In today’s competitive marketplace, with thecontinued tightening of budgets, it’s moreimportant than ever to provide value andreturn on investment to your delegates.

The key thing to planning a successfulconference or event is to bear in mind the4Ds: Design, develop, deliver and delight.

• Design a detailed and succinct conference plan

• Develop a programme that’s attractive, intriguing and of value to your potential delegates

• Deliver to the best of your ability • Delight your delegates, stakeholders,

suppliers and your team.

In order to make the 4Ds a reality, don’t forgetto create a roadmap. These ten tips willensure your next conference is a success.

1. Do your researchConsider why you’re thinking about organisinga conference. Does this conference have asuccessful history or are you planning theinaugural conference? It’s important to havea realistic assessment of the requirementsof the host and their colleagues. You’ll alsoneed to evaluate the skill sets within youror your clients’ organisation and who/whatcan be available and committed to theplanning process. Research the delegatesso that you know what their expectationsare before they arrive onsite.

2. Share the loadIt is important to try and involve otherpeople that can add value by bringingknowledge and expertise as well as sharingsome of the tasks involved.

3. Define rolesWhere does the expertise lie within yourteam? Set clear and measureable tasks foreach member and ensure that theyunderstand how their involvementcontributes to the success of the conference.

4. Prepare for the worstYou should consider all eventualities in yourconference strategy to ensure there are nocostly or embarrassing surprises.Contingency strategies are essential – askyourself ‘what if?’ every step of the way.

5. Devise a financial plan for all scenariosThe tip here is to plan for two scenarios. Onewith a desired level of attendance that includesall of the ‘nice to have’ options for thedelegates’, (for example, three course lunch,state-of-the-art AV, high-end giveaways) andanother that’s more stripped down (boxedor cash lunches, basic AV, etc). You can thenassess what can stay and what needs to bereduced throughout the planning phases inthe lead up to your conference start date,depending on your budget/income.

6. Build a timelineSet a clear timeline within your conferencestrategy with key performance indicators(KPIs) along the way. These KPIs will helpto assess if you’re on target to achieve thedesired performance levels and allow youto adjust strategy if needed.

7. Make sure everyone is on the same pageIt is essential that all parties involved in thedelivery of the event understand the mainobjective for the conference and what thedesired outcome is. This includes everyonefrom service providers, venue team andvolunteers to the host city partners.

8. Accelerated accountsTry to reconcile your accounts as quickly aspossible. But don’t forget attention to detailis essential.

9. Gather feedbackThere are lots of tools available to helpgather delegate, partner and sponsors’feedback. Whether you do this through theuse of external tools or carry this out as partof your service, it is important to gather andreport on feedback to recommend strategyadjustments for future conferences. Applywhat you have learned from this conferenceto your/your clients’ next one.

10. National Football MuseumManchester will welcome the National FootballMuseum in 2012. The NFM will become one of thecity’s ‘must see’ attractions incorporating threefloors of legendary objects, stories, ‘hands on’interactives and a changing temporary exhibitionprogramme showing that it’s not just football –fashion, art and photography will also bring thestory to life. MediaCityUKMediaCityUK has welcomed the arrival of its firsttenants; five BBC departments including Sport,Radio 5 Live and Children’s along with the showBlue Peter. They will be joined by BBC Breakfastlater in 2012. First Street and NOMATwo of Manchester iconic cultural institutions willmove to the city’s new Cultural Hub at First Street.The Hub will become home to the Cornerhouseand the Library Theatre Company Theatre. This£800m development will transform 20 acres ofManchester city centre into office, retail, leisureand residential space. Hotel UpdateHoliday Inn Express Manchester City Centre -Manchester Arena is the latest hotel to open itsdoors in the city. Max Serviced Apartmentshave also recently opened contemporaryaccommodation near Piccadilly railway station.Premier Inn will also be opening a 193 bedroomhotel in Piccadilly in 2012. Salford City StadiumSalford’s newest sporting and conference venueopened its doors in January 2012. The £26mstadium, which is one of the host venues for the2013 Rugby League World Cup, adds to GreaterManchester’s rich sporting and meetings offering.With a capacity of 12,000 and offering280 m² of external space and a wide range ofsuites the Stadium will become a favourite ofsports fans and events planners alike.salfordcitystadium.com

Year of the Co-operativesThe UN has declared 2012 the Year of the Co-operatives, recognising the diversity of themovement around the world. Rochdale, GreaterManchester will celebrate being the birthplace of the co-operative movement with a series ofevents being held throughout the year. This willculminate in November 2012 in Manchester withthe International Co-operative Alliance Expotaking place in the city.2012.coop

2012 Sporting HighlightsIt's an exciting year of world-class sports inManchester. Old Trafford, home of ManchesterUnited, will host nine of the London 2012 Olympicand Paralympic Games football matches. The citywill welcome competing nations including Team GBfootball team, who will kick start their campaign forglory at Old Trafford. Teams such as Swim Australiawill call Manchester home whilst training for theGames. Manchester’s wonderful Victorianarchitectural heritage owes much to theimaginative conversion and reuse of thegrand textile warehouses of the 19th Centurycity they nicknamed ‘Cottonopolis’. As the city where John Rutherford first splitthe atom, scientific innovation has alwaysbeen of particular interest - and 2012 is noexception. This year sees the centenary ofAlan Turing’s birth. The Enigma codebreaker spent the last six years of his lifeworking at The University of Manchestercreating a software program for the world’sfirst recognisable modern computer, theManchester Mark 1. Several events will beheld across the city as part of his centenarycelebrations, MOSI (The Museum of Science& Industry) will be exhibiting works inspiredby and themed around Turing and hisachievements. The University will also behosting a conference, with speakers such asAndrew Hodges, Turing’s biographer.

It's interesting how Manchester’s innovativefirsts are still helping to influence majorinternational conferences, such as the threemajor nuclear conferences being held inManchester this year. Each conferenceshowcases the city’s heritage, commercialand academic excellence to a new globalaudience. I expect in years to come we willbe talking about current Manchester firsts,such as the development of Graphene, askey influences for innovation, investmentand future conferences.

As a host city, Manchester offers an endlesschoice of entertainment and leisure options.There are a number of spectacular showstaking place this year including the StoneRoses, Coldplay, Happy Mondays andBruce Springsteen – not to mention thecountless other music events that will takeplace in 2012.

Along with the rest of the country,Greater Manchester will be celebrating theTorch Relay in true Mancunian style with anumber of special events.
