STUDENT PRODUCER JOB DESCRIPTIONS
Congratulations! You have been selected for an important job. This is a great opportunity to gainvaluable experience in coordinating and scheduling events and producing multimedia. You will beable to use your creativity in script writing and customizing your school’s video yearbook. As a VideoYearbook producer, your name will be listed in the opening and closing credits – that means yourschool will know YOU were responsible for the video. Remember, your job is VERY important. Hereis a description of all of your responsibilities as a student producer:
MEETINGS
Communication is key to a successful Video Yearbook. All student producers will meet withYearbook Innovation about 6 times during the school year. ALL student producers MUSTattend these meetings. You will receive an Edit Decision List (EDL), which is the working outlineof the video yearbook. Be sure to complete the EDL. Then keep this handbook in your facultyadvisor’s office, so that everyone -- all producers and the faculty advisor – has access to it.
SCHEDULING EVENTS TO BE FILMED
Please notify Yearbook Innovation of all events that need to be filmed by logging on toyour online user account (www.yearbookinnovation.com/myaccount) or by calling 888 MYYRBKS (option 2). Your message must include the name of the event, date and time, and anyimportant information about the event that our producers and videographers need to know. Youmust schedule filming no later than ONE WEEK before the event will take place. Sometimes, anevent occurs suddenly for one reason or another. Yearbook Innovation will do its best to coversuch events. Once Yearbook Innovation receives your message with your event’s information, wewill confirm the event via email and/or by calling your school’s faculty advisor. If you do notreceive a confirmation, please contact us to be sure we received your request. Important –If you forget to inform us of an event, that event might not be covered.
CANCELLING EVENTS
If you have scheduled an event with Yearbook Innovation and the event is cancelled orpostponed, please let us know as soon as possible. If you do not inform us of cancellation orpostponement, and a videographer arrives, there will be a charge to the school for thevideographer’s expense and time.
PUBLC RELATIONS
Keep your school informed! Student Producers are responsible for publicity, such as postersand intercom messages. It is part of your job to let school administrators and students know whenYearbook Innovation is filming an event.

A DAY IN THE LIFE
What is it like in the halls of your school, the cafeteria, the senior office or your favorite place tohang out? That’s what “A Day in the Life” is all about. We will spend one entire day at your schoolvideotaping classes, interviewing students, and videotaping the places you will always want toremember. It is your responsibility to arrange the date, time, and locations for taping “A Day in theLife”. Get confirmation from the faculty advisor and notify teachers about any classes that will betaped. “A Day in the Life” is outlined later (page 15) in this book.
DIVERSITY
Help select students for interviews. There are many students in your school with differentpersonalities. Let’s not just videotape the hams. They will get their fair share of the video!
GUIDES
Student producers will guide Yearbook Innovation personnel around the school during schoolevents or, if unable to be the guide themselves, arrange for other students to meet thevideographer and explain what is to be videotaped.
THEME
An optional responsibility is to have a theme and carry the theme throughout the video or DVD.Think of ways this theme would work visually and locate the places on the EDL that would makeyour theme unique. Collaborate with the Print book editor to coordinate the theme of thevideo. Using movies, T.V. shows, and the school mascot are just some of the ways tocustomize your Video Yearbook.
SPORTS
Sports producers must collect ALL sports schedules as soon as they are released (fall, winter,spring) and deliver them to Yearbook Innovation. Failing to send sports schedules may result inteams not appearing on Video Yearbook. Upload the schedules via your online user account atwww.yearbookinnovation.com/myaccount or fax the schedules to us at (646) 405 5188.If you ask us to tape a particular game, such as homecoming, just let us know. If any team is in achampionship game or players are about to break any school records, you must call the YearbookInnovation office ASAP. These are special moments that must be a part of the yearbook.Please inform your coaches that the team will be videotaped for the yearbook. When seasons areover, collect team stats, such as records and MVPs, and add them to your scripts!

