HELPFUL INFORMATIONPlan Ahead Lodging, meeting rooms and activities fill up quickly. In order to ensure you get the most out of your stay, plan in advance by submitting your Request Forms early. Our Conference Coordinators are here to help you with planning your itinerary and any special needs such as wheelchair accessibility and first-floor rooms. Your group can be divided according to interests and levels, or activities can be planned that the entire group can enjoy. Let your group participants know about their recreational choices by directing them to SnowMountainRanch.org.

AlcoholWe do not sell or serve alcoholic beverages and alcohol is not allowed in common areas. You may bring your own and consume it in your lodge room, cabin or meeting room.

ComputersComputers are located at the Buckboard Grill and the library. Free wireless is available in the Administration Building, all lodges, and in six, seven and eight-bedroom cabins.

Maid ServiceService is limited. Please ask your Conference Coordinator for details pertaining to your accommodations.

Payment & CancellationsFull payment is due at check-out. We accept Visa, MasterCard, Discover, American Express, checks and cash. Please discuss your payment options with your Conference Coordinator.

If you are a travel agent, full payment is due 45 days prior to arrival. You must report the guaranteed number of rooms, cabins, campsites and nights by the date shown on your contract. If you cancel after this date, you will incur a cancellation fee and your deposit will be forfeited.

PetsNO pets, except service animals, are allowed in lodges and retreat cabins.

Quiet HoursFor the comfort of all guests please respect our quiet hours from 10 PM–7 AM.

Upon Making a Reservation1. Pay Deposit

You will receive a contract via e-mail. Please sign and return with initial payment. The deposit is due when you confirm your reservation with Group Sales.

This is the first deadline to cancel reserved rooms, cabins and nights.

Sixty Days Prior to Arrival1. Final Cancellation Date

Your deadline to cancel reserved rooms, cabins and nights is on your contract. Failure to meet this deadline will result in forfeiture charges. Please contact the Conference Office with your final numbers (see your contract for penalties).

2. Reserve Activities*Many activities are FREE and you should make arrangements to participate in them prior to your arrival. To do so, please complete the Group Activities Request Forms on pages 11–12.

* Activities must be cancelled two weeks prior to the reserved date or you will be charged full price.

Complete and submit the Meeting Room & Equipment Request Form on page 5. Meeting rooms are assigned on a space-available basis.

2. Submit Tax Exempt Affidavit (if applicable) and Billing Information Agreement (page 8).

Three Weeks Prior to Arrival1. Submit Room Roster (date to submit)

Complete the Room Roster Form on page 13.

2. Order Refreshments, Food & GrillsRefreshments can be delivered to your meeting room, sack lunches can be provided for outings and summer cookouts can be arranged by request (see pages 6–7). Grills can be delivered to your cabin or fire ring.

Arrival at Snow Mountain Ranch1. Check in hours: between 3 PM and 6 PM

Accommodations will be ready between 3 PM and 6 PM. During peak season, accommodations may not be available until 6 PM. Group leaders should arrive prior to the group in order to confirm last minute details, check the Room Roster and pick up room keys. Group members may check in individually if arrangements are made in advance (preferably 60 days in advance). Registered guests are free to participate in activities until accommodations are ready.

2. Check out: by 10 AMAll groups check out at the front desk. Full payment is required at check out. You will receive an invoice detailing all charges posted to the master account. If advance arrangements were made for guests to pay their own expenses, individual invoices will be provided.

All-You-Can-Eat MealsAll meals in the Schlessman Commons Dining Room are served buffet-style. Individuals in each group receive designated wristbands that must be presented at each meal. A fee will be charged to replace lost tickets. Special meals or menus must be arranged in advance. If you have food allergies or special dietary concerns, please contact our Food Service Manager at 970-887-2152, x1701.

Meeting rooms are assigned on a first-come, first-serve basis, according to group size, needs, room availability and date request is received.

Please make copies of this form for each meeting room/breakout room needed. Additional meeting room space may be reserved at a rate of $5 per person/per day/per meeting room, based on availability (minimum charge $50 per day). Chairs and tables are provided at no additional charge.

Enjoy an evening of food and fun at the Mountain Air Cookout Shelter! Cookouts are Tuesday and Wednesday nights from the second weekend of June through the second weekend in August. The shelter accommodates 200 people; your group may be sharing the space with others. Reservations are in half-hour increments, but feel free to stay as long as you like.

