BANDS & AUXILIARIES

COMPETITION MARCHING BAND

Admission to Marching Band takes into account the performing ability of the individual as well as the

instrumentation balance of the Band. The Marching Band will perform at all James Clemens

High School football games (including play-off games), parades, and in select competitions. All

rehearsals and performances are mandatory for all members.

NON-COMPETITION MARCHING BAND

Those students who are not accepted to the competition marching band will still receive instruction and have

a role in the James Clemens High School Band. Non-competition band members attend parts of band camp,

play in the stands at James Clemens High School football games, and may have a role in parades and other

special events. The non-competition band will not march in the halftime show or participate in marching band

competitions.

WIND ENSEMBLE

This Band is a continuation of the Marching Band and meets spring semester only. Wind Ensemble members

participate in state level performance assessments, concert band competitions as well as individual

competitions. Participation in Wind Ensemble or Concert Band is expected of all band members. Students

will be assigned to Wind Ensemble or Concert Band based on audition.

CONCERT BAND

This Band is a continuation of the Marching Band and meets spring semester only. Concert Band members

participate in state level performance assessments, concert band competitions as well as individual

competitions. Participation in Wind Ensemble or Concert Band is expected of all band members. Students

will be assigned to Wind Ensemble or Concert Band based on audition.

PERCUSSION ENSEMBLE

All percussion students meet in one class separate from the rest of the band. This affords percussion members

a more specific instruction time than they would have practicing with the entire band. All Percussion members

will perform with their respective ensembles. All percussionists will perform with the Marching Band. All

Percussion members will perform in the Percussion Ensemble. As numbers and instrumentation dictate, some

or all Percussion members will perform with the Symphonic Band.

COLOR GUARD

The Color Guard is an Auxiliary of the Competition Marching Band, and participates with them in all

Marching Band performances as well as Marching Band Competitions.

WINTER GUARD

This program is an extension of the James Clemens Color Guard. This group performs throughout the winter

months and early spring. Auditions are in the fall.

DANCE TEAM

The Dance Line is an Auxiliary of the Competition Marching Band, and participates with them in all Marching

Band performances as well as Marching Band Competitions.

BAND CLASS

ACADEMIC CREDIT

Each student enrolled in Band or Auxiliary will receive 1 credit for each Semester enrolled.

GRADING SYSTEM & ELIGIBILITY

Grading is based on attendance at all rehearsals and performances, and the Student’s performance in class, at

all rehearsals, and all performances.

According the AHSAA policy in the student handbook, a student must maintain acceptable grades in all

subjects in order to remain in band. Two “F’s” or achieving below a 70 average overall for any grading period

will result in suspension from Band for the next grading period.

The Band Program members must comply with the James Clemens Student Handbook and the Madison City

School policies (Code of Conduct) at Band functions, including any extracurricular activities at school or away

from school.

ATTENDANCE

Students must be present and ready to perform at the appointed rehearsal time. Promptness is a

part of the overall attendance factor in the grading system.

Any student who must be absent from any mandatory event must notify the directors and/or

Auxiliary Sponsor at least ONE WEEK before the event. Unexcused absences result in a grade

of zero (0) for games, rehearsals, performances and concerts. Any unexcused absence will result

in a reduction of the student’s letter grade. Two unexcused absences will result in the student’s

dismissal from band until reinstated by the band directors.

The following are mandatory for all Band and Auxiliary members:

• Band Camp for Full Marching Band, which includes Percussion, Color Guard and Dance Line

• Percussion Camp for all Percussion Members. This is in addition to, not instead of, Marching Camp

(although it may run concurrently)

• All Band rehearsals

• Section rehearsals called by Section Leaders or Band Director

• Separate Auxiliary rehearsals

• Competitions and football games

• Concerts

• Parades

• All performances of any type

EXCUSED ABSENCES, TARDIES, AND EARLY CHECKOUT

Absences, tardies, and early checkouts will be excused for the following reasons:

• Personal illness of student

• Death in the immediate family

• Inclement weather, which would be dangerous to the life or health of the student as determined by the

principal

• Legal quarantine

• Emergency conditions as determined by the principal and a director

• Prior permission by the Director and consent of the parent or guardian to include religious holidays

and scheduled medical appointments

BAND AUDITIONS

In order to be a member of any band at James Clemens High School, prospective members and returning

members must audition every year late in the spring semester or at the beginning of Band Camp. The Director

will use the auditions to place students in the appropriate ensemble according to playing ability. The auditions

are mandatory for every Band student, not just those wishing to be in Marching Band.

