Electronic Communications

● We are committed to ensuring all electronic communication, use of internet

and email complies with the Company Policy.

● Only authorised personnel are permitted to use the Coles system.

● You must not do any of the following;

● Access inappropriate content – e.g. sexually explicit, violent material

● Play games, visit gambling website or chat rooms

● Transmit material that is offensive, harassing, bullying, defamatory,

intimidating, or otherwise inappropriate

● Engage in illegal activity

● Breach the privacy of Coles or of others

● If you receive inappropriate material you must delete it immediately and do

not pass it on. Contact the sender and advise them of the concern.

● You must report any breaches immediately.

Security Arrangements

● CCTV is in operation at all locations, including the carpark.

● Any person entering our facilities will be subject to recording.

● Visitors and contractors must sign in and sign out.

● Keys and access passes will be provided to authorised personnel.

● Random bag and vehicle checks are conducted.

● Children, pets and unauthorised visitors are not permitted in operational

areas or in vehicles at any time.

● You must report any breaches of our security arrangements immediately.

Dress Code and Personal Protective Equipment

● For all personnel, the following personal protective equipment (PPE) must be

worn at all times in operational areas;

● High visibility clothing with 360 degrees coverage (encircle upper torso)

● Safety footwear

● PPE worn must comply with the relevant Australian Standard.

● Other personal protective equipment may be required and will be detailed in safe work procedures and will be clearly sign posted.

● Visitors who do not have safety shoes but are required to enter operational

areas must wear fully enclosed, flat heeled footwear. High heels, ballet flats

or thongs are not permitted at any time.

● Visitors must be escorted 100% of the time and must remain on marked or

protected pathways at all times.

● You must wear required PPE at all times.

Drugs and Alcohol

● Coles promotes a drug and alcohol free workplace.

● We have an endorsed Policy in place, which includes a testing program.

● Testing of any person on site may be carried out as follows;

● Random

● Causal – when there is suspicion that someone is affected

● Post Incident or near miss

● Independent, accredited testers carry out all testing.

● You must report if you are affected by fatigue, drug or alcohol or are aware

of anyone else who may be affected immediately.

Amenities

● We are committed to providing clean and easily accessible workplace

amenities.

● All team members onsite must ensure amenities are used and maintained

appropriately.

● Toilets and shower facilities are located within all locations.

● Canteen or food vending machines and eating facilities are also provided.

Water fountains are also provided across the facility.

● First aid aiders, a first aid room and physiotherapy facilities are available and

we remind you again to report all illness and injuries to your line manager or

contract manager.

● Smoking is permitted in designated areas only. Waste must be disposed of in

receptacles provided.

● You must report any concerns with the workplace amenities immediately.

General Work Rules

● We are committed to ensuring a safe and healthy work environment.

● A traffic management plan (TMP) exists at all locations and defines;

● Pedestrians walkways are marked and should be used at all times

● Pedestrians cannot exit the walkways unless the site specific TMP

training has been completed

● Pedestrians have right of way at all times

● Eye contact must be made between drivers and pedestrians

● Advisory and warning signs must be followed at all times

● Driver safety requirements and safe operation of plant and equipment

● Plant and equipment cannot be operated unless you are appropriately

licensed, trained and authorised to do so. Do not used damaged plant or

equipment. Isolate it and report issues immediately.

● High risk work permits must be approved before the work starts. Contractors

must ensure they have the required work documentation, SWMS, licenses,

Permits etc. on them at all times whilst working on our site.

● You must ensure you comply with the TMP and site safety rules all times.

Mobile Phone Usage

● We are committed to ensuring the safe and appropriate use of mobile

devices on our sites and when driving on public roads.

● A mobile device includes but is not limited to;

● Mobile phone

● IPods or similar music device

● IPads or similar table device

● Smart watch

● Camera

● Two way radios or internal communication devices

● Personal mobile devices must not be used in operational areas at any time.

They can be used in office areas, canteen or rest areas.

● Company mobile devices must not be used in operational areas at any time

with the exception of in designated safe zones or safe locations identified at

each location.

● You must ensure you comply with safe use of mobile devices at all times.

Food Safety

● We are committed to clean and safe sites and the storage and transport of

fresh and safe food to our customers.

● Food safety must be maintained at all times;

● Maintain housekeeping standards

● Clean up spills immediately

● Waste must be managed and disposed of effectively

● Maintain temperature and pest controls programs

● Comply with food safety and cleaning plan requirements

● All team members onsite must maintain high personal hygiene standards.

● If you are suffering from a communicable disease, you must notify your site

manager immediately. Examples include gastro, hepatitis or influenza.

● You must report any spills, illness or concerns immediately.

Site Specific Hazards

● We are committed to ensuring all hazards are identified and eliminated.

● Where hazards cannot be eliminated, controls are implemented. You must

comply with controls at all times. Site specific hazards, controls and safety

rules will be provided prior to entry.

● Common hazards included on the site risk register;

● Mobile plant and equipment

● Slip trip and falls

● Objects falling

● Manual handling

● Heavy vehicles and transport related hazards

● Chemical and dangerous goods

● Hazardous materials

● High risk work hazards like confined spaces, work at heights

● Contractor activity

● You must report any hazards, unsafe conditions or unsafe behaviours

immediately.

Emergency Procedures

● We are committed to ensuring the safe evacuation of everyone on our sites.

● There are different emergency systems in place throughout our network.

● You must familiarise yourself with the local evacuation system, alert tones,

evacuation tones and evacuation points. A site map and plan will be

posted at the location.

● Wardens are appointed at each location to assist;

● White Hat – Chief Warden

● Yellow Hat – Deputy Chief Warden

● Red Hat – Fire Warden

● You must ensure you comply with directions from wardens in the event of an

emergency. DO NOT re-enter the premises until the all clear has been given

by the chief warden and the emergency services.

Competency Assessment

● You have now completed your generic supply chain site induction.

● The Supply Chain orientation competency test must now be completed.

● NOTE that this is a generic induction for Coles Supply Chain. Each location

will require you to complete a site specific induction and assessment prior to

completing any work on that site.