During your discussion with Group Sales, an agreement is made to the type of contract you will create for your group/family reunion. If you choose the Online Reservation option, each of your attendees will make their own reservation online under your agreed contract and each are responsible for their own payments. If you decide not to choose this option, then you as group leader are responsible for collecting all payments from your attendees and will pay the total balance due at departure. Any changes to the billing plan created for your group must be received by the Conference Office at least THIRTY DAYS prior to arrival. NO CHANGES TO THE BILLING WILL BE MADE AFTER THAT DATE.

ALL RETREAT CABINS WILL BE BILLED AS A UNIT PRICE AND THE TOTAL CHARGE WILL BE THE RESPONSIBILITY OF THE GROUP LEADER. UNIT PRICE WILL NOT BE SPLIT AMONG INDIVIDUAL GUESTS.

SNOW MOUNTAIN RANCH BILLING INFORMATION AGREEMENT

Online Reservation Option/Each Attendee Responsible For Their Own ReservationEach attendee will make their reservation online and be responsible for any balance due. Any additional charges that are made as a group, such as refreshments, group activities, cookouts, etc. will be charged to the master reservation and are the responsibility of the group leader. A $50 blocking fee will be paid by the group leader for each room blocked. Groups must have a minimum of 10 rooms to choose this option.

Group Leader Pays All The group leader will present Snow Mountain Ranch with a room roster at least THREE WEEKS prior

to arrival and will be responsible for payment of all charges incurred during their stay. All charges will be listed on the master invoice.

I, the undersigned, agree to the billing terms specified above and understand that no changes will be made within THREE WEEKS of check in or during my stay. I also understand that FULL PAYMENT IS DUE AT CHECK-OUT.

MANDATORY AFFIDAVIT OF TAX STATUSANY GROUP that makes purchases from the YMCA of the Rockies must complete this affidavit and declare their tax status. An original of this affidavit must be completed, signed and submitted prior to check in for each visit.

Historical SitesThe Rowley Homestead lets you experience the way life was as a Rocky Mountain rancher in the late 1800s and early 1900s.

Indoor Swimming PoolLifeguards are on duty during all scheduled pool times. Cameras, camera phones and video equipment are not allowed in the pool area or locker rooms.• 25-yard heated pool and adult lap time• aquatic climbing wall and slide• sauna and showers

LibraryStop by for a wonderful selection of books, games and free Wi-Fi. We also have computers available for use.

Summer Tubing HillOur tubing hill is open from June through September (weather permitting). Groups up to 70 people can reserve one hour time slots. For reservations call 970-887-2152, x4135.

Trail Running/Walking Snow Mountain Ranch offers miles of beautiful trails for running, hiking, and walking.

Faith-Based Programs• Vespers Campfire

Vespers campfires are a combination of fun camp songs, skits, Scripture, prayer, and s’mores.

• Faith-based High Challenge Course Confront your fears and realize some of your untapped capabilities. A leader will guide your group through a safe experience, then lead your group through an exploration of the experience.

• Spiritually Focused Climbing Wall A leader will relate the climbing experience to Ecclesiastes 4:9-12 and help your group discover how “Together is Better” in climbing, life and faith.

• Faith-based Low Challenge Course A custom designed low ropes experience that builds teamwork in your group, relating scripture to real-life situations.

• Devotional Hike This is a guided hike up the Grand View Trail. Along the way your group will read and discuss eight devotional meditations around the eight beatitudes.

FishingFishing areas are located on our property. No license is required at Gaylord Reservoir. Equipment rental is available at the Program Building. Please call 970-887-2152, x4135.

Explore our beautiful trails by horseback. We offer breakfast and dinner rides, and wagon or sleigh rides. Children age 5 and older may ride their own horse. Children ages 2-4 may ride with a parent. Pony rides are available for children age 5 and under.

Stay PassOne Stay Pass per guest is included in the price of your lodging accommodations and can be picked up when you check in at the Administration Building. Your Pass should be worn during your stay to allows us to recognize you as a guest, and provide you with access to activities.

Day PassIf members of your group are not staying at Snow Mountain Ranch, they will need to purchase a day pass (ages 6 and up) at the Administration Building or Program Building. Ages 5 and under and YMCA members (with proof of Y membership) receive a free Day Pass. Day Passes can be purchased for multiple days.

WINTER ACTIVITIESNordic CenterThe Snow Mountain Ranch Nordic Center offers more than 100 km of cross-country and snowshoe trails, which can accommodate the first-time cross-country skier and snowshoer to the elite racer, as well as skiers with special needs. The Nordic Center’s full- service ski shop is where you’ll find deals on group lessons, private lessons, snowshoes, skate and classic ski rentals, and the latest ski gear and apparel for sale. Our ordained chaplain offers year-round, on-site worship and customized spiritual programs for all faiths and ages.
