If only planning conferences were as straightforward as peopleoutside the industry think it is.Book a venue, invite your delegates and you’re done. Right? Your audience will happilyinvest their time, money andattend without question, don’tthey? In short, no, they won’t.
In today’s competitive marketplace, with thecontinued tightening of budgets, it’s moreimportant than ever to provide value andreturn on investment to your delegates.
The key thing to planning a successfulconference or event is to bear in mind the4Ds: Design, develop, deliver and delight.
• Design a detailed and succinct conference plan
• Develop a programme that’s attractive, intriguing and of value to your potential delegates
• Deliver to the best of your ability • Delight your delegates, stakeholders,
suppliers and your team.
In order to make the 4Ds a reality, don’t forgetto create a roadmap. These ten tips willensure your next conference is a success.
Ten Tips forFoolproof Conference PlanningBy Martin Boyle, director of association andconference development, Congrex UK Ltd
5visitmanchester.com/conference for your unique interactive search
1. Do your researchConsider why you’re thinking about organisinga conference. Does this conference have asuccessful history or are you planning theinaugural conference? It’s important to havea realistic assessment of the requirementsof the host and their colleagues. You’ll alsoneed to evaluate the skill sets within youror your clients’ organisation and who/whatcan be available and committed to theplanning process. Research the delegatesso that you know what their expectationsare before they arrive onsite.
2. Share the loadIt is important to try and involve otherpeople that can add value by bringingknowledge and expertise as well as sharingsome of the tasks involved.
3. Define rolesWhere does the expertise lie within yourteam? Set clear and measureable tasks foreach member and ensure that theyunderstand how their involvementcontributes to the success of the conference.
4. Prepare for the worstYou should consider all eventualities in yourconference strategy to ensure there are nocostly or embarrassing surprises.Contingency strategies are essential – askyourself ‘what if?’ every step of the way.
5. Devise a financial plan for all scenariosThe tip here is to plan for two scenarios. Onewith a desired level of attendance that includesall of the ‘nice to have’ options for thedelegates’, (for example, three course lunch,state-of-the-art AV, high-end giveaways) andanother that’s more stripped down (boxedor cash lunches, basic AV, etc). You can thenassess what can stay and what needs to bereduced throughout the planning phases inthe lead up to your conference start date, depending on your budget/income.
6. Build a timelineSet a clear timeline within your conferencestrategy with key performance indicators(KPIs) along the way. These KPIs will helpto assess if you’re on target to achieve thedesired performance levels and allow youto adjust strategy if needed.
7. Make sure everyone is on the same pageIt is essential that all parties involved in thedelivery of the event understand the mainobjective for the conference and what thedesired outcome is. This includes everyonefrom service providers, venue team andvolunteers to the host city partners.
8. Accelerated accountsTry to reconcile your accounts as quickly aspossible. But don’t forget attention to detailis essential.
9. Gather feedbackThere are lots of tools available to helpgather delegate, partner and sponsors’feedback. Whether you do this through theuse of external tools or carry this out as partof your service, it is important to gather andreport on feedback to recommend strategyadjustments for future conferences. Applywhat you have learned from this conferenceto your/your clients’ next one.
10. Choose Manchester!Manchester has over 250 inspiring venuesand fantastic entertainment options that willimpress even the most discerning delegates.Plus the experts at Visit Manchester canadvise on venues, infrastructure, andsuppliers and they are able to put you intouch with a variety of people who canenhance your conference, from the CityCouncil to the academic community.

From the grandeur of Louis XV style and theintimacy of the Belle Époque’s Art Nouveauto the most glamorous of contemporarysurroundings, the city’s hotel restaurantsimpose their own graceful individuality andrelaxed ambience in which to enjoyoutstanding cooking.
The Midland Hotel, home to the renownedFrench Restaurant, has been at the epicentreof Manchester matters for more than acentury. It was here in 1904, a year after itwas built, that Hon Charles Stewart Rolls firstmet with Frederick Henry Royce. Two yearslater the world’s most famous motor carcompany was founded. The Parisian-styledFrench has served crowned heads, worldleaders, movie legends, rock stars andfootballing greats down the years with elegant,white-gloved panache. Head chef Paul Beckley’s modern Frenchcooking fashioned from the finest of localingredients has won the French two covetedAA rosettes and it was awarded LifeMagazine’s accolade ‘City Restaurant of theYear’ in 2010.
