Update on National Green Meeting StandardsbyCarolHinton

SincetheUSEnvironmentalProtectionAgency(USEPA)announcedtheirgreen procurement rule at the SGMP 2007 National Education Conference inAtlanticBeachlastMay,alotofactivityhastakenplace.InOctoberthefirstmeetingofnationalgreenmeetingexpertsmetinWashington,DCtostartthestandardsettingprocessforgreenmeetings.USEPAisrequiredby law to use a voluntary consensus based process when developing standards with industry. The meeting was attended by representatives of theindustryincludinghoteliers,meetingplanners,non-profitorganizationsand convention and visitors bureau representatives. Also in attendance was thelargestindustry-wideorganization,ConventionIndustryCouncil(CIC).ThemeetingwasfacilitatedbytheASTM,theUSEPAstandardssettingorganization. ASTM is one of the largest voluntary standards development organizationsintheworld.TheCICstartedtalkswithUSEPAandASTMtojointly develop the green meetings under the Accepted Practices Exchange

(APEX)panel.APEX,aprojectoftheConventionIndustryCouncil,hascreatedaCorporateSocialResponsibility(CSR)taskforce.APEX’sGreenMeetingPracticesPanelis one of the green projects overseen by this task force.

TheruleforgreenmeetingsdevelopedbytheUSEPAforconsideringmeetingspaceevaluates venues according to a 14-point checklist, asking whether a facility has:• Arecyclingprogram• Alinen/towelreuseoptionthatiscommunicatedtoguests• Easyaccesstopublictransportationorshuttleservices• Apolicytoturnofflightingandairconditioningwhenroomsarenotinuse• Bulkdispensersorreusablecontainersforbeverages,foodandcondiments• Reusableservingutensils,napkinsandtableclothswhenfoodandbeveragesare

served • Anenergyefficiencyprogram• Awater-conservationprogram• Paperlesscheck-in&check-outforguests• Useofrecycledorrecyclableproducts• Employeetrainingonthesegreenactivities• Other“green”environmentalinitiativessuchasreceivingenvironment-related

certifications,participatinginEPAvoluntarypartnerships,supportingagreensuppliersnetwork, etc.

• Foodsourcesfromlocalgrowersorapolicytoconsiderthegrowingpracticesoffarmers who provide the food

• Apolicytousebiobasedorbiodegradableproducts,includingbiobasedcafeteria-ware

TheUSEPAseekstoprocuremeetingproductsandservicesusingclearenvironmentalcriteria that use established programs such as WaterSense, WasteWise and Energy Star.

InFebruary2008,asecondmeetingwasheldinVancouver,BCtocontinuethestandards setting process. The group looked at the following items: Context for Standards Development-AlthoughtheUSEPAisfocusedonenvironmentalaspectsitwillconsidercommunity and economic aspects as part of a standard. Several different terms were identifiedwhentalkingaboutgreenmeetings.

Sustainability: The practice of fully considering the economic, social and environmental aspects of meetings so that we can meet the needs of the present without compromising the ability of future generations to meet their own needs.

Corporate Responsibility: Our obligation to consider the interests of customers, employees, shareholders, communities and the environment as an aspect of meeting planning and evaluation so that sustainability can be achieved. According to Meeting Professionals International Corporate Social Responsibility is a considerationofPeople,Planet&Profit,undertheUNGlobalCompact.

Green Meetings: Incorporate environmental considerations throughout all stages of the meeting process in order to minimize the negative impact on the environment and make a positive impact to host communities in terms of environmental and social legacies.

Existing Standards - The Green Meeting Standard recognizes and builds onworkcompletedunderotherinitiativesincludingBSI8901Standard.BSIispresentlylookingfortrailprojectsinNorthAmericathroughISO.The standard was developed using a two year process, tapping into a panelofindustryprofessionalsandstandardsexperts(technicalpanel).A draft rule was created and the standard was reworked following comments received. The standard was launched in Nov. 2007 following testing and is based on a philosophy of continual improvement: setting yourobjectivesandimprovingperformance.CertificationtrialsarepresentlytakingplaceinNorthAmericaandtheUK.Thestandardincludesoptionsforself-certificationorthird-partycertification.Althoughthe standard focuses on process, a gap may exist in the area of practice checklists for different areas of meeting management. Other standards being looked at include the Florida Green Lodging Program.

