1. ‘Stackpole Outdoor Learning Centre’–what to expect in 2020

What do we do at Stackpole? We aim to inspire our visitors (of all ages!) here at Stackpole with exciting and interesting activities in the natural environment. We hope the inspiration will create a lasting love for the environment in the minds of our visitors.

Looking after you at Stackpole All the centre accommodation was comprehensively upgraded in 2012 but we try to maintain a cosy family atmosphere where our visitors can feel ‘at home’. The centre was graded as a 4 Star Activity Accommodation by Visit Wales. This year the first floor W/C / shower block in kingfisher has also been renovated, so hopefully no more floods and drips into the ground floor corridor! Please ensure that you are using the most up to date (2020) consent forms as we have made a few amendments. We have introduced a new system for informing us of dietary requirements, specifically food sensitivities. Every participant with food allergies needs to have a completed Allergy Declaration Form for each allergen they are susceptible too. This needs to be returned to us prior to the commencement of the course to give the catering team a complete picture of what individuals can or cannot have. Also, we have asked for confirmation from the consent form signatory that they understand the nature of the proposed visit to the Stackpole Centre and that they consent to the child named overleaf participating in adventurous outdoor activities that by their very nature carry an element of risk, on the advice of the Adventurous Activity Licensing Service.

Eco-Centres and Education for Sustainable Development In 2008, we were proud to gain our third European Green flag as an ‘Eco-Centre’ and became Wales’ first ‘Platinum Award’ Centre in 2011. As well as providing environmental education, we aim to be environmentally responsible in the way we run the Centre. We try hard to be sustainable ourselves and encourage our visitors to think and act sustainably.

Activity programmes We have been inspected for safety by the Government’s Adventurous Activity Licensing Service (AALS) and have a 2-year licence for our activities which is due for renewal in July 2021.

We aim to be flexible with our programmes and tailor each school’s visit to their needs. During the day we work in small activity groups. Each group is led by an Education Officer from Stackpole who is suitably qualified or experienced for the activity. Each group should be accompanied by a teacher or responsible adult from the school. Groups size should not exceed 12 (children) plus two accompanying adults without consulting the Centre in advance.

Risk Management All our activities are risk assessed in line with best practice. Please see the statement on ‘Risk Management’ in Document 7 of this pack. Please note that it is our policy not to provide visiting schools with our risk assessment documents – this is in line with AALA recommendations.

1.1 What we do We will design an activity programme around your requirements. We have been running the John Muir award scheme at the Centre for quite some time now; it fits perfectly with our ways of working, it’s free and we recommend it to all our groups. Unless you wish to opt out of it, we’ll do it as part of your school’s programme.

The John Muir Award John Muir was the ‘Father’ of the world’s National Parks. The John Muir Trust has set up an award scheme – like the Duke of Edinburgh’s award, but with an environmental theme. The Award has four challenges:

Discover a wild place Explore a wild place Conserve a wild place Share the experience

We are approved Providers for the scheme at Stackpole and have become the largest provider of the John Muir award in Wales. We build the entry level “Discovery Award” into a week at Stackpole. The children complete a record book and after sharing the experience (usually back at school) are then entitled to an impressive certificate. Further information is available at http://www.johnmuirtrust.org/. We have been asked by the John Muir Awarding body to ensure that all individuals take a full and active role in the activities required for the award. We need to make sure that every visiting child achieves a minimum standard before putting their names forward for the award.

Activities

The following activities are available:

Exploring Stackpole A good choice for the first day after arrival and lunch; a chance to stretch legs, get some fresh air after a coach journey and see something of the countryside and coast. It also gives us a chance to get to know your children.

Rocky Shore This gives an opportunity to explore the rock-pools and strand-line at one of the superb beaches in the area. It is a chance to see how living things adapt to a life dominated by the tides (and a chance to catch crabs too!). Looking at the strand-line can prompt many discussions such as habitat, biodiversity and the effects of mankind on the environment.

Beach Clean A nice way to spend your Friday Morning and a chance to help look after the Pembrokeshire coastline. We carry out beach cleans at Barafundle, Broad Haven or Freshwater West with many schools. N.B. This is a necessary part of the John Muir Award and can be combined with rocky shore or coast walk activities for groups that need to get away early on a Friday!

Preseli Hills Day This is a whole day out walking, scrambling and exploring the Preseli Hills. A great day out – smashing ‘beginners’ mountains’ - they don’t top 600 meters, so they are not too hard to climb, but they are wild and rugged and give a chance to discover (and scramble on!) Stonehenge’s ancient Bluestones. Surprisingly, we find most children love it!

Open Canoeing A wonderful way to explore the world of water, learning both canoeing and teamwork skills too. Venues are dependent on tide and weather, usually a half day activity at nearby venues, but a whole day out opens up the possibility of a journey on the quiet waters of the Cleddau with its abundant wildlife.