Auditions will consist of prepared etude(s), sight-reading, and scales.

Placement in the various bands is determined by scores received in auditions, instrumentation balance needed

for particular groups, agreement by students and parents to follow requirements for particular bands, and the

Director’s discretion.

A second audition will take place at the end of the first semester for placement in a band ensemble during

second semester.

CHAIR RANKINGS

Chair rankings for the beginning of the fall semester will be determined by the audition scores.

To move up a chair you must challenge the person in that chair.

To arrange a challenge, you must see the Band Director. He will judge the challenge.

Challenges will not be made before the first day of Band Camp.

Challenges for a higher ranking must be done one chair at a time.

At least 7 days notice must be given for a challenge.

Two weeks must elapse before a repeat challenge can be made.

Music for the challenge is determined by a Band Director, and usually consists of current music being

performed by the band, scales and sight-reading.

LEADERSHIP POSITIONS

DRUM MAJOR(S)

Drum Majors must be members in good standing of the Band and display excellent leadership skills with the

Band. The Band Director will appoint the Drum Major(s) after auditions in the spring. Drum Majors will

attend a Drum Major Camp prior to Band Camp.

His/her primary duties are assisting the Director in teaching and maintaining the Marching show, and directing

the Marching Band.

To be eligible for Drum Major, a student must be in band both semesters of the year in which he/she desires

to serve as drum major.

SECTION LEADERS

Section Leaders are appointed by the Band Director after auditions. Section Leaders are chosen based on

playing ability and leadership potential. The duties of the Section Leader are to assist the Band Director and

Field Commander(s) in the instruction and rehearsal of his/her section, be in charge of all sectional rehearsals,

check section members’ marching abilities, and set a good and proper example for their section.

REHEARSAL SCHEDULES

All rehearsals are subject to time changes. Students should keep parents informed. Changes will be announced by E-mail when time permits.

COMPETITION MARCHING BAND

This includes the Marching Band, the Color Guard and the Dance Line. Rehearsals are Tuesdays, 3:45 –

5:30 PM and Thursdays, 3:45 - 5:30 PM, during the fall semester or as announced by the Director.

Note to Parents: Bring a chair or blanket and watch the rehearsals. The last hour of rehearsals is an especially

good time to watch your children in action and get better acquainted with other band parents.

NON-COMPETITION MARCHING BAND

Rehearsals are Thursdays 3:45 - 5:30 PM before a home football game during the fall semester or as announced

by the Director.

SPRING SYMPHONIC BANDS

The Directors will announce spring semester rehearsals.

SCHOOL INSTRUMENTS

Certain instruments are owned by the school and are available for loan to Band students. These generally

include percussion and the large brass instruments.

There will be a fee of $80.00 per Semester for percussion equipment, and an $80.00 fee for any school-owned

instrument loaned to a student.

This fee covers only “normal wear and tear” repairs to the instrument. If the student causes damage to the

instrument, he/she is responsible for the repairs. All problems with or damage to a school owned instrument

must be brought to the attention of the Band Director before repairs are attempted. Do not repair a school-

owned instrument without prior approval of the Band Director.

The student and the student’s parents are responsible for proper care of the instrument while it is issued to

him/her.

BAND FEES

First semester fees are due by the end of Band Camp ($300 - marching band). Spring fees will be due by the

end of the first week of the spring semester ($100 – spring bands). Fees are mandatory regardless of

participation in the Band Boosters.

Money to pay band participation fees can be earned by the student by working in Student Fundraisers. A

portion of the money, a % of the profit, earned in a Student Fundraiser will be credited to that student’s account,

and may be used as credit toward Band Participation Fees, Band Functions, or Band Merchandise.