If the Midland’s majestic terracotta facadewas the iconic symbol of Mancunian prideand prosperity at the turn of the lastCentury, the Hilton Hotel, occupying the first23 storeys of the tallest building in the northof England, marks the confident renaissanceof the city following the devastation causedby the IRA bombing of 1996. With its discreetbanquette seating, dim lighting and crisplinen tablecloths, it has a sexy, old schoolNew York vibe and is an impressive settingfor any occasion.
David Gale, the Executive Chef and winnerof the Chef of the Year 2010 award at theManchester Food & Drink Festival, is astrong supporter of local producers, believing this allows him to satisfy the widedemographics and genre of the hotel.
Another star of the modern era is Sir RoccoForte’s five-star Lowry Hotel, dominating theSalford bank of the River Irwell at the headof the elegant Calatrava bridge. With a culinary pedigree honed in Michelin-starred restaurants in Sweden, Austria andthe United States, where he worked withAlain Ducasse at Essex House and Jean-Georges Vongerichten at the Trump Tower,Murphy was among the re-opening brigadewhen the refurbishment of the world-renowned Savoy in London was completed. His cooking style reflects a modern, stylishapproach to classic dishes enabling the bestavailable seasonal ingredients to ‘sing’ withmaximum flavour.

Manchester’s wonderful Victorianarchitectural heritage owes much to theimaginative conversion and reuse of thegrand textile warehouses of the 19th Centurycity they nicknamed ‘Cottonopolis’. One ofthe most imposing and one of the first sightsto greet visitors arriving at Piccadilly railwaystation is now the Malmaison Hotel, one ofthe earliest of the boutique hotel group’s re-adaptations of striking buildings, blendingperiod features with a thoroughly modernapproach to hospitality.
The Art Noveau style of the former Brasseriehas given way to Smoak Bar and Grill, acontemporary American style diner withpewter counters and red leather boothseating that’s quite unlike anything that hasbeen seen before in the midst of aManchester hotel. The atmosphere’s chargedwith the aromas from the menu’s fresh fish, prime steaks and ribs, sizzling on its oak-fired grill. The ingredients – many of themsourced locally – are so good that thebutchery is on display.
The two-Michelin starred celebrity chefMichael Caines – hailed as ‘the UK’s No 1Restaurateur’ in the Sunday Times’ Food List- also recognised the potential of one ofManchester’s iconic textile palaces. Thedramatic red-sandstone Victorian building inPiccadilly, two minutes from the rail station,is one of Caines’ ABode Hotels group andboasts a signature Michael Caines Restaurantand MC Champagne Bar.
The atmospheric lower ground floor diningroom with its innovative lighting, split level
seating arrangement, contemporary decorand moody portraits by the celebratedphotographer Brian Aris provide an ultra-sophisticated setting for enjoying excitingEuropean cuisine using the best produce andingredients from Manchester, Lancashire,Cheshire and surrounds. Executive ChefMark Rossi, in consultation with Caines, hascreated an exciting range of menus that havewon critical acclaim for both the exceptionalquality of the dishes and their remarkablevalue for money.
There is no building in the city whose storyhas been more interwoven with the historyof Manchester than the Free Trade Hall inPeter Street, close to the scene of the‘Peterloo Massacre’ of 1819 when cavalryattacked a crowd demanding Parliamentaryreform. The Hall was the setting forimportant political events; Gladstone,Disraeli, Lloyd George and Churchilldelivered key speeches here. As a musicvenue, it was home to the Halle Orchestraand audiences have cheered Charles Dickensand jeered Oscar Wilde, encored EllaFitzgerald and booed Bob Dylan there.
Many historic artefacts are on display inwhat is now the Radisson Edwardian Hotel. Its flagship restaurant, Opus One, is adestination in its own right as one ofManchester's most popular dining rooms. Under the direction of head chef NeilArmstrong, Opus One serves innovativemodern British food using the best of localproduce, presented in a modern, contemporary way. The surroundings aredramatically theatrical, with soaring ceilings,
velvet red walls, high gloss black woodwork, antique gold wall coverings and bespokefurniture. Opus One bar, with its play on aglamorous Manhattan provides the perfectdestination to sip cocktails and enjoy company.
