Before You Begin…

Before you can complete this procedure, the following conditions must be met:

You must be a Network Administrator. A Network Administrator may assign roles and scope to any other Network user (except other Network Administrators) or facility user.

You must be a Facility Administrator. A Facility Administrator may assign roles and scope to any other facility user (except other Facility Administrators).

What Is Role and How Is It Used?

Your role determines if you can add, change, or simply read information in CROWNWeb.

In a large facility with many CROWNWeb users, each user may only need one role.

In smaller facilities, users may need to have multiple roles to perform multiple tasks. Users can have more than one role.

Facilities may have more than one user perform the same role.

What Is Scope and How Is It Used?

Scope determines what individual facilities a user can access in CROWNWeb.

A majority of users will only need scope over a single facility.

CROWNWeb allows a user to have scope over multiple facilities, if needed.

Assign Role and Scope for Facility Personnel

The following interactive tutorial will guide you through assigning role and scope for facility personnel in CROWNWeb.

Manage User Role

1. Click Admin From the CROWNWeb Home Page, click Admin. The User Account Administration screen displays.

2. Click User Role Manager Click User Role Manager. The Manage User Roles screen displays.

3. Enter Search Criteria Click in either the User Last Name or User ID field and enter either the last name or complete QIMS ID of the user. The Manage User Roles screen refreshes, displaying a list of matching users who meet the criteria entered. Click the selected user in the User Name field.

4. Display Assigned Roles The screen refreshes. CROWNWeb displays available (unassigned) roles in the left column, and assigned roles in the right column.

5. Add or Remove a Role

ADD A ROLE

Click the assigned role in the left column, then click the right arrow button (>).

When all changes have been made, click SubmitWhen all changes have been made, click Submit.

REMOVE A ROLE

Click the assigned role in the right column, then click the left arrow button (<).

When all changes have been made, click Submit.

Assign Role and Scope for Facility Personnel (continued)

6. User Saved Message When CROWNWeb accepts the changes, the "User was saved" message displays.

Manage User Scope

1. Click Facility Scope Manager To manage scope for an individual, click the Facility User Scope Manager link. The Manage Facility User Scope screen displays.

2. Search for User Click in either the User Last Name or User ID field and enter either the last name or complete QIMS ID of the user.

The Manage User Roles screen refreshes, displaying a list of matching users who meet the criteria entered. Note that the User's Role displays to the right. Click the selected user in the User Name field.

3. Display Assigned Scope The screen refreshes. CROWNWeb displays available (unassigned) scope in the left column, and assigned scope in the right column.

4. Add or Remove Facility

To add a facility to the user's scope, select the facility in the left column, and then click the right arrow (>) button.

To remove a facility from the user's scope, select the facility in the right column, and then click the left arrow (<) button.

When all changes have been made, click Submit.

5. User Saved Message The Manage Facility User Scope screen displays the message “User was saved.”

Troubleshooting

Commonly experienced problems, recognized solutions, and other key information:

Users must have a QIMS ID and a temporary password assigned to them before you can configure role and/or scope for the user.

Network Administrators can assign roles to any Network or facility users (except other Network Administrators).

Facility Administrators can assign roles to any facility user in their scope (except other Facility Administrators).

You must first assign a role to a user before you can manage that users’s scope.

Users will not see changes that you make to their role and/or scope until they log out of CROWNWeb and log back in.

Summary

To manage user Role:

1. From the Home Page, click Admin. 2. Click User Role Manager. 3. Enter the User’s Last Name or User ID. 4. Select the User’s Name. 5. Click the right or left arrow to add or remove roles. 6. Click Submit.

To manage user Scope:

1. From the Home Page, click Admin. 2. Click Facility Scope Manager. 3. Enter the User’s Last Name or User ID. 4. Select the User’s Name. 5. Click the right or left arrow to add or remove facilities. 6. Click Submit.
