Team Leader Packet(Revised October 2014)

We exist to Develop, Empower, and Release the Body of Christ to show His love in times of crisis…to multiply transformational churches among all people.

Steve Spellman Mark Lewis City Team Leader, Haiti ReachGlobal Crisis Response Director

PORT AU PRINCE, HAITI: TOUCHING ONE LIFE…ETERNALLYThank You…Thank you for choosing to lead a team in response to the January 12, 2010 devastating 7.0 earthquake in Haiti. The epicenter was ten miles from Port au Prince, the Haitian capital. Over 200,000 people were killed. Hundreds of thousands of homes were damaged or destroyed, as well as businesses, churches, and most of the infrastructure in the affected communities. Millions were displaced. We are grateful that you have chosen to help!

Our Mission…ReachGlobal is working in conjunction with Haitian churches and other partners to show God’s love and compassion through earthquake relief and recovery, for the purpose of outreach, evangelism, and church planting. Our plan is to be assisting Haiti rebuild (physically, emotionally, spiritually) for years to come, so what you accomplish will have long-term impact.

Hands and Feet…Please plan to serve as God leads and be open to ministering to the spiritual, emotional, and physical needs of those affected. If you emphasize to your group the importance of Jesus in all of the details and plans, they will have a much more enjoyable time. Waiting in line becomes a chance to share Jesus. Sitting through traffic becomes a quiet time. Living every moment as a conduit for Christ can be life changing in this fertile environment!

All the People of the World…We serve all God’s people...rich, poor, all colors, shapes, and sizes. Though sent to do work tasks, we are ultimately in a position to be Christ-like servants; a chance to be Jesus in the flesh to someone who perhaps has never met Him…someone who never gave thought to the need for a Savior. While some might focus on the work to be done, our priority is focused on people and building relationships that allow us to show God’s love to those whose paths we cross.

“That’s Just the Way I Like It!”If there were one word that is crucial for all short-term missions it would be flexibility. No one knows what God will bring your way or ask your team to do. Be ready for the unexpected by eliminating any preconceived expectations. In this ministry, when things don’t go according to schedule or in the way that we think things should go, our adopted slogan is, “That’s just the way I like it!” It reminds us that God is in control and our plan is truly subpar to His. Your success in this ministry is measured by your obedience to God, and your willingness to let HIM set the agenda. A willing spirit and open mind will enable wonderful engagements between team members. Please consider using the “Release of Rights” contract (included in this packet) with your team to prepare them for a week of short-term missions!

Join the RevivalOur hope and prayer is that after you leave Haiti, you will keep this experience in the forefront of your mind, bringing the idea that serving God’s people can happen right in your own back yard! While here, we hope that God will ignite new ideas and passions in your heart and members of your team to return home with a desire to serve the Lord in new and meaningful ways!

Serving Him in constant awe,

ReachGlobal Haiti Team

TEAM LEADER ACTIVITIES

Begin here if you have not submitted the ReachGlobal Haiti Team ApplicationApplications can be found at http://go.efca.org/resources/document/haiti-application

Pray. Ask God to guide you, your team members, and your church as you seek God’s will in sending you to Haiti. "Trust in the Lord with all your heart and lean not on your own understanding; in all your ways acknowledge him, and he will make your paths straight" (Proverbs 3:5-6)

Scan your completed application to [email protected]. If you are unable to scan, you can either fax your application to our office – fax #: 985-893-0175 or mail to: ReachGlobal Crisis Response, 19380 N. 10th Street, Covington, LA 70433. Your application will be reviewed to ensure the dates are available

Complete the Deposit Payment Form (page 29) and attach one check to cover the $75 per person non-transferable, non-refundable deposit after you receive confirmation that your mission dates are available to secure your mission dates

Now that you have submitted the ReachGlobal Team Application, continue with the items listed below

Begin here if you already submitted the ReachGlobal Haiti Team Application

Pray. Ask God to guide you, your team members, and your church as you obey the call of Luke 10:2: "The harvest is plentiful, but the workers are few. Ask the Lord of the harvest, therefore, to send out workers into his harvest field.”

