ABOUT AAROHAN-2019:

AAROHAN is a Tech-Cult-Sports fest of POORNIMA INSTITUTE OF ENGINEERING &

TECHNOLOGY. This legacy is being passed on since 2009 with great energy and enthusiasm.

This year we are back again with full force to astonish you. AAROHAN-2019 will provide you a

unique opportunity to blazon your talents and skills, simultaneously we are dedicated to creating

a memorable event for our visitors. It will be full of fun, energy, madness, and learning. This

time AAROHAN-2019 will be bigger, better and grandest of all.

AAROHAN is completely a student driven fest organized by the confident, talented, hard-

working, passionate, strong determination power and most important honest and trustworthy

students of POORNIMA INSTITUTE OF ENGINEERING & TECHNOLOGY .

AAROHAN is a fest which is organized mainly to give opportunities to all the Poornimites

to show their hidden talents. Poornima provides a very big and respected platform to its students

by the fest known as AAROHAN so that they can show their talents to each and everyone

present there.

AAROHAN is a Tech-Cult-Sports Fest. AAROHAN includes all kind of events from technical,

cultural as well as sports fields. It is a reality that every individual is not perfect in every field so

AAROHAN provides opportunity to each student to show his perfection in his respective field

whether it is sports or cultural or technical. Every student from every field is welcomed in

AAROHAN to showcase their talents and highlight their qualities.

In technical field the activities like circuitry, structure design, Robo Race, Robo war etc. are

involved so that student can show their technical skills. They make certain robots to participate

in competitions like Robo Race and Robo Soccer by their robotics knowledge. Also, by the help

of their knowledge of circuits they participate can in circuitry event.

A stage is also provided to the students who are good in cultural activities. Events like solo

dance, solo song, band war, flash mob, theatrical are present for the talented students to show

their cultural qualities.

As we all know that sports is the most important and inseparable part of human life. So

how can sports be left behind. AAROHAN provides opportunities to the students to showcase

their sportsmanship qualities by the source of events like volleyball, box cricket, chess, man of

the steel and certain races.

Further, some club activities including English debate, quiz, mystery solver, face

painting, PUBG mobile, t-shirt painting, short-film are also a part of AAROHAN-2019.

ORGANISED BY:AAROHAN-2019 was mainly a student- driven fest but guiding hands of higher authorities were

always there to support and motivate wherever required.

The guiding hands were Sh. Shashikant Singhi (Chairman), Sh. M.K.M. Shah (Director,

Admin & Fin.), Sh. Hari Singh Shekhawat (Director, Infra), Sh. Rahul Singhi, (Director),

Dr. Dinesh Goyal, (Director, PIET), and also our faculty advisors Dr. Gautam Singh (Chief

Proctor & Registrar, PIET) & Mr. Ashwini Lata, (Dean, Hostels) were always be there with

the students who worked to make AAROHAN-2019 a great success.

The different levels of groups were: -

1. C.P.M.G. (CORE PLANNING AND MANAGEMENT GROUP):

C.P.M.G. was a club committee of students who had past experience of various events

during their college life. In AAROHAN-2019 it was the uppermost group which was

consisting of total of 21 members. It was the main organizing group under which

different groups worked. It was responsible for the guidance and proper functioning of

other different levels which was working under it. It played the major and most important

role in AAROHAN-2019.

2. P.E.M.C. (PLANNING, EXECUTION AND MANAGEMENT COMMITTEE):

PEMC stands second in the list from the top of level of groups. PEMC were a team of

total of 28 members who were selected by certain selection processes. PEMC with

CPMG were the two main organizing groups of AAROHAN-2019.

3. EVENT HEAD COORDINATORS AND CO-ORDINATORS:

In AAROHAN, there were total 40 events and to handle each event there were two

members appointed as head coordinator and coordinator. They were selected following a

certain process by the department head. The head coordinators and coordinators were

selected from III and IV-year students only. The head-coordinators and coordinators

work under CPMG and PEMC in hierarchical level of organizing team of AAROHAN-

2019.

4. VOLUNTEERS:

Volunteers are helping hand of head coordinators and coordinators who were selected

from 1st and 2nd year. The selection was done only from these two departments in order

to maintain the hierarchy, to give them opportunity to learn different things and also to

prepare them for upcoming fests like AAROHAN in their college life.

