1.4 STRUCTURE

1.4.1 Specialization

All departments at PMI have been assigned a specialized division of labor. They are responsible

for performing their respective tasks and duties when working together. They share their duties

but they are responsible for their actions.

Page 11: Internship Report 2015

11 | P a g e

1.4.2 Hierarchy

The hierarchal structure practicing in PMI is Top-Bottom approach. Final authority lays in

General Manager or Director Operations that is delegated to the lower level of management.

General Manager/Director Operations

Head of the Department

Asst. Head of the department

Section Head

Supervisor

1.4.3 Centralization

In PMI defines the procedures pre determine the set of activities the individual departments can

perform. The General Manager controls the department in the way that no department could

involve into such activities that is out of their SOPs. The basic concept of centralization in PMI

is to control the activities of the departments in a favorable manner.

1.4.5 Departmentalization

PMI is divided into different divisions according to their functions. In PMI, the division of the

employees is on basis of their work specialization and they are allocated into different

departments according to educational background so it can also help employees to develop a

professional career.

1.4.6 Pillar of Success

Vision of continues improvement in quality, establishment & implementing & quality management

system make a symbol of quality & customer first choice around the world.

1.5 DEPARTMENTS

1.5.1 Accounts Department

The main department in any business is finance and accounts department because it looks all the

matters related with the finance and activities under cost control division of the department. The

head of finance department handled this department who the full authority and control over the

department and his decisions in this regard are final with the approval of Financial Manager. The

major transaction occurred in this business is handled by accounts department this department is

responsible to support other operational departments and to be accurate in bookkeeping system.

It should also ensure effective Management Information System and implementation of controls

& procedures related to the department functions.

1.5.2. Operation Department

The designing of new products, the choice of new area, expenditure, size, budget estimation and

all other facilities are provided by this department but the finance department pays this amount

and the construction is done by the construction department there are two types of budget.

Page 13: Internship Report 2015

Internship Report

13 | P a g e

1.5.3Sales Department

Sales Department handles to take order from their distributors and procedure how to collect the

money from their customers. This department handles the details of sales the sales and marketing

division usually handles the advertising needs of the PMI and the market research information

gathering. Any public relations or publicity needs initiate at the S&M division. Inquiries for

information tend to be directed to the S&M division.

1.5.4 Production Department

In PMI there is production department in which manager has to focus on lead time of inventory

and all matters related to inventory. The Production Manager is responsible for making sure that

raw materials are provided and made into finished goods effectively.

1.5.5PROBLEMS FACED IN DIFFERENT DEPARTMENTS

Following are the problems which are faced by the Popular Match Industries with in the

departments are as follows:

Departmental Loyalty

One of the major problem faced by departments of PMI is the appearance of an "us versus them"

mentality between different groups. Sales department may feel in conflict with accounting

department because new customers are not getting approved for credit terms. Logistics is at odds

with manufacturing because products are not being built fast enough to meet shipping deadlines.

Departments tend to get competitive and feel that their work is more important to the success of

the company than the work of the other groups. This can cause breaks in communication that

affect productivity.

Page 14: Internship Report 2015

Internship Report

14 | P a g e

Confusion

Another major problem which I noticed in Popular Match Industries is employees are not aware

of new ideas and process and departments are not clear about their responsibilities. If department

are not aware about new ideas and process, then confusions will be created and which also

effects the productivity of the organization Effective communication is necessary for the

organization to run their business smoothly.

Employee Issues

Individual employee problems can be personality conflicts, supervisor issues, personal trauma, or

company structure oriented. Management must learn the cause of the problem and who or what

keeps "fueling the fire." If there is no clear trigger, the answer could fall back to insufficient or

confusing communications. For example, an employee in a decentralized organization may feel

they must answer to multiple supervisors if the chain of command is not communicated clearly.

CHAPTER#02

2.1 PERSONAL WORKING AND LEARNING EXPERIENCE

2.1.1 FIRST WEEK: -

I started my internship at Popular Match Industries on 06/7/2015. On the joining day Manager

and his department warmly welcomed me. The head of department is MR ABDUL RAZZAQ

and Assistant Manager gives me the orientation of the organization on the first joining day. After

this orientation Manager called the Mr. Imran Mazher (GSM) and introduced me and placed me

in his office. Mr. Imran Mazher told me to visit the company and I visited many departments of

PMI but in some department they not allowed to enter in that department because they told me

that internees are not allowed to enter in production department etc.

