Product Release Notes & Overview SchoolLeader Version 7.0 March 2006 The following information outlines features that are new -- or have been enhanced – since the last release of SchoolLeader. Enhanced and Expanded Biometric Features Starting with Version 6, SchoolLeader introduced an integrated perimeter security solution called SafePASS™. This innovative new feature used our Series 3000 scanner to use “biometrics” for controlling access to your building without the use of Mag-cards or PINS. Now, with Version 7, the world of biometric identification has been expanded further into SchoolLeader using our new Series 2600 desktop scanner and expanded functionality. Biometric enhancements with CheckPoint: Now, in addition to having parents and employees identify themselves from CheckPoint with a PIN code, you can also configure CheckPoint to use a small desktop finger scanner (shown at right). This new S2600 scanner plugs directly into the CheckPoint stations USB port and requires no special wiring or power source. This will help speed up check-ins and also eliminate the undesirable practice of “buddy clocking” (employees signing each other in and out). With CheckPoint set for biometric identification, the user receives the window shown below rather then the standard “Enter your PIN” window. Also, when you have the new biometric feature turned on with CheckPoint, Students can now sign-in themselves at the station! This can be useful for those schools who have older children entering for after school or camp programs.

The following information outlines features that are new -- or have been enhanced – since the last release of SchoolLeader.

• Enhanced and Expanded Biometric Features Starting with Version 6, SchoolLeader introduced an integrated perimeter security solution called SafePASS™. This innovative new feature used our Series 3000 scanner to use “biometrics” for controlling access to your building without the use of Mag-cards or PINS.

Biometric enhancements with SafePASS: For those using the original SafePASS™ perimeter access system, Version 7 now gives you two new features;

1) The option to block automatic entry at the front door if a person’s outstanding balance exceeds a specified amount. Forcing a person to be “buzzed-in” if their balance exceeds a certain amount gives you the needed opportunity to discuss account issues before they become a major problem,

2) The elimination of a need for supplemental PIN codes with their scan. Eliminating the need to have a customer enter their birth day makes opening the door easier and quicker.

Biometric enhancements with FrontDesk Manager: FrontDesk Manager has now also been given the power of Biometrics! You can now setup a desktop “Registration Station” using one of the new Series 2600 scanners to conveniently register a customer’s finger right at your front counter area.

With this new option in FrontDesk Manager, you no longer need to use one of your primary Series 3000 door lock scanners to perform registrations (although you can still do it that way if you prefer). Having the registration process built directly into the Student, Guardian, or Employee Folder also gives you the added advantage of “seeing” the finger print as it’s being scanned so you can ensure the finger is positioned properly and of good quality.

Once the image is scanned and captured, it is stored in your database for use by CheckPoint or SafePASS to allow that customer to easily identify themselves in the future without annoying PINS or swipe cards. For security purposes, the image is encrypted and stored safely in your

database where no one can access it but you. This image can also be easily purged from your database at any time by simply pressing the “Erase Finger” button to the left of the image.

• New features to help you better control your labor costs Employees who persistently check-in early and check-out late can increase your labor cost unnecessarily. This is because strict Dept. Of Labor rules prevent an employer from rounding up to the nearest quarter hour if that adjustment exceeds 7 minutes. To help avoid overpaying for those employees who persistently check-in 10-15 minutes early, CheckPoint can now be instructed to block early check-in’s that exceed 7 minutes. With this feature enabled, someone trying to check-in at 7:45 instead of 8:00 will be stopped and asked to see the front desk.

Short lunch breaks is another problem that can increase your payroll costs. By law, the USDOL requires any “break” less then 30 minutes to be paid. For this reason, many of you probably already instruct your employees to only checkout for lunch. However, if your employee checks back in for lunch after 29 minutes, by law, you are required to pay them for that time. To prevent lunch time from becoming paid break time, CheckPoint can now be instructed to block anyone from checking back in within 30 minutes of a mid day checkout.

Of course, employees can always be checked in manually from the FrontDesk Manager’s Classroom Folder regardless of the situation. To activate these new rules simply go to EDIT CHECKPOINT OPTIONS on the CheckPoint menu and select one or both of the choices (as shown below).

