2.1styearAttheendofthefirstyear,youmustforwardthefollowingdocumentstotheDoctoralSchool:

• Thethesiscommitteecomposition;Thethesiscommitteewillfollowyourprogressinthethesisprocess(includingthemid-thesisexam).Itiscomposedof:1. Thethesisdirector(andco-directors,ifapplicable)2. Twoexperts,atleastonefromoutsidetheDepartmentofyourthesisdirector.Noneoftheexpertscanhavecollaboratedinthethesis

projectorpublishedwithyou.RegardingtheJuryforthethesisdefence,seepoint5.B,page5.3. Thepresident(nominatedbytheDoctoralSchoolduringthefirstyear).

• Thefirstyearreport(ashortreport,onepageA4)signedbythePhDstudentandthethesisdirector;• The documents related to the doctoral program with a minimum of 4 ECTS (including 2 tutorials) or according to the specific

requirementsoftheprogramwithastudyoption;• Ifyouareenrolled intheLifeSciencesprogramFREEstudyoption:Usechecklist1andforwardallthedocumentstotheSecretary's

Office.Ifyouareenrolledinaprogramwithastudyoption(CVM,EE,MS,IECB),forward

- Tothe Secretary'sOffice(phdthesis@unil.ch):Thethesiscommitteecompositionandthefirstyearreportonly.- Tothe ProgramCoordinator:AllthedocumentsrelatedtothePhDprogram(ECTS).

3.2.5yearsThemid-thesis exammust be presented at the latest 2.5 years after the official enrolment. During this exam, the student presents theadvancementofher/hisresearchinfrontofthethesiscommittee.ThePhDstudents,togetherwiththethesisdirector(s)andcommitteemembers(includingthePresident)chooseanexaminationdate.Atleast15daysbeforethemid-thesisexam,youshouldforwardthefollowingtotheDoctoralSchool:

• Themid-term report presenting the results and the work progress (max. 20 pages, double-spaced, 30 references). This documentshouldbesignedbyyouandthethesisdirectorandalsobesenttothethesiscommitteemembers.

• The"Confirmationofthethesiscommitteecomposition"providedattheendofthefirstyearbytheDoctoralschool.Thisdocumentshouldmentionthedate,hourandplaceoftheexam.

4.EndoftheprogramYou need to fulfil the following program requirements:minimum12 ECTS, according to the specific requirements of the programwith orwithoutastudyoption.Pleaseforwardthedocumentsforvalidationofcoursesatanytimeduringyourthesis,butatthelatest4weeksbeforethedepositofthethesismanuscripttotheSecretary'sOffice(=manuscriptfortheoralprivateexam).Please,forwardthesedocumentstoyourcoordinatoranduseChecklistn°2.Shouldyouhaveanyqueriesontherequirementsoftheprograminwhichyouareenrolled,contactyourprogramcoordinator.5.Areyoureadytodefend?Inbrief,youwillhavetowriteyourthesis,defenditatthe“privatedefence”sessioninfrontofaselectedjury.Ifyoupass,youwillthenbeallowedtopresentyouresearchinaformatmoreaccessiblefornon-scientistsinfrontofapublicaudience.Atthispoint,thejurywillgiveaformalfinalevaluationconsideringthesefourpoints:

1)Theresearchwork(skillsandautonomyofthePhDcandidate;originalityofthePhDproject)2)Theformatandwritingstyleofthethesis3)Theprivatedefence/exam(aka:soutenanceprivée,colloquedethese,privateexam,ororalprivateexam)4)Thepublicdefence/exam(aka:soutenancepublique,publicexam,ororalpublicexam)

Thethesisdefenceusuallyoccursinthe3rd,4thor5thyearofenrolmentintheprogram,providedthatthe12ECTSofthecoursework(andthepossiblyadditionalrequirementsofthespecialisedPhDprograms)havebeenobtainedandthemid-thesisexamhasbeensuccessfullypassed.It is the responsibilityof thePhDstudent togetherwith the thesisdirector todeterminewhenthestudenthascompletedenoughworkofpublicationqualitytocompletetheend-of-thesisprocess.A.ThesisformatConsulttheThesisFormattingSection(below)toproperlyorganizeandformatthethesisdocument.B.PickyourjuryAthesisjuryneedstohaveminimum4membersandmaximum6andhastoinclude:

• Thethesisdirector(andco-directors,ifapplicable)

• Twoexperts,atleastonefromoutsidetheUniversityofLausanne.Noneoftheexpertscanhavecollaboratedinthethesisprojectorpublishedwithyou.

• Thejurypresident(alreadynominatedbytheDoctoralSchoolduringthefirstyear).Emailalljurymemberstocoordinateadatefortheprivatethesisdefence.Oncethedateisfixed,reservearoomonthecampustoholdtheprivatedefence.Thecompositionofthejury,aswellasthedateandlocationoftheexamhavetobeannouncedtotheSecretaryofthethesisprocedures(phdthesis@unil.ch)atleast5weekspriortotheprivatethesisdefence.C.Beforetheprivatedefence(Art12oftheRules“PhDensciencesdelavie”)Youwillneedtosendthefollowingdocumentsthethesisoffice(FBMDoctoralSchool,Amphipôle324,Unil-Sorge,1015Lausanne)atleast5weeksbeforetheprivatedefence:

• Acopyofthethesis(paperversion)• Aletteroranemailsignedbythethesisdirectorindicatingthename,address,e-mailandfaxofeachjurymember,andalsothelocation,dateandtimechosenfortheprivatedefence.

