It’s easy to be discouraged by a pile of unread emails. The best way to get rid of that pile is to not let your emails pile up in the first place. Try to read and respond to all of your emails the day you receive them.
Be careful who you give your email address to online. If you are signing up for an account on a website that requires your email address, consider if you’re willing to put up with potential emails from the service.
Email is important to getting work done—but it can also be big distraction. If your email is stopping you from being productive, think about shutting it down or at least turning off pop-up notifications.
If you have a question, make things easier on everyone by making it specific. Instead of rambling for a few paragraphs and finishing with “thoughts?” you should get straight to your point and ask a straightforward and specific question.
Don’t just skim an email and respond or ask for clarification. Before responding to someone, make sure you have actually read the original email carefully. Electronic communication is prone to miscommunications. Do your part to prevent them!
Encourage everyone in your office to only respond to an email if it is actually necessary. If an email is only one or a few words long, the sender should think twice about if it is actually necessary to send.
Email seems straightforward, but it has been inundated with machine generated email. Be on the lookout for the right tools that can help you improve how you and your company uses its email so you can focus on getting more work done and less time with email induced headaches.