Read the entire team leader packet to get an overview your Haiti mission trip AND to review the documents that you have accepted the responsibility to coordinate the completion of the forms for your team

Access and read the team member packet to get an overview of the information that team members receive to help you answer any questions sent your way (http://go.efca.org/resources/project/haiti-projects)

Create a binder to hold all your documents related to your Haiti mission trip, including completed documents as team members submit them to you. You will be required to scan and mail documents to the Pre-field Volunteer Coordinator, so it is quite helpful to keep all the documents in one location

Calculate the cost of the trip. Known costs per person are listed on page 7

Develop a calendar of scheduled meetings with your team. It’s highly suggested that you meet regularly to build a team that is unified and God honoring. Meetings can take place in your church, a large room, a team member’s home or even a park, if the weather is good. Locate a place where everyone will be comfortable, yet alert to plan for the mission trip

Thank you for agreeing to lead a team on a mission trip to Haiti. If you have yet to submit an application to serve, please follow ALL the instructions listed on this page; however, if you have already submitted your application, you can jump to the instructions below the dark line.

TEAM LEADER CHECKLIST (Page 1 of 2)

AS SOON AS POSSIBLE: Pray* - The most important thing you can do daily is to constantly pray for your team.

Confirm all the items listed on the Team Leader Activities page are finalized (page 4)

Receive confirmation from ReachGlobal Pre-field Coordinator that mission dates are confirmed (If you have not received confirmation within five working days for application scanned or faxed) email [email protected] to confirm application was received

Mail deposit (use form on page 28)

Schedule team meetings. Contact [email protected] if this is the team leader’s first trip to Haiti with ReachGlobal and you wish to schedule a ReachGlobal pre-field training (based on availability in trainers’ schedule)

Distribute team member packets to each team member on your team http://go.efca.org/resources/project/haiti-projects

If team members are required to raise support, ask them to send their support letters as soon as possible. A sample letter requesting support is located on page 31

Collect a copy of each team member’s passport to ensure each member going to Haiti meets the Haitian requirement that the passport expiration date is a minimum of six months after the team’s arrival date in Haiti

Ask team members to make sure they are up to date with their tetanus shot. If they have not had one in the past 5 years, we recommend they get another. Consult with a physician about other recommended shots and medicine for travel to Haiti

Distribute the “Release of Rights” form (page 19) to team members. This form is not returned to ReachGlobal, but is a tool for the team leader to review with each team member and to remind them that God is in control and they are in God’s care

Please check with your team to see if there are any medical conditions that could hinder their participation on a mission trip to Haiti. If there are concerns or questions to the health of any team member, please contact the On-Site Volunteer Coordinator before purchasing a plane ticket for the individual in question (i.e. bladder control, heat related illness, allergies, etc.) Your time in Haiti will include extensive walking in the heat of the day. Please ensure that everyone on the team is physically able to participate

As events unfold, email change to size/makeup of group to [email protected]

PREPARING FOR YOUR MISSION TRIP

POSSIBLE WORK TEAM ASSIGNMENTS: o Construction o Medicalo Family Ministrieso Relational Ministry (ex. teaching English)o Community Ministry (VBS; sports; music; etc.)o Prayero Other needs as determined

The request to submit the Team Member Skill Assessment (page 27) to [email protected] at least four weeks before your team arrives allows ReachGlobal staff to use this information to best utilize the skills and gifts of your team.

TRIP COSTS The total cost for the trip is $840 plus airfare and personal expenses. The $840 fee is paid in two payments. A $75 per person non-refundable, non-transferable deposit is required when you submit the application to serve. If you scan or fax your application, mail in the deposit the moment your requested mission dates are confirmed by the Pre-field Volunteer Coordinator. The $75 deposit per person will be applied to the total fee of $840; therefore, the balance payment for the team of $765 per person. Send the deposit at least 30 days prior to the team’s arrival.

The trip cost goes toward sustaining the volunteer response during the long-term recovery, and includes lodging, one (1) prepared hot meal per day (6 days), translators, drivers, in-country transportation, ministry/construction supplies/materials, pre-trip training, and to cover ongoing ReachGlobal ministry needs.

Please complete the Haiti Deposit Payment Form (page 29), attaching one check to pay for the entire team. Make the check payable to "EFCA" noting ‘Haiti Team Deposit and the name of your church in the memo line. The amount of the check is based upon the number of volunteers you plan to send to Haiti.

For example, a team deposit for 10 volunteers = 10 x $75. Your church or organization submits a deposit check made out to EFCA in the amount of $750.00

Mail deposit check to:ReachGlobal Crisis Response

19380 N. 10th StreetCovington, LA 70433

One month prior to your flight to Haiti, complete the Haiti Balance Payment Form (page 30), attaching the balance check for the entire team made payable to “EFCA”. Please continue with the practice of noting ‘Haiti Team Balance Payment’ and the name of your church in the memo line.

