Introduction

Heathrow has been the busiest international hub airport in the world for the past decade, handling more than 60 million passengers on an annual basis. In order to successfully cater for such an extraordinary high volume of traffic, the airport operation must be based on using a robust groundwork, providing a reliable, uninterruptable service. The IT infrastructure at Heathrow has been built to meet these challenging criteria, and is being constantly upgraded to adopt the latest innovations and standards. It has proven to be well designed to handle the daily routine operation, as well as to cope with unexpected events.

Now, all the Heathrow airport tenants may benefit from this powerful IT infrastructure, commonly with the airport operations teams. Modern, resilient, built for purpose - all at the fraction of the costs for which it has been put in place.

Telephony and communications are without doubt critical to the day-to-day business needs, especially at such a high paced environment such as an airport. With that in mind Heathrow has put in place a high availability, state of the art Internet Protocol Private Branch Exchange (IPPBX) telephony platform, bringing many advantages in terms of resiliency as well as cost savings, achieved by converging voice and data over an IP connection to the desktop.

Service Overview

Heathrow provides a common telephony platform for customers through the delivery of an IP digital line for a Cisco IP Phone, or by providing an analogue line. Each Customer is provisioned into its own logical telephony network with connectivity to other services easily provisioned, depending on the requirements. The Customer is then able to select from a range of handsets as well as from a number of additional calling features. Standard features include call hold, transfer, forward, conference, speed dial, redial, call park, as well as advanced features including pickup and hunt groups, multiple line appearances, or advanced handling.

As part of the initial ordering of either an IP or analogue extension, both outbound and inbound access can be restricted for a selected phone number.

HIGH LEVEL DESIGNHeathrow’s IPT infrastructure, delivered over the LAN infrastructure, is based on the Call Manager technology manufactured by Cisco. A key capability of this IPT infrastructure is the ability to connect back to corporate environments, leveraging an arrangement that Heathrow has with the Telco providers. This provides a means for on-net calls between Heathrow and the corporate environment, reducing the on-going cost of telephony provision. The IPT offering also extends to the provision of an IVR capability with time of day routing and the ability for personalised messages to be recorded as well as a paging capability to easily keep staff informed of operational developments – a key requirement in the airport environment.

IP Digital LineThe digital telephone lines are based on making use of the existing pan-campus LAN network. Apart from the analogue line, a phone connected to a digital line will digitize the voice and transmit it as a real-time data across the computer network to the other calling party. This technology – the Internet Protocol Telephony – provides substantially better consistency of the line quality as well many additional features, not available over the traditional analogue line. Via the network, phones can be managed, configured, and supported by HAL staff. The extension numbers and calling restrictions can be set up remotely without any end user involvement. Any saved voicemails are clearly indicated and easily accessible. The digital line simply brings all the advantages of the computer technologies into the world of fixed voice communication.

For the digital lines, HAL offers the following types of phones:

Standard Calling FeaturesRestriction on Inbound Calls The internal 6 digit Directory Number assigned to the phone can be either a direct dial-in (DDI) or Non-DDI number. A request for a DDI / Non-DDI number is handled via the IPT-Proforma process.

DDI is 6 digit number that can be called from any HAL phone by dialling 6 digits or from outside of HAL with a PSTN (Public Switched Telephone Network) 11 digit number. For example, a 6 digit directory number (Dn) ”650279” can be reached within HAL by dialling 650279 when calling from within HAL, or by dialling 020 8745 0279 when calling from outside of HAL.

Non-DDI is a 6 digit number that cannot be contacted outside of HAL and can only be dialled from a HAL phone system. The Non-DDI number is assigned to a phone by default, unless the Customer specifically requests otherwise. Most general access phones and door security access phones have the Non-DDIs.

The Non-DDI numbers can be identified by the following ranges:

63xxxx 658000-659799 661xxx 662xxx 663xxx 664xxx

A phone can be assigned with multiple DDI/Non-DDI numbers.

The C6941 IPT Standard and C7962 IPT Enhanced phone models are capable of having multiple telephone numbers assigned because they are equipped with multiple function buttons. The C6941 has 4 Function/Line buttons, the C7962 has 6. The first button is always the main line, while the others can be used for additional Lines, Speed Dials or other Functions, as listed later.

Restriction on Outbound Calls The “Class of Control” describes the calling abilities of the 6 digit number allocated to the phone. A restriction can be requested for dialling to Local Exchange numbers (London), National, International, or Premium Rate services etc.

The options are as follows:

For large deployments, bespoke Class-of-Control can be set up for a Customer, including country-specific restrictions.