Scope - The purpose of the standard is not to re-invent standards for buildings.However,thepurposeistohelpdecisionmakersasktherightquestionspertainingtoexistingstandardsforbuildingssuchaLeadershipinEnergyandEnvironmentalDesign(LEED),EnergyStarorstateprogramcertificationsordesignations.

Thestandardistoenableusasmeetingprofessionalstoasktherightquestions,rewardsuccessandencourageimprovement,outlinetheperformancestandard,definewhatpracticeisneeded,helppeoplemakedecisions,setupasystemformeasurement,enablecertificationofthestandard,fitwithinthewayofdoingbusiness by the industry, recognize the global nature of the meeting industry and identify a minimum standard to be called green.

The committee will work within the current CIC categories: Destination Selection, Accommodations, Meeting Venue,Exhibits,Food&Beverage,Transportation,Communications,andOnsiteofficetodevelopthestandards.

Florida has been ahead of the green lodging curve for several years. The Florida Green Lodging Program was established in 2004 by the FloridaDepartmentofEnvironmentalProtection(DEP)withtheintentofrecognizing and rewarding environmentally conscientious lodging facilities in the state. Through this rapidly growing program DEP encourages the lodging industry to conserve and protect Florida’s natural resources. TheFloridaGreenLodgingProgramisuniqueinthatitcoversanall-inclusivelistofenvironmentalinitiativesthatarespecifictotheFloridaenvironment. This program got a major boost after Governor Crist’s ExecutiveOrder07-126requiringstateagenciestocontractmeetingand conference space with facilities that have the DEP Green Lodging Designation.

VisitGainesvilleandUF/TREEOarehostingtheinauguralFloridaGreenLodgingConferencefromNovember10-12,2008.Entitled“Being

Green,SavingGreen&MakingGreen,”theFloridaGreenLodgingConferenceprovidesmuchneedededucationto hoteliers who are concerned with rising operational costs and lower occupancy due to the current economic downturn.Emphasiswillbeontheeconomicbenefitsof“goinggreen”forthelodgingindustry.Experiencedprofessionals will talk about what changes can be made to the hotel building and processes that give the greatest ReturnonInvestment(ROI).TheconferencewillbeheldattheHiltonUniversityofFloridaConferenceCenter,oneofthefirsthotelstobecomeaFloridaGreenLodgingdesignatedhotel.TheconferencewillbeatrialBSI8901event.

Coping With ChangebyLaurieBrown

Thereisapopularandanonymousquotethatseemstogetcirculatedeverynowandagaininemails,itstates:“Rememberifyoualwaysdowhat you have always done, you will get what you have always got-ten.”ThisagreatquotetousetointroducethesubjectofChange,change is inevitable, it has always been and always will be a neces-sary aspect of life and work. It is a guarantee that we all will have to cope with a host of changes in the course of our lives. Our success andfulfillment-emotional,mental,spiritualandphysicalwell-being-depend on how well we adapt to change.

Change is a constant, in order to grow, let alone survive in the work-place and in the world, organizations and especially the individuals in them must learn to cope with change. When a change occurs we are affected; in fact there are six stages that we pass through, known as the Change Cycle. The Change Cycle can be found on the internet at: http://www.changecycle.com/changecycle.htm.

TheChangeCyclemodelidentifiesthethoughts,feelingsandbe-haviors associated with each stage of change. Knowing these stages provides an effective map to assist in navigating through the changes in our lives.

Stage 1–Loss(fear,cautious,paralyzed)In Stage 1 you admit to yourself that regardless of whether or not you perceivethechangetobegoodor‘bad,”therewillbeasenseoflossofwhat“was.”Thefamiliarreportingprogramisgone,yourofficeismoved,anemployeeretires/leaves.

