DISCLAIMER This manual is intended to provide direction and guidance on the Royal Brompton & Harefield Charitable Fund’s policies and procedures as they relate to using and maintaining the Raiser’s Edge version 7. It is not a Raiser’s Edge user guide. User guides giving advice on data entry and other topics are available through the Help menu on the database. All Raiser’s Edge users should have a copy of this manual. It is also available on the Fundraising intranet. GENERAL DATA ENTRY RELATED POLICIES

Always check to see whether someone is already on the database before creating a new record. If the individual is listed as a relationship on another record, they can be converted to a constituent through the relationship record. Duplicate constituents can be merged to create one record – merge the record with the least information into the record with the most information by using Constituent > Merge Constituent. Delete the source constituent from the database when prompted. Once the records have been merged, check that no data has been duplicated – if so, delete the duplicate gifts etc. Make sure that you’ve selected the correct constituent code, such as donor, fundraiser and prospect. Only select donor if the person has made a gift – if they’ve enquired about making a gift select prospect. They’ll then be upgraded to donor once we’ve received the money. CODE TABLES Code table entries should only be added to the database when absolutely necessary, and only if there is no suitable entry already on the system. If possible, try and re-name an entry so that it can serve more than one purpose rather than adding a brand new entry. The code tables should be regularly tidied and unused entries removed. APPEALS New appeals are added to the database through the Records tab. We use the Appeals field to represent the various Trust Funds (e.g. Rose Ward, Harefield General Fund), but also for specific fundraising appeals (e.g. Fun Run 2006, Scanner/05). The record for a fundraising appeal should be made inactive once the appeal has closed. Packages can be added to the appeal record – these should represent ways of bringing in income, e.g. JustGiving. They can also be used to mark income and approaches for a particular sub-appeal, e.g. the Music Programme for the Arts. If deleting an appeal from the system, remember that it needs to be removed from all records – both on the gift record (use Global Change to replace it with the new appeal) and on the Appeals tab of the constituent record. The Appeals record should also be used to record details of all expenses associated with an appeal or event (such as the Fun Run). This information can be used to generate reports to show accurate income/profit projections. ATTRIBUTES Be careful not to have outdated attributes listed on constituent records – perform a regular clean up, e.g. remove the previous year’s fun run number once that year’s fund has been closed.

- Special Mailing Info attribute can also be to mark people as targets for a particular kind of mailing, e.g. Christmas card, arts mailing list

- Donation policy, interests, memberships and potential projects are mainly used for prospecting and research of potential donors. See the proposals section for more info. Membership attribute is also used to record membership of the Supporters Club.

- Potential projects attribute: once an approach has been made and a response received (positive or negative) this should be deleted from the record and the appeals tab updated in its place.

- To add a table-based attribute, first create the attribute entry, and then set up the code table entries for the table.

- An attribute can only be deleted from the system once it has been removed from every record it appears on.

- Attributes are also used to segment the database to allow us to group constituents together by characteristics. A constituent can have more than one segmentation attribute, so select as many as appropriate:

o Segment: Patient for all donors who have a patient connection to the Trust, including relatives (e.g. patient – heart; patient – transplant; patient – RBH; relative)

o Segment: Supporter for all donors and fundraisers (e.g. Fundraiser, Donor – In Memoriam, Donor – Online, Donor – Regular)

SOLICIT CODES & DO NOT MAIL Solicit codes show whether the constituent has given any specific instructions about contacting them. To ensure that we comply with their wishes, solicit codes are marked in various ways:

Choose Do Not Solicit & Do Not Mail If we have an e-mail address, tick here

General rules: - If a donor has chosen no further contact on JustGiving, add the solicit codes - If a constituent is under 16, select do not mail and do not solicit. We can still

write and thank them for their donation, but they’ll be excluded from bulk mailings

o A constituent under 16 should, where possible, be linked through to their parent’s record

- You can add the solicit codes by using the default set: go to Constituent > Load Defaults from > Requests no contact. Then press Shift + F2 to insert the defaults.

