OUR HISTORY

The Samhita Academy marks a key milestone in our journey to make a difference in

the life of a single child. The journey began with financial support for cardiac

operations for children that went into other areas of pediatric health care and

educational scholarships. At each step, our key learnings launched us to the next

level.

Given below is a snapshot of the journey in the social sector.

From a model that was purely focused on financial support we moved to a more direct

involvement by launching our flagship residential educational scholarships

schemeunder The Advaith Foundation Trust .Encouraged by the potential of these

direct interventions, we then expanded the scope of the trust to create an ecosystem

that would provide quality education in an integrated environment where differences

TERMS AND CONDITIONS FOR THE PARENTS

We at THE SAMHITA ACADEMY believe that these standard TERMS AND

CONDITIONS reflect the customs and practices of an independent school for many

generations. They promote stability, forward planning, proper resourcing and

development of the school.

The aims of the school are described on the website. In addition, the school aims to

strike a balance between academic, social, physical, moral and spiritual development

through study, various sports and co-curricular activities.

Parents are expected to give their support and encouragement to the aims of the

school and to uphold and promote its good name, to continue the pupil‟s education

at home and to ensure that the pupil maintains appropriate standards of punctuality,

behaviour, diligence, language, discipline and dress code.

TERMINOLOGY In this TERMS AND CONDITIONS –

“THE SCHOOL” means THE SAMHITA ACADEMY, Survey No: 85/2 Annapuram

Road, Malumichampatti, Madukkarai Taluk, Coimbatore - 641050

“THE HEAD” means the person as appointed by The Trustees and includes those to

whom any of the duties of the Head of the School have been duly delegated. The

expression “THE HEAD” in these terms and conditions means “THE PRINCIPAL of

THE SAMHITA ACADEMY”.

“THE PARENTS” mean any person either or both biological parents, adoptive

parents, legal guardian or any other person who has been permitted to sign the

application form and / or who has accepted responsibility for the child’s attendance

at this school. Such parents are entitled to receive relevant information concerning

the child unless there are reasons which in the opinion of the school justify

withholding information to safe guard the interests and welfare of the child.

“THE PUPIL” is the child named in the application form. The age of the pupil will be

calculated based on one of the following documents:

Extract of Birth Certificate

Court order

Affidavit

No alteration in the Date-of Birth will be permitted.

“INSTRUCTIONAL LEADER (IL)”refers to the person in charge of a set of grades

belonging to a level

“WITHDRAWAL” means that the parents have withdrawn the pupil from the school.

“EXCLUSION” means that the pupil may not return to school until arrears of fees

have been paid.

“SUSPENSION” means that a pupil has been prohibited from attending school for a

period either as a disciplinary action or pending outcome of an investigation.

“EXPULSION OR REMOVAL” means that the pupil has been removed from the rolls

of the school permanently and has ceased to be a student of the school.

The decision to „exclude‟, „suspend‟ or „expel‟ a pupil and the manner and the form

of any announcement shall be at the sole discretion of the Head, who will act fairly

when exercising his / her discretion.

In the event of expulsion or of a pupil’s removal, the head will advise parents of the

procedure (of which copies are available on request) under which a written application

for a review of the decision may be made.

A pupil who has been withdrawn, excluded, suspended, removed or expelled from the

school has no right to enter the school premises without the written permission of

the Head.

“LEAVING STATUS” has reference to whether the pupil has been expelled, removed

or withdrawn.

“MIDDLE SCHOOL” refers to grades 6 to 8

“PREPRIMARY” refers to grades Nursery, LKG and UKG

“PRIMARY” refers to grades 1 to 5

“SECONDARY” refers to grades 9 to 10

“SENIOR SECONDARY” refers to grades 11 to 12

Affiliation Board We are affiliated to the Central Board of Secondary Education (CBSE).

Our curriculum is based on the guidelines of the NCF,2005 by NCERT and in general

its execution plan is process based to ensure quality and consistency of instruction.

The design of progression up the levels starts with setting the basic bedrock of a

caring environment on which we build a child centred and scientific approach to

teaching. This increases in complexity and rigour as the child enters the middle

school. Values, social and emotional competencies are also spiralled through the

curriculum to cater to the development of the child as a person. It culminates in

preparing the student for college, careers and leadership of self.