The amount of the balance check is based upon the number of volunteers who are going on the Haiti Mission Trip. In the deposit example we used 10 volunteers, so if the team size hasn’t changed, your balance check should be made out to EFCA in the amount of $7650 ($765 x 10). The mailing address is the same as that listed above.

INFORMATIONAL SESSION About two weeks before your arrival, our On-site Volunteer Coordinator will be in touch to fill in details of your trip. At this time a list of household and specific project needs will be communicated with the team leader. This session will give you more details on what the week will entail and how your team will help with our ongoing relational ministries and work projects. It will also give you a time to ask any final questions prior to your arrival on the mission field.

AIR TRANSPORTATION We recommend that you schedule your flights as a group and that you are all on the same flight. You may want to consider putting flights on one bill to ensure everyone gets on the same flight since tickets are bought simultaneously. It is important that you schedule your team’s flight for arrival on Saturday. Departures are to be scheduled for Friday. In both cases, please schedule your flights between the hours 11am-3pm. Any other arrival/departure time or days require our prior approval. Contact [email protected] if requesting alternate times or dates.

CREDIT CARDS, CHECKS AND CASH: The opportunities to spend money are limited. You most likely will spend money as you travel to and from Haiti at the American airports. You will have limited need for personal cash and limited opportunities to spend personal funds. When you arrive in Haiti it is best to do so with U.S. dollars IN CASH. $1, $5, $10 and $20 bills are the easiest to use for the few souvenirs you may want to purchase or a pound of Haitian coffee that you can buy at the ministry house. See Tourism Tax on page 12.

Traveler’s checks are close to impossible to exchange. We do not use banks due to security risks. There really aren’t cash machines available and very few places in Haiti will accept credit cards. Credit cards can be brought for an emergency, but we cannot guaranty the cards will be accepted.

GENERAL HEALTH:Please check with your team to see if there are any medical conditions that would be difficult to participate on a mission trip to Haiti. If there are concerns or questions to the health of any team member, please contact staff before purchasing a plane ticket for the individual in question (i.e. bladder control, heat related illness, allergies, etc.)

IMMUNIZATIONS: The best place to start inquiring about immunizations is with your personal physician. There are no specific immunization requirements for entry into Haiti; however, the following immunizations are recommended by the Center of Disease Control (CDC) for individuals to have:❑ Measles/Mumps/Rubella (MMR)❑ Diphtheria/Pertussis/Tetanus (DPT)❑ Polio❑ Seasonal and H1N1 flu❑ Varicella

❑ Hepatitis A❑ Hepatitis B❑ Typhoid❑ Tetnus (no more than 5 years old)

See http://wwwnc.cdc.gov/travel/destinations/traveler/none/haiti for the complete CDC recommendation. Also check with your physician about medications for malaria.

Ask your doctor for a prescription for Cipro before coming to Haiti. Start taking the Cipro only after approval from a Career Missionary/nurse. Cipro is a course of antibiotic treatment taken for a number of days, according to doctor’s instructions. Once in Haiti, if you feel you might need to consider taking the Cipro, consult with the Career Missionary/nurse before starting the treatment.

EDUCATIONAL KITS:As you think about packing for your Haiti trip, will you consider packing a few items for Haitian students? For many children in Haiti attending school is a privilege most dream about but many never experience.  For students who do get the opportunity, the expenses involved on top of the monthly tuition are a burden for their families.  Will you consider reaching out to the Haitian youth, showing the love of Christ by providing them with basic school supplies? Proverbs 19:17 tell us, "Whoever is generous to the poor lends to the Lord, and He will repay him for his deed." Your generosity is as simple as filling a backpack with school supplies.

The school supplies that you collect will be shipped to Haiti and distributed to individual students via ReachGlobal staff and volunteers.  As you prepare to go on your mission trip, this is an opportunity for your church, family and friends to connect to your time in Haiti.  While the connection to your mission trip is timely, the need for the kits is ongoing, so you can organize multiple school supply drives at your church or in your community to meet this need.  Your simple act of love can change the course of a life for a Haitian child.  Act now.

