This manual was written to guide you through the Wordpress content management system that is used to power your company’s website.

You will find out how to add and edit pages on the site, upload pictures and documents to a page, manage your uploads and set pages in order.

Should you have any problems or have any questions about the system that are not available in this manual, see page 14 for contact information.

Login Screen

The address to find the login screen is: yourdomainname/wp-admin/

Before you can enter the Wordpress system you must login with your username and password. These details should be supplied to you before you receive this manual.

If you don’t have these details, please contact either the main site administrator or email [email protected] to request your details.

Dashboard

The Dashboard is the first place you will come to once you successfully login to the system.

The “At a Glance” panel displays the amount of pages and information that is currently available on the site.

The sections we will use to edit your site content are:

1. Pages - This contains all of the information that makes up the content of the website

2. Media - In this section you will find all of the uploads that you attached to your pages. You can also upload files here for later use without attaching it to a page. See page 11 for more information on this section.

Pages

The “Pages” list works as follows:

1. Parent Page - This is the parent page that is displayed in the main website navigation. Each page that does not start with a dash ( – ) before it is regarded as a parent page.

2. Child Pages - Child pages are used to give more information to a Parent page. The pages are displayed underneath the Parent they relate to, and are displayed on the list with a dash ( – ) before the title.

3. Editing options - When you roll over a page title, the following options will appear:

Edit - Allows you to edit the page content.

Quick Edit - Allows you to edit basic page information such as title, parent (section it belongs to), page order, and more.

Trash - This will allow you to delete the selected page. It will display a warning first to make sure you want to delete it.

View - Click on this option to view the page on the website.

Adding / Editing the page

The screen above works the same for both adding and editing page information.

1. Page title - Set the title of your page here.

2. Add Media - This allows you to upload pictures, documents and more to your page. See page 7 for more information.

3. WYSIWYG Editor - This bar gives you options to set styles and formatting to your text. See page 8 for more information on this facility.

4. Content Window - This is where you will input all the content that will make up your page.

5. Publish - This is where you save the page to the site. You can also set the status of the page for it to appear at a later date. See page 9 for more information.

6. Parent - The Parent option allows you to choose where the page is to be displayed. See page 10 for full details on how this works.

7. Order - If you wish to put your pages in a specific order, put the number here in which position you would like this page to appear.

8. Featured Image - This feature allows you to set a main image for the page you are editing.

Add Media

Clicking on this icon allows you to insert media to the page you are currently viewing. Here, you can upload all media types such as images, document files, audio, etc to your page.

After clicking on the icon above, you will come to the upload facility shown below.

1. Upload Files - You can use the built-in facility to upload files from your computer to the website. Once a file is uploaded, it is saved in the Media Library in the system, where you can access it at any time and attach it to any page you wish.

2. Media LIbrary - If you have a file already on the system that you wish insert into this page, click on Media Library and you will be taken to the list of files and pictures already uploaded to the system.

3. Create Gallery - This allows you to easily create image galleries for your page from either files in the media library or files from your computer.

4. From URL - This allows you to link to media from other sites without the need to download it.

WYSIWYG editor

1. Text styles - Highlight text by making it bold, italic, or use strikethrough that can be used to indicate recently deleted or updated information that might still be useful.

2. Lists - Here, you can choose to create either a bullet point or a numbered list. There is also an option to add a blockquote should you have a quotation you wish to highlight in the text.

3. Justification - You can set how you would like the text on the page to be justified. The default setting is to the left, but you can choose to also have the text aligned to the center and to the right.

4. Links - To add a link to a page in the site, select the text you want to make the link to, and click on the first link icon. To remove the link, click on the broken link icon and this will remove it. If you have added a link but wish to edit it, click on the first icon again. You can also use this tool to link to other pages on your site as well as external sites for reference.

5. Fullscreen - This allows you to view the editor at the full size of your browser. If you have a lot of information to add, and rather than using the limited viewing space available, click this button and you can use as much space as your browser window can give you.