Stage 2-Doubt(resentment,skeptical,resistant)In this stage, you doubt the facts, doubt your doubts and struggle tofindinformationaboutthechangethatyoubelieveisvalid.Lookto place blame, if not much information has been relayed about the change,youwillbe‘ad-libbing’tofillthegapstoyourdesire,thisin-creasethedoubtandquestions.

Stage 3–Discomfort(anxiety,confusion,unproductive)You will recognize Stage 3 by the discomfort it brings. The change and all it means has now become clear and you learn to assimilate this new information in a meaningful way. We admit the change is happen-ing and we will have to learn ‘a new way’ We have to admit that our comfortable and familiar ways will have to go, we wonder if we can keep up with the new changes—we wonder if we want to if it is worth our time.

The Danger ZoneTheDangerZonerepresentsthepivotalplacewhereyoumakethechoiceeithertomoveontoStage4 and discover the opportunities the change has presented or to choose fear and return to Stage 1. You may seek counsel from co-workers and peers, you may start looking for a new job; just to see if it is greener on the other side…

Stage 4–Discovery(anticipation,creative,energized)Stage4representsthe“lightattheendofthetunnel.”Younowcanseetheoptionsyouhaveandthepossibilities this change has presented. You are optimistic about a good outcome because you have choices.

Stage 5-Understanding(confidence,pragmatic,productive)In Stage 5, you understand the change and are involved in it. You can iden-tifyitsbenefitsandacknowledgeitsusefulness.

Stage 6–Integration(satisfaction,focused,generous)BythetimeyoureachStage6youhavestoppedlookingat“thechange”as something different because you have integrated it’s challenges and victories into your life.

As we come to recognize this cycle in our lives we increase our chances of pulling through the change successfully, this is particularly important when those changes can have an impact on our employment.

Ifwewanttoseechangeinourorganizations,(orhomes,orpersonallife)thenwefirstneedtochangeourself.Herearethesixstepsforsuccessfulpersonalchange.

1. When you change your thinking, you change your beliefs: The things we think about moment by moment, each day, ultimately become our beliefs. Our beliefs

are our fundamental thoughts about what is and isn’t true about life, work, relationships, etc. So by changing what we think about, we slowly change what we believe.

2. When you change your beliefs, you change your expectations: What you believe to be true about life will determine what you expect from it. If you believe that hard

work produces rewards, then you will expect that your hard work will eventually pay off.

3. When you change your expectations, you change your attitude: What we expect deep down from life and work will determine to a

large degree what our attitudes are. If you truly believe things are going poorly, imagine what your attitude is going to be. On the other hand, if you think things will go well, your attitude will be much bet-ter.

4. When you change your attitude, you change your behavior: Your attitude determines how you feel about yourself, life, and oth-

ers.Howyoufeelaboutthosethingswilldetermineyourbehavior.

5. When you change your behavior, you change your performance: Our behaviors – what we do – will determine our performance at

many levels. There are obviously some behaviors that will cause you to perform at lower levels and others that will cause you to per-form at higher levels.

6. When you change your performance, you change your life: The fact is that the results we live with are determined by what we

do. Cause and effect is a powerful force, either for good or for ill. When you get your performance up, your life will look up too.

The organization is an outgrowth of the leader who leads it. If you wanttoleadthechangeoftheorganization,youmustfirstleadthechangingofyourself.AsMaxDePreesays,”Wecannotbecomewhatweneedtobe,remainingwhatweare.”

What is a CMP and Why Do I Need Those Letters after my Name?by Farrah Morrone, CMP, M.Ed.

CMPstandsforCertifiedMeetingProfessionalandisadesignationofferedbytheConventionIndustryCouncil(CIC).InordertobebecomeaCMP,candidatesmusthave3yearsoffull-timemeetingmanagementexperience,must accumulate 90 experience, continuing education, etc. points for the application, and must pass the CMP exam which is administered several times throughout each year. There are several reasons to become a CMP but the CIC recommends that meeting professionals strive for this designation for the following reasons: 1.Recognition:Asthepremierindustrycertification,theCMPdistinguishesholdersas

career professionals who have demonstrated a high level of experience, skill and knowledge.