ARRIVING IN HAITI

PASSPORT AND VISA You must have a valid passport to enter Haiti. Your passport expiration date must be a minimum of six months after the team’s arrival date into Haiti. U.S. citizens do not need a visa for a tourist stay of 90 days or less.

As a safety precaution, safeguard yourself by making several copies of the information pages of your passport BEFORE leaving the United States.

Leave one copy at home with a reliable contact Give one copy to the ReachGlobal Onsite Volunteer Coordinator in Haiti Give one copy to your team leader Pack one copy safely in your luggage, separate from your passport that you carry

AIRPORT PROCEDURES:

When you check in for your flight, you should be given luggage claim check(s). Keep the luggage checks in a safe place in your purse or wallet. On the plane you will be asked to fill out a customs card, sometimes called a landing card or disembarkation card. Please fill your forms out before you leave the airplane. In the space where you need to write your reason for being in the country, it is important that you circle ‘pleasure’. Also, you will be required to write in the address where you are staying while in Haiti. Store the address below in your purse or wallet prior to getting on the plane to ensure you have it to complete the custom card while on the plane: 16 Rue TiBoucan, Gressier, Ouest, Haiti. Telephone # 509-4337-7050

Sample of customs forms:

Steps from Airplane to our vehicle:

1. You will be required to pay a US $10.00 “Tourism Tax”.  When you pay the tax you will receive a small receipt that you take with you to the airport custom line

2. Make sure you have your luggage claim check in hand as you deplane3. Go through Immigration and hand in your green form. Immigration in return will return the bottom of the

green form back to you. You need this portion of the form to exit the country. DO NOT LOSE IT! (see page 11 for sample of the forms)

4. Pick up your luggage5. Once you have your luggage, proceed to the exit. It is standard to have someone check your baggage

claim ticket6. Turn in your white custom form to the customs officer7. Once you are outside, look for someone with a ReachGlobal sign who will know your leader’s name8. The person with the ReachGlobal sign will bring you to our vehicle located in the parking lot

Upon arrival in Haiti, be prepared for children or adults who will approach you to ask to carry your luggage or to beg for a dollar. You should refuse both, in order to avoid drawing a crowd or put yourself at risk.

GIFTSDo not give anything to any Haitian at any time. Giving to people on the street or anywhere in Haiti is dangerous. To do so will place you and your team at serious personal risk. This is without exception, even candy to kids! Please help us maintain our ministry and long-term relationships in Haiti solid by strictly applying this rule of NO GIFTS – NO EXCEPTIONS!

WHILE IN HAITI12

Page 13: Living in Peru - EFCA · Web viewIf there were one word that is crucial for all short-term missions it would be flexibility. No one knows what God will bring your way or ask your

HOUSING AND SLEEPING ARRANGEMENTS: We have rented a nice Haitian house for our staff base. There is no AC. There is electricity available. Expect rules about conserving electric usage. Very important: Electric current in Haiti is 120 volts. This is the same as the U.S.A.

Teams will be housed in facilities provided by ReachGlobal and ministry partners. You will have access to a bunk bed with a mosquito net, or because of limited space of our indoor facilities, it is possible that your housing will be in a bunkhouse outside. Housing is divided between a men’s bunkhouse (or room) and a women’s bunkhouse (or room), and we are unable to accommodate married couples sleeping together in the same room.

MEALS: The team fee covers 1 hot meal a day while in Haiti which is dinner nightly from Saturday through the following Friday, with the exception of Sunday. Our cook has Sunday off, so Sunday dinner, along with all breakfasts and lunches will need to be prepared by your team. In Haiti you won’t be able to visit a grocery or convenience store, so plan ahead by bringing snacks and ingredients with you in your luggage to cover breakfasts and lunches. You are encouraged to leave behind whatever you don’t use for the next team. Please see packing list for suggested food items.

The one prepared meal will predominantly be typical Haitian meals: rice, beans, and small amounts of various local meats, seasonally available local vegetables and fruit. We are unable to accommodate special dietary needs or preferences. Our kitchen is small; we are unable to make kitchen space available for individuals to prepare their own meals.

13

Page 14: Living in Peru - EFCA · Web viewIf there were one word that is crucial for all short-term missions it would be flexibility. No one knows what God will bring your way or ask your

SHOWERS/TOILETS: There are two bathrooms inside with showers for individuals to use. We also have three outside shower stalls. The house is supplied with cold water for bathing by a well system, so showers should be kept short because of limited water.

