1.1 Hardware Configuration – Done on ALL PC’s that use the system

1. Connect Router via Ethernet Cable to Tough book 2. Connect Netdisk via Ethernet Cable to Wireless Router – Netdisk must be drive Letter E: on

Laptop 3. Connect RFID Reader cable to the USB connector closest to the Power Cord on Tough book. 4. so it reads Port 6 5. Connect Badge Reader to other usb port on Tough book 6. Start Scanner click SPWIN Icon on Tough book - SPWinCom is the serial port control

application. 7. Set RFID Scanner to 6 8. Set Badge Reader to 9

9. Test Ports a. Uncheck Send to Keyboard – scanned items should show up in the 3 fields at the

bottom of SPWINCOM. b. Scan Badge – You should see badge information on the screen c. Scan RFID – You should see RFID information on the screen d. If either scanning port does not work you need to go into Start, Run, Control Panel,

System, Devices, USB and COM Ports and note the 2 ports that contain the RFID and Badge reader, we will have to change the numbers at the top to get the proper ports.

e. Rescan till it works by changing the ports.. f. Check box send to Keyboard

Installing the EPSON Printers

You do the Master Download 1x and then install the driver from e:\epsonIV onto each PC

DOWNLOAD THR DRIVER – Large File plan on 5-10 minutes it’s 45 Meg

www.warp7software.com/updates/tessepson4.exe

Choose RUN if you can see (E:) MyComputer – E should be your TESS DRIVE

If You can’t see drive E from your computer then save this file to a Pen Drive and plug it into a new machine that can see the netdisk drive e:\, Double click the file tessepson4.exe and choose RUN.

INSTALLING THE EPSON IV PRINTER ON THE NEW PC

NOTE GO INTO CONTROL PANEL AND PRINTERS, IF YOU HAVE EPSON INSTALLED (IT SHOWS UP) YOU NEED TO RIGHT CLICK AND CHOOSE DELETE, IF ASKED TO REMOVE IT YOU MUST SAY YES, EVERYTHING NEEDS TO BE REMOVED BEFORE INSTALLING.

PREPARING AND TESTING THE PRINTER

Based on Security and Actions Buttons automatically turn on and off…

All screens have the same buttons at the top

Add- This action adds new items to the database for the current screen. This is the primary method by which new items will be added to the system. Edit-This action allows editing of existing screen items. Browse-This action allows browsing of the current screen records. Delete-This action allows the deletion of current screen records. Report-This action allows reports to be created on the item database. Quit-This action quits the current screen and returns to the previous menu. Save-This action saves the current record if all required information has been entered and stays on the current screen. It updates changes that have been made. Prev-Previous Record Next-Next Record Cancel-This action cancels the current transaction without saving and stays on the current screen. 3.0 Login and Main Menu

Launch the application by double clicking on the TESS Icon on the desktop or taskbar. The Login Screen will appear as follows in Figure 1-1.

Figure 1-1 At the User Code text box, enter your User Name (USUALLY FIRST INITIAL AND LAST NAME – UP TO 8 CHARACTERS LONG) followed by the enter key. Next, enter your password in the Password text box (INITIAL PASSWORD TESS). If this is the first time you have entered a password, you will be prompted to change to a non-default password. PASSWORD MUST BE 5-8 CHARACTERS AND OR NUMBERS Once you have entered your password, depress the enter key twice or double click on the Authorize button to proceed to the next screen. At this time, your user code and password will be authenticated. If you entered an incorrect user code or password, you will be re-prompted to enter your user code and password again. You may also select the Exit button to exit the system. If your user code and password are authenticated, the system will log you in and proceed to the Main Menu as indicated in figure 1-2.

The TESS Equipment Manager Menu will appear as illustrated in Figure 1-3.

From this menu, you can select any of the buttons to execute the system. The other sections of the manual detail the specific functions of each button.

4.0 Item Master

The Item Master selections (Corporate and SITE) allow an authorized user to add new items or modify item information to the master inventory database. The Item Master Corporate selection allows authorized users full control of adding or modifying items in the master inventory database. The Item Master SITE allows authorized users the ability to modify the minimum and maximum quantities of any item. Select the Item Master Corporate button. The Item Master Corporate screen will be displayed, defaulting to Page 1 of the data entry screen.

The top menu bar consists of actions to be performed within the screen. Some of the actions are initially or permanently disabled depending on the sequence of the action or user privileges

4.1 Adding New Items – ORLANDO ONLY From the top menu bar, select the Add button to add new items to the item master database. The Part # field will be in focus and highlighted in yellow color, prompting the user for data entry. The Part # field is a free form field and is the part number of the new item. After entering the Part #, the user can depress the Enter or Tab key to advance to the next field. Status-The status field determines whether an item in the database will be available for check out status. There are three conditions available:

Active-The item is entered into the database completely and is ready for check out.