Band participation fees for any semester may only be paid out of your child’s Student Account if he/she has

the money accrued prior to the start of that semester (i.e., you cannot earn money for Fall Semester 2017

during the 2017 Fall Semester). Student account statements will be given to each student by the booster

treasurers indicating the transfers made for fees, trips, etc. and the balance of the account.

Fees can be deposited in the Band Box, a locked container located in the band room. Checks should be made

payable to JCHS. Be sure the payment is labeled with your driver’s license number, phone number, the student

name and a brief description in the memo (such as “fall band fee”) and enclosed in an envelope. There is a

receipt box beside the Band Box. Written receipts for payments will be filed there; remind your child to bring

your receipt home.

RECOGNITION

AWARDS CELEBRATION

An Awards Celebration is held in May of each year to recognize the hard work of every Band Program

member, from both fall and spring semesters, and to honor those students who have significantly contributed

to the program. Attendance is optional and highly encouraged.

UNIFORMS

MARCHING BAND

Marching Band uniforms – jacket, pants, and hats – are provided by the Band Boosters. Shoes, gloves, jerseys,

band shorts, accessories and other equipment as needed must be purchased by the student.

The Uniform Committee assigns band uniforms to each student. This committee does all alterations. Students

and parents are responsible for any loss or damage to the uniforms. Cost of replacement will be charged to

the student.

Students will change into their Band Uniforms at the school before football games. Students will take the

uniform pants home following the football game. The uniform pants must be returned to the band room on

Monday following the football game. Uniform jackets and hats are returned to the band room after each game.

Every Band student must purchase a Band Jersey. Band Jerseys are to be worn to school on all Football Game

Fridays. The Band Jersey is worn for all informal occasions.

Accessories include:

• Black marching shoes (brand specified by the Director), with black tube or crew socks

• Black, short sleeved, undershirt worn under the uniform. DO NOT WEAR A SLEEVELESS

UNDERSHIRT; YOUR DEODORANT WILL RUIN THE UNIFORM JACKET

• Navy JCHS Band shorts are to be worn under the uniform pants. (In extremely cold weather, dark

colored, thin long johns may be worn instead)

• Khaki-colored shorts for the first two games – require all shorts to be at least “mid-thigh” length,

reaching the mid-point between hip and knee purchased from any retailer

• Black gloves

• Transparent, heavy duty rain poncho

• Other equipment which may be needed, depending on the student’s instrument: Lyre

Flip folder

An optional purchase is a bag to hold shoes, accessories, etc.

When in uniform, whether as a member of the Band or Auxiliary, students are representatives of James

Clemens High School and the entire Madison community.

UNIFORM CLEANING

All Marching Band uniform jackets will be taken to the cleaners in mass by the Uniform Committee. Do not

take your jacket to the cleaners on your own. Jacket cleaning fees are included in your band fees.

Instructions for laundering the black trousers will be sent home. Please follow these instructions so that the

trousers will be in wearable condition for next year.

Shoes must be clean and polished for performances. Saddle soap is a great cleaner and conditioner.

Color Guard and Dance Team members are responsible for cleaning and repairing their own uniforms

whenever necessary.

ALTERATIONS

DO NOT CUT any fabric off the pants legs, or allow anyone else to cut them. If this happens, you will be

responsible for the cost of a replacement pair of pants. All alterations are done by the uniform committee.

MISCELLANEOUS UNIFORM NOTES

Your uniform is to be complete at all times in public; jacket on and zipped, collar buttoned and hat on.

Exceptions may be granted by the Band Director only.

Please remove shoes when putting on and taking off pants.

No gum chewing while in uniform; this includes Band as well as Auxiliary.

Eating is not allowed while in uniform; this includes Band as well as Auxiliary.

Food and drinks will not be allowed in the stands during games or competitions or on buses if you are in

uniform. Bottled water will be provided by the Band Boosters after halftime performances.

No jewelry may be worn for any Band performance.