Procedures for showers: 1. Leave water on just long enough to get wet, then turn water off. 2. Shampoo your hair and wash yourself, all without the water on.  3. When you're finished scrubbing, turn the water back on and rinse off. 4. Use leave-in conditioner to limit your use of water. 5. Make sure the generator is turned on to run the well pump to fill the water tank again.

Bring along a few mirrors so that some team members can shave or comb their hair while others are in the bathroom. You will need to bring your own towel.

Toilet paper must not get flushed down the toilet due to the fragile septic system; instead it is placed into a wastebasket beside the toilet. Ladies, used sanitary items should be well wrapped.

Be sure not to drink the well water or brush your teeth with it. Drink only from a treated faucet. It is suggested that you use bottle water to brush your teeth.

CHORES: Team members will be expected to take part in daily facility care chores, including washing dishes, doing your own personal laundry, by hand in a bucket, and turning off power, etc.Teams are not to be doing chores outside, or inside, other than dishes, as we have hired locals to do those tasks. It takes from the pride and livelihood of the local hired personnel if you fail to respect our request to only do the tasks we assign to you. Also, it is cultural that outside help stay outside of the house. Please respect the boundaries that are outlined above as our ministry is following local customs.

LAUNDRY: Laundry facilities will not be available to team members. We will have a clothesline and bucket for hand washing. If you plan to do hand laundry, please bring your own laundry soap. We suggest Method, because it is small and concentrated. Here is a link to find stores that carry Method: http://methodhome.com/support/where-to-buy/

GETTING AROUND IN HAITI: You will be riding in ReachGlobal vehicles with our hired driver. Your time in Haiti will also include extensive walking in the heat of the day. Keep that in mind as you pack and plan your footwear. It’s a good practice to carry along a small backpack when out and about in Haiti. Anything large will call attention and can prove bulky, but you want something large enough for several bottles of water, gloves, antiseptic gel, your Bible, notebook, toilet paper, copy of your passport, etc.

Do not ride in any vehicle other than those of the mission, partners, or those that the mission staff directs you to use.

MAIL DELIVERY:There isn’t a mail system currently in Haiti; therefore, we request that mail is not sent to teams in Haiti since we cannot guaranty delivery. The only mail should be email; however see information on communications on page 16.

WHAT TO WEAR: Dress for warm weather. Bring lightweight, light colored, and easily washable clothing. One or two casual dress outfits are suggested for church or visiting. Dressing as nicely as you can afford is important to Haitians. Skirts or dresses are appropriate for ladies at church. Women should cover their shoulders for church on Sunday. Men should plan on a collared dress-shirt and dress pants for church. Do not wear jeans to church. Jeans are acceptable for men or women during work projects; however, they may be too heavy in the heat. Lightweight pants and/or shorts are preferable. The length of shorts should pass the fingertip test. T-shirts should be plain, without flashy or questionable advertising. Men may wear sleeveless shirts when working on construction projects. Sleeveless dresses and blouses are suitable for ladies, but please do not wear spaghetti strap tank tops, or tops with loose/low neck lines.

Socks and work boots/sturdy closed toed shoes are best for the rugged, unpredictable terrain and to perform work. It is very dusty – or very muddy – depending on the season. Bring shoes that are good enough to prevent blisters and give you good support. Bring flip-flops to wear in the shower.

When it comes to jewelry, we suggest that you to leave it at home. In addition to putting you at greater risk, it may be offensive to the people with whom you will be working in comparison to their standard of living. If you must wear jewelry, only wear the most basic items, such as simple wristwatches, simple wedding bands and small earrings. Please follow the Haitian customs, Haitian males do not wear earrings and Haitian women only wear one set of earrings.

We represent Christ, so men, you must wear shirts at all times, even around the base and when heading to/from showers. Ladies, we expect you to wear modest clothes, (no short shorts, loose tops, or halter/swimsuit tops or anything similar).

SAFETY:Never leave the construction site or team ministry site alone and never without specific permission from the field representative. Be careful to have a translator always present. Haitian Creole is the spoken language, and unless you speak it well, take precautions whenever out in public to avoid misunderstandings. Don’t be boisterous or make “scenes” in public. Be respectful and allow your translator to speak for you whenever possible.

