I would like to take this opportunity to welcome you to the NHS Nightingale Hospital Birmingham.
As part of our team, you will be crucial in our efforts to collectively deliver the care needed for many patients in the region. At the same time you are helping to support the organisations you usually work for, by easing the pressure on them.
I appreciate that all of us are in a new environment which will pose challenges in terms of familiarity, the scale of the task and the fact you are not working amongst teams who usually look out for each other. Be assured, we are all part of one new team with a common goal: to support one another and our patients in the best way possible.
It is important that if you have any questions at all, any concerns, or any suggestions that could improve the way we work at the Nightingale, that you communicate these to your managers. The leadership team is here to help and to ensure your health and wellbeing is not overlooked at this difficult time.

Key questions
What is the aim of NHS Nightingale Hospital Birmingham?• To support referring acute sites within NHS Trusts across
the West Midlands region to provide surge capacity for Covid-19 patients.
• To provide up to inpatient beds for Covid-19 patients when at full capacity.
• To provide compassionate, effective, efficient and safe care when NHS hospitals are reaching full surge capacity.
• To deliver the same clinical outcomes as established NHS hospitals when at surge capacity for Covid-19 patients.
Where can I park?Once on the NEC campus, staff need to enter via Gate 3 and park in the North 1 car park. Parking is free of charge but you will need to display a vehicle ID disc which will be supplied as part of your induction. Please observe the 20 mph speed limit on site. A pedestrian walkway and crossing will take you to the entrance.
What are the public transport options?Birmingham International railway station is on the NEC campus. There are plans for a staff bus which will run from station to the hospital entrance in line with shift patterns. Please note – the indoor pedestrian access through the NEC site (via the Piazza and Skywalk) is not open.

Can I cycle?Cycling is allowed on site but there are no designated cycle paths.
Cycle storage is available near to the Atrium 1 entrance.For more information, please go to www.thenec.co.uk/visitors/getting-here/ Where do I enter the building?Staff enter the building under the Nightingale Hospital Birmingham sign (Atrium Entrance 1).
Where can I get my ID badge?You need to bring your existing NHS (or relevant organisation) photo ID, and will be supplied with a specific NHS Nightingale Birmingham security card at your induction. You will need both to get into the building.
Where can I eat?Hot and cold food is available on site 24/7 at the staff restaurant. Out of hours, only frozen meals will be available. Microwave facilities will be available during these times. Please do not take food outside the staff restaurant. There are also vending machines in the atrium area.
Where do I get changed?There are male and female changing rooms on site. Each day you will change into a fresh set of scrubs. Scrubs will be laundered for you. There are lockers available but please leave all valuables at home. There are no staff showers on site.
PPE can be collected at entrances to each Hall.
I already have some annual leave booked – what should I do?Please let your line manager know as soon as possible and also email the Nightingale Workforce inbox: [email protected].
It would be ideal if staff were available for the whole period that the Nightingale Hospital is required, but HR will do their best to honour any pre-arranged annual leave.
I need to take some annual leave – how can I request this?If you are a seconded member of staff then this should be agreed by your manager at the Nightingale, booked through your home organisation and sent through to the Nightingale Workforce inbox: [email protected]
Who do I contact if I need to phone in sick?Please call the Nightingale Workforce on 07919 141 742. If you have been seconded from another NHS organisation, the Workforce team will notify your home organisation on your behalf.

Essential information
Care model principlesNHS Nightingale Hospital Birmingham will offer an inpatient service seven days a week, 24 hours a day. Its primary function will be to treat Level 0 and Level 1 patients to maintain capacity in feeder hospitals. This incorporates:a. Ongoing medical care for patients being treated for
COVID-19 b. Ongoing medical care for patients with incidental
COVID-19c. Patients with COVID-19 on an End of Life Care (EOLC)
pathwayIf it is clear that the requirements for ventilated capacity is being overwhelmed in the acute trusts, then the ventilated capacity will be available:d. Invasive ventilation, non-invasive ventilation and CPAP.
Chaplaincy/Spiritual CareThere is a Multi-Faith Hub on site. Religious symbols are available for those who wish to use them and the direction of Mecca is marked. The Chapel, Prayer Room and Wudu rooms (male and female) are located within the Multi-Faith Hub and are available for all.
Chaplains representing different faiths and traditions will be available to provide comfort and spiritual care to staff should they wish – whether they are religious or not.Chaplains offer a compassionate and listening ear whether religious or not and confidentiality is always maintained.
Clinical imagesIf you need to take clinical photographs of a patient, and do not have access to the UHB professional clinical photographers, you MUST use the Secure Clinical Image Transfer (SCIT) mobile phone app.
Please complete an online form: www.scit.uhb.nhs.uk. This will be authorised within 24 hours, and you will then be able to download the SCIT app to your phone.

