1. Introduction

� This Agresso Training Manual has been produced by Accountancy. This manual is by no means a complete solution to using Agresso, it is only intended as guidance on specific areas of the system.

� Throughout the whole of the procurement process, Officers should ensure that they

are aware of and understand their responsibilities as laid out in the authorities Constitution; In particular, Financial Procedure Part 6E to Part 6F.

� If at any point users have difficultly with the any of the systems in place, including the

Agresso package itself or even this manual, then please do not hesitate to contact any of the following;

2. Ordering

� Purchase Orders are an integral aspect of receiving goods / services on a credit basis. In order to receive such a service, most companies will require at the very minimum, a relevant order number. For ordering, also see the authorities Financial Regulations, Part 6F section 7.

� Purchasing on Agresso is split into three different stages. For each of these stages,

there are entries to be undertaken within Agresso, they are;

• Supplier Creation (2.1). • Raising the Purchase Order (2.2). • Receipt of the Goods / Services (2.3).

2.1 Suppliers

� Once you have decided from whom you are ordering your goods or services you will need to establish whether or not the supplier has used by the Authority before. Only one account must be set up per supplier and anyone can use it.

Supplier Creation Form (Appendix 1)

� Supplier creation forms should be used when the supplier you wish to use is not

already on the Creditors system. These forms and evidence should be sent to Creditors for action.

� Supplier creation forms are relatively straightforward to complete, as most fields are

self-explanatory. These forms can be found on Davnet under ‘Office > Forms > Supplier Creation’. All completed supplier creation forms must include supporting documentation that confirms the details that you have entered.

� Before submitting any supplier creation to creditors, the requesting officer should

ensure that they have already checked Agresso for the supplier they are requesting. This should be done through a normal enquiry within Accounts Payable. See Section 5 for further information regarding enquiries.

� Whilst DDC still have the ability to make cheque payments, we are striving to

ensure that we pay as many suppliers electronically by BACS transfer as we possibly can. If you do not have bank details before you send creditors your completed form, every effort should be made to obtain these details.

� The fields you will encounter on a supplier creation form are;

• Supplier Name - This must be the Cheque Payee name of the supplier. • Supplier Address - This must be the registered address of the company /

individual. • Bank Details - These are required for BACS transfer. If not available, this

should be completed as ‘Cheque Payment only’ with an appropriate explanatory note however, every effort should be made to obtain bank details.

• Supplier Group - You have a choice of five options; • Trade Creditors - This is the class under which the majority of

suppliers fall and is for general supplies / services. • Sub Contractor - This is for sub-contracted works. • Employee - This is for DDC employees (most likely for re-

imbursements). • Elections - For elections use only. • Telephone Number - Companies contact details.

• Fax No - Companies contact details (If paying by BACS, you MUST supply an e-mail address).

• E-mail Address - Companies contact details for Remittance Advices. • Submitted by - You must ensure you sign for each supplier creation you

submit.

� The supplier creation form can also be used for amendments to suppliers details. In these instances, simply enter the relevant Supplier ID reference at the top of the sheet and highlight amendment prior to despatch. Again, you must ensure you provide appropriate backing documentation as evidence.

2.2 Raising Purchase Orders

� In order to raise a purchase order on Agresso, you will first need to open the correct screen. Expand the menus through ‘Agresso Logistics > Purchasing > Purchase Orders > Entry / Amendment of Purchase Order’, double clicking the latter to open the screen.

� From the table that appears, you will be asked to choose the department for which you are ordering. Find your department within the list, and double click to continue. Normally this list will be restricted to your area.

� Once you have selected your department, you will be taken to a further screen in

which the detail of your order is entered. There should be several tabs running across the top of the screen. Only four need to be completed, they are; ‘order, delivery, details and setup’.

� The first tab you will need to complete is ‘order’. Specifically, the fields that need to be completed are;

• SuppID - You must enter a Supplier ID reference. • Responsible - You must ensure that your name is responsible for the order you

raise.

Supplier ID - Enter a Supplier ID reference into this field. If you do not know the reference number, press F9 & undertake an enquiry. See Section 5 for more info on enquiries.

Note If the supplier you are looking for does not have a supplier ID, you can use the sundry supplier 6003236. You must be certain that this is a one-off purchase, and that the purchase is for less than £1000. If neither of these is true, then you must send the creditors team a completed Supplier Creation Form. See section 3 for more information regarding the supplier creation forms.