SELECTION PROCESS OF EACH LEVEL OF GROUP OF AAROHAN-2019:

APPOINTMENT OF C.P.M.G. MEMBERS:

As C.P.M.G. was the uppermost group for management and organization of AAROHAN-2019

so only responsible and deserving students were appointed as members of CPMG. Their

appointment was done on the basis of their past experience in AAROHAN 2018 by higher

authorities of POORNIMA INSTITUTE OF ENGINEERING & TECHNOLOGY .

APPOINTMENT OF P.E.M.C MEMBERS:

The appointment of P.E.M.C. members was done by each department of POORNIMA

INSTITUTE OF ENGINEERING & TECHNOLOGY. The authorities of each department short-

listed the students from each section on the basis of their performance and qualities. Then these

students faced an interview session by the authorities. The interview was to check the leadership

qualities, discipline, confidence, communication skills academics and also past experiences of

various events. On the basis of their performance in the interview two members from each

department were selected as a member of P.E.M.C.

Some of the P.E.M.C. members were appointed by the C.P.M.G. members on the basis of their

experience and skills in their respective department.

APPOINTMENT OF EVENT HEAD COORDINATORS AND COORDINATORS:

The event head coordinators and coordinators were selected by C.P.M.G. The students of 3rd and

4th year were provided with a google form. In the form they have to mention two names one is of

head coordinator and other one is of coordinator on the basis of their mutual understanding.

Further, they also mentioned the name, description, instructions and requirements of their

respective event.

Then there was an interview session by CPMG of all the nominees of event head coordinators

and coordinates. The CPMG asked the basic questions regarding their respective events and

based on their performance in the interview session, the best suitable members were appointed as

the coordinators of the various events.

APPOINTMENT OF VOLUNTEERS:

The volunteers of each event were selected by the head coordinators of respective events.

Student of 1st and 2nd year were provided with a mail informing them about registration as

volunteers of events. Students filled the requirements and instructions of their respective events

and head coordinators on the basis of their personal interview appointed them as volunteers.

DEPARTMENT DISTRIBUTION:

As the preparation and handling of a major fest like AAROHAN-2019 is not everyone’s cup of

tea. To make preparation and handling process smooth and minimize the difficulties work was

distributed into different. These different departments had different members of P.E.M.C and

certain members of C.P.M.G were appointed as their heads. There were total of 9 departments

for AAROHAN-2019 which were:

WEB+APP:

The web + app department was responsible for making website and app of

AAROHAN-2019. There were total of 08 members in this department who

worked for the development and maintenance of website and application. 7 | P a g e


SPONSORSHIP:

The works of sponsorship department is to bring sponsors for AAROHAN-2019.

The department was consisted of total of 11 members who carried out the field

work and work of convincing the sponsors.

EVENT MANAGEMENT:

The different events in AAROHAN-2019 were held under the supervision of

event management department. The department was consisted of 09 members

who carried out the time schedule along with venue of every event.

GRAPHIC DESIGNING:

The graphics of AAROHAN-2019 were designed by graphic designing

department. There were total of 05 members who worked for designing graphics

such as poster, icons for websites, banners etc.

LOGISTIC:

The logistic department was responsible for managing utilization of all the

goodies and equipment which were used in AAROHAN-2019. The department

was consisted of members who designed all the graphics.

INVITATION:

The invitation department was responsible for inviting different colleges in

AAROHAN-2019. The team consisted of 06 members who went to different

colleges and invited them to be a part of the fest.

DECORATION:

The decoration department was responsible for all the decorations of

AAROHAN-2019. The decoration team was consisted of total of 12 members

who decorated the PIET and made the beautiful campuses more beautiful.

MEDIA:

Media department bore the responsibility of handling online and offline

promotions for AAROHAN-2019, be it spreading the word of the event to the

general public or handling the social media channels for Aarohan-2019. Team

consisted 04 members each carried the work of content writing, designing, offline

and online strategy individually.

PHOTOGRAPHY:

The photography department was a team of 04 members who took photos of

every moment of AAROHAN-2019.

DAY WISE WORK REPORT

DAY 1: 10TH OF JANUARY,2019

The work for AAROHAN-2019 was started on 10th of January 2019. The beginning of

AAROHAN-2019 began with the selection of C.P.M.G members. The higher authorities of

POORNIMA INSTITUTE OF ENGINEERING & TECHNOLOGY shortlisted the members of

C.P.M.G on the basis of their work in AAROHAN-2018. The deserving students were called by

Dr. Gautam Singh (Chief Proctor) in his office and the members then guided by him. Some of

the guidelines provided to CPMG were:

We were explained about our work and duty in AAROHAN-2019

The mistakes happened in AAROHAN-2018 were also highlighted to minimize

the probability of occurrence of those mistakes again in AAROHAN-2019.