On my first day of internship my supervisor Mr. Imran Mazher (Marketing Manager) gave me

the orientation of the organization he shared his childhood, teenage and his golden time period in

the university. Then he shared with me his university weekly schedule. He completed his MBA

from Karachi University. I realized that how much hard working student he was in his time. He

was also involved in the extra-curricular activities in university. He never missed the activities

like sport events, university trips, educational trips, dinner parties and many other kind events in

the university. Then he shared his experienced in university as a student. New skills like

management, conflict management, gender and time management. The working environment of

MM is tough because daily meeting, attending phone calls from field offices, different kind of

assignments and discussions with other officers and to provide complete report of sales of stock

to Manager. The main thing which I had learned in the office of MM is that you should be so

polite, concise, and accurate and in their communication every time no matter whether you are

Page 16: Internship Report 2015

Internship Report

16 | P a g e

communicating with their boss or even with their staff. My first week of internship was tough

because in Ramadan the timings of internships are tough to go and come back in evening in 3pm

but it was a great experience for me to create the habit of punctuality.

2.2 2ND &3RD WEEK: -

After completing my first week of internship then Mr. Imran Mazher asked about myself then he

asked from me that what is marketing how you explain marketing to an uneducated person then I

told him that selling goods or services to customers by satisfying them. He said this is bookish

definition then he told me that in practical life marketing is whenever you want to sell any goods

or services to customers you must have to understand the psyche of the customers then you can

easily sell you goods or services and their customer will have satisfied. After general discussion

then he told me about the brands of popular match industries. Popular Match Industries is doing

business nationally as well as internationally. Its Unit Produces Safety Matches in different

brands and sizes, there main brand "PAJERO" is well known and is No. 1 Safety Matches in

Pakistan. People prefer to buy it even at higher price as compared to brands of other

manufactures, the reason behind it is the quality of product. Other brands are known

as "SURKHAB", "SCISSOR", "MARLBORO", "BULBUL", "PAJERO" &

"ROTHMANS". All these brand are exported to different places of the world in bulk quantity,

as we believe in quality and satisfaction of buyer, we never compromise on quality of their

product. We are recognized in market as quality goods producer. He told me about the

distributors RSM (Regional Sales Manager) .RM (Retail Manager) and TSO (Territory Sales

Officer) and their work in the organization according to marketing. Mr. Imran Mazher taught me

about the mode of payment when we purchase the goods from other company what is the process

behind that firstly, original sales invoice come in the company it will checked by the sales

Page 17: Internship Report 2015

department and if there is any sale tax is involved then it will send to the sale tax department.

Then we have to attach the original gate pass, then deduct income tax normally income tax is 4

%. There is some exemption related to the income tax.

Exemption certificate

Undertaking certificate

Then we have to pay other government tax after that we have to make the payment.

He taught me about the withheld sale tax how and why we pay sale tax. We pay 17 GST

tax in which 20% of 17% paid by purchaser to government and 80 % paid by seller to

government. No Withheld sale tax on the following items:

Petroleum and Gas products

Plastic Items

Paper (any kind)

Construction Material

Building Material

Finished Goods

Utility bills etc.

2.3 4Th & 5TH

After understanding the positions of employees and their work in organization Mr. Imran Mazher

(Marketing Manager) told me about Mr. Anwar Zia RSM (Regional Sales Manager). He is

distributor in Sindh region he daily visited different cities in Sindh and take orders Mr. Imran

Mazher told me that he will send me with RSM to understand how actually marketing is and how

we sell their products in bulk. And he told me about sales of matches and how we collect money

from retailors and companies. We made online transactions with some companies and with some

companies we had receipt transaction. We taught me how to deal and collect money from

customers. I learned that whenever we collect money from their customer we have to understand

the negotiation process, be patient and be confident if we not follow these steps then we lose

their customer. For one week he sends me in sales department to understand how to collect the

money from their distributer and how to maintain the daily records of sales transactions. Orders

for the stock is given to sales department and then further we proceed the order to that places and

ask for the payment We collect money from their distributor by again reminding them on calls

and if someone is delaying his payment then we again remind them for the money.

