SUMMER 2018 CAMP CHECKLIST

___ Check your online information by going to the “Log In” link at the top of the Camp Jeanne d' Arc website. Complete Registration Form 2, Preference Sheet, and upload recent picture of your camper.

___ Schedule doctor’s appointment. Medical Forms must be uploaded to your online account by May 1st. ___ Confirm travel to and from camp. Schedule air travel between 12am-4pm. *See PLANE travel, pg. 17

___ Update travel information online on Registration Form 2 or contact the camp office with changes. ___ Order uniform shirts, swimsuits and other camp clothing. See the Clothing section in this Parent Guide

for details. ___ Order riding helmet and proper riding shoes/boots if your camper is horseback riding. ___ Set up Bunk Note account through your Bunk 1 account. You may pre-order Bunk Replies. See enclosed

Bunk 1 instructions. ___ Prepare your daughter to write letters home. Send her with stamps and stationary. For younger girls,

pre-address her letters home. Make sure she has an address list of important people including parents, grandparents and friends.

___ Mark every piece of your daughter’s clothing and equipment with her name. Use indelible marker or name tags. Use indelible marker with her initials on hard to label items. ___ Don’t forget that your daughter needs her shield if she is a returning camper. ___ Put your camper’s medicines and vitamins in large Ziploc bag with name outside and instructions inside.

All medicine and vitamins must be in original package/bottle. ___ Pack for camp with your camper using the enclosed Packing List. If needed, arrange for your daughter’s

trunk or duffel bag to be shipped to camp. ___ Review camp guidelines with your camper. ___ Make reservations for Visiting Days in Lake Placid, Plattsburgh, Burlington, Malone or Montreal. ___ MANDATORY LICE CHECK from a lice professional if your child’s school has sent home a notice in the last

6 months. ___ Talk about music with your daughter. Portable mp3 players are permitted. No cell phone or e-readers

allowed. We are a NO TECH zone! ___ Think about food on the day of travel, especially if your camper is taking the bus or flying. ___ “Pre-send” your camper a letter or care package for arrival within the first couple of days. ___ Notify camp director of all recent illnesses or if she has been on antibiotics within 14 days prior to her

HEALTH CARE Medical Examination: Each camper must be examined by her health care provider within one year of camp and must have submitted all of her current medical forms prior to arriving at camp. If necessary, your daughter's teeth, braces and eyeglass prescriptions should be checked before camp. Health Forms: See the Checklist for a list of the 8 pages of medical forms that must be submitted prior to your daughter’s arrival at camp. You may have more than 8 pages if the camper’s vaccination record and front and back of health insurance form is attached as a separate document. If you will be sending those documents after May 1st, please advise the camp director. Medications: All medications, even over the counter medications, vitamins and supplements, are kept in the Infirmary. All must be clearly labeled with your daughter's name, the name of the medication, dosage, and instructions for use. All Medications, vitamins and supplements must be in its original packaging/bottle. For campers with glasses or contacts, please send an extra pair and the proper cleaning supplies. For campers with braces, please make sure your daughter has the necessary wax and rubber bands. If your daughter needs to go to a local doctor for any reason, they will usually take your insurance information for billing purposes. If camp has to pay for any services or medications at the time of service we will bill your account. Tip: Put your daughter’s medications and vitamins in one large, clear Ziploc bag and mark her name on the outside with clear instructions for use of medications inside the bag. NEW OPTION FOR MEDICATIONS: We are suggesting the use of Campmeds.com for prescription medications because of the strict state requirements regarding medication dispensing for summer camps. This is just for prescription medications since our camp stocks most over-the-counter items such as Tylenol, Advil and Benadryl, etc.