We were informed about P.E.M.C and its selection process and how we have to

coordinate with them to work more efficiently


On second day a mail was composed for each department of POORNIMA INSTITUTE OF

ENGINEERING & TECHNOLOGY to inform them about selection of PEMC members. Each

department selected two students one male and one female by a selection process. Each section

of the college selected two students and then the faculties carried out an interview session of

each one of them to select the deserving students as member of PEMC.


Day third was the day of interaction. The higher authorities along with C.P.M.G took an

interaction session of P.E.M.C. The session conducted for about 1 and half hour. There was a

presentation to explain them about the AAROHAN-2019, to explain them what actually P.E.M.C

and C.P.M.G is and how they have to work together respecting each other to make it a most

successful fest. Also, P.E.M.C members were asked about the priorities for their area of interest

to work for AAROHAN-2019.


On the morning of day 4th all the members of C.P.M.G and P.E.M.C gathered in Aarohan cell.

The C.P.M.G distributed the members of P.E.M.C according to the requirement of members in a

particular department. It was the day when both groups started working together for

AAROHAN-2019. Each department was provided with particular desks and the head of each

department explained their plan and strategy to their department members.

As we know that PIET always follows a procedure to carry out any kind of activity. So here to

work for AAROHAN- 2019 we also followed a systematic procedure in which list was made

every day consisting of two columns. One column was of the work to be done on pre

sent day and other one was of the work to de done on next day by each department, so that

everyone can get the idea of their work and at the end of the day we used to check the list to

ensure that whether the work was completed or not.

On this day the student of 3rd and 4th year were also provided with a mail attached with google

form for the selection of event head coordinators and coordinators. They were also provided

with the deadline for the filling of registration form which was till 12:00pm next day.

DAY 5: 15 TH OF JANUARY 2019

1. WEB + APP: The department restored the website of Aarohan. They reviewed the

complete code of the website and analyzed all the changes they

had to make to make the website more convenient to use and

more effective. They analyzed all of their requirements for the

improvement of the website.

2. EVENT MANAGEMENT: The

event management team finalized all

the events of AAROHAN-2019. There was allocation of a particular

time slot to each event and this allocation was done by this department. The prize list for all the

events was also prepared by the department.

3. SPONSORSHIP: The sponsorship team decided the sponsors and collected their contact

numbers and addresses. The whole department

was then differentiated into small teams and

each team was given with a particular route in

order to cover more and more sponsors in a

short period of time.

4. GRAPHIC DESIGNING: On this day,

the graphic designing department designed the identity cards of CPMG and PEMC

members. They firstly collected the detailed list of all the members and then started

working on a particular card.

5. LOGISTIC: This day the logistic department worked for providing decoration department

all of their requirements. They discussed with the decoration team about their

requirements and made them available. The department worked for providing all the

requirements as early as possible at a reasonable price.

6. INVITATION: The work of invitation team was to invite more and more colleges and

make them a part of AAROHAN-2019. So, first of all invitation department made the list

of all the colleges which were invited in the

fest. They collected all the necessary

information of the colleges like email id’s and

the best route was fixed to cover the more

number of colleges in a short duration of time.

At the end of the day a team was ready to

invite all the colleges in the fest.

7. DECORATION: After getting all the

requirements, the decoration team was ready to

decorate the campus of PIET in the most

beautiful way. On the first day they crafted umbrellas for hanging in the walls. Flowers

and frills were also prepared by the team to decorate the walls of the campus.

8. MEDIA: As the main work of the media department to promote AAROHAN-2019 on the

social platform. To complete the purpose, they prepared a teaser which was then

uploaded on YouTube and promoted on social sites like Facebook and Instagram. The

teaser was just a glimpse of the awesome fest which was socially active at the end of the

day. They also promoted the official page of the fest on social media.

DAY 6: 16 TH OF JANUARY,2019

1. WEB + APP: There was a meeting between the department

and the third parties. They gained access to their login id’s

and their domains. The login access and the cleaning of the

database was also done by the department this day.

2. EVENT MANAGEMENT: The event management team

allocated the venue for each event. For the allocation the

visited all the suitable places in the campus and found the best possible venue for each

event. They studied all the registrations of event head coordinators and coordinators and

prepared a final list of all the nominees. These nominees were then called for an

interview through an email.