Speed Dial ButtonsAllow to press just one button to dial a pre-configured number specified by the Customer and configured by the System Administrator prior the deployment. The speed dials are accessed via the unused Line buttons of the C6941 and C7962 models. The numbers for the speed dial can be specified through the IPT-Proforma process or by a request placed with through the service desk.

Personal Address BookThe Personal Address Book (PAB) is an extension of the Speed-Dial concept. It is accessed through the “Services” option on the phone and can be programmed with up to 99 frequently used telephone numbers, looked up by saved contact name. Access to PAB needs to be requested through the IPT-Proforma process, however once the phone has PAB enabled, configuration and management of the abbreviated dialling is performed by the end user.

Call Pickup GroupThis feature allows setting up a group of phones within which it’ll be possible to pick up a call on behalf of other member of the group. All the phones within the configured group will be indicating an incoming call, no matter which phone of the group was the original target of that call. Any member of the group can then pick up the call using the “Call Pickup” soft key and answer the call. The indication of the incoming call can be either or both a visual/audible indication, depending on the individual phone’s settings.

This feature can be requested through the IPT-Proforma process, and works only within the same geographic location as is usually set up within a team.

Hunt GroupAnother feature which allows grouping of phones, where an incoming call will be indicated at various group members until picked up (i.e until “hunted down”). Custom settings include call delivered to longest waiting, a circle ring, simultaneous ring (all extensions ring at once), a dedicated order and call queuing. Multiple inbound calls can be handled by the group at the same time. A premium or internally published telephone number can be set up as a group contact number. Some of the options are explained on the below schemes:

Dedicated order – rings each user in the order they appear on the user list

Circular – notes the last user to answer a call, and then rings the next user on the user list

Simultaneous – rings all users at once

Uniform – rings the user that has been idle the longest

As the configuration of a Hunt-Group can be complex, it will be handled outside the IPT-Proforma process.

Busy LampOne of the phone’s spare Line buttons will be configured to monitor another number – so when this selected other number is off-hook (on a call), the configured Line button will get illuminated. Typically used by PAs to have a clear and quick indication that their manager is on a call. This feature can be requested through the IPT-Proforma process.

Airport PagingAirport paging system for public announcements can be integrated with the HAL telephony services.

Advanced Calling Features• All purple cells are provided as a standard item and have no extra installation or service charge.

• All pink highlighted cells are chargeable at an one-time charge per Service Request and require the user to notify Heathrow that this service is required. Request charge is for up to 5 Telephones.

• The pink cells that include a “***” have a monthly ongoing service charge.

• All blank cells means such option is not available for that telephone type.

Line OptionsOn occasion, a line may be required but not a handset. This may be to connect another type of device other than a phone or to provide additional lines (extensions) to one handset (e.g. where an Enhanced Handset with an expansion module is being used as a mini switchboard, and requires additional lines).

Another example would be a Soft-line, which is physically present in the IPT system, however all the calls are constantly forwarded to another number, which can be even abroad. This is useful for Customers who prefer to advertise a local (London-Heathrow PSTN) number, which is then actually forwarded to a different location.

OPTION DESCRIPTION ANALOGUE IPTInstallation of Line Only Provision of connectivity for

Faxes, PDQs, door counters, modems, etc . All such devices require connection via an analogue line. No option is currently available for IPT

Extension Mobility Function This is a feature which is applied to a line, not a handset. It provides the ability for a user to log into any extension (with an Extension Mobility Profile in place and on its line) to make and receive calls

Additional Line Appearance Additional lines can be added to a handset to a maximum of the total number of buttons available (i.e. could have one line per button). See the ‘Multiple Line Appearance’ description in Telephone/Module features table

This applies to an enhanced handset and/or expansion modules only

Daisy chainDaisy chain is an optional linkage of the digital line, allowing connection of another device via the standard RJ-45 Ethernet cable to the same network port. Such device, usually a PC, then can make use of the very same network connection, effectively sharing the bandwidth with the digital telephone line.

Ordering and DeliveryThe vast majority of the requests can be accommodated through the IPT-Proforma process.

IPT-ProformaThe IPT-Proforma has been put in place as a fast channel for the delivery of the standard telephony deployment requests. The customer is presented with an Excel spreadsheet form to fill out the requirements for their telephony request and contact details. Most of the form fields are self-explanatory and with a drop down field selection, helping to select the correct option. Once filled, the form is then processed by the telephony deployment team who will contact the Customer for the verification of the entered information and coordination of the installation timing.

For the latest IPT-Proforma form and guide on how to fill it, please visit the Heathrow Commercial Telecoms website, and go to the Products – Telephony section.