Pre primary Curriculum Our pre primary curriculum uses the power of play to teach, learn and assess.

The approach is thematic - interdisciplinary/integrated, organized around themes.

Thematic instruction integrates basic disciplines like English and Math and Art with

the exploration of a broad subject, such as communities, out in the garden and so

on.

The same themes are broken down into developmentally age appropriate activities

for the levels of pre primary.

Primary Curriculum (1st to 5th grade) It brings The Experiential Learning concept of experience, reflect, analyse and act to

life through its practical approach wherein each child will find its identity, meaning

and purpose in life through connections to the world around.

The activities are designed to cater to different learning styles and the instructional

tools and strategies uses both group and individual work to bring home the concept

which equips them with higher order thinking skills and collaborative team work.

Life skills and Values through quality circle time and activities are introduced at this

level and gives children awareness and vocabulary that promote emotional

intelligence and provides a non-judgmental platform to share and express themselves

on issues that concern them and the world.

Middle and High School Curriculum (6th to 10th grade) This is the stage that needs to ramp up our children to take the boards. So it

progressively shifts focus to a more rigorous approach that also equips them with

test taking skills and makes them exam-ready.

This is supplemented with special programs that continue to develop their higher

order thinking skills, abstract thinking, life skills related to adolescence, values,

exposure to different career options and exploration of their aptitude in different

disciplines.

Senior Secondary Curriculum (11th and 12th grade) This stage needs to prepare our children for college and lay foundations for careers

and life in the community. The pace of learning and rigour steps up even further.

Simultaneously we also recognize that this phase of a student’s life should prepare

them to be more responsible adults and future leaders. We continue our focus on life

skills that target the issues of adolescence and personality development. Careers and

college guidance will be added on as an extra service. For details of the streams

offered please check on our website.

Other • Apart from these, remedial programs, special educator in the classroom and

resource rooms cater to the needs of an inclusive classroom.

• Job embedded teacher training and development through formal training

programs and in-class mentoring, ensures that teaching quality is kept

updated and best practices are implemented.

Assessments Termly reports in pre primary will be based on ongoing assessments in the domains

and skills and will be in physical form.

Assessment and evaluation methodologies may be varied – including written, oral,

group activity, projects etc.

The report cards will not have marks but only grades. We do not do any ranking of

students. It will also have grades on the assessment of extra-curricular activities like

Dance, Music, Art, Theatre etc. and co-curricular ones like Life skills, Values and

Attitudes. The higher grades will also have performance in club activities reported.

Home Assignment The details of type and duration of home assignments for the different grades will be

given every year in the student diaries.

Subjects like Mathematics which has a component that requires practice will be sent

more frequently than the other subjects.

Typically no project work will be given to be done at home especially where it needs

parental involvement.

Apart from this there is likely to be one focus subject per day and the expected

completion date will be specified depending on the nature of the work.

The duration of homework will increase as the child progresses up the grades.

Parent Involvement in School Parents are encouraged to volunteer and participate in school events and functions.

Parents are requested to encourage their children by attending the events conducted

by the school.

From time to time the school will arrange for parent workshops based on the kind of

needs/interest expressed and felt by parents and the school. These are being

arranged for the ultimate benefit of the children and we would like our parents to

attend and stay abreast of the issues/knowledge and perspectives of parenting in a

changing world.

A monthly/termly schedule and the textbooks have activities for parents and children

to spend quality time together. Parents can indicate when they have had to help the

child with the homework.

We expect all parents

• To take an active interest in what the child is learning

• Schedule a regular study time

• Track completion of any pending classwork

• Check notebooks, worksheets etc. every evening and ensure that all homework

assigned and mentioned in the diary for the next day is completed

• Check the student's diary daily. Remarks mentioned in the diary by the

Teachers or the Principal should be checked and signed promptly as they will

bear important information about student activity at school.

• Spend regular time with the child in reading activities to promote this very

important habit in your child.

It is also mandatory that parents attend the calendar-scheduled/ad-hoc Parent

Teacher Meetings (PTM) and Parent Orientations organized by the school.

Apart from this the parent can also request for a meeting. Please see section on PTM

and Feedback Procedure.

Suggestions from parents are welcome. However, any interference with the

administration hinders the progress of the school. Thus, in case of such interference,

the school reserves the right to remove the names of the children from the roll.