3. SPONSORSHIP: The sponsorship team called the different sponsors and fixed

appointment with them. The team visited to N.K. publishers and RAT coaching institute

for the

sponsorship.

Some of the

sponsors in the

field of food were

also covered by

them. They

visited Pizza

farm, food

kingdom, thali house, hunger farm and pent house for making them sponsors of

AAROHAN-2019.

4. GRAPHIC DESIGNING: To promote AAROHAN more and more there was a need of a

poster and the need was fulfilled by graphic designing team by designing a beautiful

poster which was based on the theme on AAROHAN-2019

5. LOGISTIC: The logistic

department prepared the master

requirement sheets for the events.

They analyzed the market price of

all the requirements and find out

the list of shops from where all the

requirements were bought at the

most reasonable rates.

6. DECORATION: The work of decoration department was proceeding with the preparation

of their required materials. They prepared the lamp balls and stars which were based on

vintage theme. Frills and different selfie spots were also designed by the team which was

then used to in the campus during AAROHAN-2019.

MEDIA: The team prepared the content and description for discovery sites. They have

established the contacts with the local sites and asked them to promote AAROHAN-2019

on their sites.

1. WEB + APP: The department prepared group login panel for the website. The group

login panel was for the teams who took part in AAROHAN-2019 to register in the fest.

The event panel for the

website was also finalized at

the end of the day which

contains all the information

regarding the events of the

fest. All kind of information

regarding the events of the

fest were enquired from the

event panel of the web-site.

2. EVENT MANAGEMENT: The nominees of

event head coordinators and coordinators were

called by event management department. Then

there was an interview session taken by the

department to select the best suitable coordinator

for a particular event.

3. SPONSORSHIP: Sponsorship department was

working for bringing more and more sponsors in AAROHAN-2019. They visited many

sponsors in one day which were Burger King, Koffeeholic, Follow Up Meeting, Sky it,

Belgium Waffers, Omni ice cream, Gold gym, Kitchen, Gulabi Junction, Rapido, Shades,

GNS, Anytime Domain, Sub-way, Fit up, VIP Bags.

4. GRAPHIC DESIGNING: The graphic designing team designed the invitation and RSVP

cards for inviting other colleges in

the fest. They also designed the

icons and images for the website.

The GUI of the app of

AAROHAN-2019 was also

designed. Also, the re-designing

of the poster was done this day

5. LOGISTIC: The logistic department prepared the list of all events. They discussed about

all the events and their requirements. The list of total mementoes required for the events

was also prepared by the department.

6. DECORATION: The decoration department was working with great passion. The

different walls of the campuses were painted, and the windows and the vintage theme

were also completed. They further

prepared dream catcher and moons for their decoration purpose.

7. MEDIA: The list of forums and other sites was prepared by the department. They also

posted photos on social media to promote AAROHAN-2019 as more as possible. The

captions and promotional content was also ready at the end of the day by the media

department.


1. WEB + APP: The department continued

their work of developing website and

application of AAROHAN-2019. The UI

was modified and the Google API was also

integrated this day.

2. EVENT MANAGEMENT: The event management team worked on the selection process

of event coordinators. The interview session of the left nominees of event coordinators

was taken and the revision of final list was done by the higher authorities of PIET. There

was a problem developed with the e-mail link of 1st year students which was then sorted

and a main was sent to 1st and 2nd year students for the registration as volunteers in

AAROHAN-2019

3. SPONSORSHIP: With their target to bring more and more sponsors sponsorship

department was working hard to bring sponsors. The department visited NK, chai Sutta

Bar, Bakari & Home, Tatoo Nasha, Rama’s, Tea Connect for trying to make a deal of

sponsorship with them.

4. GRAPHIC DESIGNING: The work of Graphic

Department was proceeding with the designing

graphics for the website and application for

AAROHAN-2019. They designed all the icons

and background of the website and application.

The designing of social media hashtags and

logos was also done.

5. LOGISTIC: The logistic department worked for providing all the requirements of the

decoration department.

6. INVITATION: The invitation department collected the email ids of all the colleges which

meant to be invited in the fest. The department mailed every college informing them

about the fest.

7. DECORATION: The work of decoration department was proceeding with the preparation

of their required materials. They prepared the selfie points, will chain, lamps, dream

catchers and hangings.

