SUMMARY STATEMENT Reporting to the UCLA Jonsson Comprehensive Cancer Center Chief Administrative Officer (CAO), the Manager of IT and AV Services (Manager) oversees all information technology (IT) and audio-visual (AV) infrastructure and support services for the Cancer Center and the Broad Stem Cell Research Center (BSCRC), and develops and implements strategic plans and priorities for IT and AV services. The Manager is responsible for server and network administration, including maintenance of hardware (servers, switches, network equipment, etc.), ensuring nightly back-ups, overseeing all necessary patches and updates, and ensuring stability of critical server-level software. The Manager is responsible for ensuring customer-focused desktop support services for the Cancer Center and the BSCRC, and for procuring, inventorying, and updating as required all computer hardware, accessories and software licenses. IT security responsibilities include physical security, virus protection, encryption, provisioning of account access, etc. The Manager is responsible for ensuring adequate and customer-focused AV support for all Cancer Center and BSCRC meetings, seminars, retreats and other events as well as for ensuring fully functioning built-in AV systems within the various Cancer Center and BSCRC conference rooms. While the Cancer Center website is managed by the Communications Unit, the Manager provides backend support for website elements such as built-in databases and search functionalities. The Manager must have expert level knowledge of server administration, desktop support, and other IT and AV issues as well as the ability to motivate subordinate staff. They must be customer service focused and committed to moving forward the Cancer Center’s mission of accelerating discoveries to prevent and cure cancer. TYPE OF SUPERVISION RECEIVED With guidance and support from the CAO, the Manager of IT and AV Services is responsible for independently prioritizing and carrying out duties within the assigned areas of responsibility. The Manager independently oversees all IT and AV operations for the Cancer Center and the Broad Stem Cell Research Center and develops and implements strategies for continuous improvement. The Manager liaises closely with various IT departments throughout UCLA and UCLA Health in support of the Cancer Center’s IT and AV needs and in support of the Center’s mission. A. Server and Network Administration

• Perform LAN management duties and server administration maintaining all necessary hardware (servers (currently 11), switches, network equipment, etc.). Assess server capacity and plan and implement upgrades and new servers as necessary.

• Oversee daily, weekly, and monthly backups maintained by a cloud-based vendor. Ensure backups are functioning properly and implement periodical testing of server backups. Retrieve data as needed.

• Create and implement a Server Maintenance plan, including installation and maintenance of operating systems, software, databases, patches and updates

• Communicate changes clearly, and in advance, with impacted end users and stakeholders

• Ensure the performance, reliability, availability, integrity and security of all networks, servers, and databases.

• Assess, develop, document and implement a sustainable Disaster Recovery plan for JCCC-Servers.

• Configure and maintain firewall settings in alignment with UCLA policies.

• Create and maintain technical and user documentation, such as Server Network diagrams and other appropriate artifacts

B. Desktop Support and Hardware/Software Inventory Management

• Oversee and with subordinate provide desktop computing support for over 150 users (faculty, staff, and business associates) on the Cancer center LAN/WAN and on stand-alone PC systems.

• Maintain all Cancer Center and Broad Stem Cell Research Center (BSCRC) workstations, laptops, tablets, etc. Upgrade and configure new and existing equipment, establish and maintain security policies, troubleshoot hardware and software problems for users, access other campus computer systems, and manage software systems.

• Provide consulting/support to end users for network installation/connectivity issues, computer acquisition, software installation and maintenance. Maintain, evaluate and propose hardware and software applications to meet units and individuals’ needs.

• Service Now Management of JCCC Queue: Promptly assign or remediate incoming service request.

• Manage new and existing projects. I.e. PI requests for lab equipment.

• Manage lab equipment computer systems not networked, on secluded vlans or main UCLA campus network.

• Maintain and repair/replace computer peripherals (printers, scanners, network cards, etc.) and hard drives.

• Perform regular inventory of all hardware ensuring all is accounted for and properly disposing of and replacing hardware that is no longer viable.

• Delegate and assign desktop support and hardware/software inventory duties and responsibilities as appropriate to subordinate staff, providing them with the necessary training, tools and support to be successful while enabling them to expand their skills and grow as professionals.

C. Audio-Visual Support

• Provide support for AV needs for all Cancer Center and BSCRC meetings, seminars, retreats, and other events.

• Maintain built-in AV equipment in Cancer Center and BSCRC conference rooms.

D. Other Responsibilities

• Provide backend support for website elements such as databases and search functionalities working in close collaboration with the Cancer Center’s Communication Unit. Collect and update membership profiles for the website on an annual basis at a minimum and more often as required.

