Introduction & Objectives At the end of this session, the learner will be able to:
1. Describe the basic functionality of STAR Link® 2. Use advanced features in STAR Link, including STAR Link Query and notes
We expect that you’ve had a chance to have an introduction to STAR Link in your daily donor center work, and that you’ve taken the pre-requisite modules. This session is meant be STAR Link 201, where you will pick up some advance tips and tricks.

Donor Folder: The Donor Folder houses all donor information gathered from donors at the time of recruitment. This includes all records of the donor’s contact information. The Donor Folder also includes a snapshot of the donor’s search history, communication history and notes entered into the donor folder.
Drives Folder:This folder is for entering recruitment drives, and pull reports about specific drives.
Reports Folder: STAR Link has several different reports available for print including both search and recruitment activity.
Search Folder: Search requests are located in the Search Folder. Each stage includes a series of screens, including Home, Donor, Recipient, Notes, Kits, Health History Questionnaire, etc.
Maintenance Folder: This folder holds several different administrative functions, including new user set up, donor center defaults, site maintenance and STAR Link Query.
Help Folder: Includes information about STAR Link and the STAR Link User Guide.
Pending Search Screen
Pending Screen: Clicking on any search stage will bring you to a detailed screen showing all of the requested donors for that particular search stage.
For example, clicking on the Workup hyperlink brings the user to the pending search screen for all workup activity.

Here you can filter activity.
Choose a filter by using the Filters drop down on the pending search screen:
Choose the value you’re looking for, like specific detailed stage or assigned staff member.
Quickly sort the pending search activity list by selecting the blue hyperlinks on the top of each column.
Let’s try using the filters and sorting the pending search screen:
1. Sort the pending workup requests list by earliest request date. What is the oldest request in the list of workup activity?

2. How many requests are at the workup initiated stage?
Assigned to The pending search activity screen holds the Assign To functionality. The Assigned To field to help your staff understand who is working on what active search requests.
To assign a request to a staff member: 1. Select the donor2. Select Assign User at the bottom of the screen3. Choose the staff member from the Assign User drop down menu

While easy to use, STAR Link notes can offer an advanced view of the interactions that the donor has had with NMDP/Be The Match
You can enter notes to appear in the main donor folder, or to the search folder.
To enter in STAR Link notes:
Scroll to the bottom of the Donor Folder, select Add Note.

From here, you can select what folder to put the note in. Add or remove folders by using the arrows.
Your notes will not be added to the donor’s file unless you press Save Note. The placement for the save note button is in the middle of the page.

STAR Link Query
What is STAR Link Query?A data query tool that gives real time information based on data points entered in STAR Link by staff and from other systems.
STAR Link query allows you to pull nearly every piece of data that exists in STAR Link including:• Donor demographics and contact information• Recruitment information• Search activity totals for fulfilled requests• Information on incomplete requests• Detailed information on staff performance
You can export data from STAR Link Query to an Excel File.

In the Maintenance folder, under SL Query, choose Query

But, wait…there’s more!
In addition to the data points included in the data section of STAR Link query, you can choose from another set of data points on the view screen before you export the data. These fit into two different categories:
1. Donor fields – includes data points specific to the donor and donor folder – including donor contact information, donor demographics and drive information.
2. Search fields – includes information about active search requests like appointment dates, physical exam dates, resolution, assigned to, and assigned AC or CC.
TIP: It’s all about that sort
Donor HistoryWhen STAR Link Query returns data, it gives you that donor’s entire search history. For example, if you are looking for information about donors who were requested for marrow, the query will also return the previous HR and CT stage information for that donor.

Less is moreIf you select more than one field in STAR Link query, the query will be returned with donors who have experienced both of those activities. For example, if you wanted all PBSC and Marrow requests in one fiscal year, when you put request dates into both search activities, the query will only look for donors who experienced both of those events. Instead, do a separate query for marrow and one for PBSC to get two lists of donors.
The key to STAR Link query is in Excel sorting. Think about your query broadly, knowing that you can sort it out in Excel later.
STAR Link Query Group Exercise
Scenario: One of your CCs needs to verify how many collections were performed with your center in FY14. You know you can pull that information from STAR Link query.
STEP 1: Choose registry status.
The options are: Active in search, available, deleted, newly entered, registered, staged, temporarily unavailable, and transferred

For this query, we’re going to choose all statuses, and move them over to the selected column using the arrows.
STEP 2: Donation History
You want to know all of the marrow collections that happened in a given timeframe. Go to Donation History, and enter the date range for the Donated Marrow Date.
When the query is finished, it will show the number of donors selected at the bottom of the screen. Select view to return the query’s output.
Now, select from the donor and search fields. In this example, we want to know the collection center. Also, choose the collection date to ensure you have the correct requests for the time frame.

Press Continue to go to the query output screen. From here, press Download next to Excel file.

TIP: You may want to save a copy of the raw data from STAR Link Query before sorting data.
In Excel, go to the DATA tab, and select Sort. From here, we will sort by request date and search stage.

Then, delete the rows that you do not need to use. In this case, we will delete the rows for all search stages that aren’t WU.

Double check your dates to make sure all dates fit in your date range.

STAR Link Advanced Studies
STAR Link ReportsIn addition to STAR Link Query, STAR Link has a series of standard reports set up in the Reports Folder. The reports are in a PDF format.
These reports are limited to the information they are programmed to provide, but can give a great quick snapshot of activity.
How to use STAR Link reports:
Navigate to the Reports Folder. You will see a series of reports come up on the side navigation bar.
Choose a report. You will be asked to enter in a date range for the selected report. Enter in a date range.