� The second tab you will need to complete is ‘delivery’. This tab is to ensure the correct addresses are printed on your order. Specifically, the fields you will need to complete are;

• Delivery Address - You must choose your department from the drop down

menu to ensure that the goods are delivered to the correct area of the authority. This drop down menu will choose the address to be printed on your order.

• Marking Address - You need to change this from customer to supplier, then enter the Supplier ID reference to ensure that the suppliers address is printed on the order.

Delivery Address - Use this drop down menu to choose your department. Press tab to update the field once you have selected your department.

Marking Address - Enter your Supplier ID reference here and press tab to update the field. You can find this on the ‘order’ tab, or you can enquire using F9 as in 2.2.4

� The third tab to be completed is ‘details’. This tab, is the one in which the majority of information on the order is completed. All fields with the exception of ‘OrderNo’ will need to be completed, pressing tab as you go to update each field as it’s completed.

• Pos - Or Position. For each item / service included on your order, you will need

to order them sequentially. I.e. First Item / Goods / Services = position 1, 2nd item = position 2 etc.

• Product - This is the type of product. Two values can be entered ‘General or GenAmount’.

• General - Use this for the majority of goods and services. Goods are received by number of units.

• GenAmount - Use this for services such as temporary staff etc. Using this will enable you to receive an amount / value of works & services as appose to a number of units.

• Description - A description of the goods / services. This is a character limited field. If you wish to enter further description than the number of characters you are given, see below.

• Unit - This is always EA (each). • Number - This is the number of units you require (in the case of a genamount

order, this is always 1). • Unit Price - The price of each unit (in the case of genamount, you will not be

able to amend this field). • Net Current Amount - The net value of the goods / services in question. • S - Do not amend this field. This is the order status and is for accountancy use

only. • TC - This is the tax code. See Appendix 1 to these instructions for tax codes.

� As new product lines are completed, a reminder will appear to tell you that the posting rule is incomplete (as above). This simply means that you need to enter further information such as cost centre and account.

� Once you have completed all of the fields, you will still need to enter information such as the cost centre, account code, department etc. In order to do so, tab to the relevant box and complete the details.

� On each line of the order you will need to double click each line or by use the zoom button whilst on the line.

� From the six tabs you only need to complete the Spec – Using this screen, you can enter further description onto your order.

� Under the heading ‘spec’, you can enter more detailed descriptions about the product / service. This description is not exhaustive and will appear on the order. Once you have entered all of the information within the ‘zoom’ function, you must update the order by clicking the keep icon, as shown above. From here, you can close the ‘zoom’ screen and return to the main ordering pages.

Once you have kept the changes, you can close the ‘zoom’ screen by clicking the smaller grey ‘close window’ icon.

You MUST click the keep icon to update your order with the changes you have made before going back to the main ordering screens.

� Once you have returned to the purchase order, the final tab on the main ordering screen that you need to complete is ‘setup’. Using this screen, you can choose to include a header or footer note on the order. It is best practice to include a header / footer advising who is responsible for the order and also a contact number.

� Once you are satisfied you have updated all required information, you can click

save at any point. This will automatically produce your order number. You can return at any point to the ‘Entry / Amendment of Purchase Order’ screen, then by typing in the order number in the ‘OrderNo’ field’, you can bring up that order number.

� Orders will automatically be printed the following day and sent via the internal post

to departments.

� An authorised signature must sign orders. If you are unsure of the authorising officers in your department, please contact the creditors section.

2.3 Non Invoiced Payments

� This form is to be completed when you need to make a payment for which you do not have an invoice e.g. for grant payments (other than housing grants), staff re-imbursements over £30 and refunds. (Please see Appendix 3.)

� Completion of form:

• Supplier number: you may use a ‘sundry supplier’ for a one off payment if the

payment is under £1000.00. In all other circumstances the supplier must be set up on the accounts payable system. You must first check to see if the supplier already exists and if not, submit a new supplier request to accounts payments.

Header Text – If you wish to include a heading note, enter your text here.

Footer Text – If you wish to include a footer note, enter your text here.

Save – Click this Icon to save and complete your order.

• Bank details: If you are paying a sundry supplier and have the bank details please complete this section so we make the payment by Bacs. However you will need to attach proof of the bank details.

• Coding: Provide the account, cost centre and department code. If you are claiming Vat you must provide a VAT receipt or be able to provide one within 7days. ‘VRR’ stands for VAT receipt required.

� You will still need to provide backing papers for you payments. However as all

these will need to be scanned we would be grateful if you could photocopy small items like till receipts onto A4 paper so they can be scanned into the system. Once the details have been completed pass the form to the accounts payable section.