2.4 6TH & 7TH WEEK:

When I Worked with Mr. Imran Mazher for 5 weeks after that I went with Mr. Anwar Zia RSM

(Regional Sales Manager), Mr. Kamran TSO (Territory Sales Officer) towards Nawabshah,

Hyderabad, Sukkhur, TandoAdam and near villages to these cities for rest of my internship. We

had to take the order from distributors basically we had launched the new PAJERO matches for

Rs 3 and we had to convince the distributors, retailers to purchase Rs 3 matches cartons instead

of Rs 2 matches cartons because in future we will close Rs 2 matches and at that time I realize

how to convince the people to sell their products. I learned Convincing people to give their way a

try will work if you neutralize - and sometimes you have to cauterize - the ones who really are

Page 19: Internship Report 2015

Internship Report

19 | P a g e

against change. I also learned that when we are going to sell their products we have to

understand the peoples mind and in that way we have to talk with them in which we can

understand us. We visited Nawabshah, Hyderabad, and Sukkhur and many villages and took

order from all distributors and solve their problems regarding sales. We reached one distributor

and ask him for orders of matches of Rs3 cartons he said retailors are not taking Rs3 matches

cartons because customers want cheap matches and we are focused on price not on size and he

said that I will give you order till when you and their officers sold past 3 months 120 cartons of

Rs3 matches. So I went with Mr. Kamran and distributor worker towards retailer’s shops and

convince them to purchase R3 matches cartons and for whole day worked with them we

successfully sold 120 cartons of Rs 3 matches. Rain was raining at that time I asked for leave

from RSM he said that this is their quality when in rain no one is available we are selling their

products. I enjoyed a lot to work with them in rest of my internship. I learned lot of thing about

marketing, selling process, purchasing process etc. in my internship. At the end of my internship

I visited Popular Matches factory and learned about purchasing process how we purchased raw

material and what cost we had to spent to produce matches and how much profit we get from

their products sell. This was great experience to work with RSM TSO and Mr. Imran Mazher in

Popular Matches Industries.

SWOT ANALYSIS: -

SWOT analysis (alternately SWOT Matrix) is a strategic planning method used to evaluate

the Strengths, Weaknesses/Limitations, Opportunities, and Threats involved in a project or in

a business venture. It involves specifying the objective of the business venture or project and

identifying the internal and external factors that are favorable and unfavorable to achieve that

objective.

Strengths: characteristics of the business, or project team that give it an advantage over others

Weaknesses (or Limitations): are characteristics that place the team at a disadvantage relative to

others

Opportunities: external chances to improve performance (e.g. make greater profits) in the

environment

Threats: external elements in the environment that could cause trouble for the business or project

Identification of SWOTs is essential because subsequent steps in the process of planning for

achievement of the selected objective may be derived from the SWOTs. (Wikipedia, 2012)

Page 22: Internship Report 2015

3.2 WEEKNESS: -

3.2.1 No Human Resources Management system very important and worldwide accepted and

most common in developed countries system that is HRM but currently they are facing hundreds

of problems within them and is just they do not have HR sector all the duties and work that

should be done by HRM like recruiting balancing and maintaining relationship but here little bit

work of HRM was performed by Line and Staff manager they Hire the people and for president

of committee an election is being hold there.

3.2.2Excessive staff

There are number of employees just taking their pays but not doing a single work those we call

absentees. It might be because on single post there more three people working and still govt. is

taking new employees.

3.2.3Untrained Staff

The lower staff of this organization is totally untrained. So they need guidelines on performing

every work. This also hinders in directors’ other workings because for business they have to go

out of city and in office staff manager, line manager and lower staff have to handle it all so this

sometimes create problems for both lower staff and organization.

3.2.4Lack of latest skills in senior officer

It is major problem almost in every senior officer that they are totally unaware of the new latest

software’s and hardware and about new machinery, so the basic duty of upper management is to

have an eye over technical staff but they do not have known how about the technology so they

remain dependent on lower staff and lower staff was cheating with organization whenever new

machinery comes they steal important parts and sell of out without permission.