6. Kitchen Sink - Clicking on this option will display another panel with more advanced features.

You have: 1. Text formatting - You can use the other options here to create headings. 2. Underline text 3. Align to full width - Allows you to justify your text. 4. Text colour 5. Paste as plain text* 6. Paste from Word* 7. Remove formatting 8. Insert custom character 9. Outdent (only works after an indent has been made) 10. Indent 11. Undo 12. Redo 13. Help

To allow you to add styling to your text, the system supplies you with a WYSIWYG ( what you see is what you get ) editor, similar to what you would use in word processing applications.

* The Paste as plain text and Paste from Word are very useful features. If you are copying text from a website or a Word Document, it can sometimes contain hidden styles that can be difficult to get rid of. Click on the icon and paste the text into the window provided. This will clean up the text and take all the hidden formatting out.

Publishing your page

Adding a new page

1. Save Draft - This will save your current draft of the page without publishing it to the site.

2. Preview - You can preview your new page by clicking this button.

3. Status - The page will remain as a Draft until you click the Publish button.

4. Visibility - The default for this setting is Public which will show the page on the site. You can however, set a password to allow only those who know it to see the page, or you can set it to private, meaning only other registered users of this system can see it.

5. Publish immediately - Here, you can set your page to either be published straight away or you can shedule it to appear online at a certain date and time.

6. Publish - Click here to publish the page to the site.

Editing a page

Editing a page works in the same way as adding a page.

You can edit the Status, Visibility and Published information should you wish to make changes and post it again at a later date.

You also have an option to delete the page, should you no longer need the information.

The publish tool not only allows you to save your page, but gives you flexibility to set who can see the page and when it’s published.

You can choose to save the page as a draft, publish it immediately to the site, or shedule it to appear on the site at a certain time.

Page Attributes

The Attributes panel allows you to set where your page, or in what order your pages, will be displayed.

The following items to change are as follows:

The Parent drop down menu allows you to select where your page will be displayed. The default setting is (no parent), which will save it as a brand new Parent page. This will appear in the main navigation of the site.

The Parent pages are the headings that are sitting to the very left of the list ( 1 ). The headings that are indented from the left ( 2 ) are the Child pages contained within each main Parent.

If you want to place the page into an existing Parent page, click on the drop down menu and select the page want. Once you Publish or Update the page, it will then appear under this Page on the website.

If you would like your page to appear in a different place from the one you selected, click on the drop down menu and select a different page from the list and click Update.

As well as setting where your page will be displayed on the site, you can also set in which order your pages can be displayed.

You will be able to see from the drop down list how many pages are in each Parent you are going to save this page to.

If you would it to appear nearer the top of the list, type in the position number you would like this page to appear.

Media

The media panel on the dashboard allows you to upload and store various types of media files to your system for later use, such as pdf and word documents, pictures, movies, audio files, etc.

1. Media panel - Here you can select to view the Library of uploaded media, or select “Add New” to upload new files.

2. Filtering options - This gives you several options to help you to find content throughout the library.

3. Uploaded files - This is the list of uploads currently saved on the system.

4. Author - The Author column will tell you which user uploaded the document.

5. Attached to - This column tells you which page, or pages, the files is attached to.

6. Date - This tells you when the document or file was uploaded.

7. Search - Lets you perform a search through the entire library list.

Media - Adding files

1. Upload feature - This allows you 2 options for uploading files: The first option is to drop files into the browser where indicated. The other is to “Select Files” and browse through your computer to upload the files you want.

2. Upload Progress - When your files is uploading, you will be able to see the progress here.

When you select “Add New” from the side panel, you will be taken to a screen which has the following features:

Media - Editing files

1. Edit - Click this link to edit the document.

2. Delete Permanently - If you want to delete the document from the list, click this link.

3. View - To view the details of the document on the site.

To Edit a file, rollover the file on the library list and you will see the following options:

Click the Edit link will take you to the following options:

1. Title - If you would like to give your file a new title, you can set one here.

2. Caption - Add a short caption (alt tag) to your file. This helps with accessibility of your files.

3. Description - Add a description to your file to give people a brief indication of what it contains.

4. File URL - This is the URL for the location on the file the web server. Please do not change this.

5. File information - This confirms the file name, file type, and when the file was uploaded.

6. Delete - If you wish to delete the file, click this link.

7. Update - Click the Update button to save the changes to the Media library.