SCRIPT
No memory product can be successful without a quality script describing the wonderful memoriesyou experienced throughout the school year. Meet with your faculty advisor and decide how thescript will be written. The script is divided into two semesters:
Script/Narration Part 1 should be completed by March 1st
Script/Narration Part 2 must be completed by June 15th (by graduation is preferred)
The script producer is responsible for seeing that script is sent in by the deadlines. Failing tomeet deadlines will mean in a delay of delivery of your yearbook! Producers will beresponsible for arranging 6-10 well-spoken student narrators to record voice-overs for theyearbook. Yearbook Innovation will give you an outline to work with at least one month in advanceof the script being recorded. Make sure the staff works together on writing the script, getting ittyped, and gathering the students or teachers to record the voice-overs.
PRINCIPAL’S MESSAGE
Arrange time, date, and location to interview your Principal for the yearbook. This will bescheduled toward the end of the school year.
Credits Your Video Yearbook will not be complete without the Opening and Closing Credits. Your
Video Yearbook is a memory for a lifetime, don’t’ let all your hard work go unnoticed!
DEADLINES
Deadlines are important! Student Producers must meet all videotaping, script, narration, customscene, title and music deadlines. Your yearbook will ready to be viewed for approval in October. Ifdeadlines are not met, your memory product may arrive late.

EDIT DECISION LISTThe Edit Decision List, or EDL, is your blueprint for your video yearbook. Good planning with yourEDL will help us to cover the activities you want covered during the year and ensure the success ofyour video yearbook. If you are shooting your own footage, sticking to the EDL will help our editorsimprove turnaround time. The following is an explanation of the headings on your EDL.
SC#: The number of a scene as it will appear on the Video Yearbook.
SCENE: A generic description of the event or graphic
EDITED SCENE: The event that will be appearing in the video for your school
TITLES/GRAPHICS/BANNERS: Certain scenes will have a title or graphic before it, a bannerover it, or a graphic design under it. Some of these will be customized for your school.
#SEC: The number of seconds or approximate length of the scene after editing. The length ofthe scenes can vary slightly to allow for live comments and other scenarios that are difficult toedit. We have allowed extra time in the EDL to accommodate some flexibility.
AUDIO N/NS/M: This area is to make notes about the audio for the scene: N for narration,voice-over or live sound; NS for natural sound (sound recorded by the camera mic); and M formusic. It is possible to have all three audio elements in one scene.
N: This is for the producer and editors notes to ensure that we narrated this scene.
TAPE #: Yearbook Innovation can shoot as many as 20 videotapes of content for your school.You may also provide us with videotapes or photos of events. This column keeps track of whatcontent is on what tape.

SCENE DESCRIPTIONSOur goal is to get as many different students on the video yearbook as possible.The Number One reason that students view the video yearbook is to seethemselves and their friends
Opening: The opening scene is a preview of the video. It can also be a student or students doing alive intro or students acting out a scripted skit that provides the theme to your video. This scene willalso include the front-of-school shot with opening credits rolled over it. You will need different anglesof the school building that amount to at least 20 seconds in length.
Friends: These shots will be of small groups of students (3 to 5 students per shot) and close upheadshots - no mug shots up against the wall. Fun shots… outdoor shots work well.
Divider Graphic: These are scene dividers that separate or introduce segments in the video, (forexample, spring sports, winter events) which are produced by Yearbook Innovation graphic artists.Footage is not required for any of the shaded divider graphic scenes on the EDL.
Fall, Winter, Spring Events: These video segments are introduced by the divider graphic andconsist of events that happened during that season.
Academics: During “A Day In The Life,” Yearbook Innovation will film all the traditional classsubjects, electives, and special school programs as well as shots of teachers with students.
Creative Classes: This segment highlights classes that promote artistic or creative skills (such asArt, Home Ed, Photography, Ceramics)
Student Comments: At least three student comment scenes are on the EDL. These scenes can allbe related to the theme of the video, the scenes around them, or used for student interviews.
Sports: This scene highlights all the boys and girls sports seasons of the year. Include coverage ofaction, coaches, sidelines and benches, and crowd shots for each sport.
Talent: There are two talent scenes on the EDL, one in the fall and one in the spring. Talent scenescan be used to show plays, musicals, choir programs, and band concerts. Take special care to getgood audio from these programs. Shooting dress rehearsals is also a good idea. Don’t forget thetech crew!
Band & Marching Band: This scene highlights the music department, including concerts andparades. We do not cover state marching band competitions – so please provide a video if your bandparticipates in the state competition.