� You no longer need to get this form authorised manually as it will be sent

electronically for authorisation. 2.4 Goods Received – Entry (For when goods have been received, before the invoice has been registered)

� To goods receipt against an order, ‘Agresso Logistics – Purchasing - Goods received entry’ double click:

� This will bring up the screen below:

� Once you have entered the goods received screen, type the order number into the ‘order number field’ tab, click the binoculars or F7, this will update the fields with your order, as below:

� Now that the product information for your order has been found, you can enter the number of units received, or the net value of the goods if it is a genamount order. This information should be entered in the ‘delivery’ column as the other three columns are for information only.

Number – Number of units as per your order. Deliv’d – The number of units already delivered. Remain – The number of units remaining to be delivered. Delivery – The number of units/value you are goods receipting.

� When you are satisfied you have entered the actual goods received, tab (this is important otherwise the order will not update) then save. This will give you a ‘Dispatch no.’ You have now goods received your order.

2.5 Goods Received – Missing GRN

� When you are logged into Agresso, should you have a missing goods receipt a notification will appear in you task menu.

� In the Order details you will see the list of the products you have entered onto your order, the explanation of these fields are:

• Order qty. - The quantity of product ordered. • Previously received - Number of units previously delivered. • Qty. received - Number of units received. • Unit - Default unit. • Rest cancelled - The option to cancel the rest of the order. • Reason code - The reason for receiving the goods if applicable. (NOT

APPLICABLE)

� In the Order details screen you need to make sure that when you are GRNing you put the correct quantity/amount in the Qty.received field and save. Should you have several lines detailed, make sure the relevant line(s) has the correct Qty.received, select that line(s) by checking the box at the start and saving.

Please Note:

The Order detail screen works by always defaulting the Qty.received box with either the total of the order, or the total that is remaining if a previous GRN exists. This means if you do not GRN correctly, by changing the Qty.received to the invoice, you will GRN the whole order by mistake (if the invoice was part payment). You will then have to raise a new order for the remaining invoice(s) you get relating to the part payment.

3. Invoices 3.1 Invoice Request

� If you want an invoice to be raised by the Sundry Debtors team, you will need to provide the relevant forms.

� Firstly you will need to do an enquiry on a customer as per the above instructions, if

the customer is not set-up you will need to complete a new/amendment form, you will find this on Davnet, this can be found using the following link:

http://davnet/office/forms/ � Each department is issued with a unique departmental invoice request reference,

therefore please contact the Sundry Debtors team for these to be issued to you. � If you wish to cancel an invoice that you have asked to be raised, you will need to

complete a cancellation request form, which is also found on Davnet, as per the link above.

3.2 Notes to Invoices – Action Overview

� When contact is made with a customer concerning an unpaid invoice it is important that a note of the conversation is made on the system.

• Accounts Receivable. • Enquiries. • Open and historical items per customer.

� Select the line of the invoice that you wish to put a note on.

� Select ‘Notes’ from the Action Overview.

� Complete the fields ‘Subject’ and ‘Description’. � Once you have completed the note save it.

� If you want to look at existing notes on an invoice simply highlight the line of the invoice you wish to view the notes on and they will be displayed under action overview detailed on the same screen. If you want to go into an existing note double click the note and you will be taken through to the following screen with further details.

4. Enquiries

� Typically, there are three different areas of Agresso in which users may wish to undertake an enquiry. They are;

• Accounts Payable (4.1) – Enquiries relating to suppliers i.e. to check whether

DDC have paid a particular supplier invoice. • Accounts Receivable (4.2) – Enquiries relating to customers i.e. to check

whether Joe Bloggs has paid his Commercial Waste invoice. • General Ledger (4.3) – Enquires relating to the accounting structure of DDC

i.e. checking what has been spent against a particular Cost Centre / Account. 4.1 Accounts Payable Enquiries

� Accounts Payable enquiries can be found under ‘Agresso Financials > Accounts Payable > Enquiries’. Typically, the enquiry that will be most frequently used is ‘Historical Items per Supplier’, as shown below; this enquiry will bring up all paid and pending invoices for a particular supplier.

� Once you have entered the enquiry screen, the first thing you will need to do is enter the Supplier ID reference on which you want to search. If you already know your supplier enter it.

� If you are unsure of the supplier reference, then you will need to click in the field and then press F9 on your keyboard (F9 is the ‘field help’ key to help you find your supplier ID) to take you into a separate enquiry screen. In this instance, it will let you undertake an enquiry on the Supplier database to find the right one.