INACTIVE CONSTITUENTS Constituents should be marked as inactive two years after the date of their last gift to us or their last contact with us (this excludes general mailings which we may have sent them). They will remain on the database, but excluded from mailings, and can be reactivated if the constituent contacts us. Currently, individual constituents who have not made a donation since before 1st January 2006 are marked as inactive. This excludes Supporters Club members.

GIFT RELATED POLICIES (Excluding Gift Aid – see below)

Gift must be tied to the tribute, if appropriate

Select the right pay method General rules:

- Every gift record needs to have the correct appeal – the fund and campaign information will be populated once the appeal is selected. If the appeal is not populated, add the trust fund into the Reference tab

- Always select the appropriate gift subtype for In Memoriam, Sponsorship, Entry fees, Raffle tickets etc. If using In Memoriam, the deceased’s name should go in the reference field.

- Wherever you have the option to select a package, you should use it as appropriate, e.g.:

o Scanner Appeal – Flyer o JustGiving

- Always add the receipt date and number for audit purposes - Always make sure you select the correct Pay method – don’t leave as cash

unless it is! - If the gift is a tribute gift, it must be tied in to the correct tribute

LEGACY GIFTS Legacy Gifts are entered slightly differently than normal Cash Gifts. All constituents with a legacy gift on their record should also have the constituent code Legacy Prospect or Legacy Donor (once the gift is realised).

Tick once the legacy is received Select appropriate legacy type and vehicle from drop down menu General rules:

- The Legacy Gift should be on the constituent record of the person who is leaving us the gift unless we only get to know about it after the event. In this case, it should be on a record for the Executor

- All Legacy Gifts should be marked as Legacy Campaign - If we’re notified as to legacy relationships (e.g. executors), these relationships

should be set up on the Legacy Gift tab (see below)

RECURRING GIFTS Any regular donor (whether through JustGiving, direct debit or standing order) needs to have a recurring gift record set up before any gift entry takes place. Then when you apply a gift to the constituent’s record, you will have the choice of attributing it to the recurring gift, and the gift information will be populated automatically.

- Enter the gift information as normal, remembering to select the right appeal and payment method. Then click on Schedule to set up the payment timetable

GIFT SUBTYPES Gift subtypes can help us differentiate between gifts, and also identify a group of gifts very easily, and are accessed through a drop down menu. They can be used to mark certain types of gift as being ineligible for Gift Aid, and can also help us in event reporting. General rules:

- In Memoriam gifts: Reference field should still have the deceased’s name; gift should be tied in to tribute

- Sponsorship gifts: Reference field should be fundraiser name; gift should be tied in to tribute

- Entry fees: e.g. fun run. Ineligible for Gift Aid - Auction items: not always eligible for Gift Aid. - Raffle tickets - Raffle prizes (donated, Gift in Kind)

PAY METHODS Always associate the gift with the correct pay method. Most gifts tend to be personal or business cheques. General rules:

- If the donation is cash, mark the proportion received in cash or notes - JustGiving donations are marked as Other - Vouchers are used for CAF cheques etc – select the right agency (can add

more if needed). Enter the cheque number + date - Direct debits, standing orders and credit cards: We don’t hold donors’ bank

details on the database for data security reasons, so select Any Bank to enable you to choose DD, SO or cards. (Click on New > Search > Any to select). For credit cards, enter the card number as 0000 0000 0000 0000.

- Standing Order – set up the bank information for the constituent. PACKAGES As mentioned in the General Policies section, packages can be used to identify ways in which income has been generated – mailings, events etc. They can also be used to identify gifts for donations to particular areas of a trust fund. Packages are added to the appeal through the Records tab, and each should have a unique name/identifier. General rules:

- If the gift has come as a result of a mailing, always associate the gift with the package

- If the gift is for a specific project within a fund (used for the Arts programme and also the various elements of the RBH Imaging appeal), select the appropriate package to ensure we have an accurate gift total.