Parent-Teacher Meeting (PTM) The School monitors each pupil’s progress and twice a year parents would receive a

report card at the meeting with the class / subject teachers.

Other Parent-Teacher interaction sessions, or meetings with the Head, to discuss the

pupil’s progress, may be organised upon written requests and prior appointments.

Appointments are necessary to ensure that the relevant school staff are not otherwise

engaged when the parent visits the school. This can be done by writing a note in the

student's class diary to which the teacher will send a reply on the same page or fixing

an appointment over the telephone.

Parents or guardians are requested not to meet their children or any teacher during

school hours WITHOUT A WRITTEN PERMISSION from the PRINCIPAL.

Parents are requested not to telephone the school to enquire about students‟

progress.

Feedback Procedure Feedback about any matter of school policy, administration, teacher or student

related issues, (except those involving a decision to expel or remove a pupil) can be

made by giving a written application, clearly mentioning to whom it is addressed.

Such an application will be acknowledged immediately and responded to within 7

days of submission.

Every feedback shall receive fair and proper consideration and a timely response. You

will receive an acknowledgement within 2 days’ time and a response on the status

within a week’s time.

The school will conduct surveys from time to time to invite feedback from parents on

various school issues.

If the parent wants a further hearing she/he can send a letter to the Chairperson at

the school address or mail to [email protected].

ADMISSION

Admission and Entry to the School Pupils will be considered as candidates for admission to the school when the

application form has been completed and returned to us and the non-refundable

registration and admission fee paid after due process. In the higher grades the

children will be asked to bring in their work from the previous school. As we have

children coming in from different countries and boards it is imperative for us to check

the level appropriateness for a grade. Admissions will be subject to availability of

seats and the pupil satisfying the admission criteria and payment of admission fee at

the specified time.

Admission Procedure / Requirements 1. A parent can apply online from the website. There is a non-refundable

registration and application fee that needs to be paid when the parent visits

the school to take the admission formalities further.

2. If a parent chooses not to apply online, they can purchase an application form

at the school, complete it in all respects and furnish all the information required

by the School.

3. Scan and upload (in case of online applications) or enclose the required

documents i.e., original birth certificate, latest report card copy and other

relevant documents that may be required (will be specified in the application

form). Originals will be returned after verification. Transfer certificate original

has to be submitted for admission from grade II onwards.

4. Parents are advised to read the rules and regulations on the reverse of the

admission form, before submitting the form for admission.

5. Any special needs and conditions need to be mentioned along with supporting

medical opinion where applicable.

Admission Number Every student will have a unique admission number. This number should be used in

all communications, references and other matters relating to school.

FEES

Fee Structure A copy of the fee structure with due dates, mode of payment and fines is given to the

parent/s at the time of submission of the Application form. Annual fee revisions for

the next academic session will be sent by the end of the previous one. The fees due

in a term are specified in the parent portal which can be accessed via our website

Responsibility for Payment of Fees The parent/s undertakes to pay the fees payable in each school year. Fees are due

and payable on or before the due dates mentioned below. Parents will be intimated

before the due dates

Term 1: June 10th or earlier as communicated to the parents

Term 2: October 10th or as communicated to parents

Term 3: January 10th or as communicated to parents

Fees can be paid online, at the school, at any ICICI branch.

Late Payment Fine will be charged on a day-to-day basis on fees and all other sums due which are

unpaid. This rule is intended to protect those parents who pay fees on time and to

safeguard the school against consequences of the defaults of others.

From the 11th (of the month in which fee is due) to 18th:Rs. 25/day

From 19th to 26th: Rs. 50/day

After 26th: Rs. 100/day

After the due date penalty will be charged for all days including holidays.

Cancelling Acceptance Cancellation of admission which has been granted can cause a long term loss for the

school. Registration and Admission fee is non-refundable if cancellation happens after

March 15th. Before that it is partially refundable. However cases of serious illness or

other unavoidable circumstances may receive special consideration on written

request.

Refund or Waiver Term fees are refundable on a pro-rata basis.

Transport fees once paid for a term are non-refundable.

Children who have used the school bus facility for the first two school terms must pay

the Transportation Fee for the Term III as well, irrespective of whether they use the

facility or not.

