Principles of BOM Handling

4 SmartPlant Materials How to Handle Bills of Materials (BOM)

Principles of BOM Handling In SmartPlant Materials, a Bill of Materials (BOM) can be considered a list of material for a node in the work breakdown structure (WBS). It can be created for a Unit, Area, line number, or an Iso. Commonly, BOMs are created for Line Numbers in the estimating or forecast phases and for Isos after design has been started.

In the estimating or forecast phases, material is entered either manually or it can be imported from Microsoft Excel sheets, and in the design phase, it is imported from a CAD system (see also How to Import Design Data on the Printable Guides page, available on the Help menu in the software).

Steps Required to Create BOMs

SmartPlant Materials How to Handle Bills of Materials (BOM) 5

Steps Required to Create BOMs • Define, or copy from another project, all setup requirements. • Enter project defaults. • Create Work Breakdown Structure (WBS). • Enter data.

Pre-Settings and Setup

Pre-Settings and Setup The pre-settings and the setup needed to work with the BOM module in a new project are described in the SmartPlant Materials E&PI(BOM) User’s Guide, available from the Printable Guides page in the software.

B.20.01 Edit BOM

SmartPlant Materials How to Handle Bills of Materials (BOM) 7

B.20.01 Edit BOM Before an estimate or a forecast can be performed, a BOM structure must be defined. The first step is to create a master node under which all other nodes will be placed. Most frequently, this is the discipline.

The project default ‘Only one master node’ determines if you can only enter one single, or several master nodes.

The following modules are related to B.20.01 Edit BOM and are explained in this manual. For the remaining modules, refer to the online help.

B.20.01.05 New Node Step one: Call up B.20.01 and click the green plus (+) sign.

The SmartPlant Materials B.20.01.05 module will open.

• In the ‘NAME’ field, enter a node name (for example, a new process unit,

area, line number, and so forth). • With LOV, select the associated node type as shown in the above graphic. • Click ‘OK’. The node has been created.

B.20.01.06 Edit Node In BOM Structure window 1, select the node to be edited. Call the Edit Node function (using the Edit Node button) to display the B.20.01.06 Edit Node screen.

Module B.20.01.06 will now open, and you can edit the node name and the description of the node.

B.20.01.08 Copy Structure • Select the node under which an additional node structure is to be created.

This is the destination node. • Click the ‘Copy Structure’ icon.

The B.20.01.08 module will open as shown below.

• Select the project from which the node structure should be copied. • Place the cursor in the ‘Node Name’ field, and click the ‘Browse’ button.

This will open the WBS of the selected project. • Select the node that should be copied and close the screen.

B.20.01 Edit BOM

SmartPlant Materials How to Handle Bills of Materials (BOM) 11

• SmartPlant Materials returns to the B.20.01.08 module. • Choose what should be copied: for example, only structure, or with

structure and positions, and whether assemblies and the item numbers of positions should be kept.

• Click the ‘Online’ button. This will complete the copy function.

B.20.01.09 Move Structure • Select the node under which a structure should be moved, and click the

Move Structure icon. This is the destination.

The B.20.01.09 module will now open.

• Click ‘Browse’ and select the node to be moved from the WBS. • Close the screen and click the ‘Online’ button. This will move the node.

B.20.01.11 Delete BOM Structure

Nodes within a project can be deleted. In the BOM Structure window, the user must select the node to be deleted together with its underlying structure. The user calls the Delete Structure function as shown in the above graphic.

Deletions can only be made, however, if the release status (List Status) of the existing positions within the structure to be deleted allows this to be done. If the List Status of a position is flagged Locking = Y and Delete = N, the deletion is not performed. The user must change the status for this position. (See also B.10.02 List Status.)

The deletion always deletes the entire structure from the given node. All the dependent table entries are physically deleted as well.

• Select the node structure to be deleted. • Click the ‘Delete Structure’ icon.

• The B.20.01.11 module is called.

The Node to be deleted is shown in the ‘Name’ field.

• Click the ‘Online’ button; this deletes the node.

B.20.01.26 Search/Replace

On the BOM Structure window, the user must select the node that marks the start of processing. Call the Define Search/Replace Condition function (use the button shown in the graphic above) to display the B.20.01.26 screen.

In a Search Job, the user can locate variable attributes within the bill of materials that are in the m_list_node_values and overwrite them with a new value (using Show Result or Replace). He can also edit certain fixed attributes for a bill of materials position from the m_list_pos table.

The user either selects an existing Search Job or defines a new one. Search Job management is user-specific; that is, a user can only edit his own jobs - the ones that he has defined.

The quick way to set up a new job is to copy a ´Master Job´. You can then re-adjust the processing parameters.

But first, the Master Job must be recorded as a Master Job (Master = Y), with ´MASTER´ entered as the Job Status. A Master Job cannot be initiated for processing.

For example, if you want to replace the ‘IN-12’ insulation type with a new insulation type ‘PP-10’ for pipe:

Step 1: Select the start node.

Step 2: Call the B.20.01.26 Search and replace screen.

Step 3: Create a master job.

Step 3.1: Create a Where condition and return to B.20.01.26.

Step 4: Copy the master job (rename) and fill out the ‘List search and replace attrs’ block. Attributes can be selected with LOV.

Select attribute and fill in the new value for the attribute. In this example, it is ‘PP-10’.

The ‘Replace’ and ‘With Position’ check boxes must be checked.

Step 5: Click ‘Search Online’.

Step 6: Click the ‘Show Result or Replace’ button to call B.20.01.29 Result Search/Replace.

Replace the insulation type for a single position or for all positions.

In the example shown below, it was only replaced for pipe.

B.20.01.35 Verification and Status

With a ‘Verification and Status’ job, the user can assign the List Status to bill of materials positions within BOMs (instead of doing this manually). Processing takes into account all positions below the selected node. The List Status is always assigned in ascending order for a given issue status.

In the BOM Structure window, the user must select the node that marks the start of the verification and status assignment operation. Call the Verification function (use the button) to display the Verification and Status dialog box (See the graphic above).

The quick way to set up a new job is to copy a Master Job. To copy, use the ‘Duplicate Job’ button. You can then edit the processing parameters. But first, the Master Job must be recorded as a Master Job (Master = Y), with MASTER entered as the Job Status. A Master Job cannot be initiated for processing.

A Where condition may be added to restrict the assignment.

Enter the desired List check and click ‘Online’.

B.20.01.41 Start Verification Job

The purpose of this screen is very similar to the one described above (B.20.01.35 Verification and Status). It allows the user to run various variable verification and processing routines, as well as fixed ones provided by SmartPlant Materials. It is not used, however, to assign a new list status to BOM positions.

Processing takes into account all the nodes and positions below the initial node.

A general selection rule (Where Condition) can be allocated to a job. Only those nodes or positions that satisfy this selection rule are included in processing.

On this screen, the user chooses a List Job or defines a new job. Management of the List Jobs is user-specific; that is, a user can only process his own jobs - the ones he has defined.

18 SmartPlant Materials How to Handle Bills of Materials (BOM)

Example of a practical application:

When data is imported from a CAD system (PDS or PDMS), the import routine will only import commodity codes and their sizes. However, to create or update requisitions, SmartPlant Materials requires idents. One of the verification routines in B.10.01 is the ‘Find Ident’ routine. With this routine, all idents for all imported BOM positions can be found and entered.