GIFT AID POLICIES All constituent records should have Gift Aid information accurately maintained. We can then reconcile our gift records against claims submitted by Trust Funds, send mailings to secure retrospective declarations, and send a declaration form with acknowledgement letters, as appropriate. RECORDING DECLARATIONS Gift Aid declarations are stored on the Bio 1 tab. We can store multiple declarations for the same donor:

- For declarations valid only for a single donation: o The made date and start date should be the donation date o The end date should be the day after the donation date

- For declarations valid for all donations in last 6 years + all future

o Made date is the date of the declaration o Start date is the start of the tax year 6 years previously (6 April) o End date can be left blank

- For declarations for future donations o The made date and start date should be the declaration date o End date can be left blank

- Normally, we’ll receive a written declaration. If we receive an Oral declaration, choose Oral from the indicator box. Then send a confirmation letter to the donor (who has a 30 day cooling off period) and enter the date the letter was sent in the confirmation box.

- Choose the source of the declaration e.g. correspondence, web declaration form, declaration form, appeal leaflet etc.

- The comment box should contain additional information about the declaration options selected, and confirmation that the declaration has been sent to trust funds.

MARKING ELIGIBLE DONATIONS Once we have a valid declaration on file, the Tax tab on the Gift screen will change to reflect this. If the declaration is entered after the gift, save the constituent record, re-open the gift, and save the gift to make it eligible for Gift Aid. There are three options on the Tax tab:

Gifts that aren’t eligible for Gift Aid include purchases of bears and hares, auction prizes, Christmas cards and event entry fees. These should all be marked “Set as Not Qualified for Gift Aid”.

Business Rules have been set up to mark certain gifts as being ineligible for gift aid – these include Collection Boxes, entry fees etc. Although the rules should automatically exclude these donations, always check the Gift Aid qualification status on the Tax tab.

MARKING CLAIMED DONATIONS

If a gift is marked qualified for Gift Aid, then claim information needs to be added: - If the Gift Aid is claimed by JustGiving, add the remittance reference number - If the Gift Aid is claimed by Trust Funds, add **** into the box. This will mark

the gift as claimed, but we can also identify the source. - Add a Gift Aid claimed note on the miscellaneous tab:

o If Just Giving, add the remittance reference in the Description o If Trust Funds, add Trust Funds 2006/07 or the appropriate tax year.

HONOUR/MEMORIAL POLICIES

General rules: - Only 1 honour/memorial per deceased person or fundraising event - The tribute should be on the record of the fundraiser or next of kin - If the first IMO donation is from a non-relative, and we don’t know whether

there will be any next of kin donations, set the tribute up on the donor record. If further donations come in, delete the original tribute and set up on the next of kin, remembering to tie in all existing donations

- Always set start dates and end dates for the tribute – for a non-event tribute (e.g. IMO) set an end date of 3-4 months after start date.

- Include as much information in the comments field as possible – particularly the trust fund for the donations

- If in doubt as to whether a tribute already exists, check by using the Tributes – All query

- Where possible, create separate constituent and gift records for each contribution to the tribute – especially where a Gift Aid declaration has been completed

- Ensure that all gifts are tied in to the tribute – if not, our reporting will be incorrect

- Send reports on completion of sponsored events to fundraisers (explaining JustGiving fees if necessary). Reports > Honour/Memorial Gift Report > Sponsored Event

- For non-sponsored events (e.g. weddings, birthdays) send a contributor report with overall total donated (not individual amounts).

- Only send a contributor report for IMOs when this has been requested - When a tribute has concluded, go into the record and take the tick out of the

“Gifts may be given” box. The tribute will still be on the system, but marked as inactive for reporting and historical purposes.