Recent Illness: Please notify the Camp Director if your daughter has been ill or on antibiotics in the 14 days prior to her arrival at camp. LICE CHECK! Please do not send your daughter to camp with head lice! It is very difficult to get rid of lice at camp and very expensive. If your daughter comes to camp with lice, you will be charged a minimum of $250 for the cost of the treatment plus time spent picking nits. All campers are checked within 24 hours of arrival. We use only non-toxic lice shampoo and spray. We may choose to send a camper home rather than provide lice removal services. There will be no refunds for being sent home for lice. If your child’s school has sent home a lice notice within the last 6 months, it is mandatory to have her checked by a lice professional within the week before coming to camp. Vaccination Requirements: New York State requires each camper to be vaccinated for the same diseases as school children of the same age. At a minimum, your child must be vaccinated against DPT, Polio, MMR (measles, mumps, rubella,) HepB, Chicken Pox, Hib and Pneumonia. You must include a current year’s immunization record for your child even if it has not changed in a year. Further, New York State requires that we inform you about the potentially fatal bacterial infection commonly referred to as meningococcal meningitis. New York State Public Health Law (NYS PHL) §2167 and Subpart 7-2 of the State Sanitary Code requires overnight children’s camps to distribute information about meningococcal disease and vaccination to all campers who attend camp for 7 or more consecutive nights. Enclosed with our medical forms is a form

requiring your response with regard to this disease as part of the required medical forms for the camp. New York State law requires Camp Jeanne d’Arc to maintain a record of the following for each camper:

A response to receipt of meningococcal disease and vaccine information signed by the camper’s parent or guardian; and either

a) A record of meningococcal meningitis immunization or

b) An acknowledgement of meningococcal disease risks and refusal of meningococcal meningitis immunization signed by the camper’s parent or guardian.

YOU ARE REQUIRED to complete the medical form stating whether you gave the vaccine to your child or whether you choose not to give the vaccine. YOU ARE NOT REQUIRED to give the meningitis vaccine to your child.

MENINGITIS INFORMATION

Following is what we are required to tell you by New York State: Meningococcal disease is a serious bacterial illness. It is a leading cause of bacterial meningitis in children 2 through 18 years old in the United States. Meningitis is an infection of the covering of the brain and the spinal cord. Meningococcal disease also causes blood infections. About 1,000 – 1,200 people get meningococcal disease each year in the U.S. Even when they are treated with antibiotics, 10-15% of these people die. Of those who live, another 11%-19% lose their arms or legs, have problems with their nervous systems, become deaf, or suffer seizures or strokes. Anyone can get meningococcal disease. But it is most common in infants less than one year of age and people 16-21 years. Children with certain medical conditions, such as lack of a spleen, have an increased risk of getting meningococcal disease. College freshmen living in dorms are also at increased risk. Meningococcal infections can be treated with drugs such as penicillin. Still, many people who get the disease die from it, and many others are affected for life. This is why preventing the disease through use of meningococcal vaccine is important for people at highest risk. There are two kinds of meningococcal vaccine in the U.S.:

Meningococcal conjugate vaccine (MCV4) is the preferred vaccine for people 55 years of age and younger. For example, 2 MCV4 vaccines are Menactra™ and Menveo™.

The Centers for Disease Control and Prevention (CDC) recommend two doses of MCV4 for all adolescents 11 through 18 years of age: the first dose at 11 or 12 years of age, with a booster dose at age 16. Adolescents in this age group with HIV infection should get three doses: 2 doses 2 months apart at 11 or 12 years, plus a booster at age 16.

If the first dose (or series) is given between 13 and 15 years of age, the booster should be given between 16 and 18. If the first dose (or series) is given after the 16th birthday, a booster is not needed.

Meningococcal polysaccharide vaccine (MPSV4) has been available since the 1970s. It is the only meningococcal vaccine licensed for people older than 55. The trade name of MPSV4 is Menomune.

Both vaccines can prevent 4 types of meningococcal disease, including 2 of the 3 types most common in the United States and a type that causes epidemics in Africa. There are other types of meningococcal disease; the vaccines do not protect against these. Information about the availability and cost of the vaccine can be obtained from your health care provider. Camp Jeanne d’Arc does not provide the vaccine. To learn more about meningitis and the vaccine, please feel free to contact your child's primary health care provider. Jeanne d’ Arc campers wear the camp uniform on Sunday evenings for Mass, Bible Stories or Inspirational Services; on special occasions, and certain day trips away from camp (motor trips). The camp uniform consists of a light blue polo shirt with the camp logo, tan/stone colored shorts, white socks, “good” shoes (top-siders or sneakers), and a navy-blue, solid colored sweater or jacket. Every camper should have 2 uniform shirts, 2 uniform bathing suits and at least 2 pairs of tan/stone colored shorts. Make sure all camp gear is labeled with your child’s name.