2. Competitive Advantage: The designation conveys credibility to a meeting profession-al’s opinions and ideas, both at work, and in the greater meetings, conventions and exhibitions industry.

Teach Your Attendees to Sell Their Management on Sending Them to your Con-ference(FirstpublishedinWesternAssociationNews)byPatriciaFripp,CSP,CPAEStock prices are down, meetings are being canceled, and some corporations are cuttingbacksharplyontheirfinancialsupportforemployeeswhowanttoattendconferences.TechnologyUsergroupsarefindingthatcorporation-sponsoredat-tendance is dropping or being canceled altogether. Don’tdespair.YoucanDOsomethingaboutit.Here’sastrategyformakingcom-panies willing and even enthusiastic to send their employees to your meetings and conferences. BoostingattendanceisoneofmyfrequentassignmentsforclientsliketheCyborgUsers’Group,ADP’sMeetingoftheMindsclient-usermeetings,andtheAmericanPayrollAssociationCongress.HowdoIdoit?Inmytalksandseminars,Istartbyaskingallattendeesthisquestion:Do you have an appointment set up with your upper management to report on whatyoulearnedatthismeeting?Itissurprisinghowfewattendeesarerequiredtodothis.Ialwaysrecommendthat attendees take the initiative and ask to give a verbal presentation to their manager or to the committee that okayed the budget for them to go. I teach them to follow this simple outline in their verbal reports, following the basic frameworkthatIrecommendforallconferenceattendees.Bymakingcarefulpreparationsandkeepingqualitynotes,attendeesshouldbeabletogivemanage-ment a strong presentation that makes a good case on why they should return the next year.

The Fripp Conference Outline

What did they do: 1.Beforeattendingtheconference.(Including)*Make a list of vendors and individuals they want to meet. *Study the brochure to select best sessions to attend. *Ifseveralpeopleattendandrelevantsessionsconflict,coordinatewhoattendswhat so different individuals can report back on each session. *Preparealistofspecificquestionstheyneedorwantanswered.Carefullynotethe answers and their sources.

2. During the conference. * Note what was learned from the keynote speakers, breakout sessions, conver-

sations with other attendees, and vendors met at the trade show portion of the conference.

3. After the conference. *Doadebriefingwithotherswhoattendedtosharewhateveryonelearned.

* Prepare a verbal and brief written report for management. Practice the verbal presentation on friends or family.

The opening thirty seconds of a presentation is the most important part. I recom-mend that everyone starts their report to management with something like this:

Sending me to the such-and-such conference was an incredible investment for thecompany.Here’swhy.

*Concludewithspecificrecommendationsforthecompany,basedonnewknowl-edge.

Why Bother?

Doesthisseemlikealotofworkonyourpart?Notifyouwanttokeepyourattendanceup!Companiesdon’twanttospendthousandsofdollars unless they can see a payoff. Your attendance may continue to drop unless your attendees can show their companies the immediate and long-term value of what they have experienced. When they do, chances are that their companies will be happy to send them to your next meeting or conference. And, since a presentation to management can be a stressful experi-enceforyourattendees,someareboundtoaskyouthesameques-tion:“WhyBother?”Tosellyourattendeesonthenote-takingandreporting process, stress the following points: * Reporting shows management they are company-minded and see

the bottom line. * Reporting shows management they take advantage of opportunities. * Reporting increases their chances of attending future meetings. *Byattending,theypersonallygainimportantandtransferableskills.

This last thought should be a big selling point. In a downsized, right-sized, re-engineered, outsourcing world, everyone needs to upgrade skills constantly. Even when individuals have support from a management that believes in education, theymustconstantlyresellthebenefitsonwhyitisagoodinvestmenttosendthem.

Whatifacompanywon’tpayforyourattendeestocome?Somewillcomeany-way. Many people I’ve met at the American Payroll Association conferences used vacationtimetoattendbecausetheirmanagersdidn’tseethevalue.However,they constantly resold the company on the worth of the conference -- with a big payoff. When their current manager or a new one realized the value of the experi-ence, some were actually reimbursed for attending past conferences, and their vacation time was restored.