Hold-The item has been entered into the system, completely or partially, but is not ready for check out. This may be due to the item hasn’t arrived yet, requires and incoming inspection, or some other factor that doesn’t allow the item to be utilized.

Inactive-Item exists in the database but isn’t being utilized. This status should be utilized for items that are in obsolescence. Readiness-This field determines whether this is a readiness item or not . Two options are available, either YES or NO. Serialized-This field has two available options, YES or NO. If the item that is being added has a unique, non-repeatable serial number and needs to be tracked as such, you should select the YES option. Upon doing so, you should then fill out the necessary serial number information on the Serialized Inventory Screen, per the next chapter. If the item to be added is a consumable item, doesn’t have a serial number or doesn’t require serial number tracking, select the NO option. Description-This field is a free form field and allows up to 60 characters to describe the item Short Desc-This field is an abbreviated version of the description field for display on reports. This field allows up to 20 characters Item Type-This field has two options, REPAIRABLE and DISPOSABLE. Depending on the dollar value of the item and ease of repair, this field can be utilized to further classify the item. Most higher dollar items will be repairable, whereas consumable items are likely disposable. If the item is deemed REPAIRABLE, select that option. Otherwise, select DISPOSABLE. Case-This field allows the user to set the in question if it is indeed part of a case or kit. If so, select YES. Otherwise select NO. Calibrate-This field allows tracking of items that have periodic calibration requirements. If so, select YES. Otherwise select NO. Home Site-Displays the home site for that specific instance of the item. Location/Floor-Displays the default location of that specific item at the location Zone- Displays the default location zone of that specific item at the location

Shelf/Bin- Displays the default shelf or bin of that specific item at the location On Hand-Displays the quantity of that item number in that site’s inventory database. Checked Out- Displays the quantity of that item number in that site’s inventory database that are currently checked out. In Repair- Displays the quantity of that item number in that site’s inventory database that are currently in the repair process. Missing- Displays the quantity of that item number in that site’s inventory database that are not currently located and are deemed missing. In Cases- Displays the quantity of that item number in that site’s inventory database that are part of a case kit. Total Qty- Displays the total quantity of that item number in that site’s inventory database. On Order- Displays the quantity of that item number that are currently on order. Min-Displays the minimum quantity desired of that item in that site’s current inventory. Max- Displays the maximum quantity desired of that item in that site’s current inventory. Standard Order- Displays the standard order quantity desired of that item in that site’s current inventory when completing a reorder. Standard Order Days- Displays the standard number of days required for that item when placing a new order. Last Order Date-Displays the date of the last time that item was ordered. Order U/M-This field contains the unit of measure required when placing a new order for that item. Order Each U/M- This field contains the unit of measure required when placing a new order for that item. Order Item Cost- This field contains the cost for an each quantity for that item. Usage U/M-This field displays the unit of measure for that item when it is utilized. Usage Qty U/M-This field displays the quantity of that item at the usage unit of measure Usage Cost-N/A Extended Inv Value-This field displays the total dollar value of that item within the current site’s inventory. This is the total quantity multiplied by the item cost. OnHand Value-This field displays the current on hand value of that item at that site. This is the on hand quantity multiplied by the item cost.

Replacement #-This displays the replacement part number of item that has changed. Replacement Date-This displays the date an item has had a replacement part number in place. Major Category-This field contains the Main category of an item. SubCat2-This field contains the second sub category of an item. SubCat1-This field contains the sub category of an item. Supplier #-This displays the supplier identification number. Supplier Name-This displays the supplier name. Part #-This field contains the item part number Vendors Bar Code-This field contains the vendor or suppliers bar coded number if applicable. Lead Time-This field displays the supplier’s lead time when ordering that item. Warranty-This field contains the standard warranty length of time for that item. Maint Type-N/A

5.0 Serialized Inventory The Serialized Inventory screen allows a user to associate a specific item with a unique serial number and identification number.

ONCE VERIFICATION IS COMPLETE ONLY ORLANDO WILL ENTER NEW ITEMS

Part #- Enter the part number of the item that you will be creating. You can manually type in the information or depress the Enter key to use the drop down menu. Description- Displays the description of the item Serial #Tool #- Enter the unique serial number or tool number of the specific item you are adding to inventory. RFID/Bar Code #-This is the unique RFID identification or Bar Code identification of the item. This number can be scanned in from the RFID reader, bar code scanner or manually typed in.