� As with each of the field help enquiry screens, you will encounter a table with a grey line at the top (shown below). This grey line is your criteria field. In this criteria field, you can enter search criteria to filter the results you will get back from the supplier database. Finance suggests you use the description column as this is the column in which full Supplier Names are shown. * is a wildcard when searching, for instance;

• If you type Lyreco in the criteria field, only an exact match of Lyreco will

appear. • If you type Lyrec* in the criteria field, every supplier beginning Lyrec will

appear. • If you type *Lyrec* in the criteria field, every supplier with Lyrec anywhere in

the name at all, will appear.

� Once you have entered your criteria, a list of all matching results will appear. Simply double click on the desired supplier, and this will take you back to the original enquiry screen.

The grey line is the enquiry line. Enter your search criteria then click the binoculars.

� One you have been returned to the enquiry screen, do not click outside the field you are in, simply press tab on your keyboard to update the enquiry screen with the suppliers details. Click the binoculars on screen to undertake the enquiry.

� Once the results of your enquiry have appeared, you can start to look through the results.

TAB - After pressing tab, the supplier’s details should update here. You should ensure that they have before continuing otherwise the enquiry will not run properly.

� The information that is returned is relatively self explanatory with the exception of the following fields;

• T – This is the current status of the payment; • A = Registered (to be authorised). • B = Posted (awaiting payment). • C = Completed (paid and filed away in Accountancy). • TransNo: This is the transaction number. There are a number of

different number sequences; • 40xxxxx - New transaction numbers. • 1xxxxxx - Old posting numbers (up to 199999). • 6xxxxxx - Payment transaction. • 7xxxxxx - Journal Number (manual/returned/cancelled).

� As with the field help enquiry, you can also filter the results to give you a slightly

more meaningful result, for instance, if you wanted to see what was paid to a supplier on a particular date, you can enter that information into the grey line at the top of the table and then click the binoculars again.

� As you can see, by searching a payment date for the supplier, all payments made on that date are shown. In this case, you can see there have been a number of invoices paid as they are shown as credits and the payment transactions and are shown as a debit. Credit notes are also shown as a debit.

� Whilst in the enquiry screen, you can see further information about a particular transaction by double clicking on it. In doing so, you will be taken to the following screen showing that information;

4.2 Accounts Receivable Enquiries

� Accounts Receivable enquiries can be found under ‘Agresso Financials > Accounts

Receivable > Enquiries’. Typically, the enquiry that will be most frequently used is ‘Historical Items per Customer’, as shown below; this enquiry will bring up all paid and outstanding invoices for a particular customer.

� Enter customer number and tab or use the search function – press F9, enter your search criteria using an * before and after the information you enter and press F7, this will bring up any accounts that match the search criteria you have entered. Select the account you want by double clicking on the line. This will bring you back to the first screen and the system will have entered the customer ID number for you, when the customer number is showing tab out of the box.

� If you then click on the binoculars or press F7 all items will be displayed.

� If only open items are being displayed delete the ‘B’ from the top left cell and click on the binoculars or press F7.

� If you want to drill down further to look at the description of an invoice or payment plan instalments you can double click on the invoice number you wish to view.

� From this screen you can either click on payment plan to be taken through to the payment plan screen, where you will be able to either set up a new payment plan or view an existing one. Or you can click on look up, select order; you will be taken through to a new screen….

� Double click the line and you will be taken through to the original order screen where you will be able to view the details of the invoice.

� If you want to set search criteria on the enquiries screen click on ‘TOOLS, select ‘SET-UP’ and click on the binoculars or press F7. This will then bring up a screen where you can enter information into fields that you wish to see, once entered click OK the report will be generated including the information you have selected.

Setting up your own template

� Select ‘TOOLS’, 'SETUP' then click on the binoculars or press F7.

� You can select the items you wish to view by crossing or uncrossing the 'show' box. � You can change the titles of the columns by clicking in the box you want and typing

in the description you want e.g. change CAT4 to 'WORKAREA'.

� Once you are happy with the report you can save it – select ‘SAVE’.

� In the description, type in a name for the template, if you choose something someone else has used you will not be able to use it, to prevent this happening put your initials at the end of the name.

� Ensure that all templates are saved as private. If they are saved as global every

one can use them and change them and you also get a very long list to select from.

� If you save the template as 'default' it will automatically bring the template up every time you go into this type of enquiry.

� Find automatically is not used.

� You can change the template at any time, if you want changes to be permanent

then save them and tick the overwrite box, please make sure that it still saves the template as private.

4.3 General Ledger Enquiries

� General Ledger Enquiries can be found under ‘Agresso Financials > General Ledger > Enquiries’. General Ledger enquiries can be used to show all transactions for a particular, account, department, cost centre, period or year, it can also be used to show a combination of all the above.