Transport Fee should be paid for all the 12 months. The full transport fee has to be

paid even if the child is using only one trip in a day.

GENERAL CONDITIONS

School Website The school website describes the broad principles on which the school is currently run

and gives an indication of our history and ethos. Although believed correct at the

time of printing, neither the prospectus nor the website is not part of any agreement

between the parents and the school.

School Diary Parents are requested to use the diary for communication. Please do not send your

requirement on chits or on loose sheets as these can be misplaced.

It is necessary for the parent to go through the diary every day and check for any

suggestions or remarks sent by the school. Please ensure that you sign

communication of a nature that is addressed to you.

Apart from this homework for the day is also written in the diary.

It will have the school calendar, timings, uniform, daily timetable and excerpts of the

rules relevant to students.

Parent portal A link to the parent portal is available on the website. Parents are required to keep

their data and photographs updated as required. This information will be used for

contacting parents.

All term fees can be paid via the portal apart from other means mentioned there.

Circulars Circulars will be sent along with the Student Diary. It is the responsibility of the parent

to ensure that they read all circulars meant for them.

Education Guardian When both parents reside out of India, parental responsibility must be delegated with

a written intimation to the school to a suitable adult who has agreed to take full

responsibility for the pupil when not at school and who can, if necessary, come to

school at short notice. The parents would be bound by decisions of such adult and

the school shall be fully protected while acting upon instructions issued by such

parents.

Residence during Term Time The head must be notified in writing immediately if a pupil will be residing other than

with the person who has parental responsibility, or at any other address.

Absence of Parents When both parents are absent from the pupil’s home for a 24 hour period or longer,

the school requires in writing the name, address and telephone number of the adult

whom parental responsibility has been delegated to.

Special Precautions The Head needs to be aware of any matters that are relevant to the pupil’s health,

security, welfare and safety. The Head must therefore be notified in writing

immediately of any court orders or interrogating circumstances or situations of risk

in relation to the pupil for whom any special safety special precautions may be

needed. A parent may be excluded from school premises if the Head considers such

exclusion to be in the best interest of the pupil or of the school.

Leaving school early For any reason if a parent is picking up a child early from school or wants the child

to be sent early by school transport they must inform the school via the school diary

and take the prior permission of the Head. The child will leave only if the permission

slip signed by the head is given at the reception.

No requests for early pick up will be entertained after 2:30 pm.

Permissions Any student needing to be excused from PT or games must produce parent's letter

along with a doctor’s certificate to support the request.

Any package to be given to a student during school hours must be handed

over to the security personnel at the school gate. The admission number,

name, class and section must be written clearly on the package.

Sickness during School Hours The Samhita Academy is responsible for all pupils from the time of arrival at school,

to the time of departure. We are committed to work in partnership with our parent

community to ensure the welfare of students who may be sick while at school.

Adequate steps are developed for the care of children in all aspects of pupil safety

and health while at school.

The Infirmary is situated in the ground floor with three beds and basic facilities. Health

records of individual students are maintained.

If a student is sent to the Infirmary from the class, the parent will be informed. In

case of accidents, parents will be informed immediately. If the parent is not available

and there is an emergency situation, the school may act on behalf of the parent and

accompany the student to the hospital with which the school has signed an MOU.

Infirmary Norms Medicines will be administered only if the medicines are provided by the parent and

a letter to the effect of dosages and timings is signed and given by the parent.

Oral instructions from the parent will not be entertained.

Parent or guardian who is collecting the student from the Infirmary should carry the

permission slip duly signed by the principal and leave it with the security before

leaving the gate.

Students who have been treated in the infirmary will be given an infirmary slip

specifying the treatment given.

It is the parents’ responsibility to take their children to a doctor and to ensure that

they are well enough to return to school. Students should not be sent to school if

they are ill as it may cause infection to other students.

The Infirmary should not be used as a babysitting service by the parents.

Allergies or Daily medication Any allergy the child suffers from should be informed to the school in writing. In case

of any medication to be administered, the same should be informed in writing

specifying the dosage and the intervals.

Learning Difficulties The school will do all that is reasonable in the case of pupils with learning difficulties

that amounts to a ‘Special Educational Need’. However our staff is not qualified to

make a medical / clinical diagnosis of conditions such as those commonly referred to

as dyslexia or other learning difficulties. Parents must notify the Head in writing if

they are aware or suspect that the child has a learning difficulty. Parents must

provide the school copies of all written reports and other relevant information. The

school may also recommend certain assessments to be done externally based on

teachers observations and data from the class work.