8. MEDIA: The media department was working for promoting AAROHAN-2019 on social

media platform. They listed the events on the discovery sites which were 9 in total

including Explora, Know a fest, Fuccha, Twenty 19. Some photos of preparation were

taken by the department for uploading them on Instagram and schedule and poster of the

fest was also been uploaded on the social platform.


1. WEB + APP: The department scheduled the UI design of the Aarohan app for using it on

tablets. The selfie camera of the app was also improved and the maintenance and

extraction of the API data was also done. The department also worked for developing the

accommodation panel and group registration panel of the website of AAROHAN-2019

2. EVENT MANAGEMENT: The department scheduled the timing of every event and

completed the itinerary

of AAROHAN-2019.

They discussed for

selecting the best

suitable venue for the

events. The seminar of

students of 1st year was

also taken by the

department informing

them about registrations

in individual events.

3. SPONSORSHIP: The sponsorship department for bringing more sponsors for the fest had

a meeting with Chai Sutta Bar. They also visited Tattoo Nasha, Rama’s, Backtecle and

Rat and had a conversation with the about the fest.

4. GRAPHIC DESIGNING: The Graphic

Designing team design the RSVP form and event

list of the fest. They designed invitation letter

and posters for inter events. Certain logos and

icons were also designed for website and

application of AAROHAN- 2019

5. LOGISTIC: The department finalized the

mementoes and trophies of the events.

They prepared the list of hoodies and T-

shirts and certificates used in the fest.

6. DECORATION: Decoration department was busy in decorating the walls of the campus.

They painted 5 walls and crafted flowers, umbrellas and frills for the purpose.

7. MEDIA: As the department was responsible for promoting the fest on the social platform,

they updated contents on the social networking sites like Instagram and Facebook. The

promotion on Quora was also done by the department. Further, they prepared the contents

1. WEB + APP: The department checked the

entries of participation in individual events

of AAROHAN-2019. They solved the

queries of 1st year students and fixed the

bug of the website. They also designed the

splash screen and uploaded the details of

the events on the app of AAROHAN- 2019.

The API was integrated and there w as

final testing of the website. The website of

the fest was live at the end of the day.

2. EVENT MANAGEMENT: The event management department uploaded all the data on

the website of the fest and prepared description and instruction of different events on

excel. The finalization of all the coordinators was done and itinerary was also completed.

A mail was also forwarded to the coordinators. The department also rechecked schedule

of events and all the data of the

website. The department discussed with

the coordinators of the events and

prepared a list of their requirements.

Planning of latitude and longitude was

done. The department also rechecked

and updated all events on the website

and mail was also sent to the HOD’s

regarding the registration of teams for the group events.

3. SPONSORSHIP: As the new day began the sponsorship department visited new sponsors

like ENCC, Meet & Treat, Zoom car, Wicked ride, Skyline and kafeholic. The also had

conversation with Tea connect, Nandlal Chole Wala, Dose Wala, Snack Sada Desi,

Nutrition 360 and Aditya Sports regarding the sponsorship for the precious fest.

4. GRAPHIC DESIGNING: The Graphic

Designing department designed flexes

and posters for different events. The also in collaboration with the app team designed

icons for Aarohan app.

5. LOGISTIC: The department accepted all the requirements from the coordinators of

different events and prepared the requirement list, prize list with mementoes and

certificates.

6. INVITATION: The department visited 15 colleges of Jaipur and 12 colleges of Kota and

invited them for AAROHAN-2019.

7. DECORATION: The decoration department crafted 41 balls, 53 stars, 8 moons, 30

flowers, 36 dream catchers and 16 umbrellas. Stars and flowers, Directions for Tibetan

market Motidungri land were also prepared. 2 walls of PIET and 5 walls of PCE were

under process for painting. One wall was complete at the end of the day.

8. MEDIA: The media department created groups of the coordinators and selected photos

and contents for the social networking sites. There were different posts on the social

media and shoot outs were posted. The question and answer content for Quora and the

content for other sites was also prepared.

DAY 11:22 nd OF JANUARY,2019

1. WEB + APP: The website department solved the problem of bugs in the website and also

solved the login problems faced by 1st year students.

2. EVENT MANAGEMENT: The department shared information with the HOD of each

department about the registration of teams in the group events of AAROHAN-2019.