Home Site- Displays the home site OWNER for that specific instance of the item. Location- Displays the default location of that specific item at the location Section- Displays the default location section of that specific item at the location Bin- Displays the default shelf or bin of that specific item at the location Current Status- This field displays the status of the item. Status Date- This field displays the date of the last status change. Status Time- This field displays the time of the last status change. Last Checkin/Checkout Receipt- This field displays the receipt identification number of the last time that item was either checked in or out. Current Site- This field displays where the item currently is allocated to. CASE Serial #- If this item is part of a case, this field displays the case serial number of the case where the item is stored. CASE RFID- If this item is part of a case, this field displays the case RFID number of the case where the item is stored. Issued BY- This field displays the name of the person who issued the item.

SS#- This displays the last 4 digits of the social security number of the person whom received the item. Purchased- This field displays the date the specific item was purchased. Purchase Price- This field displays the purchase price of that specific item. Vendor Serial #-This field displays the vendor’s serial number of the item. Warranty- This drop down field displays the standard warranty period for the item. Warranty Days- This field displays the number of days the original warranty period covered. Warranty Days Left- This field displays the number of days remaining on the original warranty for this item. Last Maintenance- This field displays the date of the last maintenance performed on this item. Days Between Maintenance- This field displays the desired number of days in between scheduled maintenance on the item. Next Maintenance- Displays the date of the next scheduled maintenance. PhyInv Date- Displays the date of the last physical inventory on this item. Inv Verified- This logical field displays whether the item has been verified in inventory the first time. Retired – Date the Item is retired Comment- This free form field displays a general comment about this specific item. Inv Count- Set to 1 for SERIALIZED Inventory and actual count for consumables. Counter- Set to 1 so we can count transactions. I.e. total SESAMS Is this a Case ?- This logical field displays whether the item is actually an inventoried case. Readiness- This logical field displays the whether the item is a readiness item or not. Exercise- This field displays the exercise the item is associated with. Company/Platoon- This field displays the company or platoon the item is associated with. Unit/Battalion- This field displays the unit or battalion the item is associated with. PID- This field displays the personal identification number of the person that checked out the item. OLD RFID- This field displays the old referenced rfid number of the item in the event it has changed. Case Cnt- # of items in a Case – this field only applies to cases. Last Updated- This field displays the last time and date the item was updated.

6.0 Equipment Check In/Check Out This section describes the process and procedures necessary to allow users to check out physical inventory that has already been entered into the TESS system and subsequently check in those same items once they have been returned to inventory. The check out process involves selecting an item that is available in inventory and assigning that item to a person and/or a task. Once an item has been “checked out”, it will no longer be available in inventory to be “checked out” again until it has been “checked in” and it’s inventory status returns to available. When an item has been checked out, however, it can 1) be moved to a different location or site, or 2) reassigned to a different person and/or task. Starting from the TESS Equipment Manager menu, select the Equipment Check In / Out button as highlighted in figure 5-1.

6.1 Adding New Transactions From the top menu bar, select Add. A new transaction record will be inserted into the database with a current timestamp, site and user identification. The Transaction Type field will be in focus and highlighted in red color, prompting the user for data entry. The user can depress the enter key at this point and a drop down box with available selections will appear. Conversely, the user can enter the first character of the desired selection and if it matches one of the available selections, the data will be populated when the user depresses the Enter or Tab key to advance to the next field. The available Transaction Types are described below: Add To Case-Select this option if you want to place items into an existing transport case or want to create a new transport case. Check In-This option allows for returning of items that have been checked out to inventory. Check Out-This option allows for allocating of single items from inventory to a checked out status and unavailable. Loop Out-Select this option if several items are to be checked out in consecutive order to the same exercise, unit, platoon, user and PID. This allows for a one-time entry of those data fields. Move Inventory-This option moves inventory from a specific site/bin to a new site/bin. Out to Repair-Select this option when moving an item from active inventory to a repair depot status. After the Transaction Type is selected, the user will select whether they require a printout (receipt) for the current transaction. They will select either No or Yes. Following this, certain data entry fields are then required depending on the Transaction Type selected. The Case RFID and Case Serial Number fields will require data when the Transaction Type of Add to Case is selected. The Case RFID field will require the transport case RFID tag to be scanned into the field or manually entered. The data will be validated against the available cases inventory. When the data is validated, the Case Serial number will automatically be entered. The To Location field will require entry when the Transaction Type of Move Inventory is selected. When enabled, the field will turn red, indicating a drop down box is available. The user can scroll through the available selections or enter the first character of a site/bin. The Exercise field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the exercise the inventory is going to be utilized for in training. The Issued To field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the name the inventory is going to be utilized for in training.