Uniform shirts must be ordered from Lands’ End using our Land’s End Store. o Light blue polo shirts with camp logo-light embroidery o We suggest the Girls’ or Women’s Feminine Fit Interlock Polo Shirt in Chambray Blue

Tan/Stone colored shorts, may be purchased anywhere. No distressed or short shorts.

Royal blue, one piece swim-team style “tank” suit, may be purchased anywhere. Available through Land’s End. o We suggest the Girls’ or Women’s Y-back Tugless Tank in Cobalt.

Those who live outside the U.S. may find it advisable to have clothing and equipment from Lands’ End and Amerasport sent directly to camp. If a size adjustment has to be made after your daughter arrives, we are happy to make the proper exchange. In addition to the uniform, your daughter should bring any of her own clothing that is durable and appropriate for camp. Please do not send any “good” clothes that outdoor activities and commercial laundering will harm. Sturdy, outdoor shoes/sneakers are required for camping trips and hiking, Keds and Vans will not cut it. Please do not send your camper with brand new hiking shoes—they will be hard and painful to break in at camp! High heeled shoes, dressy sandals and high clogs are not suitable for camp activities. We require sneakers to be worn for all field sports. New York State requires that all horseback riders wear helmets bearing the seal of the Safety Equipment Institute: (SEI) ASTM. Please check your daughter's helmet carefully before she comes to camp. Proper riding shoes or boots are also necessary. Sneakers and hiking boots are not proper riding shoes. For riding gear you can check out www.doversaddlery.com . They have helmets starting at $27 and riding boots starting at $32. Reminder: label everything! Use name labels that stick on or indelible marker. Even your camper’s initials help us return items left behind. Please send your daughter to camp with the extra, enclosed Packing List completed and maybe even taped inside her luggage. Following is a list of suggested items to pack in your daughter’s trunk. Be aware that cabin space is limited. Each camper typically has one or two small drawers, a shelf, limited hanging space, and room for her trunk/large duffel. Please pack enough, but not too much! Hint: If your daughter is flying, send her to camp with two large duffels rather than shipping the luggage. It is much less expensive to pay for two checked bags weighing less than 50 lbs. each than it is to ship luggage.

LAUNDRY & LINENS

Laundry is done once a week for each cabin group. Please clearly mark every piece of clothing and equipment that

your daughter brings to camp including the outside of her laundry bag, shoes, tennis racquets, guitars, cameras,

sleeping bags, etc. We strongly recommend use of indelible ink pens and/or sewn name tags on everything! Even initials

on towel tags help us return items from the Lost and Found. Any items left at camp will be donated to a local charity.

New Policy: Campers traveling by car or bus must bring cot mattress sized sheet sets, including pillow cases, from home. 2 twin, flat sheets will also work. We will wash them with the regular laundry. She should have two sets. Campers traveling by car should also bring their own blankets. All car/bus rider campers should bring a sleeping bag for overnight camp outs. We provide a sleeping bag and bedding to all who travel by air. TRUNKS & DUFFELS Please mark each piece of your daughter's luggage with her name and home address on the inside and the outside. If your daughter is traveling by car or bus, old-fashioned camp trunks work best. Check out Everything Summer.com to find good quality, heavy-duty trunks in fun colors. Duffel bags work well for towels, blankets, sleeping bags, raincoats, shoes and boots. For those traveling by bus, we will be able to accommodate one trunk and one duffel on the bus. The girls may also bring a backpack to carry on. For those traveling by air, you may wish to consider checking two large duffels each weighing less than 50 lbs. and using a backpack as the carry on. If you are going to ship the luggage, trunks and duffels may be sent via FedEx, United Parcel Service or USPS Parcel Post to your daughter at: Camp Jeanne d’Arc, 154 Gadway Road, Merrill, NY 12955. We can begin receiving shipped luggage as early as June 15th. At your direction, we will also ship your daughter’s luggage home and bill you for it. The average cost is $50-75 in the US, depending on weight. You may include a pre-paid return label and we will arrange pickup and delivery. If you will be shipping from an international location, please check with the local office for special shipping rules. You may mail luggage/trunk keys (on a small tag with your daughter's name) and/or combinations to the Director at camp. Give your daughter a duplicate set of keys to bring with her. HOMESICKNESS It is normal for campers to miss their home and family when they first arrive, even for veteran campers! It is a healthy, common response. We have considerable experience in working with homesick campers and our counselors are ready to help, listen, and engage your daughter in the excitement of camp life and making new friends. In dealing with homesickness, what was a crisis one day, may be easily forgotten the next. Please remember that overcoming homesickness is an important part of growing up and is a big part of what we do best at camp. It is not uncommon to receive a letter (or several) during the first few days of camp telling Mom/Dad of homesickness. In this event, we need help from you:

Keep in regular contact with your daughter by mail and/or Bunk Notes and keep your letters positive.

Tell her things like: o I’m so proud of you for taking on this challenge. o I can’t wait to hear what kinds of fun things you are doing and new skills you are learning. o You can do this!

Don’t write too frequently or send too many packages. You need to give your daughter the emotional space she needs to let go and embrace those around her. We will provide additional support as needed.

Remember, homesickness can be heightened when there are problems at home such as a relative's sickness, or a recent death, separation or divorce. If any of these events occur just prior to or during your daughter's stay at camp, please let us know. We can give your daughter additional support if we are informed.

Trust us when we say the 99.99% of the time, phone calls are a bad idea. It almost always exacerbates the situation. Letters and Bunk Notes are the BEST way to help your child overcome homesickness.

Do not make any special deals or promises, such as, “Let’s just see how you do the first few days” or “If you don’t like it, I’ll pick you up.”

o Those first few days, maybe even the first week, can be a little uncomfortable for a new camper. As she makes adjustments and overcomes her feelings of insecurity, she gains the confidence that makes the camp experience so valuable. If promises are made that allow an “escape” or “rescue”, campers tend to quickly retreat, not giving it her best effort. The experience can quickly go from sweet to sour. None of us want that! Instead of making promises of rescue, use the supportive phrases stated above.

COMMUNICATING WITH YOUR CAMPER MAIL: The postal address is: Camp Jeanne d'Arc, 154 Gadway Road, Merrill, NY 12955. Please mark letters and packages to your daughter with her full name and her cabin name, once you know it. Campers write home every Sunday and Wednesday unless they are out of camp on a hike or a canoe trip. Let us know if you do not receive two letters per week. Frequent short notes or postcards from parents, relatives, and friends rather than long, occasional letters, are better. Small packages with fun things to do (not food which attracts critters into the cabins) are particularly welcome. If food is sent in a package, it is kept in the Chalet to be retrieved at a scheduled time for a party or quick snack. The regular mail is slow so plan packages accordingly. Suggestions: mail a letter to your camper before she leaves so that it will be waiting for her at camp when she arrives! Don’t forget to review the enclosed instructions for using Bunk Notes and Bunk Replies. There are recent changes! Your camper cannot send you a Bunk Reply if you do not include one at the end of your Bunk Note. You may share access to only the Bunk Notes feature of Bunk 1 with family members who are not on your camp account. EMAILS AND FAXES: We regret that we cannot deliver personal e-mail to campers. However, we do offer an alternative called Bunk Notes through our vendor, Bunk 1. Bunk Notes is an email service that you may access from our web site and your account. With Bunk Replies, your daughter can hand-write a letter in response to your Bunk Note. You will receive a scan of the handwritten letter from your daughter within a day or two of your original Bunk Note. See page 12 for detailed instructions for Bunk Notes and Bunk Replies. If you have any questions about Bunk 1 and how it operates, you may call Bunk 1 directly at 1-800-216-9472 or email us here at camp at [email protected]. Please provide us with feedback about this service and this vendor. PHOTOS: Bunk 1 allows the camp to upload photos and daily newsletters to a secure site. We try to upload new photos 3 times per week. Please be patient with us as the internet connection can be somewhat unpredictable up in the Adirondacks. TELEPHONE: Generally campers are not permitted to make or receive telephone calls while at camp. Although some parents have a hard time with this, please know that this policy has proven to help our campers succeed in the process of becoming strong, independent girls who involve themselves with energy and enthusiasm in daily camp life. This is part of what Jeanne d’Arc is all about! Please give your daughter the almost unique opportunity to communicate with you in writing. The letters and Bunk Notes home are precious snapshots of your daughter’s life and there is great value in preserving this method of communication.