Despite its reputation as the workshop of theworld, forged during the Industrial Revolution, the bright lights of Manchester city centreare closer to the countryside than manypeople imagine, and the delights of countryhouse hospitality are virtually on its doorstep.
One of the most celebrated culinary gemsamid the leafy Cheshire villages onManchester’s southern fringe is the AlderleyEdge Hotel & Restaurant, where head chefChris Holland’s superb cooking has earnedthree AA Rosettes recognising ‘exceptionalstandards of cuisine’ in which technique, flair, imagination, balance, textures andcreative depth of flavour come through inevery exciting dish. The à la carte menu ofoften classic traditional British dishes withextravagant twists – supported by anextensive wine list – includes innovative‘sous vide’ specialities and a six-courseGourmet Tasting Menu demonstrating theexceptional breadth and variety of its cuisine.
The light and airy conservatory restaurant, with panoramic views over the Cheshireplain, seats from one person to a party of 25.Everything is prepared onsite using bestquality fresh produce from local suppliers …from the bread at your table to the biscuitswith your morning coffee.

Manchester Arena will be the venue forbasketball with GB versus US. The RugbyLeague 'Magic Weekend' will take place inMay, whetting the city’s appetite for theRugby League World Cup 2013 which willalso be in Greater Manchester. Let’s notforget the other national and internationalchampionships covering cycling,Taekwondo, netball, squash and more. From this year’s exciting line-up we’redefinitely living up to the accolade as oneof the ‘Ultimate Sports Cities’.
As the city where John Rutherford first splitthe atom, scientific innovation has alwaysbeen of particular interest - and 2012 is noexception. This year sees the centenary ofAlan Turing’s birth. The Enigma codebreaker spent the last six years of his lifeworking at The University of Manchestercreating a software program for the world’sfirst recognisable modern computer, theManchester Mark 1. Several events will beheld across the city as part of his centenarycelebrations, MOSI (The Museum of Science& Industry) will be exhibiting works inspiredby and themed around Turing and hisachievements. The University will also behosting a conference, with speakers such asAndrew Hodges, Turing’s biographer.
It's interesting how Manchester’s innovativefirsts are still helping to influence majorinternational conferences, such as the threemajor nuclear conferences being held inManchester this year. Each conferenceshowcases the city’s heritage, commercialand academic excellence to a new globalaudience. I expect in years to come we willbe talking about current Manchester firsts, such as the development of Graphene, askey influences for innovation, investmentand future conferences.
As a host city, Manchester offers an endlesschoice of entertainment and leisure options. There are a number of spectacular showstaking place this year including the StoneRoses, Coldplay, Happy Mondays andBruce Springsteen – not to mention thecountless other music events that will takeplace in 2012.
Check out visitmanchester.com/conferencefor our annual calendar of festivals andevents. There’s so much to see and doeven the most discerning of delegates willbe spoilt for choice.
We’ve tried to fit as much information intothese 96 pages as possible. Hopefully it hasgiven you a flavour of what GreaterManchester has to offer and the diversityand quality of the venues we have within theregion. But rest assured, whatever type ofevent, Manchester has the space and, moreimportantly, the desire to deliver beyondyour expectations.
There’s no better time to give theVisit Manchester convention bureau a calland discover for yourself why, as a city,we’re known for our friendliness andattitude. It’s the same warmth yourdelegates will experience when you bringyour event to this city.
Manchester will continue to be a citywhich works hard but also knows how tocelebrate; whether it’s sport, music, science, media, culture or commerce- you’ll find it here in Manchester.
We look forward to welcoming you toManchester.

The Last Word
The world of conferences and events is allabout planning. It always seems as one eventfinishes we barely stop to catch our breathbefore moving onto the next. This yearseems a little more monumental than others, particularly with the London 2012 Olympicand Paralympic Games around the corner.I'm really quite excited at being part ofsomething that won't return to these shoresfor a long time to come - even if myparticipation is from the comfort of one ofthe fanzones.
There’s been so much talk about London2012 benefiting the rest of the UK; judging byall that’s going on in the region pre and postLondon 2012, this is definitely the case.
Manchester will proudly welcome a numberof nations. Old Trafford will be hosting nineof the Olympic football fixtures, includingthe very first Team GB match. Some teamsincluding Swim Australia, will callManchester home as they train for theGames. Along with the rest of the country,Greater Manchester will be celebrating theTorch Relay in true Mancunian style with anumber of special events.