Policy on Discipline Each pupil is supplied with a copy of the Student Diary giving information about the

ethos and rules at the school. The purpose of the school policy on discipline is to

help every pupil to know what is expected and to encourage courtesy and

consideration for others.

Punctuality Parent's co-operation is an essential part of running an effective educational

institution. Parents are earnestly requested to ensure that their children / wards are

regular, punctual and disciplined. Therefore, the School management relies upon the

full co-operation of the parents and guardians in matters concerning the education of

their children / wards.

Leave Rules Minimum of 80% attendance for the entire academic year is required for promotion

of the child to the next grade.

The teachers have very detailed academic plans that ensure that all portions are

covered as per the plan. In the interest of the student please ensure that they attend

on all working days including Saturdays and come back on time after vacations. It is

compulsory for students to attend the first and the last day of school (i.e., before and

after every vacation). If due to some unavoidable circumstances, the student is

unable to come to school, a written permission needs to be obtained from the

Principal.

A student should not be absent during school events, Tests and Exams except on

medical grounds. Tests and Exams will not be advanced or postponed for any reason.

However, for students deputed to represent the school in inter-school events or

participating in any school related activity, the school will re-schedule tests/exams

as and when required.

For any absence, a proper leave application in writing must be submitted to the class

teacher by the parent. For any absence, due to illness / injury, a medical certificate

by a registered doctor must be submitted along with the leave application. For any

leave (more than 3 days) other than for medical reasons, a leave application in writing

must be submitted to the Head in advance.

In case your ward is absent he/she will be given time during lunch break to note

down the missed written work. If the duration of the absence is more than two days,

you are requested to visit the school either on Tuesday or Thursday between 12.00

noon - 12.40 pm with prior appointment in the diary. Written work of another student

in different subjects will be shared with you and the snap shot of the same can be

taken. This can be used to help your ward in completion of his/her missed work.

Birthday Rules Pupils may wear a dress of their choice appropriate for the school environment.

Exchange of gifts will not be allowed. Pupils may bring soft toffees or small chocolates

for distribution among classmates.

Uniform The students are expected to wear their school uniform from Monday to Friday.

Sports uniform should be worn as per the instructions of the PE master.

Primary upwards girls should wear black bloomers along with their uniforms.

Black shoes of prescribed make (not brand) and black socks are to worn on all days

from primary upwards. Pre primary can wear any closed shoe (preferably with Velcro

fastener) of their choice.

In winter the track pants can be worn with the regular or the sports shirt as

appropriate. Pre primary girls can either wear the sports shirt with track pants or full

length black leggings during winter. A jacket is used over the regular uniform.

Any extra attire beyond uniforms-including jewellery, sunglasses, hats, scarves,

bandanas, stocking/skull caps, sweat bands, long earrings, chains, pendants, rings

or bracelets, fancy / expensive watches, bangles etc., will not be permitted.

No fancy hairstyles will be allowed. Colouring of hair will not be permitted.

Boys are not permitted to wear earrings and girls can wear small studs.

Girls can use rubber bands, ribbons, hairpins or clips for their hair which are black in

colour.

Essentials to be carried to school everyday One set of clothes from Nursery to Upper KG will be kept in the school to be used in

case of any soiling in school. This will be returned at the end of the year

School Trips A variety of school trips will be provided for your child. The cost of some school trips

would be an additional charge which would be intimated in advance. The parent will

have to sign a consent form. A written acceptance and undertaking from parents that

their wards are permitted by them to go on the excursion/field trip is mandatory.

Attendance at these trips is not compulsory but would be preferred. The children

must come in their school uniform and carry their ID card during these trips.

Note: School will take adequate safety measures during these field trips. However

the school or the Management or the Bus contractor shall not be held responsible for

any injury, accident or damage.

School Transport Bus facility is available depending upon the feasibility of the bus route and availability

of seats in the bus. Under no circumstances shall students or their parents / guardians

compel the bus employee to divert any route or change any pick-up or drop off point

allotted at the beginning of the year.

Availing of school bus facility is not compulsory.