No perfume or cologne may be worn during any Band performance.

No colored nail polish may be worn during any performance.

No hair below the collar. All the hair needs to go up in the hat, including bangs.

SYMPHONIC BANDS

The uniform for Spring Symphonic Bands is a black tuxedo for boys and a black formal dress for girls. This

uniform will be worn at all formal spring semester events.

The black Stafford Brand tuxedo can be purchased for about $125.00 at J.C. Penney. The clerk in the

Suit/Tuxedo department will take appropriate measurements and recommend the proper size. Black dress

shoes or tuxedo shoes should be worn with the tuxedo. The cost of tuxedo shoes is approximately $30.00. A

white tuxedo shirt and black bow tie are to be worn with the tuxedo for performances. Many hobby stores

offer this set for around $15.00.

The uniform committee, who will take measurements prior to ordering, will order the girl’s formal black dress.

The dress should cost approximately $75.00. Black ballet flats are to be worn with the black formal dress for

all spring semester performances. The black shoes should cost approximately $20.00. Sheer black stockings

are to be worn with the black formal dress. (Used dresses can be purchased from graduates if the dresses are

in good condition.)

SUMMER CAMPS

MARCHING BAND CAMP

Marching Band Camp is mandatory for the full Marching Band, which includes Percussion, Color

Guard and Dance Team. Everyone will be practicing together, including marching out on the

field, as well as practicing separately.

Marching uniforms will be fitted during band camp.

Band Camp is held at James Clemens High School during the last weeks of summer vacation, just prior to the

beginning of the school year. For precise dates and times, see Section 4 on Current Year Information.

We will meet in heat and moderate rain. Camp will only be canceled or postponed due to the most severe

weather conditions; lightning or severe weather warnings. Camp may occasionally be moved indoors until

the severe weather subsides.

Camp starts bright and early in the day. Promptness counts – don’t wait to find out the penalty for being late.

There will be appropriate breaks for lunch and heat.

Wear comfortable clothes, appropriate for spending long hours in Alabama summer sun; cool shorts or cool

pants, tee shirts, tennis shoes, and a hat. Use sunscreen, sunglasses, and suitable clothing to reduce problems

with exposure to sun. Only tennis shoes or athletic shoes are allowed.

Bring plenty of water to drink.

There will be the opportunity to complete or correct directory information and turn in forms, particularly the

first day of band camp. Band fees must be paid by the end of Band Camp.

Traditionally, there is a mandatory Band Booster meeting the first Thursday of Band Camp.

It is an opportunity for all Band families to get to meet one another, as well as to take care of some Band

business. The specific time of this meeting can be found in Section 4 on Current Year Information.

PERCUSSION CAMP

All percussion members attend a mandatory Percussion Camp each summer. This may be held at James

Clemens High School the week preceding the full Marching Band Camp. Percussion Camp is in addition to

the full Marching Band Camp. For specific dates and times, see Section 4 on Current Year Information.

While Band Camp is held nearly 100% outdoors, Percussion Camp has more inside time, but don’t skimp on

the sunscreen – there’s plenty of outdoor work, too. Bring sticks, but no drums. Pit players (e.g. xylophones,

keyboard) will have instruments provided.

PERFORMANCES

VARSITY FOOTBALL GAMES

All Band Students are required to wear their Band Jersey to school on all Football Game Fridays.

Home games are played at Madison City Stadium on Celtic Drive. The Football Schedule for Varsity Games

and directions to away games are included in this handbook in Section 4 the Current Year Information Section.

Students are to meet at the Band Room for Home and Away games where they will load buses and be

transported to the games. All students are encouraged to stay at school for dinner between the end of the

school day and the report time for the game. An optional catered dinner will be available, but students are

free to pack a dinner. The Band Director will inform the students as to the correct time to report to the JCHS

Band Room. Students will arrive at the Band Room and change into their Band Uniforms prior to boarding

the buses.

The Band will perform as a Pep Band during the football game and will also perform during halftime.

After halftime, the Band will be served water and will return to their seats to play.

