About – 2021 Southeast Regional Conference Goes VIRTUALThe Southeast Regional Fruit & Vegetable Conference, held annually, is the largest educational conference and trade show in the southeastern United States that unites growers, vendors and suppliers. In an effort to protect the health and wellbeing of all attendees, we are excited to announce the 2021 Southeast Regional Conference will take place virtually! While the conference historically takes place in Savannah, Georgia each January, over a Thursday – Sunday pattern, the 2021 virtual conference will take place over a Tuesday -Thursday day pattern, January 5-7, 2021. The Southeast Regional Conference works on a priority point system. Companies that exhibit will earn 1 priority point and companies that sponsor will earn .5 priority point. Priority points add up over time and allow companies to select booth space (based on availability) when meeting in person or relocating to a different booth on the trade show floor. Having a virtual conference will allow the Southeast Regional Trade Show team to accommodate companies on the waiting list. While we may not be able to accommodate wait list companies in person at the 2022 Southeast Regional Conference, your exhibiting company will keep any points earned from virtual participation for future use.Within this prospectus exhibiting companies can review booth package features, who should exhibit, frequently asked questions (FAQs), cost saving benefits and more!

Power Hours Highlights:Power Hours is a new, virtual marketing opportunity for exhibitors only. There will be dedicated trade show time for attendees and exhibitors from 11:30am – 2:30pm EST each day of the conference. Exhibitors who want to highlight a product or service demo can do so through Power Hour Highlights. Highlight recognition will be given on the official Southeast Regional Schedule, located on the conference website and within the virtual platform. Power Hour Highlights will cost $100 and exhibiting companies will be limited to one demo per day. Power Hour Highlights will be recognized on the schedule in 30 minute increments beginning at 11:30am EST and the last highlight will begin at 2:00pm in order to end by 2:30pm EST. Please contact Rhonda Freeman at [email protected] in order to register and pay for virtual Power Hour Highlights.

Frequently Asked Questions:1. If I am already registered to exhibit in person, how do I update to participate virtually?Our SE Regional booth coordinator, Rhonda Freeman will be in touch with all companies who renewed from the 2020 show to exhibit in 2021. You will have the option to select a Standard Booth at $750 or a Premium Booth at $975. Additional booth package details can be found within this prospectus.

2. What do I do if there is a difference in booth cost? If the booth that you previously registered and paid for cost less than the virtual booth you will need to pay the difference. You can mail a check or pay via credit card using our secure PayPal account.If the booth you previously registered and paid for cost more than the virtual booth you have several options that will enable you to continue to market your company throughout the virtual platform. We can credit the difference in

payment to a sponsorship opportunity, advertising within the conference program (print and digital options will be available), attendee registration or, you can use the credit to take advantage of a new marketing opportunity called the Featured Products Pavilion (see booth packages for more details).We understand a refund may be the best option for some companies, however, industry support is critical for the Southeast Regional Conference and Trade Show to continue as the premiere southeastern fruit & vegetable annual event. By crediting the difference in cost to a sponsorship, the exhibitor/sponsor will gain additional branding within the virtual platform, and it will allow the Southeast Regional Conference to continue providing the same level of networking, education, fun and socializing within a virtual platform as you’re accustom to experiencing in person. However, if after you consider these opportunities you feel a refund is in your best interest we will be happy to refund the balance due.

3. How will I save money by exhibiting virtually?This is a great question, and we are glad you asked! On average, most exhibiting companies pay to have at least two booth personnel onsite when meeting in person. Some companies average four or more people. By meeting virtually, we estimate the average cost savings per person to be approximately $1,500 (travel, lodging & meals). The savings continue to mount as other considerations are made – shipping, material handling, booth cleaning, electricity, carpet, decorator, customer entertainment, etc. Additionally, the virtual conference platform will remain open through April 30th so you will receive the added value of communicating with attendees for up to four months after the conference officially ends.