EquipmentIf a piece of medical equipment e.g. blood pressure machine or syringe driver, breaks or needs repair please telephone Electro-Biomedical Engineering (EBME ) who are on site – the number can be found in the hard copy telephone directory. EBME are also operating an on-call service.
For issues with non-medical equipment e.g. beds or bedside tables, please contact the on-site warehouse via telephone. For any urgent issues, please email [email protected]
Family Liaison Team The Family Liaison Team has been set up to give daily general updates to relatives via a telephone call each afternoon.
Staff will need to complete a proforma each morning, identifying which patients they require this service for and giving the relevant information to enable the update. This will include the details of the next of kin and password agreed for the exchange of information.
The Family Liaison Team will only give general updates – any contact with relatives regarding significant changes in condition, end of life discussions or discharge plans should be made by the ward. Email: [email protected]
The PALS office will remain open (0121 424 0808) for general patient/relative concerns, queries, and signposting.

You can also speak to one of UHB’s confidential contacts – details here:www.uhb.nhs.uk/one-trust/ftsug/confidential-contacts.htm Health and wellbeing supportStaff and volunteers will have access to a comprehensive range of support including a telephone helpline 0300 131 7000 (07:00–23:00 every day), 24/7 text support (text FRONTLINE to 85258); online training and resources; psychological first aid training; supervision by peers/mentors; remote support; access to clinical leadership and psychological trauma expertise; occupational health; employee assistance and mental health support. We are planning to introduce 24/7 face to face support in the NEC and hoping to be able to provide the same service in centrally booked hotels. We recognise some individuals
may need support once their time at the Nightingale is complete and we are working on solutions for that.
Support services will be continually reviewed and updated to ensure everyone is receiving the wellbeing support they need.
There is a Quiet Room available to all staff. The room can be used by staff in need of a quiet place to reflect. You can find further information on the dedicated health and wellbeing staff support webpages by visiting www.uhb.nhs.uk/coronavirus-staff
Hotel accommodationSome staff and volunteers working at NHS Nightingale Hospital Birmingham may require accommodation near the NEC for a wide range of reasons. Hotels close to the NEC are available, with free transport provided for travel between hotels and the NEC campus aligned to shift start/end times. Hotel rooms will also be made available for staff or volunteers that wish to self-isolate in a hotel if a member of their household is symptomatic. Staff and volunteers do not have to stay in hotel accommodation and can stay in their own home if they wish. HousekeepingHousekeepers will be in each clinical area during normal hours. Out of hours, a rapid response team will be available for urgent requests.

Interpreting ServicesIf a patient requires interpreting services, please use Word 360 telephone service. Hard copy ‘Language Cards’ will be available in the Halls with contact details and the process to follow. For any queries, please contact Interpreting Services via email: [email protected].
ImagingThe following will be available on site:Chest X-ray, general plain film, diagnostic ultrasound and interventional ultrasound.
Paper request forms will be completed and there will a process for urgent requests.

IT ServicesThe following clinical systems are available on site:PICS/Clinical Portal/PAS (for medical records team)/CRIS/CareStream Vue Motion (PACS)/NORSE/UHB intranet.
There is a mixture of generic PCs (for use by all) at the ends of pods and UHB PCs (needing UHB log ins) at staff bases and various offices.
Telephones are available but staff will need to use full telephone numbers to dial out i.e. not extension numbers. Internal numbers will be used within the Nightingale Hospital.
Telephone contact lists will be displayed on walls/near telephones.
The IT Services 24/7 service desk can be contacted on 0121 424 1130.
Library ServicesStaff at Nightingale have online access to some of the best quality resources and support from the UHB Knowledge and Library Service.
All resources can be accessed onsite and offsite for free with a UHB Athens username and password. To register please visit openathens.nice.org.uk.