They checked the

description and venue for

the events. The

department rechecked

the final itinerary and

sent department

crippling. There were

certain responses of

volunteers which were

also checked and the

department set all the

events flag wise. 3. SPONSORSHIP: The department called different sponsors. They also visited many

sponsors personally for making them sponsorship partners of the fest. The department

visited Engineers Academy and met up with NK. They also visited Charcoal Eats, Mix

Kar Shake Kar, Kulhad Café, Pizza Hut, Shree Bakers, Pizza Farm and the Pizza

unlimited.

4. GRAPHIC DESIGNING: The department

designed the event flexes and different posts

for uploading them on social media.

5. LOGISTIC: The department updated the

requirement list for various events that are

required for the proper execution of events in

AAROHAN 2019.

6. INVITATION: As the invitation department was responsible for inviting different

colleges for the fest, the department visited 5 colleges of Jaipur and invited them. Not

only Jaipur, they also visited 10 colleges of Jodhpur and 8 colleges of Ajmer for making

them also a part of the fest.

7. DECORATION: The decoration

department crafted colorful stars and

flower fans. They also prepared 22 wind

charms and vintage cars like Jeeps and

BVS. Further, walls of the campus were

under process for painting.

8. MEDIA: The department posted different photos on social media and promoted the fest.

They also prepared context contents for the purpose.

DAY 12: 23 rd OF JANUARY,2019

1. WEB + APP: The website department removed bugs from the website and solved

problem faced by 1st year students while they logged in to the website for registrations.

Further, there were some problems faced by the HOD’s while registering the teams for

events were also solved by the department.

2. EVENT MANAGEMENT: The event management department formed the final itinerary.

A meeting was organized by the department with sports coordinators to discuss about their

fest and the volunteer list was also filtered. The department organized a fun corner at PCE

park for the poornimites about the fest. Also, there was a Marvel quiz, a PUBG quiz and

some dance and singing performances to let everyone know about the AAROHAN-2019.

3. SPONSORSHIP: The sponsorship visited and had conversation with different sponsors.

They visited Gold’s Gym, IHT, Sundevich, IIHT, Gadi Café, Zebronics, Pharm Easy, Jhaggu

Samosa and The soul Store.

4. GRAPHIC DESIGNING: The department designed the remaining posters of the events

and main holdings for the fest.

5. LOGISTIC: The department made separate

requirement sheets for sports, club, technical,

cultural and sound system.

7. INVITATION: The department visited

remaining colleges and invited them for the

fest aiming for maximum participation.

8. DECORATION: The decoration department crafted 41 Balls, 53 Stars, 8 Moons, 8

windows, 30 flowers, 36 dream catchers for their purpose of decorating the campus in the

best possible during AAROHAN-2019.

MEDIA: The department was working effectively to promote AAROHAN-2019 more and

more on social platform. For the purpose, they cross promoted the fest and shared some of

the contest online. They also shared status on WhatsApp informing everyone about the fest.

Further, posters were also pasted in PIET and Quora question and answer content was

1. WEB+APP: The web + app department solved bug problems of the website. They

analyzed all of the data and modified the U.I. The department resolved all the queries of

students regarding the precious fest. There were some more problems emerged in the

website which were further solved by the department and improvement was done in the

performance of the website

2. EVENT MANAGEMENT: The department reviewed the responses of the volunteers and

selected them from 1st and 2nd year for each event. The judges for each event were

selected and the details were updated in the website. The department organized a fun

corner at PIET to promote and make student aware about AAROHAN-2019.

3. SPONSORSHIP: The teams of sponsorship department visited sponsors for bringing

more sponsorship. They visited Cheese ‘N’ Fries, Chai Sutta Bar, Foodbarry Café, IIHT,

Red Bull, Charcoal Eats Stall Space and Mix kar Shake kar and had conversation with

them about the precious fest.

4. GRAPHIC DESIGNING: The Graphic Designing department finalized the flexes of the

events. The also designed some of the updates for social media and prepared itinerary.

6. INVITATION: The Invitation

department contacted & followed up to

invited colleges for participation

confirmation.

7. DECORATION: The department crafted flowers, Tibet Market, Aarohan 2019, vintage

cars, camera, Directions and wind charms. Further, walls were also under process for the

beautiful paintings.

8. MEDIA: The media department promoted the precious fest on social platform. For the

purpose, they posted whatsapp status. They also posted photos on Instagram and

Facebook and finalized all the posters and social handles for promotion.

In the evening of the day, whole of the team of CPMG and PEMC was taken to Motidungri

temple and Birla Mandir by Rajiv David sir. Ashwani Lata sir, Anmol sir and Mamta mam

were also present. The visit was to get blessings of Lord Ganesha before AAROHAN-2019.