You must always carry a copy of your passport for identification (your team leader will gather all the passports and have our local staff lock them in our safe for the duration of the trip). When out in public, please be extra careful when carrying any kind of passport, ensuring you keep the documentation safely on you. Make it a point of carrying some cash…but not too much (a good rule of thumb is this: if I were to be pickpocketed while out today, what would the cost be to me in terms of time, headache, stress…)

We have set a policy that no Haitians except those specifically authorized by our staff are allowed on the property, and especially in the house. NO EXCEPTIONS! This is for your safety and ours!

Do not give your address or telephone number to anyone as this only will invite solicitation letters or collect phone calls from Haitians with requests for money. The best way to help the people in Haiti is to give to an established ministry which is organized to help people on a widespread basis and is set up to handle individual crisis situations as they arise. If you have questions about a particular situation while in Haiti, please talk to a ReachGlobal staff member.

PROTECTING YOUR HEALTH You should drink only boiled or purified water during your stay in Haiti, even for things such as brushing your teeth. You should not eat from the street food vendors. You should avoid any fruit (no matter how clean looking) without permission from the local team leader. Cholera, Hepatitis-A, parasitic infections and Typhoid all exist in Haiti, but you should be able to avoid those diseases if you take the proper precautions with food and drink.

Also be advised that heat and sunstroke are an issue in Haiti. If you’ll be on a work team during the mid-day hours, carry plenty of liquids and SPF 45+ sunscreen. Your time in Haiti may include extensive walking in the heat of the day. Please make sure that you are physically able. Before purchasing plane tickets, email or call ReachGlobal if anyone in your group has special needs to discuss options.

Depending upon the tasks assigned to your team, you may interact with children housed at local orphanages. While we encourage you to interact with the children, please make sure that afterwards you wash thoroughly, as many of these children may have lice, colds, runny noses, etc.

If you contract diarrhea, sometimes accompanied by abdominal cramping, during your travels or shortly after your arrival, do not be overly concerned, but do follow these suggestions:

• Drink plenty of hot tea, Gatorade or carbonated beverages. Each of these can help replace lost fluids and salt. It is recommended that you bring powdered rehydration drinks, such as Gatorade, with you. You may also want to bring rehydration salts with you. It is wise to have some Pepto-bismol or Imodium with you in case symptoms occur while on your mission trip or during your flight home.

• If symptoms persist for more than one day, or if there is blood in the stool, seek the advice of a career missionary, or your doctor if symptoms appear once you return home. The problem may be due to some type of parasite; however, whatever the cause, drink at least two quarts (8 glasses) of water and/or other fluids each day to avoid dehydration.

• Ask your doctor for a prescription for Cipro before coming to Haiti. Start taking the Cipro only after approval from a Career Missionary/nurse. Cipro is a course of antibiotic treatment taken for a number of days, according to doctor’s instructions, so it is best to work with the Career Missionary/nurse before starting the treatment.

MEDICAL CARE: It is best to bring your prescription medicine and non-prescription medications in the original container in your carry-on baggage. NEVER put medication in checked baggage. Be sure to bring more than enough medication in case of an emergency or an unplanned extended stay.

Medical care is problematic in Haiti. Many hospitals were destroyed in the earthquake, so most hospitals are operating above capacity. Because of this, in case of an emergency or medical situation, we use a clinic close to our base of operation. The clinic has a Haitian doctor and US trained nurses on staff.

COMMUNICATIONS: Internet - Internet access is limited due to a limited bandwidth. Team members will only have access to Internet at our facilities in the evenings and only when the Internet is working. Overall, we encourage team members not to bring computers. The Team leader, or a designee, will be granted limited use to the Internet at the ReachGlobal mission base to post a blog or to email a report home. General use of the Internet to access Facebook or browse the web is not allowed.

EMERGENCY CALLS FROM THE FIELD:In the event of an emergency while the team is in Haiti, the team leader or ReachGlobal field personnel will call the team member’s emergency contact. The call will be made in as timely a manner as possible, after the emergency has been dealt with.

EMERGENCY CALLS TO THE FIELD:Please read, review and understand this section before departing for Haiti. Please share this information with the designated person(s) needing to know the procedure for placing an emergency call to Haiti.

1. Weeks prior to leaving for Haiti, the team leader must work out a plan with their church or organization to designate a person or persons, not attending the Haiti trip, to be the point of contact for the family and friends of those headed to Haiti. Give everyone on the Haiti team a list of names and phone numbers of those local designees to distribute to parents, spouses or anyone who needs the information.