Mobile MessagingWhen using mobile messaging such as WhatsApp, please remember the following: • Please limit the use of personal confidential information• Always ensure you are communicating with the intended
individual • Only install apps from an official app store such as the
Apple App Store, the Microsoft Store or Google Play• Make sure you set and regularly review your privacy
settings • Beware of group chats and the liabilities of sharing
information too widely
PayrollStaff who have been redeployed from NHS trusts across
the region will continue to be paid via their home organisation using existing processes.
New staff employed via UHB+, UHB’s in-house staff bank, will be paid weekly in line with the current process. UHB staff will continue to be paid via the existing process.
PharmacyThere will be an on-site pharmacy warehouse for just-in-time deliveries.
Staff will not be using standard control drug cupboards and there will be medication storage in each hall.Medicines must be administered in line with the approved process outlined in the UHB Medicines Code. Exceptions to this practice agreed for the Nightingale Hospital Birmingham are:
Injectable medications administered via a bolus may be given by a single practitioner without the need for a second independent check.
The following exceptions exist:• Cytotoxic or Chemotherapeutic medications must have a
second independent check• Controlled Drugs must have a second independent check• Medicines added to fluid for administration via an
infusion
Note, a professional should also consider a second check in the following scenarios:• When administering an unfamiliar medicine• Where complicated calculations are involved e.g. weight
related doses, variable administration rates, changes between units of measurements, where medicines are mixed/added
Policies and procedures The NHS Nightingale Hospital Birmingham will operate under the policies and procedures of University Hospitals Birmingham NHS Foundation Trust. Where possible, these will be directly followed. In a small number of cases, due to the unique nature of the Nightingale, local amendments to UHB policies and procedures have had to be made. Details of Nightingale-specific policies and procedures, including information on how these differ from UHB, will be available on www.uhb.nhs.uk/coronavirus-staff in due course.
PorteringSenior staff can call for a porter from their staff base. Porters will be available 24/7.
PPE Appropriate PPE will be available on site.
Security and accessThere is a security presence on site 24/7. The security team

are based near the staff entrance.
Once on site, you will be able to access all areas apart from locations which may contain patient records such as ward manager offices and medical record offices.
To keep staff and patients safe, there is no access to the site without your existing photo ID (NHS or other organisation) and your new Nightingale security card.
Shift patternsShift timings are: day shift: 07:00–19:30; and night shift: 19:00–07:30. There will be a 30 minute handover period between shifts.
Shift patterns are: Two day shifts; two night shifts; three days off
These will vary depending on profession.

Personal mobile devices should not be used on wards. No staff, and most importantly patients, should appear in any content that you post. If you’re posting more generally while working at the NHS Nightingale Birmingham, please be mindful of your surroundings. Again, staff should not appear in any content you post. This also includes posting images of your work pass or having a picture where your work pass is on show.
If your social media bio mentions your usual role in the NHS or your temporary one at the NHS Nightingale Hospital Birmingham, please be mindful of what you post online that isn’t related to work. By identifying yourself as a staff member, what we say and do reflects on our organisation.
Be aware that your activity on social media can be traced back to you, so please take responsibility for protecting security online.

VisitorsDue to the absolute priority of care, and the highly infectious nature of COVID-19, there will be no access for patient visitors on site.
For patient advocates and those individuals who are required to make decisions on behalf of a patient without capacity, this should be done by telephone.
Virtual visiting will be available via the electronic tablets supplied which can be used for video calls.
Relatives will also be able to send in messages to patients via [email protected] and volunteers will deliver them.
VolunteersThere will be volunteers working at NHS Nightingale Birmingham. If you have a role for a volunteer, please contact 07775 119 462.
WasteWaste facilities will be available throughout the Nightingale site. There are no recycling facilities on site.
West Midlands Ambulance ServiceWest Midlands Ambulance Service University NHS Foundation Trust will undertake transfers and discharges to and from the Nightingale Hospital Birmingham. The Trust will coordinate these journeys through its robust Patient Transport Service and Emergency and Urgent Service arrangements.
For patients requiring a ‘frontline’ emergency ambulance crewed by a paramedic level clinician, please call 01384 215520.
For patients able to travel by non-emergency patient transport service, please call West Midlands Ambulance Service on 0345 200 6867.
Patient Transport Service vehicles can transfer/discharge patients who are suspected and positive for COVID-19. The vehicles carry oxygen and staff are trained and equipped to wear Level 2 PPE.
Any patients requiring ventilation or an aerosol generating procedure en route should be conveyed by a ‘frontline’ emergency ambulance.

Coronavirus: Your health and wellbeing Six Ways to Wellbeing
Eat and drinkKeep hydrated (drink!) and eat regularly.Preferably with hot or warm drinks.
Exercise Keep healthy by doing easy regular exercise in the comfort of your home or outdoors for fresh air, if possible.
Be mindfulSpend some time looking after your mind: focus on relaxation and breathing techniques.