Aarohan Coordination App. The website team tested the whole website and monitored it

online.

2. EVENT MANAGEMENT: The Event Management team updated the itinerary of the

fest. The department finalized the volunteers and judges for every event. They also had

meeting with coordinators discussing about their respective events. All things were

discussed in the meeting with coordinators in order to minimize the possibility of

mistakes during AAROHAN-2019.

3. SPONSORSHIP: The sponsorship department had a conversation with RAT coaching

institute and finalized the sponsorship deal and planned the places for the stalls during the

fest.

4. GRAPHIC DESIGNING: The graphic

designing event team prepared the event

flexes and sent them for printing. They

also designed the main flex of

AAROHAN-2019 and posters of inter

events.

5. LOGISTIC: The Logistic department

updated the requirement list of each

department and distributed all of their

requirements.

contacted colleges and confirmed their participation in the fest.

7. DECORATION: The decoration department was busy in decorating the campus. They

also painted the walls of the campus

had paid promotional talks with Instagram

handles and with Neeraj Jain sir regarding

other companies. The department also did

departmental promotion and prepared

content for the motion photos which were

then updated on social medias.

DAY 15: 26 TH OF JANUARY, 2019

1. WEB + APP: The department was monitoring the working of the website. They fixed all

the problems occurring due to the bugs in the website.

2. EVENT MANAGEMENT: The event management department planned the hierarchy of

event team for execution of AAROHAN-2019. They finalized all the judges and

volunteers of events and sent an invitation to the judges. They also met with coordinators

of the events discussing them about planning, execution and requirements of their events.

3. SPONSORSHIP: The sponsorship department planned for providing places for stalls in

AAROHAN-2019.

4. GRAPHIC DESIGNING: The graphic designing department designed the logo for

AAROHAN-2019 for the documentary. The designing of posters of inter events and intra

events was also done.

5. LOGISTIC: The logistic department made availability of all the requirements of event

management department.

6. INVITATION: The invitation department followed up the invited colleges, for assuring

their participations in the fest.

7. DECORATION: The decoration department was busy in decorating by painting the walls

of the campus.

8. MEDIA: The media department uploaded different posts and stories on social platform for promoting AAROHAN-2019. Poster of the sponsors was also uploaded and content was prepared for promotion.


As it was the final day of preparation every department was finalizing their work.

all the errors present in the data.

instruction was given to the coordinators. The volunteer list was also finalized and they

4. GRAPHIC DESIGNING: The Graphic Designing team designed I-cards for the event

coordinators and volunteers. The department also finalized all the posters, banners and

flexes.

5. LOGISTIC: The logistic department prepared the final list of all the requirements of

AAROHAN-2019 and checked the final availability of all the requirement

colleges and ensured their participation in the fest.

7. DECORATION: The decoration department was the most busy department of the day as

it was the day of placing and hanging all of their prepared crafts. The in coordination

with other departments decorated whole of the campuses. They also completed all of their

wall paintings.

8. MEDIA: The media department uploaded different posts on Facebook and Instagram.

They also uploaded different stories for the promotion of the fest. As it was the day

before beginning of AAROHAN-2019, the department promoted the beginning of the fest

with great enthusiasm.

All the departments after completing their work indulged in the work of

decorating the campuses. The campus was decorated in the best possible

way. There were different selfie-spots, stars and moons were hanged,

trees were decorated with lights and hangings.

BEGINNING OF AAROHAN -2019

The moment everyone was waiting for has arrived. It was the beginning of the most auspicious

tech-cult-sports fest AAROHAN-2019. The fest began with great enthusiasm by the poornimites

on 28th of January, 2019 and it was successfully concluded with a celebrity night in the evening

of 1st of February, 2019. The five-day fest inspired everyone to explore and display their

potential to the fullest.