CONCERTS

SOUNDS OF THE STADIUM

The Marching Band and all auxiliaries will perform at this concert to be held in the JCHS auditorium in early

November. This raucous evening of marching band music is open to the public and is a major fundraiser for

the band program.

HOLIDAY CONCERT

The Marching Band will perform in the December Holiday Concert held at the JCHS Auditorium.

MADISON MUSIC FESTIVAL

The Spring Symphonic Bands will participate in this concert. This gives each band an opportunity to perform

a week or two prior to the state Music Performance Assessment. Performances are judged, and comments

help the bands prepare for assessment.

SPRING CONCERT

The Spring Symphonic Bands typically perform a concert late in the spring semester. Dates and times will be

announced by the Band Director.

COMPETITIONS

MARCHING COMPETITIONS

We generally attend two or three competitions during the fall semester marching season.

Students will be notified in advance of the time to be at JCHS for a competition. The performance

times cannot be estimated until the competition schedule is given to us. Students are asked to

NOT schedule ACT/SAT tests during the month of October when most competitions are held.

The Band receives scores from the judges based on a number of criteria, including musical

selection, band movements on the field, difficulty and creativity. Separate scores are awarded to

the band, drum majors, percussion, color guard, and dance team. Each of those categories can

also win “best of class” against all other schools in our size division.

Each of three judges can award a score from One (superior) to Five (poor). We need at least two

Ones to achieve an overall Superior Rating.

Students should dress in the Band Room, and be ready to board the bus at the appointed time.

After the Band’s performance, the Band will return to JCHS, Band Room entrance.

Students are to turn in their uniforms and put away equipment before leaving.

Parents are encouraged to attend the competitions.

MUSIC PERFORMANCE ASSESSMENT

The Spring Symphonic Bands will perform at the state level Music Performance Assessment in February or

March. Judges have a complete copy of the music the band will perform and they evaluate the band’s

presentation, dynamics and adherence to criteria determined by the state band association. Bands are also

required to sight read. Scores are given ranging from One (superior) through Five (poor). Each band receives

four scores, one from each of the three stage judges, and one from the sight reading judge.

Families are encouraged to attend to support the bands. There is no admission charge.

Performance videos will be available to order at the competition.

ALL-DISTRICT & ALL-STATE HONOR BANDS

Students must audition. The All-District Honor Band is selected through these auditions. Students are selected

from these same auditions to advance to All-State.

Auditions are typically in January. Students must apply in advance in order to be allowed to audition.

Applications should be requested from the Band Director during the fall semester.

Every student plays the same 2 required pieces, scales and performs one piece by sightreading.

All District Honor Band gives a concert shortly after auditions, as does the All-State Honor Band. The All-

State concert is held each year rotating sites around the state of Alabama.

SOLO & ENSEMBLE

Students must register in advance for this competition, which is held in the spring. See the Band Director for

applications.

The students choose their own music.

Students may compete in Solo Competition as well as Ensemble Competition.

Students may compete in more than one ensemble. An ensemble may be any number of same or mixed

instruments.

Scoring is on a I-III scale; medals are awarded for scores of I.

COLLEGE HONOR BANDS

The University of Alabama, Auburn University, the University of North Alabama, Jacksonville State

University, the University of Tennessee, Troy University and other area universities offer students the

opportunity to apply for their College Honor Band.

There are no auditions. Students must be recommended by the Band Director and must submit an application

and a resume listing all of their musical accomplishments and honors.

Each University has its own specific guidelines for selection. Information and applications may be obtained

from the Band Director in December or January.

PARADES

The Marching Band will wear Marching Uniforms, or Band Jerseys and jeans/pants as specified by the Band

Director.

MADISON STREET FESTIVAL PARADE

The Street Festival is held the first Saturday in October. The Parade will last 30 minutes to one hour and

covers the historic downtown Madison area, ending at the Gazebo where the Marching Band will perform on

stage.

HOMECOMING PARADE

This will be after school on Thursday of Homecoming Week. Details will follow concerning route and times.

MADISON HOLIDAY PARADE

This parade is held in late November or early December in downtown Madison.