The Membership committee meets via e-mail when necessary…nothing struc-tured. The membership drive ended April 1 and now the membership is 157 members,whichisthehighestmembershipnumberthechapterhaseverhad!We are at a 54% Planner 46% Supplier ratio, which is right on target with our chapter goal. The Program committee is currently meeting as needed to provide the speak-ers and schedule for the SE Regional Education Conference in Jacksonville on August 3-6, 2008. New Arrivals - Girls All Around!!

Ann and Keith Koralewski welcomed Adriana Lee on March 27th. She weighed 8 lbs. and was born here in Gainesville at the North Florida Region-al Women’s Center. She joins older sister Kaitlin who is 10 years old. Ann says that the most surprising thing is how much you forget about babies in 10 years. Adriana Lee is the spitting image of her Daddy and an added joy totheKoralewskihousehold!

April and Scott Schroeder welcomed Adley Lane on May 10th. She weighed 7 lbs. 13 oz. and was born here in Gainesville at the North Florida Regional Wom-en’s center. She joins older sister Madison, who is eight years old. Adley Lane has her Daddy’s eyes and charming looks. Everyone in the Schroeder household isveryhappyanddoingwell!

I must admit I feel humbled to be the one that is in the Spotlightthisquarter,IhopeIcansharesomethingswithyou that will help you to get to know me a little better.Iwillstartwithsomeofthestandard(boring)itemsandhopefully move into the intriguing and mysterious; well on second thought, I am not sure I have anything intriguing or mysterious.IwasborninHouston,TXandmyfamilymovedfourtimesbefore they settled down in Gainesville, FL in 1968, where I attended high school, then on to Santa Fe Community CollegeandultimatelygraduatingfromtheUniversityofFloridawithmyBachelor’sdegreeinAdvertising;itischallengingtofindamajorthatdoesnotrequire16hoursof mathematics credits. I have four beautiful children and two perfect and super-intelligent grandchildren, which I am always willing to brag about.

I will be celebrating my 29th wedding anniversary on December 15, 2008. I must say that meeting my husband wasa‘loveatfirstsight’situation,itwashiscrystalclearblueeyesthatgotme.Hehastheenviablejobofbeingabletohaveavirtualofficeinourhome – gets to go to work in his PJs often, he is a Safety Consultant in a Federally fundedprogrambyOSHAandhousedattheUniversityofSouthFloridainTampa.I provided ‘in-home’ childcare while all my children were young, I started to work part-timewhenmyyoungestdaughterwasfiveasasubstituteteacher,thenstartedworkfulltimein1997withtheUniversityofFloridaDivisionofContinuingEducation,andmoved through their different departments culminating in my current position at as a marketing and program coordinator at the TREEO Center.

Iamcuriousandimpulsive,oftenspeakingoractingfirst,andthinkingsecond;notalways good if you are trying to impress others, but it does make life a bit more interesting. I actually enjoy getting up in front of people and talking, presenting or discussing fun and important issues. Each year in October my sister and I give a presentation to cancer survivors on different ‘personal growth’ topics, my sister is a two-time breast cancer survivor, and we truly enjoy our interaction with all the survivors and their families.Perhaps sharing my personal philosophy with you may be the best insight into who I am.Ibelievewehaveallbeenputonthisplanetforadivineandspecificpurposeandthat purpose I feel, is to be a help and support to all people as we are able, to show unconditional love and kindness to everyone and to learn all we can about ourselves, to learn from and about each other and to learn about our place in this world. Yes, I know,thatsoundsabitUtopian,andsomedaysIambetteratlovingmyneighborthanothers, but I try to hold to this philosophy as a governing principal in my life.

I hope to have a chance to know all of you, and the opportunity to get to work with mostofyouinmynewpositionas1stVPofSGMP.Ihopetochatwithyouatournextmeeting.

It is an honor and a privilege to be elected as president of the SGMP Central Florida Chapter for 2008-2010.