Kindly note there will be no sibling discount for transport fee.

Students will be picked up from and dropped off at fixed locations, pre-determined

by the school management. These points may change from time to time,

depending on local conditions in the area.

Transportation fee is paid along with the school fee. There will be no refund of

transportation fee.

Misbehaviour / indiscipline in the bus or non-payment of bus fees may lead to

cancellation of the bus facility for the student. The school retains the right to deny

the facility to anyone without assigning any reason whatsoever.

Student Pick Up and Drop facilities The following policies have been framed keeping the safety of the child and

convenience of all students using the transport facility.

The bus will wait only for 3 minutes at the specified bus pick up points.

In cases where no person is expected to receive the child any day, the parent has to

give a self-drop authorization letter to the school with the standing instruction that

the bus can drop off the student at the designated bus stop without a receiving

person. This facility is available only for children from grade III onwards. Younger

children can avail this facility only if they are accompanied by an older sibling.

For those students using the bus facility, the bus will wait for 3 minutes at drop

point for the person identified to pick up the student. Only then the student will be

allowed to alight. The teacher will attempt to call the parent/guardian on the

telephone at the number given. In case of contact, the time of stop may be extended

till student is handed over to authorized person. If the teacher is unsuccessful in

contacting parent/guardian and the bus is likely to be unduly delayed, the teacher

will keep the student till the last stop. By then he/she should have contacted a

responsible person and arranged for the transfer of custody of the student to the

authorized representative.

If the teacher is unsuccessful in contacting person concerned, the student will be

taken back to TSA and handed over to a responsible person at TSA.

The student will be kept there till an authorized person picks the student up.

Once a year the school will send out circulars asking the parent to update the parent

portal for any change in contact information. Intimation of any change in any contact

information subsequent to that is the responsibility of the parent. The currency of

the information is crucial when a parent has to be contacted in an emergency.

Photographs in promotional material The School may include some photographs or images of the pupils in the school

promotional materials such as prospectus and website/Facebook/social media.

Parents who do not want their child’s photograph or image to appear in any of the

school’s promotional material must make sure their child knows this and must write

to the Head requesting an acknowledgement of the letter.

Lost and Found The school is not responsible for the lost or misplaced items. In case of any lost items

the parents are requested to contact the administrative office within 24 hrs.

Closure of school during emergencies The School will remain closed when there is curfew in the area, serious warning from

the city authorities on floods/earthquakes/riots etc., or the Govt. declares a holiday

as per the negotiable instruments act. This decision is made by the School Authorities

keeping in mind children’s safety.

Emergency Dispersal of Students Students will be sent home in case of civil unrest or any natural calamity. Parents

will be informed in advance before sending the students.

Fire Drills In order to be prepared for emergencies, the School will be practicing certain drills as

specified in our Disaster Management Plan. So it is likely that your ward will report

such incidents from time to time.

Liability and Insurance The school undertakes to provide such insurance if any prescribed by law. All other

insurances are the responsibility of the parent. The school will make every effort to

safeguard children and their personal property but is unable to accept responsibility

for accidental injury or loss of property.

About Our Teachers Our teachers display a wide range of skills and abilities that lead to creating a learning

environment where all students feel comfortable and are sure that they can succeed

both academically and personally. They are approachable and ensure mental,

emotional and physical well-being of all the students.

Other than Academic inputs they also incorporate values, life skills, personality

development, social behaviours, etiquette and attitudes.

They upgrade their pedagogical skills through teacher enrichment programmes

organized by the school. This is to ensure the professional growth of our teachers

who are invaluable to us and to the society at large.

Parents are requested to treat all our teachers and staff with the same respect that

we accord our parents and the respect that we want our students to show our

teachers. Any kind of abuse of a teacher either within or outside of the school

premises on matters relating to the school is strictly prohibited.

Confidentiality The school will take care to preserve the confidentiality of information concerning the

pupil.

Disputes Parents are requested to use the grievances redressal procedures available within the

institution before seeking any legal remedies. The school would take recourse to

alternate dispute resolution processes like conciliation, mediation, arbitration at

which the parent would be required to participate before seeking any legal remedies.

Parents are requested not to approach the media for redressal of their perceived

grievances without taking recourse to and complying with the redressal procedure

within the institution.