Administrator’s Message: In this scene, your Principal delivers his or her message to the studentbody. The message should include the successes of the school year, any important events that tookplace, and a farewell to the seniors!
Fashions & Trends: This scene covers all the year’s trends, fads, and fashions.
Prom & After-Prom: Prom, like any other dance, should be shot with a camera-mounted light. After-prom footage should include games, food, and the parents that staff the event.
News: There are three, one-minute pre edited scenes that will highlight the news of the year.
Graduation: This includes highlights of the most important event of the year! The procession, thespeeches, and diploma distribution will all be included in the video yearbook
Post-Graduation: Hugs and congratulations after the ceremony, with credits run over these shots.
Closing: The closing bookends the video by restating the theme and offering closing remarks. Theclosing credits scroll over this scene.

This letter is to inform you that videographers from YEARBOOK INNOVATION will be here onthe above date to videotape “A Day in The Life” at our school for this year’s video yearbook
“A Day in the Life” will showcase teachers and students in action in classrooms and around theschool. Student guides will escort the videographers around the building. These guides are membersof the video yearbook staff. They will either have permission to be out of class or they will serve asguides during their study period or free time.
We have drafted a tentative schedule for the day. We have included faculty members and across section of courses so that every grade level is represented. The videographers and guides willonly stay a few minutes in each class, and will not be obtrusive, although the guide may ask a studentto answer a question that will be included in the video yearbook.
If you would like to see a copy of the tentative schedule or have any questions, please let usknow. We want to produce the best video yearbook ever! Thank you for your patience andcooperation.

SCRIPTWRITINGOur goal, and yours, is to produce the very finest video yearbook possible, to have it look asprofessional as possible and, at the same time, keep as much of the production in the hands of theschool as possible. With that in mind, we have developed a system your school can use to write thecomplete script using our outline as your starting point. Yearbook Innovation feels that it is importantto give the school and the students this flexibility for two reasons:
Authenticity: There are words and phrases being used frequently in your school this year that arenot heard even a few miles down the road. Moreover, in a year or two they will become archaic. Bygiving the students in each school the opportunity to write their own script, we capture the authenticityand the flavor that would be lost if the script were written by a professional.
Educational Experience: Writing the script for your own video yearbook offers many benefits – notjust honing language skills, but also enhancing teamwork, leadership, and cooperation. It can be fun,and creative, and provides a script that really covers what makes your school, your experience, andyour memories special,
SCRIPT INSTRUCTIONS1. The script form in this document is a working copy. You will make changes, corrections, and
insertions. Please read the script section for tips on scriptwriting.
2. The video yearbook is divided into scenes. Your script is also divided into scenes. Some scenesdo not require script; therefore, you will not need to write a script for those sections.
3. After you have completed your rough draft, read it aloud. Have someone listen. Does it flowproperly? Does it sound natural, the way people talk in real life? Also make sure that narrationsare within the time allotted for each scene.
4. TYPE the final copy of the script and submit it to your faculty advisor. The script must have theapproval of a school official who must sign the cover sheet. Each scene’s script should be printedon a separate page with the scene number and title as a headline. Print one copy of the script foreach narrator and one copy for Yearbook Innovation’s staff prior to your recording date. AYearbook Innovation representative will oversee your voiceover session and record the narrationwith professional equipment. 5. Have 6-10 narrators with well-projected voices. Please be fair to the video yearbook. Do not pickfriends unless they speak well. Pick a diverse group of students from various school groups.

SCRIPT TIPSThe Script is just as important as the visual part of the video yearbook. Therefore, this is an importantresponsibility that should be taken seriously. Keeping these simple tips in mind coupled withgathering all of the facts and stats of the year will result in a great video yearbook:
1. Use the past tense:
We were the best senior class in the history of the school.
NOT
We are the best senior class in the history of the school.
2. Watch your verbs. Use action verbs and a simple verb tense
3. Write in active voice. This means that the person or thing performing the action of the verb is thesubject of the sentence:
On December 14, all of the choirs performed a varied selection of Holiday music.
NOT
On December 14, a Holiday concert was performed.
4. Maintain a consistent point of view. Do not switch from third person to first, third to second, etc:
The students (3rd) attended the dance. They (3rd) all had a good time.
NOT
The students (3rd) attended the dance. We (1st) all had a good time.
5. Avoid empty adjectives such as wonderful, nice, great, and awesome. Instead, be as descriptive:
Couples danced all night to the rockin’ sounds of Green Day
NOT
We had a wonderful time at the homecoming dance.
6. Be accurate!! Get the facts right.