• Ensure that website is functioning, accessible and secure.

• Maintain and update as necessary the Cancer Center’s IT disaster recovery plan.

• Develop IT budget and ensure appropriate spending within approved budget.

• Provision AD and other required accounts to users.

• Serve as a consultant/trainer in the use of administrative in-house or campus-wide applications as well as all software programs for Cancer Center and BSCRC administration.

• Serve as liaison between the Cancer Center/BSCRC and other UCLA and UCLA Health IT and AV

departments, coordinating as required.

• Review and test all proposed third-party applications and make recommendations as to the effectiveness of the applications and their compatibility with other applications and existing network architecture.

• Maintain expert level knowledge related to changes and direction in IT.

• Consult with Cancer Center and BSCRC leaders and staff to determine user requirements for administrative applications.

• Supervise subordinate staff providing them with guidance, training and support to be successful while helping them to grow as IT and AV professionals. Provide regular feedback, address any performance issues in a timely manner, and develop all formal evaluations required.

SUMMARY STATEMENT This self-motivated incumbent will provide system maintenance, analysis and programming support to the multi-users of the Jonsson Comprehensive Cancer Center, including its 14 shared resources, JCCF, Ted Mann Family Resource Center and the Clinical Research Center. Major duties include managing the JCCC Computer Support Services Unit, the JCCC network and all related domains and servers. This position will support the activities of the newly-forming JCCC Informatics Shared Resource by providing a robust computing environment TYPE OF SUPERVISION RECEIVED Under minimal supervision, tasks will be assigned and reviewed by Associate Director for Administration/CAO. Guidelines will be provided in accordance with Cancer Center policies, priorities, and feedback from Cancer Center directors, membership and staff.

A. MANAGEMENT, PROGRAMMING, DOCUMENTATION, MAINTENANCE 1. Perform LAN management duties, including maintaining 2 web servers (Window 2000), 1

database server (NT), 1 domain server 8th floor Factor (NT), 1 domain server (NT), 1 database server (NT) 200 Med Plaza, 5th floor.

2. Upgrade domain server to 2000 and upgrade FileMaker to 5.5 (50+ users). 3. Assess server capacities and implement new servers as necessary. 4. Provide full and incremental backup on DVD. 5. Ensure database functionality and performance. 6. Maintain workstations, including at least 12 PCs and 1 Mac (JCCC, 8th floor Factor), 8 PCs

(JCCF, 8th floor Factor), 8 PCs (TMFRC, 5th floor, 200 Med Plaza), 2 PCs with 1 cash register (Reflections Shop, 200 Med Plaza).

7. Ability to use CGI scripts and CGI programming. 8. Test and maintain all departmental applications and upgrade as necessary for new software

versions. 9. Monitor for virus outbreaks, taking immediate action to correct and communicate to all

Cancer Center users. 10. Monitor for copyright, license and improper program use (e.g., no Napster sharing, etc.). 11. Maintain and repair/replace computer peripherals (printers, slidemakers, scanners, network

cards, etc.) and hard drives. 12. Maintain state-of-the-art job knowledge relating to changes and direction in IS technology,

client-server, and PC windows-based networking environments. 13. Ensure the integrity and security of all JCCC databases. 14. Regularly monitor, troubleshoot and problem solve network services, such as user access to

campus online services and JCCC network access. B. WEBSITE CREATION AND MAINTENANCE 1. Maintain all JCCC websites. 2. Keep abreast of changes in website information by working closely with and following up

on instructions from the Center director and the associate director for administration/CAO. 3. Weekly update of Clinical Research Unit web interface for Cancer Center patient clinical

trials.

4. Ensure that websites are functioning, accessible and secure.

10% C. USER SUPPORT AND TRAINING

1. Serve as departmental consultant/trainer in the use of administrative in-house or campus-wide applications.

2. Serve as a consultant for all software programs for Cancer Center administration, as well as for the Center’s shared resources and other administrative arms of the Center.

3. Serve as liaison between the Center and Campus Offices, such as AIS, R-Net, EFM, Sponsored Research and Business and Finance with regards to implementation of campus-wide applications (i.e., QDB, PAC, EDB, etc.)

4. Serve as liaison between the Center and School of Medicine Financial Application Development team with regards to testing new applications and implementing the applications in the Center.

5. Test campus-wide or commercial applications and analyze the operational impact on administration prior to implementation.

6. Provide support to specific user needs on other Center databases, such as space, inventory and shared resources recharging databases.

7. Consult with directors, members and staff to determine user requirements for administrative applications.