In addition to controlling CheckPoint Station, selecting the “7 minute rule” will also affect the Schedule Reconciliation process. With this option selected, the reconciliation process will NOT prompt you for any adjustments that are within 7 minutes. It will assume you want to adjust them back to the scheduled time and automatically make the appropriate adjustment.

• Enhanced Receipt and Statement printing features Prior to Version 7 it was difficult to print a duplicate receipt in the event you needed one (paper jam, etc.). Now you can issue a duplicate receipt simply by opening the Payment window and reselecting the Print Receipt checkbox. If you have proper permissions (“Receivables / Delete” authority) the duplicate receipt will automatically print when you close the window.

In addition to easier duplicate receipt printing, you can now also have SchoolLeader automatically print Account Statements for you when authorizing batched credit card payments from the Electronic Banking Manager window. Credit Card and Debit Card payments posted from this window are usually automatically generated when you run your recurring billing process. When it’s time to process these payments through Chase-Paymentech®, the customer is most likely not present.

Having the option to print a statement while the payments are being authorized allows you to easily and quickly produce printed documentation of all your authorized (or denied) payments in the batch. These paper statements can then be distributed to your parents when they return at a later time.

• New Enrollment Category to better track prospects

SchoolLeader allows you to segment the life-cycle of your customer relationship into 4 categories; Registered, Enrolled, Started, and Disenrolled. These four stages of a students time at the school are fundamental to your business relationship and are key to several functions within SchoolLeader. Starting with Version 7 a new “tour” category now allows you to distinguish when (and if) a prospective customer has been given a physical walk through and presentation of your site. This category comes after the Registration and before the Enrollment.

If you monitor the effectiveness of your tours, this new field and related reports can help you track the number of tours that result in enrollments.

• New modifiable startup screens for CheckPoint Station

A new configuration option has been added to CheckPoint Station which allows you to control which window initially displays once a user signs in. In previous versions, the “Contact” screen always initially displayed for Parents, and the “Work Hours” screen displayed for Employees. Many customers have asked us for the ability to configure that startup screen. Now you have it!

• Better display of date range whenever Accounting Periods are being selected

Have you ever been viewing a window which is displaying an Accounting Period and found yourself unsure of the date range associated with that period? Even if you’re intimately aware of your Fiscal Calendar, it’s sometimes difficult to correlate a period number (e.g. Period 23) with the date range it represents. Starting with Version 7, SchoolLeader will now always display a period’s date range whenever you need to select accounting periods. This goes for reports, windows, and anywhere else you see Accounting Periods.

For example, when printing a Payment Allocation report, you are asked to select the Accounting Period range. Now, that same selection window will also display the date range to the right of the period numbers as shown below;

• Enhanced Employee Attendance reports to support non-weekly payroll periods.

Most of us pay our employees weekly, some pay semi-weekly, and a few of us pay bi-monthly. For those paying on a bi-monthly cycle (e.g. 1st and 15th of each month), SchoolLeader did not offer the same flexibility with overtime calculations. Starting with Version 7, all the employee attendance reports can support any of the three possible payment methods.

• Enhanced All Contact Reports All the Employee and Guardian “contact reports” in SchoolLeader have been modified to now include email addresses and mobile#’’s. This helps support the changing ways we now stay in touch with our customers. In addition, all reports can now more easily be exported to your regular email program to allow you to send statements and other reports (see next item for more information on this enhanced exporting changes)

• Enhanced Roster Reports Both Primary Classroom rosters have been expanded to now include sub-reports at the bottom that alert you to students scheduled to start soon (pres-starts) as well as students registered for future openings (waiting lists). This information, combined with the actual active rosters, will help give you a more complete picture of needs for the classroom and assist you in predicting when openings may occur for waiting list students.

• Reporting and Exporting capabilities improved Version 7 includes an upgraded version of our report viewer which provides improved performance and a few extra features, including easy exporting of reports.

You can now export your reports to even more third party products including the later versions of Excel, Word, Crystal Reports, RTF, and more. You can also easily convert your reports to Adobe PDF format and even email them to anyone right from within SchoolLeader! To see the export options and begin the process, simply press the first icon on the toolbar once the report is displayed.

• Improved handling of year end Retained Earnings Version 7 now moves Revenue and Expense balances to Retained earnings as the last transaction of the current Fiscal Year rather then the first transaction of the next Fiscal Year. This follows more standard accounting practices and makes eliminates the need for manual journal entries to Retained Earnings