Page 23: Internship Report 2015

Internship Report

23 | P a g e

3.2.5 Un-Availability of payroll software

A very commonly used software that is payroll in marketing committee manual payrolls were

being noticed on register and it took lot of time,

3.2.6 Political Hiring:

A very big issue not only in our department but in the whole organization employees having

strong political background first thing that they don’t come regularly and if any one says them

anything they became aggressive and creates than problem for department and all those

employees that were politically hired so they were disturb due to new federal govt. in this way

these thing are destroying the organization.

3.3 OPPORTUNITIES

3.3.1Sales Increases

By increasing the advertisement and decrease in its production cost the sales volume of PMI

increases because they focus the local market and mostly rural area of the country and which also

increases the company profitability and decreases the liquidity problems?

3.3.2Capture Urban Market

PMI has great opportunity to capture the urban market because in urban market mostly people

are less aware of paijaro matches in low cost as compare to other competitors in the urban

market. The PGI has opportunity to capture urban market because they have diversified business.

3.4THREATS

3.4.1Existing competitors

The major threat to PMI is existing competitors in the markets like jubilee match and these are

new competitor so they can easily capture the local market by decreases their product cost and by

providing lowest rates to distributors.

3.4.2High Cost

The cost of raw material is increasing day by day and it will be the great threat to PMI The raw

material which PMI is using are for manufacturing of matches are costly which effects the price

of match and which effects the customer in this local market.

STRATEGIES:

S1S2T1:

Popular group has the ability of product customization which means it can supply according to

the customer needs so by using this unique strength they can eliminate the threats from existing

competitors and also new ones. Not all businesses can provide customization and new companies

are too small to do that so this gives Popular group an edge over its competitors. By using its

large distribution network, it can also overcome the threats from competitors.

S4T2:

Popular group is known for quality products and process improvement so by using these

strengths it can overcome the threat from high cost argument.

S5W1:

Popular group has diversified business and have planning to expand it as well and with time it

will realize the importance of human resource system so they should make strategies right now

to overcome future deficiencies. If they will HRM system, they will have right man for the right

job at time of diversification.

O1W2:

Popular group is planning to expand its business to urban market and right now one of their

weakness is excessive staff. Popular group can overcome this with providing them suitable and

required training and they will be useable when company is planning on expanding and they will

not need to do more hiring, instead existing staff will be helpful in its operations.

O1W2W4:

As it is mentioned in the previous strategy that company is planning on expanding so it will

want to make use of existing staff instead of hiring new people. To make use of existing staff

company needs to provide them proper training and develop their skills. This will help company

overcome the weaknesses of untrained staff and lack of skills in them.

CHAPTER #04

CONCLUSION

The overall experience of working with Mr. Imran Mazher was a great source of learning and

offices and in sub-committees; everyone was so much cooperative, helping and friendly that all

seven weeks passed really good. Overall the performance of the company is very good. That

dealer was working very hard and different pesticides companies were also working and doing

Recommendations and Suggestions

I had spent 7-8 weeks in the Marketing and sales department of Popular Match Industries

Tando Adam and had visited different sites and different departments so according to my

observation I have certain suggestions and recommendations to the organization.

The lower staff and middle staff like line managers and staff managers are not qualified

enough to tackle the problems critically, run day to day operations in a way which is

good for the organization without getting suggestions from the director so I think if they

hire a good qualified then they can run organization operations efficiently.

The upper level management has centralized decision making power to itself and have

very strict rules and regulations so I suggest they should delegate authority to lower staff

also because if lower staff will have the authority then they will realize their worth in the

organization and loyalty to organization will increase and ultimately they will work in the

benefit of the organization.

The work of organization is totally messed and is problematic, sometime employees have

no work to do and sometimes it seems that this is busy organization in the world so I

suggest should strongly plan like after lunch office becomes close and all employees goes

in the stores and go downs so they should be preplanned.

Manager of Popular Match Industry is in a need of human resource management

department so they should soon hire this department so that merit can be ensured and

political hiring can be avoided.