JustGiving, sponsored events and tributes

- If anyone has set up a fundraising page, they need to have a tribute set up on their constituent record

- All sponsorship gifts are tied in to the fundraiser’s tribute - Most gifts will come under Anonymous – the majority of people don’t want to

give us their contact details - Gifts will be added in a batch once payment reports have been received - To check the total received to date, highlight the tribute and look at the Gifts

total. - Remember that you can add non-JustGiving donations to the tribute if they’re

all connected to the same event - Take the tick out of the “Gifts may be given box” after the event has finished - Set up a new tribute for each new event a fundraiser does for us, e.g. London

Marathon 2006, 2007, 2008 would be three separate tributes. Useful queries:

- Tributes: all – to find all tributes on constituent records - Tributes: inactive – to find expired tributes

TRIBUTE FUNDS (Long term In Memoriam donations)

- Follow the basic Honour/Memorial procedure outlined above - Pay all donations/contributions into general fund B5050 (no other fund).

Receipt should include the reference “Tribute Fund – Surname”

- Monies with the correct reference can then be allocated accordingly when family decide how funds to be used

- Send regular six monthly contributor reports to update with total held in the fund

SUPPORTERS CLUB POLICIES

General rules: - All members to have the Harefield Supporters Club membership attribute;

also Special Mailing Info > HSC Newsletter - After sending Supporters Renewal letter, set up a Renewal Reminder action

for 11 months time - After sending a newsletter (or any other mailing to this group), add a Global

Action

EVENTS

General rules: - When first contacting someone about an event they’re holding on our behalf,

send the Letter of Authority and guidelines letter from RE (two separate actions)

- All entry fee donations should have the correct Gift Subtype selected - Entry fees to an event are not eligible for Gift Aid – check that it’s marked

ineligible on the Tax tab of the gift record. If there’s an additional donation element, the extra can be claimed (use the Gift Aid split gift function)

COLLECTION BOXES

General rules: - Send Collection Box authority form from RE and collection box application

form (guidelines) from the T:drive - Add attribute – Collection box and add box number into the Comments field

When adding collection box gift information:

- Choose Collection box from gift subtype - Add box number in reference field - Money from collection boxes is ineligible for Gift Aid – check this is marked

correctly on the Tax tab

PROSPECTS, PROPOSALS, & MAJOR DONORS

General Rules: - All e-mails should be sent through the database and all actions involving

these constituents should be recorded - Assign the major donor action track: Tools > Action Tracks > Assign

Constituent Action Tracks - Makes sure that the correct constituent code is used – and update when

status changes (i.e. prospect > donor) - Set the appropriate target level on Bio 2 and also area of speciality - Create the following notepads – they can stay empty until needed, but they’re

used as criteria on prospect reports. Use only one notepad, but add updated information onto each:

o Charitable Giving Information under a description of “Philanthropic Giving” – list details of donations made to other organisations, how the individual undertakes their giving (individually vs foundation)

o Proposal suggestions – information on the best ways to approach the prospect. Confidential note, can only be seen by Fundraising. Description field = name of project.

o Previous involvement – whether or not the prospect has any previous involvement with the Trust – if none, put “No previous involvement”, don’t leave blank.

- Attributes: in addition to the normal attributes for interests, memberships etc., add:

o Trust Contact? Choose Yes or No, then add contact name in comments field

o Prospect category: Choose Hot, Warm or Cold and add date o Potential project: Add info in description field e.g. Scanner. Further

information can be added in comments field, and a constituent can have more than one potential project attribute. The attribute should be removed from the record when we’ve had a response about that particular project (declined or accepted).

- Media: Make sure that the proposal is added to the Media tab. Use project name as title, include amount asked for in description field. When a response is received, add this to the description field.

ACTIONS

Actions can be part of the action track or independent. General Rules

- If part of the action track, amend the action date if necessary – the track is set up to put the action date as the date of completion of the previous action. Always add the canvasser for the action, and as much information as possible – in particular, make use of the notepad e.g. “Approach for support for scanner appeal – requested £5k” so that we can see full information in the constituent record without having to open up the action.