• AnupdatedCVofthePhDstudent.• Alistofpublications,includingarticlesandabstractsrelatedtothethesisproject.• Twoone-pagesummariesofthethesis,oneinEnglishandoneinFrench.Eachsummarymustbewrittenonaseparatepageandincludethetitleofthethesis,thenameofthePhDstudentandthenameofthehostdepartmentofthethesisproject.

• Aone-pagesummaryofthethesiswrittenforthegeneralpublic,inFrench(pleasedonotforgettotranslatethetitleofthethesisintoFrench).

• TheCertificatewiththecreditsobtainedduringthePhD(hastoberequestedatthelatest4weeksbeforethedepositofthethesismanuscriptfortheprivatedefence).

• Alongwiththischecklist,clickhere.Atthesametime,sendacopyofthethesistoalljurymembers.Unlesstheyspecificallyrequesttheelectronicversionofthethesis,eachjurymembershouldreceiveahardcopy(theprinteddocument).TheDoctoralSchoolwillsendane-mailtothejury,withcopytothePhDcandidate,askingthemtosendtheirreporttotheDoctoralSchoolatleastoneweekbeforetheprivatedefence.Onthisreport,theywillevaluatetheformatandcontentsofthethesisandindicatewhethertheyconsiderthethesiseligibleforattributingaPhDdegree.Afterreceivingthesereports,theDoctoralSchoolwillsendthemtothepresidentofthejury.Afterreceivingthethesis,theDoctoralSchoolwillsendtheexam’sregistrationbill(500CHF)tothestudent’sprivateaddress.

6.PrivateDefenceHere,yourknowledgeinthefieldofthethesiswillbeevaluated.Thedefence(1-2hours)willbeconductedinthefollowingorder:

• 20-40minutesoforalpresentationbythePhDstudent• 2roundsofquestionsfromtheexperts• Deliberationbythejury

Duringthedeliberation,thejuryassigns3grades(1to6,passgradeis4,halfpointsaccepted)evaluatingthreeaspectsofthethesis:

• Theresearchwork(skillsandautonomyofthePhDcandidate;originalityofthePhDproject)• Theformatandwritingstyleofthethesis• Theprivateexamination,includingpresentationskillsandresponsestoquestionsposedbythejurymembers

Youwillneedtoobtainaminimumgradeof4oneachoftheseaspectstopasstheexamandtocontinuetothepublicdefence.Giventhatyouhavesuccessfullypassedtheprivatedefence,youneedtofixadateforthepublicthesisdefence,togetherwiththejurymember(atleastthejurypresidentandthethesisdirectorhavetobepresent).Thepublicdefenceshouldtakeplaceminimum3weeksaftertheprivateexam.Oncethedateisagreedupon,youneedtoreserveanauditoriumtoholdthepublicdefenceandannouncethelocation,dateandtimetothethesisoffice(phdthesis@unil.ch).Ifthejuryrequirescorrectionstoyourthesis,thedocumentfilledoutduringtheprivatedefence(the“procèsverbal”)shouldspecifyit.Thethesisdirectorwillbethepersonwhowillberesponsibleforcheckingyourcorrections.Yourthesisdirectorhastoreceivethecorrections,andannounce to theDoctoral School that thenewversionof the thesis is acceptable in its revised form,at leastoneweekbefore thepublicdefence.Theprinted final version of the thesis has to be handed to the president of the juryat or before the public defence. During the privatedefence,the“procèsverbal”documentwillbefilledoutspecifyingwhetherthepublicdefencewillbeheldinEnglishorinFrench.

7.PublicDefenceAs indicatedbeforehand, thepublicdefence takesplaceat least3weeksafter theprivatedefence.At theendof thepublicdefence, themembersofthejurydecidewhetherthethesisisjudgedasacceptable(“réussi”)ornot(“pasréussi”).Giventheresultissatisfactory,youwillreceive the “imprimatur” page (official approval that the thesis can be printed) from the jury president, a copy of this page needs to beincludedinallfinalcopiesofthethesis.8.AfterthepublicdefenceA.BoundcopiesofthethesisdocumentAfterthepublicdefence,youhaveamaximumsixmonthstoprepareofficialboundcopies(seeThesisFormattingSectionbelow)ofthethesisdocumentanddistributethemasfollows:

• 1copyfortheDoctoralSchooltobesenttothethesisoffice.• 1copyforthedepartmentwheretheresearchwasdone.• 2copiesforthethesisdirector.• 1copyforeachmemberofthejury.Toavoidwastingpaper,timeandmoney,werecommendthatthejurymembersbecontactedtomakesuretheyreallywantafinalhardcopyofthethesis.Youdonotneedtosendacopytothepresident,unlessshe/herequestsit.

• 3copiesfortheBCUL(BibliothèqueCantonaletUniversitaireLausanne),oneofthemwithasummaryofthethesisinEnglish,ifthethesiswaswritteninFrench.These3copiesfortheBCULneedtobeaccompaniedbyaformavailablehere.

PleasenotethatPhDstudentshavetoremainenrolledattheUniversityofLausanneuntilthethesishasbeendepositedtotheBCULandtotheDoctoralSchool.B.On-linepublicationofthethesisThethesiscanbepublishedon-lineattheUniversityofLausanne,throughtheSERVALwebsite.

C.OrderyourdiplomaFillintheon-lineform“Applicationdecommandeélectroniquedegrade”availablehere.Notethatthepaperversiontoorderthegradewillnolongerbeaccepted.Anintermediateofficialcertificate,indicatingthataPhDhasbeenawarded,willbesentoutbytheDoctoralSchool.