SPECIAL EVENTS

GRADUATION

Graduation is held at the Von Braun Center Arena. Symphonic I and Symphonic II students as specified by

the Band Director, will meet at the school at a designated date and time to be transported to graduation.

YEARLY TRIP

Every other year the James Clemens Band may take a major trip to perform in parades and competitions.

Estimated cost of such a trip is $600.00. This figure is purely an estimate and will be adjusted up or down

depending on the size and cost of the trip.

BAND BOOSTERS OVERVIEW

PURPOSE

The purpose of the Boosters is to support the Band Program and the Band Directors at James Clemens

High School and to raise funds for the Band’s operating expenses, uniforms, and instruments. The

Boosters also provide Band students the opportunity to raise funds to pay for their Band fees and

other band activities.

The Band receives little money from James Clemens High School, Madison City Schools, or the state

school system for instruments, uniforms, band supplies -- not even for music. In short, almost every

penny the Band needs must be raised by the parents and students.

Every parent of a student in the Band Program, which includes Band, Color Guard and Dance Line,

is a member of the Band Boosters.

MEETINGS

Band Boosters hold meetings the 2nd Thursday of each month at 6:00 p.m. in the JCHS Band room,

except where noted differently on the Band calendar. An e-mail reminder will be sent to confirm

the meeting date and time.

Attending Band Boosters meetings is a relatively painless way to help the band program reach its

maximum potential. Meetings are short - usually less than an hour - and discuss topics that are not

always covered via e-mail. Your input does make a difference and your child will be the one to

benefit. Please mark your calendar ahead for the year, and help us give our Band students a superior

Band experience!

FUNDRAISERS

The Band Fees cover less than 1/2 the amount needed each year. The Boosters must raise the rest. We've

estimated that it costs about $1200 for one student to be in the band for a year (Marching and Wind Ensemble

bands).

Almost nothing the Band needs or uses is paid for by the school or school system. Band Boosters and band

students must raise funds for photocopies, music, uniforms, school buses for football games, competitions,

etc.

No Madison County School or Huntsville City School receives financial support for Band operations.

To keep band fees manageable, Band Boosters donate time to fundraisers such as the football Concession

Stand. These projects can’t generate income for us without the necessary workers.

If every parent participates in the fundraisers during the year, all the jobs will be taken care of. Please attend

the August Boosters meeting so you can sign up for jobs for the coming year. Additionally, there will be calls

for volunteers periodically via Band E-mail.

There are Student Fundraisers available during the year. A portion of the profits earned by a student working,

or friends and family working for a student, in one of the Student Fundraisers will go into his/her Student

Account. Whenever Band fees or other expenses are due, upon request, money can be transferred from his/her

Student Account to the Band General Fund, crediting him/her with the money needed for Band Fees, a trip,

awards celebration, etc.

E-MAIL

The Band Booster's primary means of communication with the students and parents is email. Email will have

the latest updates on activities. Parents and students are responsible for keeping their information up to date

in the CHARMS database. If a student or parent password is lost, please contact the Booster Secretary.

WEB SITE

The JCHS Band's unofficial web site is located at www.jcjetsband.com.

By unofficial, we mean that it is run independently from the school's web site.

CHAPERONES

Serving as a chaperone is a great way to meet other parents and assist the Band!

We will make every effort to use each parent who desires an opportunity to chaperone and meets the screening

criteria. Madison City Schools’ District Policy requires a background check for all volunteers who could

potentially be alone with a student—JC Jets Band Chaperones fall under this category. To volunteer, go to

the James Clemens High School website http://jchs.madisoncity.k12.al.us and click on the volunteer icon.

After the application has been approved you will receive certification in the mail. Our VP of Volunteers needs

a copy of this as soon as possible.

Student safety is the number one priority of the Chaperone Team. This cannot be accomplished without a

sufficient number of chaperones. If you cannot make it to an event you are assigned, please call the Chaperone

Team Lead as soon as possible so he/she can get a replacement.

Please know in advance that the following will not be tolerated: yelling at students, smoking, foul language,

or alcohol.

