picture, shape, and clip art.

WORKING WITH CLIP

ARTS

Inserting clip art images is another means

of adding visual impact to a Word

document. Clip art images are ready-

made drawings that cover a wide range of

topics and categories.

Cropping can be defined as the process of

reducing the size of a clip art or a picture

by removing its vertical or horizontal edge.

INSERTING TABLE

Click the desired location in the document

where you want to insert a table.

Click the Insert tab on the Ribbon

Click the down-arrow button of the Table button

under the Tables group

Move the mouse over the Insert Table category

to select rows and columns for the table in the

document

Click the mouse button to insert the table in the

document

Now, the table is inserted in the document,

USING MAIL MERGE

The Mail Merge feature of MS Word 2010 is used to

create a set of documents, such as forms, letters, or

labels. This helps in sending the same kind of

information to different types of persons or customers.

The Mail Merge process involves the following steps:

Setting the environment for Mail Merge

Adding and editing recipients

Creating Address Block

Inserting the Greeting Line

Inserting merge fields

Previewing and finishing Mail Merge

EXPLORING MACROS

Macro provides the reusability of the recorded

commands or actions in the document. A Macro is

created in two ways, namely, by using keyboard and by

using buttons.

using keyboard to create a Macro, means creating a

shortcut key. To perform the task stored in the shortcut

keys, press the combination of the assigned keys.

using button to create a Macro, means creating a button

on the Quick Access Toolbar and recording some

actions or commands to it.

After creating a Macro, the next step is to run it. When

you run a Macro, you are using the Macro either by

using keyboard or by button.

SUMMARY

Pictures are used to graphically represent information in a document. In other words, pictures provide an attractive and effective way of presenting the information in a document.

MS Word 2010 includes a collection of several professionally created images in its Clip Art feature. A clip art is a vector-based graphic image in Windows Metafile Format (WMF).

Cropping enables you to eliminate the parts of the clip art that are not wanted and can distract the viewers.

The best way to present data at once is to create a table. Most of the formatting issues can be resolved if you are using tables in a Word document. A table contains several rows and columns, which can be increased or decreased according to your requirement.
