ALERT_ETAXFORMS_ONE ETAXFORMS_ONE

Generates tax data files for ONE member registered for e-statements and an email notification is sent

Prompts you for the tax file name: CU660 or CU711 – The program will use the IRS (electronic transmission) file, so the control

“Transmit Electronically” should be set to “Y” in CU98IRS prior to running CU660 and CU711.

Prompts you for the Member Number: – The member must be registered for e-statements with an activated email

address

Use this program to test the tax forms for one member before sending it out to all members. – Be sure to run your test for a member who has met the minimum

dividend amount requirement or the system will not find the member in the tax files

– If you are not sure who has met the requirement, you can verify they are located in the tax files by reviewing the host report generated when running ETAXFORM_RPT2


ALERT_ETAXFORMS ETAXFORM

Generates tax data files for all members registered for e-statements and an email notification is sent

Prompts you for the tax file name: CU660 or CU711 and Tax Date – The program will use the IRS (electronic transmission) file, so the control “Transmit

Electronically” should be set to “Y” in CU98IRS prior to running CU660 and CU711.

– Date: The date you enter here is the date in which the statement will display within the statement list. If you want tax forms to display at year end for example, enter 12/31/2012.

Creates data files for printing – Tax data of all members NOT registered for e-statements.

– /data/<LIVE>/CPU.660/CPU.660.CUBUS

– /data/<LIVE>/CPU.711/CPU.711.CUBUS

Printing Tax Forms – If you want to print & mail tax forms for all members, use the original file, CPU.CU660

or CPU.CU711

– If you want to print & mail tax forms for only members NOT registered for EStatements, use the new file CPU.CU660.CUBUS or CPU.CU711.CUBUS

– OR (for CU660 ONLY) use the CU660 program to NOT print certain (e-statements) mail codes when you generate the vendor file.


ALERT_ETAXFORMS_ALL ETAXFORM_ALL

Generates tax data files for ALL members and NO email notification is sent

Prompts you for the tax file name: CU660 or CU711 and Tax Date – The program will use the IRS (electronic transmission) file, so the control

“Transmit Electronically” should be set to “Y” in CU98IRS prior to running CU660 and CU711.

– Date: The date you enter here is the date in which the statement will display within the statement list. If you want tax forms to display at year end for example, enter 12/31/2012.

Requires that you have installed the following add-ons in order for all members to view their tax forms: – View PDF Statements

New programs to handle printers that only accept the HFS print image format.

Currently, we can generate modified print image files for 1098, 1099-R, and 1099-INT forms

These programs will create files excluding those members who are registered for EStatements.

Each of these programs will create reports in SP.MAINT and create modified files in the /data/LIVEACCOUNT/CUBUS_FTP directory on the host for you to send to your print vendor – The -1 report is a detailed report of what is in the filtered file after the tax forms for registered

EStatements/CUTaxForms members have been removed

– The -2 report is a report of the members that were filtered out (registered for EStatements/CUTaxForms

HFS Print Image Format


Reprocessing Tax Forms

All of these programs can be re-run if any corrections are made and new IRS files are created.

To prevent duplicate files on the server/within the statement list, use the same date when running the program each time (i.e. 12/31/2012) so that the files are overwritten.


Host Reports

ETAXFORM_RPT1 – Totals for each form type for a given file

– ETAXFORM.RPT1 in SP.MAINT

ETAXFORM_RPT2 - Detail listing of members that are within a given file. Also includes a total count, by form type, at the end of the report.


ETAXFORM_RPT3 - Creates a CU711.CUBUS2 file that contains 5498 and 5498-SA forms that have had contributions/alterations. Also filters out payees that only have a fair market value.

Sample email templates are provided at installation – Location:

– Directory: 2012 CUTaxForms Email Templates

The files located in this folder are for sending a plain text email and mobile device notification.

– Directory: 2012 CUTaxForms Email Templates\HTML-WithCommonTags

The files located in this folder are for sending an HTML email which utilizes the System Settings – Common Messages tags. Unless you’ve done a lot of customization with your email templates and utilize these tags, in most cases only new customers where the 2009.2 version was their initial install, will be utilizing these tags in their templates. Note: For mobile device notifications, you will also need to copy/paste the *Summary.txt files from the 2012 CUTaxForms Email Templates directory.

– Directory: 2012 CUTaxForms Email Templates\HTML-WithoutCommonTags

The files located in this folder are for sending an HTML email which do not utilize the System Settings – Common Messages tags. Note: For mobile device notifications, you will also need to copy/paste the *Summary.txt files from the 2012 CUTaxForms Email Templates directory.

Tax Statement Description

To modify the description which displays for members in the statement table, please do the following

– Edit the C:\Cutech\CUAlert\Live\CuAlert.ini [ESTATEMENT_xx] section for all Tax Statements

– Desc=2012 - 1099 Tax Statement

If you have a web facing server for CUBUS applications that is different than the database/application server, please make these changes on both servers.

– 2009.1 and Higher Customers

Login to CuNotify1Admin

– Alert Settings System Alerts EStatements Edit Stmt Type or Alert Settings EStatement Notify EStmt Type

– Click on the hyperlink for each tax statement in the “Type Name” column and edit the Description.

Note: An IISRESET is required after changes have been made.