� There are two different enquiry screens that you can use in order to undertake

general ledger enquiries, the standard enquiry, and a browser enquiry. Both enquiry screens have their pro’s and their con’s however, the browser enquiry allows for a greater level of flexibility in terms of enquiries.

� To use the standard enquiry, either double click on the menu item below ‘General Ledger Transactions’, or right click on this and choose ‘Open’. In order to open the browser enquiry, right click on ‘General Ledger Transactions’ and then choose ‘Open Browser’.

Either double click to open the standard enquiry, or right click and choose open browser to open a browser enquiry.

4.4 Standard enquiry

� The first thing you will encounter when you open the standard enquiry is, the ‘enquiry set up’, as seen below. It is in this set up table, that you will enter the criteria by which you want to filter your results.

� Within the enquiry setup, there are 6 different columns;

• Column Name - This is the name of each column that you can include on your enquiry.

• Show - This indicates whether that particular column will show on the results of your report i.e. if the box is checked, then that particular column will appear on your results (you do not have to show a column to enter search criteria for example, if you used the column ‘year’, you could search a particular year, but not have it shown on your report).

• Sort - This indicates by which column(s) you want to sort your information i.e. If you want to sort by Cost Centre then by account, enter ‘1’ by Cost Centre in this field, and then ‘2’ by account, and so on.

• Subtotal - This will subtotal every change in that particular field so; ensure that you have sorted your data.

• Text - will give you the name of each result returned in that field i.e. name of account if chosen for account.

• From - The starting range for your search criteria. If not a range, put your criteria in this field only.

• To - The ending range of your search criteria.

- The save button will save your enquiry as a template for use in the future.

- The delete button will take you to a screen so that you can delete your template.

- Marks all column fields for searching.

- Clears all column fields for searching.

- The up and down arrows, will move the respective row / field up or down.

� If you are satisfied with the criteria you have entered, click ok to undertake the search. Your results will be returned in a table format.

Click the ‘reports’ icon on the toolbar to export your information into Excel.

3.5 Browser enquiry

� Upon entering the browser enquiry screen, there are three tabs that you will need to concern yourself with, ‘Setup’ is to set up how your results will be reported, ‘SearchC’ is your search criteria and ‘Results’ in the tab in which your results will show. Initially, you will already be encountered with the following screen, which is the ‘Setup’ tab;

� Within the ‘Setup’ tab, you will need to choose what information you want to appear on your report. Rows 1 to 11 as show above, will be the headed columns that appear on your results. In order to add / remove fields, right click on the greyed out space just underneath the table as shown below.

- The up and down arrows, will move the respective row / field up or down.

- Ticking this box will aggregate the results of the report i.e. collate those categories which are the same.

� In order to add a field, you will be asked to choose which columns you wish to add. Simply click those columns you would like in your report, and click ok These columns will then be added to your ‘Setup’ tab and hence, on your final report.

� In order to delete the row, highlight the row and then right click on delete field.

� As with the standard enquiry, you can also use the ‘Setup’ tab to sub total fields, and also to sort columns by entering sequential numbers.

� Once you are satisfied the report will appear how you want it to, you can move to

the ‘SearchC’ tab to start entering your criteria as show below.

The show column also gives you the ability to not only show the field, but give you the text explanation by choosing code / text.

� As with the setup tab, in order to add / remove fields, right click and add / until you have the search criteria you want.

� For each criteria, you can change the type by clicking that particular field and choosing from the drop down menu. From the menu, you have a number of options;

• Like - will return the exact value you enter. • Not Like - will return all values except that you have entered. • Between - will return values between the ranges you enter. • Not Between - will return values not between the ranges you enter. • Greater than - will return all values greater than the value you have entered. • Greater than or equal to - will return all values greater than and equal to the

value you have entered. • Less than - will return all values less than the value you have entered. • Less than or equal to - will return all values less than and equal to the value

you have entered. • In list - see below, will return all values you have chosen from a list. • Not in list - see below, will return all values other than those you have

chosen from a list.

� If you choose ‘in list’ or ‘not in list’ for the criteria type, press tab or click off your selection. This will open a ‘selection criteria’ table, in which you choose all of the criteria you would like.

� From the possible values, highlight your intended values (as many as you wish by holding either shift / ctrl), then click the right arrow to move them to your ‘chosen values’. All values in your ‘chosen values’ will enter into your search criteria when you click ok.

� Once you are satisfied that your enquiry is set-up, and you are returned to the
