Critical Steps to Ensure Success
Training Overview
This presentation is designed to walk managers through their initial log-in and set up of the OSCER system.
The OSCER system is a database designed to help manage and track regulatory compliance of DOT drivers within EMBARQ.
Reminds management when medical exams, annual review documentation and drivers license renewal are about to expire.
Training Overview
There are three critical steps to successfully start using the system:
– Step One = Initial navigation to the site
– Step Two = Initial log in, reset of password, and confirmation of contact data for each manager
– Step Three = Confirmation and reconciliation of the manager’s list of drivers

Step One
Open your web browser (i.e. Internet Explorer)
Go to https://secure.safetyfirst.com/embarq/
You may want to save this link as a favorite
At that page, you’ll enter your ID and Password, and click on the Login button
Step Two
Since your initial password is only a temporary password, you’ll need to choose and save a new password.
Also, you’ll need to confirm your location data as presented (you may find some blanks).
Update these fields with the correct information and click the “save” button…

Together, SafetyFirst and your IT security team agreed that password maintenance is very important to safeguard the sensitive information contained within the system.
Step Two - Passwords
There are several critical tips about maintaining your passwords:
Passwords must be a minimum of seven (7) characters and contain three (3) of the following:
– CAPITAL LETTERS,
– lower case letters,
– numbers, and/or
– special characters like: @ # % &
Step Two - Passwords
Once the password is changed, it will be valid for 90 days. Passwords must be changed at or before the 90 day mark to ensure continued access.
You can not re-use the same password until you have used at least five other, unique passwords. In other words, Passwords cannot be duplicated for five (5) generations.

The contact information is for your primary work location:
– Work Address (Street)
– City, State, ZIP, Phone and Fax
– Your work e-mail address
– Company (i.e. Central Telephone Co. of Virginia)
If the data as presented is correct, you are done.
If not, just enter the correct information and click “save”

You’ll now see the main “Home Page” of the system:

While there are several buttons and functions, there is one critical step you need to take before we introduce other parts of the system:

Confirming your list of drivers.

On the right side of the Home Page screen, click “Confirm Driver”

This will pull up a listing of all drivers (regardless of their status) that report to you.

Carefully review this list of drivers.
You need to check two issues:
– Does your listing show the correct drivers who report to you?
– Are their individual status codes (i.e. “active”, “new driver”, “inactive”, etc.) correct?
TIP: if you need to print ANY screen within the system, you can do so by holding down the “Ctrl” key and hitting the “P” key
Driver’s List Complete?
There are three possibilities to consider:1.All the drivers that report to you
are listed2.There are drivers who report to you
missing from the list3.There are drivers listed who do not
report to you (If you have missing drivers or drivers that do not report to you,
instructions start on slide 19)
Status Codes Correct?
There are five possible status codes that may be displayed:
– “New” = In the process of being qualified as a DOT driver for the first time
– “Active” = Qualified driver
– “Inactive” – Not authorized to a drive commercial motor vehicle
– “Terminated” – No longer with the company
– “Disqualified” – does not meet qualification requirements
If a driver’s status is incorrect, click the drop down box under status and make correction
Driver List Updates
If any drivers who report to you are NOT on this list, send an e-mail to [email protected] with a list of:
– each driver’s name, and
– ID number
The DOT Compliance Staff will locate the driver records, move them to your list, and notify you when this is complete.

If you see drivers listed that do not report to you, then you may move the driver out of your list.

Click on the driver name – this will open a driver detail screen, then locate the manager box shown here

Click on the “manager” drop box and select either:
– The correct manager name (if you know it), or
– Scroll all the way to the top of the list and select a “blank field” for the manager. This selection will place the driver in a special pool of drivers for DOT Compliance group to reassign.
CONGRATULATIONS
Now that you’ve confirmed your list of drivers, the OSCER system is now active for your use.
