1. Entering the Pattersons Insurerbuild Website Log-on to http://www.insurerbuild.com Click on “Trade Login”, enter your user name and password. (You will receive your log in and password once the trade registration is complete).

2. Main Screen Functions The following screen will be displayed

To view trade

notes click on

number or

enter the job

number in the

Job Code box

There are 6 tabs that job requests can be located; Running Jobs, Reports, Quote Requests, Call Outs, Do & Charge & Completed. Click on the Tab Heading to view jobs. Running Jobs: Jobs approved, repairs that are currently running Report: Report requests. Your report should be entered via the Extranet. (see

4.7- not functional at this stage) Quote Requests: Quote requests, you will be given a brief scope to quote on. Your

quotation should be entered through the Extranet. (see 4.4 –not functional at this stage)

Call Outs: Emergency repairs/call outs that require action the same day. Do & Charge: This will list jobs that are not required to be quoted before proceeding. You

can carry out repairs and invoice Pattersons. Invoices must clearly state the cost of labour hours and materials. Refer to the SLA for rates and margins.

Completed: This will list all your completed jobs. Jobs highlighted in Red show the file is at File Closure. If a job is shown as File Closure, Pattersons anticipates that repairs are close to completion. Job highlighted in purple show that rectification works are required. Pattersons will advise you first if rectification works are required on any of your repairs.

3. Job Safety Analysis (JSA) Once a job is opened, a JSA (Job Safety Analysis) will be displayed as shown below;

The JSA lists the possible hazards involved in the repairs and the risk control measures required to eliminate or minimise the risk of injury arising from the identified hazard. By clicking „ok‟ you are acknowledging you have read and understood the control measures, it will be your responsibility to ensure these are put into practice. You will need to click „ok‟ for each activity. Click done to move to the next page.

4. Accessing Job Information

This page gives you access to all the functions for the job number you have selected.

Each of the functions shown above are detailed below;

1.Job Details - This is an overview of the job details.

2. Transactions This is where you will find the purchase order.

3. Notes - You can view your own notes as well as trade notes sent to you from Pattersons.

4. Quote - Not

functional at this stage

6. Manual – copy

7. Inspection Report - Not

9. View COS – This allows you to

view and print the certificate of

satisfaction.

10. Job Completion - This

4.1 Job Details

This is an overview of the job details

4.2 Transactions

To view the purchase order, click on Transactions.

Click on view P/Order to open the purchase order as a pdf. Print a copy of the PO for your reference.

4.3 Notes

Trade notes you have entered, as well as Patterson‟s trade notes can be viewed

4.4 Quote

Not functional at this stage. Further training will be provided in the future on this.

4.5 View all running jobs

Click on this button to view all your running jobs, you can also view any job by clicking on job

number.

4.6 Manual

Copy of the Pattersons Insurerbuild Extranet trade user manual.

4.7 Inspection Report

Not functional at this stage. Further training will be provided in the future on this.

4.8 Summary

This shows the total number of running jobs along with the value of all running jobs.

4.9 View COS

The signed satisfaction form must be signed by the client on completion of the job. This must be forwarded to the office with your Tax Invoice. Failure to provide a signed satisfaction form will result in a delay of payment until the client is able to forward their copy.

4.10 Job Completion

When you have completed the repairs, click the „job completion‟ button, it will prompt you to confirm the hours, materials etc, you then click on „save and complete‟ and an email will be sent to the file manager advising that you have completed the repairs.

4.11 Set Dates

To enter Start and completion dates; click on “Set Dates” Dates must be entered on receipt of your Purchase Orders. If exact dates are not known, estimated dates must be entered.

The box above will be displayed, enter your estimated start and completion date. Click Save.

4.12 Add Trade Note

To update the progress of a job, click on Add Trade Note.

Enter a brief description of your repair progress or any difficulties you are experiencing. Then click “Save Trade Note”. This will send a trade note to the Patterson‟s administration staff. Trade notes are to be entered at least every 5 days. Click back on the internet to return to the main page.

5. Troubleshooting

Please note: Pattersons Extranet only supports Microsoft Internet Explorer v8. While other browsers may work fine with the system, support and assistance by Pattersons will be limited to IE8 only. If you experience issues, please email [email protected].