The camp director and administrative staff are always available to speak with you. We are happy to pass important messages along for you, and encourage you to call or email often. Sandy and Randy are always available on their cell phones at 704-936-7459 or 704-960-3949.

Special exceptions to the no call rule are made in the event of a family birthday (although strongly discouraged), illness or other family necessity but please be aware that the other campers will not be speaking with their families and this can lead to hurt feelings. If you must speak with your daughter, and this is often the case with first time parents and campers, we will arrange a time for you to speak on the phone. These calls are usually scheduled a couple of days in advance between 2 and 3 pm, which is our Rest Hour, or on Sundays. In cases of extreme homesickness, we encourage short, positive and supportive calls. Please ask our experienced camp staff to “coach” you before engaging in one of these calls. If you have an emergency or any concerns whatsoever, please phone us immediately. If there is a problem at camp, we will contact you.

HOW IT WORKS

Bunk 1 allows you to view photos of your camper, send “Bunk Notes”, and receive “Bunk Replies” from your computer or mobile device. Using a secure login, you’ll be able to send a “Bunk Note” to your camper at any time of the day and it will be delivered to your camper with the regular mail the next day. For Parents, go to www.campjeannedarc.com >My Account and use your email address and password to login. You may set up a Bunk Notes account for the summer by purchasing “Credits.” A Bunk Note Credit is $1 and packages of various sizes are available. Sending a Bunk Note costs 1 Credit. Attaching a Bunk Reply costs 2 Credits. Attaching photos, borders and puzzles cost additional Credits. There is no cost for viewing the pictures that camp posts online. You may also purchase mugs, t-shirts, high resolution photos, etc. from the Photo Gallery.

SECURE SUMMER PHOTO GALLERY

Viewing Photos: Click “Photos” on the left to be taken to the photo gallery. Photos are organized into albums and available to view as thumbnails or as a slideshow. Adding Favorites: Save the photos you love and make it easy to find them after the summer. There is no charge to view camp photos. Adding to Cart: If you would like to purchase high resolution images or photo gifts (t-shirts, mugs etc), add them to your photo basket by clicking the basket icon.

SENDING BUNK NOTES

To send a Bunk Note, select your camper’s name and cabin (just pick any cabin if you don’t know her cabin at first,) and type in your message. Before you select the “Send Bunk Note” button, you must attach a Bunk Reply to your Bunk Note if you would like your camper to reply to your note (if you have not sent your camper to camp with pre-printed Bunk Replies, see below.) You may also enhance your Bunk Note by attaching photos, borders, puzzles & more at this time. Only when you are finished writing your note, adding the Bunk Reply and adding any enhancements do you then select the “Send Bunk Note” button.

USING BUNK REPLIES

You provide your camper with Bunk 1’s uniquely bar-coded Bunk Reply Stationary. You have 2 options: 1) Attach Bunk Reply Stationery when you send Bunk Notes to your camper (a pay-as-you-go option). 2 credits will be

deducted from your account each time you choose to attach a reply. 2) Log into your Camp Family Portal by going to www.campjeannedarc.com > My Account. Starting on May 15, 2017 you will

be able to purchase unlimited Bunk Replies prior to camp ($20). You will receive your bar-coded stationary. Print off as many copies as you like and pack it for you camper to bring to camp!

Make sure your camper knows to write the reply on the bar-coded stationary. She should use a blue or a black pen. No pencils, colored pencils or crayons. You will only receive a Reply from your camper once she writes her note in the space provided on the Bunk Reply, turns it in to the camp office, and it is faxed into the system. Some campers will not write a response immediately or get confused about how the system works. If you do not hear from your camper in 4 or 5 days after you send a Bunk Note, please call the camp office.