- If the action requires a letter as part of the particular stage, this can be done through the same action record. Change the action type to Mailing; leave the category as set, fill in the information and complete the action as normal – the action track will then move onto the next stage of the approach.

- When a response to a proposal is received (whether positive or negative), go back into the proposal action (which is set up as an action type) and add a Proposal Accepted attribute, with the Yes/No field set appropriately.

- When a response to a proposal has been received, also add the information to the notepad for that action - you can add the rejection/acceptance information on to the bottom of the note saying that a proposal has been submitted.

- If you’ve sent an e-mail to the constituent and haven’t done it through Raiser’s, create an action record for it and copy the text into the action notepad so that we have a complete record of all our contact with them.

SOLICITATION PLANS Solicitation plans provide a snapshot of the information on the prospect’s record:

- Access through Reports > Profiles, Lists & Directories > Solicitation Plan - Click on Include to change the record used, click on Preview to view the

report before printing. SUBMITTING PROPOSALS

- Select the right action type and include as much information in the action record as possible

- Go to the Appeals tab and select appropriate appeal and/or package (different projects for Arts are set up as packages). Select No Response and add “Proposal submitted” and the date in the comments field.

- When a response is received, the information on the appeals tab should be updated as appropriate.

FOLLOW UP ACTIONS To close an approach to a major donor/charitable trust prospect:

- Select the appropriate Proposal Accepted attribute on the proposal action record

- Update the Appeals tab to show either Gave or Declined, plus date - Remove the potential project attribute - Enter gift information and process as normal.

FUN RUN

General rules: Participant data tidying

- For family groups, make sure each constituent is connected to other members of the family through reciprocal relationships

- Nominate one of the adults to be head of household (through the Spouse record) to ensure that only one mailing is sent.

- On the head of household record, set up Family Addressee and Family Salutation under Additional salutation types. Use editable function to set up as The X Family, and John, Janet and Jamie etc.

- Ensure that every participant under 16 is marked as do not mail etc. – use the “Requests no contact” default set.

Pre-event mailing

- Follow mailing procedures including address validation - Check that envelopes/labels are set to take the Family Addressee if set up:

Tab 2 Fields to Include > Addressee > Options. Select Family Addressee, and Otherwise use Primary Addressee. If both options are included, the system will determine which to use on the basis of which addressee/salutation appears on the constituent record.

- Add Global Action to constituents Participant data entry

- Participants can either be entered in batch or individual basis - Load default set: Constituent > Load Defaults from > Fun Run to bring up all

the necessary attributes. Shift + F2 to add them to the record - Add descriptions/comments for the attributes: Team/Individual; Fun Run

Number; T-shirt size Gift data entry

- All gifts to have correct gift subtype – Entry fee or Sponsorship - Select Fun Run appeal - Add team name into Reference field - The information can also be added with default sets. On the gift record

toolbar, go to Gifts > Load Defaults > select the appropriate default set, then Shift + F2. Default sets have been created for adult and child early and late entries – the only information to be added will be the date, receipt number, receipt date.

- If the donor is part of a large team (e.g. Team Lewis, Team Ross), set up a tribute on the main team member record, and tie in all team sponsorship to the tribute. This makes end of event reporting easier.

- Money raised for the fun run online will be added to the database in the usual way, with a tribute on the record of the individual fundraiser. This will need to be borne in mind if the person is part of a large team – gifts can only be added to one tribute.

QUERIES

The Query module can be used to interrogate the database. Queries vary in their complexity, but at their most basic can just search the database on a particular field. Please contact Emma for training on using the Query module.

