MDA – Delay in replying to the party to the tune of 5 days – Reason for delay – Concerned officials were on tour, hence MDA application was processed after they returned from the tour. Other officials may also get trained for processing the MDA applications/MDA claims enable to issue the MDA approval as per time norms.

As suggested MDA processing sytems was explained to Mrs Selvanayagi. In case the officials dealing with MDA is on tour / on leave pending papers/ dak received during that period related to MDA may be handed Mrs Selvanayagi who may process the MDA application form/claims.

Immediate Mrs Santhi will monitor. Apart fromMr A K Vijay Kumar, necessary training has been given toMrs Selvanayagi, who will process the documents in the absence of other official

Pending cases for deficiency even for more than 1 year – Reminders issued but no proper systems followed.List of pending cases to be taken from the E Admin – Reminder to be issued to be issued to all the concerned and file has to be maintained.

Report of pending cases has to be submitted to the Regional Director once in 15 days

Immediate Mr N Viswanathan & Mr A K Vijay Kumar has cleared around 25% as on now. Instruction has been given to complete all cases with proper documentation within a week.

Process for organizing Open House/Seminar/Workshop – Information to Publicity Department for Press Coverage not given.

Since many of the meetings/seminars organised by SR are regional related, information to publicity department at HO for press coverage may not be necessary. Information to Publicity department for Press Coverage may be given for the seminar/workshop related to National level/international conference. We may suggest to make necessary amendments in the work instructions

To be included in the next MR meeting at Delhi

For the major activities where Press publicity is required, this system is being followed. It is requested that amendment may be made in the work instructions where smaller events which do not need any Press publicity this instruction may be exempted.

Process of Handling Queries – Delay in responding to the querry raised by exporter upto 10 daysPending List not forwarded to DG fortnightly.Followup with the exporter/authority not done.To follow the systems as per Time norms/guidelines and report to be submitted to Regional Director

Pending list was prepared and sent to DG. Report of pending list to be forwarded to DG once in 15 days.Follow up with the exporters and get the feedback from the exporters whether their issue was solved and the feedback may be filed in the concerned file

Procedure for maintenance of office equipment – No proper evaluation doneProcedure for purchase[Goods and services]- Services evaluated very highly rated was changed.Evaluvation sheet was not approved by Regional head

The AMCs for all equipments were already done, Hence whenever we have to renew the AMC, procedure may be followed strictly as per the guidelines.Since evaluation has to be done every financial year, the procedure will be followed when we are doing the evaluation for the next financial year.

Concerned official has been instructed to follow the system strictly.
