TRAINER SUPERVISION MODEL

Life Saving Victoria (LSV) as a Registered Training Organisation (RTO) are required to abide by the following requirement as outlined in the Standards for RTOs 2015 Clause 1.17 states, ‘Where the RTO, in delivering training and assessment, engages an individual who is not a trainer or assessor (i.e. does not holds a Certificate IV in Training and Assessment –TAE40110/TAE40116), the individual works under the supervision of a trainer and does not determine assessment outcomes’.

This Handbook outlines the requirements of members who currently hold the Training Officer Skillset and are endorsed to undertake Training only. As a result members holding the Training Officer Skillset are required to undertake an observed supervision session with a nominated individual who holds the TAE Certificate IV in Training and Assessment - TAE40110/TAE40116.

All supervision sessions are conducted with the aid of the ‘Training Officer Award - Evidence Form’ (Example Page 13). Upon completion of this session the ‘Training Officer Award – Evidence Form’ must be finalised and forwarded to the Area Training and Assessment Officer who, together with the Manager, Volunteer Member Training will determine the level of ongoing supervision required for the Training Officer. All potential and existing Training Officers must undertake a supervision session for each award or qualification they are authorised to deliver, biennially (every 2 years).

The Handbook will assist both Supervisor’s and Supervisee’s in determining what components are observed and the level of guidance / supervision a Trainer requires for ongoing delivery.

The Trainer Supervision process allows trainee trainers to gain confidence and the skills required to undertake the training of a course and have the opportunity of receiving direct feedback from the Supervisor and other trainers. It further allows Training Officers the opportunity to practice new skills and delivery techniques in a controlled environment.

GLOSSARY

Assessor - an individual who conducts assessment only. Holds either TAE40110 Certificate IV in Training and Assessment or Assessor Skill Set.

Award – an SLSA certificate issued by LSV.

Facilitator (Supervisor) - An individual who is a trainer and assessor. Holds TAE40110/TAE40116 Certificate IV in Training and Assessment and has vocational competencies at least to the level being delivered. Also conducts Supervisor sessions of Trainee’s following appointment by the Area Training and Assessment Officer.

Qualification - an accredited qualification or unit of competency within issued by LSV.

Training Officer - Holds Training Officer Skill Set units of competence and endorsed by LSV to conduct training of certain awards, has current industry skills relevant to the training being provided, has completed the necessary Supervised Trainer Requirements signed off by a Facilitator.

Trainee Trainer (Supervisee) - Holds Training Officer Skill Set, has current industry skills relevant to the training being provided. This individual has not completed or is undertaking supervised training sessions under a qualified Supervisor. A Trainee Trainer/Supervisee is not permitted to deliver training.

Area Training & Assessment Officer – A volunteer nominated and appointed as a Supervisor of an Area across Victoria.

SESSION REQUIREMENTS (SUPERVISEE) As of the 1

st June 2017 all endorsed trainers and trainee trainers are required to complete a supervision session for the delivery

of each Award held prior to the commencement of any course delivery. Ongoing, Training Officers must complete a supervision session every 2 years for each award held and conducted prior to the endorsed Trainer Award expiry date. This process will form part of the Training Officer Award expiry update procedure.

The supervision session will require participants to conduct a normal training session (minimum 4 hours) to at least 3 candidates. This session will be supervised by a Facilitator appointed by your Area Training and Assessment Officer. During the supervised session each Trainer is reviewed on the following components:

Presenting skills

Course content

Use of resources

Management of participants

Flexible delivery style N.B. Your Area Training and Assessment Officer will contact you to schedule a date for the supervision session. Prior to the commencement of this session the nominated supervisor will be provided with the appropriate Training Officer Award Evidence Form (Attachment 1). Depending on the participant’s level of ability, they may be required to participate in several sessions prior to receiving endorsement. Following the supervised session the Facilitator will provide immediate feedback to the candidate and discuss the subsequent step/s with the Area Training and Assessment Officer. The above process will be conducted for each Training Officer Award held each 2 years and is a requirement for re-endorsement, in line with the Training Officer Award expiry date. FACILITATOR REQUIREMENTS (SUPERVISOR) All Facilitators are required to hold the award and the unit of competency for the training being supervised and hold the TAE40110 / TAE40116 Certificate IV in Training and Assessment. Facilitators conducting the session will be appointed by the Area Training and Assessment Officer and are required to complete the appropriate ‘Training Officer Award – Evidence Award’ for each participant during each supervised training session conducted. During the supervised session, each Supervised Trainer is reviewed on the following components and graded accordingly:

SUPERVISION SESSION - GRADING EXAMPLES

Presenting Skills

(1) – Low Training Skills/Knowledge – Trainer has Low knowledge of Presenting Skills.