FREQUENTLY ASKED QUESTIONS: Can other relatives use these services? Yes. As soon as you login, you will notice a button under the heading “Quick Links” to “Invite Family Members”. Click that button, enter their details and they will be sent an email. Please note: this will prompt them to set up their own account. It does not provide them access to your account or your Bunk Note Credits.

When can I start using Bunk Notes and Bunk Replies and gain access to the Photo Gallery? Bunk Notes, Bunk Replies and the Photo Gallery will be turned on May 16, 2017. Camp will start printing out Bunk Notes and uploading photos on the first day of camp, Friday, June 24th. If you would like to print out Bunk Replies in bulk before you camper goes to camp, you may do that as early as May 15th.

What do I do if I have lost my password? Go to www.campjeannedarc.com > “My Account” and click “Need to reset your password?” You will be prompted to enter your email address and will then receive an email containing a link to reset your password.

Can I access Bunk1 from a mobile device? The Bunk1 website is mobile optimized. Accessing Bunk1 from a mobile device or tablet will look different than it does on a computer screen. You will notice an orange bar at the top of the screen, with 3 lines on the left-hand-side. The lines provide access to the Bunk1 menu screen. Click this to navigate to photos and Bunk Notes.

HELP KEEP JDA UNPLUGGED! CELL PHONE USAGE IS NOT PERMITTED! While they are at camp the girls are not permitted to use their cell phones. We understand that many campers bring their cell phones to camp as a way of communicating with their parents when they are traveling long distances alone. That is fine. We will safely store her cell phone, along with her other valuables and flight information, in the camp office. We strongly believe in an authentic and present camp experience. There is both academic and popular literature which supports our “un-plugged” no cell phone, no computer policy. Use of cell phones and text messaging takes campers out of the camp community and puts them somewhere else. Please support us in this worthy endeavor by explaining our policy to your daughter before she arrives at camp. Cell phones, DVD players, laptops, e-readers and other “non-campy” items will be taken from the camper and stored in the camp office for safe keeping until the she departs. CABIN PLACEMENT New campers are placed with girls who are approximately the same age and grade. Prior cabin groups are generally kept together; however, final placement depends on length of stay, age, grade in school, individual development and availability of space. Requests to be with friends are carefully considered. We endeavor to honor all cabin requests. In no case will sisters or cousins or friends from home who are in different age groups be placed in the same cabin. Final cabin assignments are not made until shortly before the campers arrive. Please call or email the camp director if you become aware of a cabin placement issue as soon as it arises. PICTURES Please upload a recent photo of your daughter. We use your daughter's photograph to introduce her to our counselors prior to her arrival and for identification purposes when meeting campers at airports and on field trips. If your daughter is returning to camp, we’d appreciate an updated photo. You should upload your daughter’s photo into the registration system which may be accessed from our web site at the My Account link at the top of the page or you may email a digital photo to [email protected] and we will upload it for you. OPTIONAL ACTIVITIES The following activities are optional: horseback riding, waterskiing, golf, motor trips, bus transportation to and from New York City or White Plains, NY, airport pickups and luggage shipping. Optional activities are available on a first come, first served basis. There is a limit to how many campers can go on each motor trip or take part in horseback riding, waterskiing and golf. Wait-listing is an option. You may add optional activities using your online account. After June 1st, if you would like to change or cancel an optional activity, please contact us at the camp office. VISITING DAYS (see page 14 for schedule) Although parents are always permitted to see their daughters, for the welfare and happiness of our group, we request that you limit visits to the designated Visiting Days. Please see flier below of daily agenda. For the safety of our campers, parents will not be permitted to wonder through camp unattended. We ask that you do not take your daughter home on Visiting Day unless you have arranged for it in advance. Campers are not permitted to leave camp grounds with persons other than their parents/legal guardians unless we have a written permission from the parent/legal guardian. [email protected] CAMP GUIDELINES It is our goal to make Summer 2017 at Camp Jeanne d’Arc a wonderful experience for your daughter. In a group living environment such as ours, cooperation is essential and we find that campers are most comfortable when they know what is expected of them. So, we ask that you and your child be made aware of the following: Food: Please be advised that any food that is received in a package will be kept in the Chalet to be retrieved at a scheduled time for a party or quick snack. Food attracts animals into the cabins. We don’t want critters living with our campers! Our campers have dessert after every lunch and dinner; there are plenty of sweet treats at camp. Campers are offered fruit at every meal and during snack time each mid-morning. Care packages filled with fun, non-edible items, books, magazines and games are a great way to remind your camper that you are thinking of her! Pocket Money and Valuables, We cannot assume responsibility for any money or valuables kept by a camper in her cabin. Unfortunately, even in our small community environment, things get lost, stolen, or broken. We do not recommend sending expensive cameras. Again, please do not send cell phones, iPhones, iPads, laptops or e-readers. We are a NO TECH zone! If a camper brings one of those items we will store it in the camp office until departure day. Please make sure her personal items are clearly marked. If you wish to send your daughter with cash for her travel home, we will keep it in the camp office. For motor trips that are designated as shopping excursions, we will provide a fair amount of cash for the girls included in their trip fee. Again, girls should not bring cash to camp.