CHAPERONE DUTIES This may seem like a lot – it is not. There are just a few responsibilities that fall under 3 headings.

In DETAIL it looks like this…

All Chaperones should be wearing school colors, preferably a JC Band or Booster shirt, and Chaperone ID.

Lanyards with JCJets Band ID badges will be handed out by the Chaperone Team Lead in the Band Room at

the designated arrival time.

Get coolers from the Band Room, fill with Bottled Water and Ice – get amount of water from Director – Ice

comes from the school cafeteria. It needs to go into the coolers before the cafeteria closes at about 2:00 pm,

so if you have a spare hour or so around 1:00 pm on Friday afternoon… Assist in loading and unloading

equipment truck as necessary. Get coolers to the loading dock to be loaded.

Load Snacks (if required) onto equipment truck.

Assist with Uniform check in Band Room and as the students load the buses. ESPECIALLY look for WHITE

SOCKS, JEWELRY including EARRINGS, WATCHES, colored NAIL POLISH, and HAIR HANGING

BELOW THE UNIFORM COLLAR OR BENEATH THE BRIM. ALL of these things are FORBIDDEN

while in the JCHS Marching Band Uniform.

Assure that students have ALL of their equipment including Instrument, gloves, shoes, hats, rain gear, etc.

There will usually be an announcement by the directors (and section leaders usually cover this, too). A

chaperone on each bus should also make an announcement about this before the bus leaves.

Put Bus Number sign in the Bus window. Ask the driver if the sign placement is OK with their line of sight.

Take attendance as the students load the bus going to and coming back.

Have all students on the bus put all valuables into the valuables bag that is stored in the Bus Bag. School bus

doors do not lock. There is a lockable compartment on the bus and the bus driver will lock the valuables bag

up for us. Neither the Bus drivers nor the school nor the Bus Company are responsible for things that may

disappear from the bus. Valuables are returned as the buses are loaded after the show. *Band members may

NOT use cell phones in the stands*

A minimum of two chaperones will accompany the Band to the designated warm-up location.

While the band warms up we will put the seat covers down and make sure that they are clean. We will also

put them away at the end of the night.

Help unload the Equipment truck upon arrival and then help load it again before departure.

The Band section is for the Band and chaperones only. Help place the ropes while the band warms up and help

remove them at the end of the night. Please ask parents and non-band students to stay on the other side of the

ropes. You may deliver a message from a parent to a student at an appropriate time. Chaperones should not

congregate at the rail in front of the band as this interferes with the performance and the look of the band.

Assist with equipment logistics for show presentation—on and off the field. Pit and auxiliary equipment need

to be moved for Pre-game, Halftime shows and competitions.

Hand out water as requested by the Directors and have it ready to be picked up by the students as they return

to the stands from the halftime show.

Chaperone students to and from the restroom. The Directors, Drum Major or Chaperone Team Lead must

grant students permission to leave the stands and students must be accompanied by a chaperone.

Assure that empty water bottles are collected and that partially empty bottles are poured out before collection.

We can go up the aisles with trash bags for the empties and should insist that students police the stands as they

leave for any bottles still remaining. All get returned to the school for recycling.

The Directors must be notified in advance, IN WRITING, if a student is not returning on the bus.

The Directors will provide a list of students approved for early dismissal to the Chaperone Team Lead. No

student will be allowed to leave until a parent or other adult designated by the parent (in writing) signs the

early dismissal log.

Supervise bus seating – NO MALE / FEMALE sitting together after dark.

Have students police the bus when they get back to the school. NO TRASH OR BOTTLES WILL BE LEFT

ON THE BUS. A Chaperone will check the bus for anything left behind after all the students get off and will

remember to take the sign down and get the bus bag.

Return Emergency Contact Books, First Aid kit, lanyards, clipboards, Bus Bags, and Bus Signs to Directors’

office.

The Directors will dismiss the Band from the Band Room.

At least one chaperone will remain outside the band room while students wait for their rides. Students are to

stay in the well-lit areas within sight of the Band Room.