Trainer demonstrated:

little support to learners throughout the course

minimal engagement and presented in an unprofessional manner

a basic understanding of course content

minimal engagement between participant and trainer

a repetitive and unstructured delivery manner

(2) – Moderate Training Skills/Knowledge – The Trainer has Moderate knowledge of Presenting Skills.

AREA TRAINING AND ASSESSMENT OFFICERS

The Area Training and Assessment Officers are responsible for the allocation of appropriate Facilitators and the ongoing supervision of trainers, as required. If a member is deemed to require additional supervision, the Area Training and Assessment Officer will contact the relevant Chief Instructor of the Trainer’s club and organise the level of supervision required. Additional supervision may be conducted by endorsed trainers of that award who are deemed not to require supervision.

The Area Training and Assessment Officer is to document all proposed supervisory arrangements and forward all individual members strategies to the Manager, Volunteer Member Training prior to the commencement of the member conducting training.

If a Trainer wishes to be re-assessed, the Area Training and Assessment Officer will schedule a Facilitator (Supervisor) to undertake another supervision session.

SUPERVISION OUTCOMES

Direct Supervision If a Trainer is deemed to require ‘Direct Supervision’ following the initial supervision session. The Trainer is requried to undertake supervision in each session conducted. Supervisors that may assist in providing on-going supervision include:

Certificate IV Training and Assessment Qualification holder – A Trainer or Facilitator endorsed in the award being suprevised.

Trainer Skillset Qualifcation Holder – A Trainer endorsed in the award being supervised and deemed ‘No Supervision’ required.

The ‘Direct Supervision’ level will allow members to gain confidence, knowledge and skills required to train the course being undertaken. This process also allows the trainee to practice new training techniques and receive direct feedback from the Supervisor during the sessions. Once the Member is confident with their new skills a re assessment may be conducted and scheduled through your Area Training and Assessment Officer.

Close Supervision If a Trainer is deemed to require ‘Close Supervision’ following the initial supervision session. The Trainer is then required to undertake supervision at the majority of sessions conducted; example during a Bronze Medallion award, components / area the Trainer (Supervisee) may not be confident, must be supervised to ensure the Trainer (Supervisee) feels comfortable in delivering the content. It is recommended that ½ of all theory and practical sessions are supervised by one of the following:

Certificate IV Training and Assessment Qualification holder – A Trainer or Facilitator endorsed in the award being suprevised.

Trainer Skillset Qualifcation Holder – A Trainer endorsed in the award being supervised and deemed ‘No Supervision’ required.

The ‘Close Supervision’ level will allow members to gain confidence, knowledge and skills required to train the course being undertaken. This process also allows the trainee to practice new training techniques and receive direct feedback from the Supervisor during the sessions. Once the Member is confident with their new skills a re assessment may be conducted and scheduled through your Area Training and Assessment Officer.

No Supervision If a Trainer is deemed to require ‘No Supervision’ following the initial supervision session. The Trainer may conduct both theory and pracatical sessions without supervision, unless requested by the Trainer. As a result a Trainer who is deemed to require ‘No Supervision’ may assist in developing Trainers that are deemed either ‘Direct or Close Supervision’. Note: If a Trainer (Supervisee) is assisted by a Trainer that is deemed to require ‘No Supervision’, final sign off is still required to be completed by a Certificate IV in Training and Assessment qualifcation holder.

FREQUENTLY ASKED QUESTIONS

I am currently an endorsed Trainer, do I need to complete a supervised session for every award I currently train? o Yes, a supervised session is required for each award held.

How often is a Trainer required to undetake a supervised session? o Every two years prior to the Award expiry date listed on SurfGuard.

How long does each supervisory session last for? o Depending on the course being supervised, the Supervisee will need to conduct a normal training session

(minimum of 4 hours) to a minimum of 3 candidates. (Note if a course duration is under 4 hours, the supervision session must be conducted for the entire course).

I currently hold the Training Officer Skillset and Assessor Skillset qualifications, am I required to complete a Supervisory Sessions?

o Yes. However the Supervisor Session/s are only relevant to the Training Officer endorsement and not the Assessor endorsement.

I currently hold an Assessor Skillset qualification and are endorsed as an Assessor only, am I required to complete a supervision session?

o No, Assessors are not required to complete a supervision if already endorsed.

I currently hold a Certificate IV in Training and Assessment, am I required to complete a supervisory session? o No, the Supervisory Sessions are only required for Individuals who hold the Training Officer Skillset only.

What if I required further information regarding my supervison session? o Firstly, discuss the outcomes with your supervisor. If you require further information following this discussion,

contact your relevant Area Training and Assessment Officer.

How are the supervised session details recorded? o Details are noted on the Training Officer Award – Evidence Form. Should you require further information
