Overview of Importing

Makes it easy to move data from one program to another

Import new records

Import update existing records

Create an import file that can be used by another application

You can also create an import file using an outside application, such as Microsoft

Excel, if you create the file using the header names included in the Import Tables

guide

New information is imported into The Raiser’s Edge, using the Import new

records option on the General tab

In addition, you can import new records and update existing records at the same

time, as long as the import types are compatible

Challenges

Bringing lots of new data into RE7 can be very time-consuming

Manual data entry tends to be slow and tedious

There is an ever increasing need to bring in data from disparate systems

Systems are constantly out of synch

Standard importing doesn’t always speed up the process

Typical Systems

Student Information Systems

Ticketing

Websites

Acquisition Lists

Bank Lockbox Files

Provides “one-click” import ability for data

received frequently from external sources

The system tracks and logs exceptions for

additional processing

Imports the data based on import templates

Has the ability to combine record types into a

single import (import gifts and constituents at

the same time!)

Imports gifts into RE: Batch

Adds new gifts, new constituents, or updates

existing records!

Custom Import™: What is it?

Ron Rivers | Page #21 © 2009 Blackbaud

Need to import constituent and gift data from another system to The Raiser’s

Edge on a regular basis

Want to reduce data-entry overhead and increase efficiency

Want to eliminate errors associated with manual data-entry

Want an audit trail (including log files) for their imports

Custom Import™: Who is it designed for?

For organizations that:

Custom Import™: How does it work?

Import templates are used to map data from the source file to the target Raiser’s Edge fields

The Custom Import application provides a screen used to select the import source file and the import template

After the user completes these selections they may process the import or cancel it

Gifts may be imported to a batch

Updates existing constituent records

Will add new constituents directly into The Raiser’s Edge

An Exception file is created if any problems are encountered

The system will also create a constituent query for all constituents that are added or edited through the Custom Import

Exception and Log (summary) reports are also generated

Can implement in 2 – 3 months remotely

Training and a User Guide is provided as

part of implementation

Can be customized to meet your unique

needs

Implemented remotely