Gratuities/Tips: The offering of payments to counselors in gratitude or for special favors is against Jeanne d'Arc policy. All requests for special needs should be addressed to the director prior to your daughter's arrival at camp. If you would like to show our counselors your appreciation, please tell and/or write them your comments and thoughts—it is always nice to hear positive feedback! Or, bring flowers or a box of cookies or brownies for them to share in the Chalet.

Camp Tuition, Refunds and Cancellation: The balance of camp fees is due on May 15th. All payments are payable in U.S funds. It is possible to arrange tuition payment plans. If you must cancel for any reason before May 15th, your payments will be returned minus a $250 processing fee. Camp tuition fees are not refundable after May 15th but may be applied to future summers in the event of illness or other family emergency.

Camper Dismissal: Camp Jeanne d’Arc reserves the right to dismiss a camper without tuition reduction or refund at the Director’s discretion. We rarely send children home for disciplinary reasons, and always communicate with parents when we observe unusual or concerning camper behavior. However, if a camper’s manner is repeatedly inappropriate toward other campers or staff, or if the camper’s actions pose a threat to the safety of herself or others, parents will be called to pick up their daughter.

Drugs, Alcohol, Tobacco and Harmful Items: We are a non-smoking, non-alcohol and drug-free environment. Fireworks and firearms are not permitted at camp other than at sanctioned activities. Any camper or staff member violating these policies is subject to immediate dismissal from Camp Jeanne d’Arc. There will be no tuition reimbursement should a camper be dismissed from camp for violating this policy.

Vandalism: We talk to the girls throughout the summer about not writing their names in permanent marker on camp walls and furniture but every year we find names and “artwork” left behind. We consider ourselves the stewards of our beautiful camp and do not want graffiti anywhere. Nor do we want the cleaning and maintenance staff sanding and repainting every year for this reason. The girls are offered permanent plaques on which to write their cabin name, their names and to decorate for us to hang on the walls nicely. You will be charged a $50 vandalism fee for every instance in which we find your daughter’s name or other marking where it shouldn’t be. Please discuss this serious issue with your daughter before she comes to camp.

Risk: Hazards and dangers are inherent in camp events, activities and programs particularly, but not limited to, the activities of horseback riding, swimming and all water activities, camp games, hiking and mountaineering, camping out, archery, BB’s, and riflery. Although Camp Jeanne d’Arc takes safety measures to minimize the risk of injury to camp participants, Camp Jeanne d’Arc cannot insure or guarantee that the participants, equipment, premises, and/or activities will be free of hazards, accidents, and/or injuries. It is essential to instruct your child about the importance of learning and abiding by the camp’s rules, regulations, and procedures for the safety of all camp participants. Legal Waiver: When you register your child for camp, as part of the registration process, you have electronically accepted our Agreement and Liability Waiver. Among other things, our Waiver contains the following language.

“A successful camp experience is the result of mutual confidence and cooperation. Camp Jeanne d’Arc pledges to you our best efforts in providing a safe, supportive and satisfying camp experience and we ask that you cooperate with us in terms of supplying information in a timely manner and observing the terms of our Agreement and policies as described herein and in the annual Parent Guide that is provided upon enrollment. The party whose signature appears below agrees to be bound by the terms of this Agreement. If this Agreement and Liability Waiver is accepted electronically as part of the registration process it, in conjunction with the registration form and other information provided by Parent, shall combine to create one legal and binding Agreement.”