4. What if my company has been on the trade show waiting list and we want to participate?Great news! Having a virtual conference will allow the Southeast Regional Trade Show team to finally accommodate your requests in 2021! We welcome all companies on the waiting list to take advantage of this opportunity and earn a priority point in the process! Companies that exhibit will earn 1 priority point and companies that sponsor will earn .5 priority point. Priority points add up over time and allow companies to select booth space (based on availability) when meeting in person or relocating to a different booth on the trade show floor.While we may not be able to accommodate you again at the 2022 Southeast Regional Conference, your exhibiting company will keep any points earned from virtual participation for future use.

5. What if my company is not allowed to exhibit, even virtually, in 2021 will I be penalized and loose booth space or priority points when planning for the conference in 2022?While we do not know what the future holds for 2022, our hope and anticipation is to return to Savannah in 2022 and meet in person. An exhibiting company that cannot participate in the 2021 virtual conference will not be penalized when planning for the 2022 conference. The Southeast Regional Trade Show team will honor booth spaces that were occupied at the 2020 conference when planning for 2022.

6. As an exhibitor, will my company receive complimentary conference registrations?Yes! Both virtual booth packages – standard and premium – will include two complimentary Education Session registrations. These will be all access virtual passes that allow two attendees to participate in the virtual trade show, education sessions, and networking opportunities.Exhibiting companies that want access for more than two people will have two options. If access to the Education Sessions are needed the attendee will need to register and pay. If access to the Trade Show only is needed the attendee will register and be given complimentary access to the Trade Show only.

7. Who will design the booth type that I select?The Southeast Regional Trade Show team will select the templates that will be available. There will be one template selected for the standard booth and a different template with optimal appearance selected for the premium booth.You, as the exhibiting company, will be responsible for designing the graphics and providing logos and other content that will be captured within the booth. See below for information on IT support to build and design your booth.

8. How will I know how to design/build a virtual booth? Training within the virtual platform will be provided by the platform IT design team. Training dates and times will be announced soon – check your email for additional information.

9. How early can I start designing/building my virtual booth?By mid-October we expect to have login access from the virtual platform provider. The virtual provider will provide training before you begin designing your booth. Soon after, exhibiting companies will be given access to their virtual booths and can start designing and building immediately.All virtual booths must be completed by early December in order to meet publishing/go live deadlines. More information will be provided to exhibitors as the planning process is underway.

10. Will I be able to ask for help as I design/build my booth?Of course! The Southeast Regional Trade Show team will be available, as usual, to answer your questions. Additionally, the virtual platform provider has a full support team available.

11. Do I have to stay in my virtual booth from 8:30am – 5:00pm EST for all three days?No, in fact, we encourage you to click around and look at the trade show as a whole, attend education sessions, and socialize in networking opportunities. As attendees click on your logo and enter your booth, the virtual platform provider will track who enters and by the end of the show you will be able to access all people who visited your booth. This is the virtual business card mentioned in the booth package – the attendee contact metrics.The Trade Show team does encourage active participation in your booth from 11:30am – 2:30pm EST each day of the conference. Education sessions will not be taking place during time frame. Therefore, this time of power hours will be a great opportunity for exhibitors to offer demos, host special speakers or offerings, and have face to face Zoom meetings with interested buyers (however, Zoom meetings can be scheduled with attendees at any time, 24/7). The power hours is a great opportunity for your organization to be creative and draw attendees to visit your booth.

12. How will I know when someone is in my booth?It will be important for you to provide all forms of contact within your booth. When the attendee enters your booth they’ll have the ability to chat one on one or email you. You will receive a notification letting you know someone is showing interest.

13. Is there a deadline to participate as an exhibitor?Yes! December 5, 2020 is the deadline for virtual booth commitment for exhibitors. There will be a $200 fee for any company that registers after the deadline of December 5th due to needed by support for buildout/rush delivery (availability may vary).

14. What is deadline for cancellation and is there a fee?Yes! December 5, 2020 is the deadline for canceling the virtual booth commitment. A refund minus an administrative fee of $200 will be provided.