The most precious tech-cult-sports fest AAROHAN-2019 was inaugurated on the morning of

28th of February,2019. The inaugural ceremony began with Ganesh Vandana by Yogita Tak and

Pooja Gupta followed by lamp lighting chief guest Mr. Sundar Singh Gurjar. (He is an Indian

Paralympic javelin thrower, shot putter and discus thrower competing in F46 events. He set a

world record at the 16th Para Athletics National Championship in Panchkula holding three gold

medals in three events) and Sh. M.K.M. Shah, Director Admin. & Fin., PG, Sh. Hari Singh

Shekhawat, Director Infrastructure, PG, Dr. Mahesh M. Bundele, Director, PCE, Dr. Dinesh

Kumar Goyal, Director, PIET, Sh. Pankaj Dhemla, Vice Principal, PCE, Mr. Rahul Singhi,

Director, PG, Mr. Pushpendra Mudgal, Assistant Director, PG. Then there was introduction and

unveiling of trophies and words of wisdom by the Chief Guest. The girls of 1st year glorified the

event with their group dance. The majestic inaugural ceremony was concluded with Lighting of

AAROHAN Mashaal by Chief Guest & Handing over to Students to take it from PIET for fixing

it at Maa Saraswati Temple, PCE.

were classified into four categories technical, sports, cultural and club.

INVITATION TO LORD GANESHAThe beginning of AAROHAN 2019 was initiated with the invitation to LORD GANESHA.

AAROHAN team members together with faculties went to MOTI DUNGRI temple to invite the

blessings of GOD to shower upon us. With this, our team gathered motivation and courage to

start the fest with people full of energy and enthusiasm. An invitation card was prepared by our

decoration team to invite the auspicious blessings.

1. At our event venue there were no arrangement of mic and speakers due to that we were not able to control the rush as on that place there were 3 events going.

2. after 45 minutes of reporting we have to change our loactions to seminar hall and event started by 1:15.

3. As in morning all the events were going late so many contestants were engaged in other events. They were not able to attend our event or first round due to that.

4. There were no one for announcements as were told that there will always be someone who will take care of any announcement and we contacted help desk for that also but we have to manage everything.

5. App was not working properly so we mananged to take attendance on paper seat which created a high rush.

NOTE:- The event went well after 1:15pm and we announced our winners by 4:00pm.

CELEBRITY NIGHT

NAKASH AZIZ was invited to perform on the celebrity night organized by the PIET. The

celebrity night was held on 1st of February. 7 students was selected from the PIET in culmination

to receive Nakash Aziz and his crew from the airport on the day of the performance.

The celebrity night incepted with RJ Palak from

98.3FM inviting Nakash Aziz and his bandmates to the

stage. Nakash took the stage and received a warm

welcome from the students and faculty of the PIET. He

then went on to perform his hits along with some old

songs.

The night conceded with mementos to Nakash Aziz and

his bandmates.

Problems: Some of the major problems that we faced during the conduction of the event were:

1. Department team formation was necessary due to which the best of players from different

teams could not form a team together.

2. Some of the Event Coordinators were not able to bring teams from other colleges due to

which college participated teams were carried on to the inter event.

3. Attractive night shows other than celebrity night was missing which could have attracted

a lot of participation from other colleges and accommodation facilities.

4. Preparation of AAROHAN 2019 started only 15 days before the scheduled dates which

leads to some missing points like: Sponsorship, Marketing of Fest, Event publicity.

5. Some big events like Band Performance, Instrumental night were missing which could

have attracted a lot of crowd.

Solutions:

1. Preparation of AAROHAN must start at least 1-2 months before the scheduled dates so

that all arrangements are done on time.

2. Team formation from departments must be removed.

3. To ensure maximum participation in INTRA events, attractive prizes must be there for

the students.

4. In some events like solo dance, solo singing, Group dance etc., INTRA and INTER

category must be removed. Instead, Prelims and Finals must be there to maintain the

decorum of the stages.

5. There must be a thorough selection process for the finalization of Event Coordinators.

CONLCLUSION

The event was conducted successfully under the mentorship of High Authorities, CPMG and

PEMC members, Coordinators and Volunteers. Students from POORNIMA INSTITUTE OF

ENGINEERING & TECHNOLOGY as well as the other colleges appreciated our efforts. All

faculties and staff members congratulated us on the successfull conduction of event. Any

misbehave, ill-mannered, or other kind of intolerable activity did not happen in the college

premises. All the required facilities to the judges, referees, outside students were provided on

time. Celebrity Night, with the gracious presence of singer NAKASH AZIZ conducted

successfully by ensuring services like Security, Accommodation and Transportation services,

Hospitality, etc. Certain small problems were solved immediately due to the timed response

of all our team members. We, the AAROHAN team can say that its our discipline and team

work towards the fest that give us the confidence to face challenges whenever they come in

our path.

Juniors worked with the Final Year to grab as much learning and experience as they can to

maintain the hierarchy.