The Agreement and Liability Waiver also includes the following: Parent specifically consents to Camper’s participation in all activities sponsored by Camp, on or off camp premises, including but not limited to: swimming, boating, horseback riding (if applicable), water skiing (if applicable), athletic competition including bodily contact, and travel in camp-owned and/or leased vehicles. Parent understands that as part of the regular camp program, Camper may travel off the camp grounds by foot, by boat, by car, by van or by bus for such activities as nature walks, camping

trips (including overnight,) visits to nearby places of interest, day trips and travel to and from airports, etc. Parent understands that there are risks of bodily injury that might be involved in these and other activities that are conducted by the Camp. Parent agrees to release and indemnify, that is, to hold harmless in all respects, the Camp owners, directors, counselor staff and other employees with regard to any claims for injuries that may be incurred as a result of participation in these activities. Camper may utilize commercial carriers that have been hired by Camp when traveling to and from Camp as well as during participation in some Camp activities and trips organized by Camp. Camp is not responsible for any acts or accident of such commercial carriers. Parent understands that Camper may, as part of the regular Jeanne d’Arc program, swim at a location other than the Jeanne d’Arc waterfront which location is known as Lafayette Beach on Upper Chateaugay Lake. Parent understands that while on “out of camp” trips, camper may also be swimming or boating at sites that have not been inspected by the New York State Health Department. Permission is hereby given for Camp to use photographs, statements, articles, music, art, films and video of or by the Camper for the use, enjoyment and promotion of the Camp. (Note: we do not “tag” anyone under 18 in any of our social media posts.)”

TRAVEL 2018 CAR: Those driving their daughters to camp on June 29th, July 13th and July 28th are requested to arrive between 1-

2pm for arrival welcome! Pick-up time for departing campers on July 13th, July 27th and August 18th is between 10:00 am -11:00 am. Please call the camp office with any changes.

PLANE: Campers may fly to Burlington VT (BTV) (2 hours) or Montreal/Trudeau (YUL) (2 hours) or Plattsburgh, NY

(PBG)(45 minutes.) For Americans we suggest flying to BTV or PBG. For our international campers, Montreal often has better connections. Please arrange for flights to arrive and depart between 12-4pm, with optimal time being 2:00. Make sure to let us know the airline, flight number, arrival time and airport on Registration Form 2 no later than June 1st. Please reconfirm the flights and times 24 hours in advance of your daughter’s arrival and departure flights and let us know if there are any changes. Chaperones will meet campers at the airports. If you need the name of the chaperone for the airline, please tell them that the director, Sandy Abbott, 154 Gadway Road, Merrill, NY 12955, cell 704-936-7459, [email protected] , will be the chaperone. We use an authorization letter from the director to the airline naming the actual staff person who will be the chaperone in the director’s place. There is a $100 charge each way for chaperoned van pickup and delivery. After-hours airport trips can be arranged for an additional $100 fee (fee covers up to 3 travelers in the same family or party).

BUS/VAN: Chartered passenger buses with lavatories will take campers from the New York metro area directly to and

from Camp Jeanne d’Arc on June 29th, July 13th, July 27th, July 28th and August 18th. Chaperones will accompany the groups. In the event that the number of campers needing the bus service drops below our minimum number, we reserve the right to charter a van or use our personal camp van for transportation. A camp chaperone will be accompanying all transportation. There is a $250 charge for each bus/van trip.

8:15 am: from New York City: Damrosch Park at Lincoln Center: West 62nd St. between Amsterdam and Columbus, across from Fordham University. Chaperones will arrive at Damrosch Park at 8 am. Note: West 62nd St. is a two way street.

9:30 am: from Westchester: White Plains Bloomingdale’s Parking Lot, Bloomingdale Rd. (Just south of 287 and NY Hospital) Chaperone will be on the bus.

Friday, July 13th Departures. First 2-week campers will leave CJDA will leave at 8:00 am. They will be supplied with a sack lunch.