There are a number of useful queries set up which can be accessed by all users:

- Gift Amount - Gift Reference - Receipt number - Receipt date - In memoriam – query by deceased - Fun Run: there are a number of fun run queries, including number, t shirt

sizes, teams - Tributes – all - Tributes – inactive

REPORTS

The Reports module features a number of “canned” reports, which are customised to meet particular requirements by using a query. Useful reports include:

- Financial Reports > Gift Detail & Summary (can be used to report on various aspects of appeals)

- Tribute Reports > Honour/Memorial Contributor Report - Tribute Reports > Honour/Memorial Directory (set up query to show tributes

by departments) - Tribute Reports > Honour/Memorial Gift Report (to show gifts making up the

tribute, e.g. sponsored event and tribute fund) - Tribute Reports > Honour/Memorial Summary list (shows type and active

dates of a tribute, but not description) We can also set up customised reports by using Crystal reports if none of the “canned” reports are suitable – please discuss any requirements with Emma.

MAILING RELATED POLICIES

Mailings can be generated in several ways – as labels (e.g. for Supporters Club newsletters); MS Word mail merge files (e.g. for Gift Aid mailings); and for individual letters/envelopes. Bulk mailings begin with a query in Raiser’s Edge. When preparing or requesting a mailing, complete the mailing checklist form and send to Emma for data preparation (see appendix, also available on the Intranet). The form just clarifies exactly what information should be included, the purpose of the mailing, exclusions and output format. By regulating mailings, we can make sure that we’re not mailing people we shouldn’t, and we can control the frequency of mailings more. General Rules:

- Double check the query that the mailing will be based on: make sure all the necessary exclusion options are picked, and the criteria are correct

- Address validation should be run on the query to ensure accuracy - Mail module – filters tab: Change Solicit Code option to exclude selected - Mail module – attributes tab: Set filter to exclude Special Mailing Info attribute

for Do Not Mail - Simple Word Merges can be done through the Letters tab – but this limits the

information that can be extracted from the database. For more complex merges, export the information from a query into an Excel file, and create a merge document in Word

- Conditional Word merges will produce different letters based on a single condition – e.g. gift amount.

- After any large mailing, add a Global Action to the constituent records

DATABASE ADMINISTRATION TASKS

The following administration procedures are carried out on a regular basis (e.g. monthly) to ensure smooth running of the database. They can only be done by a user with administration rights, but are listed here in case they are needed. When a new version of Raiser’s Edge is available, request a CD from Blackbaud’s Case Central. When received, log a call with the service desk asking for the database to be updated on the Gandalf server, listing all PCs and asset numbers. Then email RE users to alert them to the update – PCs need to be switched on (although the user doesn’t have to be logged in). IS will perform the update and then reinstall on each PC.

Regular tasks

- JustGiving: enter gifts through batch, then commit to the database. Default fields set up – make sure package listed as JustGiving and gifts associated with tributes if appropriate. New constituents can be set up through the Gift batch, remembering to set up declarations, salutations and attributes at this point.

- Assign fundraising page codes when new pages are created – these will be the trust fund numbers, and help assign donations to the right fund.

- Gift Aid: when JG Gift Aid payment received: o JG Gift Aid claim query to pick up eligible gifts o Globally add notepad – JustGiving remittance ref XXXX o Global change to replace tax claim number o When trust funds have claimed GA, put tax claim number as XXXX

Remember that the additional 3p supplement is paid separately – and the Gift Aid rate is set up at 25p. The tax rates are set up in Config.

- Letters are set up through Config. Create a query and set up the export, then do the Word document mail merge export to bring in Raiser’s Edge fields.

- Attributes: set up attribute categories through Config. If a table attribute (e.g. Segment: Supporter), then need to go into Tables to add the code table entries.

Monthly tasks

- Segment database using Attributes for Segmentation query – picks up records added in the last month

- Validate addresses using Address Accelerator – query set up to pick up last month’s new records

- De-duplication of database: run report to check that no records are duplicated. If duplicates are detected, merge constituents as appropriate.

- Run customised reports for Paediatrics to show last month’s donations: Paediatrics – all to Maura Quinn; Rose Ward to Sarah Moledina; PICU to Sue Petersen.

Other tasks

- Delete and merge are restricted access to admin user - Crystal Reports can only be created on Emma’s PC – the cd-rom can only be

uploaded onto one PC - New users and permissions changes are set up through Admin > Security