The following two names and numbers should only be given to the local church/organization designees to use in case of an emergency. The phone numbers listed are Haiti phone numbers of staff working there:

*Jennifer Blevins - (509)4337-7050*Sharron Mathis - (509)4391-5374

2. When an emergency at home occurs that requires notifying the team leader or one of the volunteers (meaning it is of such importance that waiting until their return is not an option), call Jennifer Blevins or Sharron Mathis.  Their numbers are listed above.

3. If Jennifer or Sharron do not answer their phones, the designee can follow this plan of action to make contact with other US based staff who can assist the designee:

*Call 985-888-1060 to connect to the ReachGlobal Crisis Response Office. Someone on staff will help you get in touch with the Haiti group as quickly as possible. Provide the following:

* Your full name* Phone number, including area code* The full name of the person you are trying to reach* The nature of the emergency* The name and phone number of who to call back, if the person is other than you.

4. If the designee is unable to reach someone at 985-888-1060, the ReachGlobal Crisis Response Office, they then should call 800-745-2202, the EFCA National Office (8:00 am 4:30 pm, Monday Friday, Central Daylight Time (CDT).  Ask for Holly Fann. Holly will help you get in touch with the Haiti group as quickly as possible. Give Holly the phone number where the church designee can be reached. Someone from Haiti will return your call as soon as the message gets through.

PLEASE NOTE:The numbers for Jennifer Blevins and Sharron Mathis are Haiti cell phones that should only be used for emergencies.  The numbers should not be used for non-emergency situations. Often people back home want to make contact or to request on-field updates. For this reason, we strongly suggest that the team bring a cell phone with international roaming capabilities that the team leader or someone on the team can use.

GENERAL HAITI INFORMATION

LOCAL CURRENCY: The currency of Haiti is Gourde, or Goud in Creole.Prices are referred to in Haitian dollars.

http://www.travelinghaiti.com/haitian-currency.asp to see what the currency looks like and for current exchange rates.

The US Dollar is accepted in Haiti, but at unfavorable exchange rates. You won’t have any need for exchanging money during your time. You will be able to use US dollars to buy souvenirs (paintings, wooden sculptures and small jewelry).

TIME DIFFERENCE: Haiti is on Eastern Standard Time (EST).

WEATHER: Haiti’s climate varies because of its size and altitude differences. The average temperature in Port-au-Prince it is 81°F (27°C). Spring and autumn are rainy. December through February and June through August are dry. July is the driest summer month. The hurricane season lasts from June to October.

SUGGESTIONS & REMINDERS

• Use the Team Leader Activity and Checklist on pages 5-6 to track what you need to get done and the timeframe the documents are due

• Every piece of team luggage should be marked with identical, bright ribbons to make the team luggage easy to spot at the airport luggage carousels. Pack using old luggage as it easily gets damaged

• If you have specific medical needs please bring your own medication in its original container. Make sure Haiti staff knows of any special health concerns or special medications

• Bring extra medications in case of an emergency or an unplanned extended stay• Ask your friends if you can borrow items you will need only for this trip. Try not to spend money for

things you will use only this one time• Use Tupperware and sealable plastic bags to pack some of your items. Unused Items that you leave

behind, for the use of ReachGlobal Haiti, are appreciated• Carry your own personal hygiene items at all times. Do not depend on the availability of electricity, soap,

toilet tissue, feminine needs, or even indoor plumbing at every job site • A small daypack is needed for carrying personal items to the work sites and other ministry sites• Do not bring candy or toys for kids unless specifically requested. As noted before, DON’T GIVE

ANYTHING AWAY TO HAITIANS. NO EXCEPTIONS. It can cause a huge security issue and/or hurt relationships, as well as damage our long-term ministry

• Have $10 in cash ready before landing in Haiti. You will pay a $10 tourism tax at the airport • We suggest leaving jewelry and make-up at home• Please do not bring hair dryers or flat/curling irons

Team members should coordinate packing items requested by the Haiti staff to ensure the requested items can be

distributed among volunteer luggage equally

RELEASE OF RIGHTSWe live in a world that is full of rights. Our particular culture is one where we take pride in our rights. As a matter of fact, the rights of individuals are constitutional but as we see the demanding of individual rights increase, we see much of the moral fiber of our society decrease. Our Lord Jesus Christ laid down his rights and all His glory, to the heavens, to become a man and to serve, not to be served. (Phil 2:5-11 and Mark 10:45)

We ask you to consider laying down your rights on this mission trip. Not to lay them down for better or for worse, but to entrust them to the Lord or transfer the responsibility of them to a place of safe keeping. These rights may seem reasonable but on a short-term mission trip they could cause dissension. Would you take time to search your heart and willingness to surrender your rights to the Lord?

