Report Set up and automation CI/TYIn the following document we will walk you through how to set up the CI/TY reports for ProfitPace. You will do this process twice. Once for your function room bookings and once for your group room nights.

Log into CI/TY and the following screen should populate:

Navigate to the Reporting tab in the upper right corner

In the reporting tab, click on Launch Reporting

After the IBM Cognos Software displays, click on My Home

When you enter the My home area, there will be a folder labeled SFAWeb CI Reporting. Click on this folder.

A list of popular or favorite reports will display. Find the CR023 – Property Detail and Summary Report. Click on the icon to the right of the report that looks like a window. See below:

Change the name of the report to match exactly what is listed in the screen shot below. The DTWYS listed below should be your specific MARSHA code for your hotel. When done, click finish at the bottom.

The screen will return to a screen with 2 options. Public folder and My folders. Navigate to my folder and click on the little icon labeled “schedule” this is the icon the left of the “more” option. See below:

When you get to the screen below, there are quite a few items that need to be reviewed.

1. Change to the “by day” tab in the upper left. 2. Enter your start date – The date you want the reports to start from. 3. Click on “no end date” if not already chosen.4. Under Options, click on the “Override the default report options” 5. Select “delimited text (CSV)” 6. Change the Delivery to be “send a link to the report by email”7. Click on the blue “edit the email options”

After you click on the “edit the email options” you will be taken to the following screen. Please be sure to enter your company specific ProfitSage email address in the “to” field. It is generally [email protected]. A semi colon should be in between each email address if there is more than one. Please be sure that the subject section matches exactly. It should be CR023-SALES-CITY-FUNCTIONS-XXXXX with the xxxxx being your hotel’s MARSHA code. Check off Attach report and click on OK. See below:See below:

When you click OK you will be taken to the section to establish the report parameters.

The report output should be Function Revenue Detail Report The Date Range should be Function Date Reporting Level should be Property Put a check in the box next to Select Quotes Status Click Next

The next option will take you to the following screens. Due to the size of the screen, we will have 2 screen shots of this section. One for the top portion and one for the bottom.

On the top portion. 1. Select the Exclude Service Charge option2. Check off the Function status options. You should choose all options EXCEPT

Prospect and hold. 3. Search for your hotel’s MARSHA code by entering it in as a keyword and selecting

“search”4. The system will populate your MARSHA code in the results box. Highlight it and hit “in-

sert” this will move your MARSHA code over the “choice” box.

Scroll down to the bottom section of the screen.

o De-Select the option Display Property Sales Manager 1 Onlyo Enter your date range based on parameters supplied by corporate office. You should

enter at least 2-3 years. o In the Select Quote Status box, choose all the options you choose in the top area of the

screen. Everything but the Prospect and the Hold status should be checked. o Click Finish

You have now completed the set up for the Function rooms. We need to go back and set up the report to email for the group rooms.

Navigate in CITY back to the list of popular or favorite reports. Find the CR023 – Property Detail and Summary Report. Click on the icon to the right of the report that looks like a window. See below:

You are now finished setting up CITY for your ProfitPace system. If you have any issues or problems, please have your ProfitSword contact open a ticket with our support system.