The Rank field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the rank of the person the inventory is going to be utilized for in training. The Last 4 SS# field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a numeric field that allows the user to enter the last digits of their social security number the inventory is going to be utilized for in training. The Unit/Battalion field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the Unit/Battalion the inventory is going to be utilized for in training. The Unit/Battalion field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the Unit/Battalion the inventory is going to be utilized for in training. The Company Platoon field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a free form field that allows the user to enter a brief description of the Company Platoon the inventory is going to be utilized for in training. The PID field is enabled when the user selects Transaction Types of Check In, Check Out or Loop Out. This field is a machine read field when the user places their badge in the card reader, designating the Personal Identification of the user the inventory is going to be utilized for in training. The RFID/Barcode # field is enabled for all transactions. This required field contains either the RFID number or barcode number of the item that the transaction is being performed on. The field can be filled from a RFID scanner, a bar code scanner or manually typed in. When data is entered, it will be validated against known items in the database. If a match is found, the Serial #, Description, Part # and Qty fields will be automatically populated with the information pertinent to that item. When items are being checked back into inventory, after they have been validated, the Condition Box will be enabled. This box requires a simple selection as to the condition of the item being returned. The user must select either READY FOR ISSUE or MAINT CHECK REQUIRED. This will determine whether the item can then be immediately reallocated or has to be sent to the depot for additional processing. The process of scanning items continues until complete. When complete, the user has the option of saving the transaction (Save) or canceling (Cancel) the transaction from the top menu bar. 6.2 Editing Transactions From the top menu bar, select the Edit transaction button. You will be prompted to enter the transaction ID of the transaction you want to edit. The transaction ID is located on the receipt for the transaction. Alternatively, you can find the ID by conducting a daily transaction report. Once the transaction ID is entered, that transaction ID will be displayed for review.

6.3 Browsing Transactions From the top menu bar, select the Browse transaction button. You will be prompted to enter the transaction ID of the transaction you want to edit. The transaction ID is located on the receipt for the transaction. Alternatively, you can find the ID by conducting a daily transaction report. Once the transaction ID is entered, that transaction ID will be displayed for review. 6.4 Report The Report button allows the user to conduct ad hoc reports on all transaction data with filtering capabilities. This feature also allows saving a particular report criteria and later executing it repeatedly. From the top menu bar, select the Report button. The report pop-up will be displayed. The user can select the Create New Report line or any other saved report. Whichever option is chosen, the user has the ability to change the filtering criteria on every report, including saved ones. Select the Daily Transactions Order By Receipt Number report. You will see the Report Writer screen being displayed. From this menu, you can refine and customize this report or any other report, including creating new ones. Select the Process Button. The Report View Window will be displayed. This window displays the selection criteria from the previous screen. At this point you can modify the fields, layout, sortation and grouping/breaking of the report, without returning to the previous screen. Select the Process Report button. You should notice the records being processed and when completed, you will be prompted on a file name for the generated Adobe PDF file. You can change the name or leave intact and select the Generate PDF button. You will notice that Adobe launches and your report should be displayed. 7.0 Service Tracking The Service Tracking section allows the users to track the movement of items through the repair process. From this menu, users will input information about the item and have the ability to view the history of the item.

Serial/Tool #- This is the serial number or tool number of the item in repair. You can manually key in the serial number or depress the enter key and select the item from the drop down menu. RFID #- This field displays the RFID number of the item. Part #- This field displays the part number of the item. Description- This field contains the description of the item. Status-This field displays the status of the item.

Received Date- This field displays the date the item was received at the service facility. From Site- This field shows the site the item under repair was originally received from. Warranty Job- This selectable field displays whether the item in for repair is under warranty. Manuf #- Displays the manufacturers part number. Manufacturer Name- This field displays the original manufacturer’s company name. Manuf Serial# - Displays the manufacturer’s serial number of the item. Manuf Part# - Displays the manufacturer’s part number. Purchased- Displays the original date the item was purchased. Vendor # - Displays the vendor’s identification number. Vendor Name – Displays the vendor’s company name. Repair Note – This field is a free form field and contains a comment about the particular repair event. Repair Out- This date field contains the date the item was shipped out to a third party repair facility, such as the vendor or manufacturer. RMA # - Contains the return to manufacturer authorization number. Tracking Number- Contains the tracking number when returned to third party repair facility. Repair In- This date field contains the date the item was retuned from the third party repair facility. Repair Cost $- This field contains the cost of the repair when the item is returned to a third party facility. Last Calibrate- Date field displays the last time the item was calibrated. Maintenance Date- This field displays the next time the item is due for scheduled maintenance. Receipt ID – This field displays the identification number of the service receipt. Receipt Date- This field contains the date the item was initially received into the repair facility. Closed Out By- This field contains the name/ID of the person that closed out the repair ticket. Current Status- Displays the current status of the item. Completed Date – Displays the date the item repair was completed.

9.0 END OF DAY - Transferring Data