Romans 12:1

I understand that ReachGlobal does not accept responsibility for any lost, damaged, or stolen personal property. Furthermore, ReachGlobal and its appointed short-term mission leaders, and/or personnel have my permission to authorize

Dear Friends,

I am excited to share with you that I will be participating on a team from our church that is going to Haiti during the holidays. We will be working with ReachGlobal Crisis Response, the relief arm of Evangelical Free Churches of America. Our team will be serving with ReachGlobal staff who have been serving in Haiti to share Christ’s love with people suffered as a result of the devastating earthquake that occurred in January 2012. The cost of the trip will be about $1,500 for airfare, housing, ground transportation, meals, etc. Each team member will be contributing towards these expenses and our church missions fund will help, too.

But, we need additional help from interested friends and family members. If you would like to be part of my support team, please tear off and return the response slip below and mail your contribution to our church office or me. Please make your check payable to: church address

In addition, we also need people who will commit to pray for our team as we prepare and go to Haiti. If you would be willing to be part of our prayer team, please return the response slip below. Pray for our safety as we work and for opportunities to share with the people we will be helping during our week in Haiti.

Thank you for your prayers, financial support and overall desire to send me to Haiti!

Important note: If I am unable to participate on the team due to illness or an unforeseen situation, please understand that our church cannot refund any donations. However, all gifts will be used for the Haiti effort. Thanks!

We suggest that you provide team with the dates of the mission trip so the information can be included in their letter. If your church accountant

is keeping track of donations, it is also helpful if you provide each volunteer with a regular update of their fundraising efforts.

ReachGlobal Haiti Short-Term Challenge

As part of your upcoming Haiti experience, we want to challenge you with a simple…and rather flavorful… proposal. ReachGlobal partners with some 14 partners throughout Haiti, one of which is STEP seminary (together with its students and graduates). Flowing out of the Seminary’s vision to impact both Haiti and the world, they have sent some of Haiti’s first missionaries…. to Senegal! And while their churches are involved in financially supporting them, more funding is needed…. which has led them (with ReachGlobal as one of the partners) to the following:

Haitian Perle – Coffee With a Purpose!

As early as 1789, the French colony of Haiti began producing coffee. The French recognized Haitian coffee as one of the world’s finest and as demand grew on the international market at one point Haiti produced 60% of the world’s coffee. Once revered as the “Pearl of the Antilles” (Caribbean), Haiti’s tradition as a producer of fine coffee has been reborn with the introduction of Haitian Perle to the market.

The Haitian Perle Coffee Project, a ministry outreach of Vision d’Antioche (VA), has a two-fold purpose. VA, a Haitian missionary organization working with evangelical Haitian churches, prepares and sends out Haitian missionaries and provides scholarships for Haitian students. A growing number of coffee farmers are participating, providing for their families while achieving economic self-sufficiency and creating jobs.

VA currently has one Haitian family serving in Senegal, Africa. God has blessed their ministry abundantly and the Senegalese leadership said, “You sent us the best – you sent us pearls.”

By buying and drinking Haitian Perle, you can support VA’s efforts to send out another missionary family, support students, and encourage Haitian families.

Haitian Perle – Coffee with a purpose, You Sip…We Send!

We want to challenge you, your group and/or your church to purchase 50 pounds of Haitian Perle (that’s a suitcase full!). At U$10 per pound (produced, packaged and sealed in Haiti) that’s $500. That’s a $500 investment in Haitian seminary students and Haitian missionaries. That’s $500 of quality Haitian coffee you can sell or serve upon returning home. That’s $500 making a difference long after you return home.(by the way, you don’t HAVE TO do the whole $500 – that’s just our challenge. Feel free to purchase anything from one pound…to a hundred!)

Our ReachGlobal team will be glad to facilitate the purchase. Let us know prior to your trip departure how much coffee you’ll want to bring back, and bring the funds you’ve raised for coffee with your team to Haiti.  Our ReachGlobal team in Haiti will glad to facilitate the purchase.  We believe in this project…we hope you will too!