Rock-climbing A memorable adventure! This activity adds a dash of excitement to the week… it’s good for team-work and often leaves children feeling proud of themselves. Time permitting, we can include abseiling as a part of the rock climbing experience. It combines really well for a whole day out with…

Coast walk Walk the magnificent cliff tops and bays of Pembrokeshire (voted by National Geographic Magazine as the 2nd best stretch of coastline in the world!). Learn about caves, arches and blow-holes, spot sea-birds, sand dunes and seals (if you’re lucky!). On a good day you might see one of our resident choughs (one of Britain’s rarest birds) and sit and listen to the crashing of the waves and the song of the skylark. It has to be admitted that on other days, we’ll battle through wind and rain – a feat of endurance – listening to “how much further is it?” Jolly good exercise too!

Lake and Pond-dipping If you don’t do it at school, come and try it here around the beautiful Bosherston Lily Ponds. Let the children investigate the weird and wonderful water-life in the lakes – a nice contrast to some of our “busier” activities!

Woods Gives an opportunity to explore the woods and learn more about the history of the Stackpole Estate. Groups often take part in a conservation activity in the woods as part of their John Muir Award, this could include path maintenance, “eco-pile” making, invasive species removal or woodland restoration. Usually taking place in Lodge Park Woods but occasionally in other woodlands around the estate. Often incorporating...

Orienteering This activity develops the children’s map reading skills whilst giving them a chance to explore independently in small groups. We have one orienteering course in the centre grounds and another two in Lodge Park Woods. Orienteering is often incorporated into Woodland activities but can be a standalone session in its own right.

Cycling We have a fleet of bikes which enable us to cycle out to activities or just go Mountain Biking for half a day. We also have a tandem for children who are extremely nervous or unable to ride a bike. We have some great off-road routes suitable for a broad range of abilities. N.B. If you have more than one pupil that can’t ride a bike it’s a great help to us if they can be split in different activity groups as we only have one tandem.

The Beach At the end of the week a walk down to Barafundle or Broadhaven gives the opportunity for sand sculpture, games, paddling, swimming, conservation tasks and enjoying the seaside! We are all qualified to supervise swimming in the sea (sea state permitting). Excellent on the last morning if you don’t mind going home with sand in your shoes!

Field Studies We have a beautiful and inspirational landscape at Stackpole providing no better way to learn through first hand experiences. We can carry out field work with schools on sand dunes, rocky shore transects and river studies. There is a wealth of knowledge and experience amongst the National Trust and Natural Resources Wales staff at Stackpole. Let us know your requirements.

Activities –which carry an extra charge

Coasteering A fantastic adventure that involving journeying where the land and sea meet! Often misunderstood and written off as just “jumping in” or worst still “Tombstoning!”. Depending on the level of the tide this activity could involve rock-scrambling just above sea level, swimming, sea cave exploration and sometimes a bit of jumping in too – no two trips are ever the same! A unique way to explore the coast, but very wet! Wetsuits, buoyancy aids and helmets are obligatory. Best done once the sea has had a chance to warm up a bit (After Easter) and good to carry on until the end of October - … not really in the depths of February! As this activity requires two qualified guides per session it has an additional cost of £10 per pupil. Skomer Island A day trip to Britain’s first Marine Nature Reserve – a wonderful place. Highlights are the boat trip, the puffins at close hand (in May to mid-July) and seals. Glorious on a fine day in summer, but expensive – we have to make an extra charge to cover transport by land and sea (£25 per head).

Pembroke Castle If all the above aren’t enough for you, you can visit Pembroke Castle, birthplace of Henry Tudor and ‘do’ the Tudors. A good option for bad weather – but not really relevant to the rest of what we do at Stackpole! If chosen, we normally visit the Castle on the last morning of the course. Please note that it is not a National Trust Castle – we pay for entry - currently £3.00 a head.

1.2 Centre Life

Mornings and evenings We believe that looking after themselves, their bedrooms and the Centre is an important part of the children’s week. They are expected to tidy their rooms before breakfast at 8.30am when one of our staff will check the rooms. We ask the children to help tidy the centre, minibuses, and grounds for a short time in the evening after dinner. They will also be part of a “green team” who will be on environmental alert – switching off lights, turning off taps, composting, recycling, litter picking and bird feeding.

One of our staff will be on duty at the Centre from 8.30am until 8.30pm. After that time, they will be ‘on call’, but not on site, during the night in case of emergencies. During the evening they will be happy to supervise a bat walk, a nightline, games, art-work, ball or board games. There will always be a Fire drill and introduction to the Centre on the first night.

Traditionally, some schools like to make a teacher-led visit to the beach in the evening. If you do so, your school needs to carry out its own risk assessment.

Meals and special dietary requirements Erica’s cooking is always a feature of positive feedback! In line with our Eco-Centre status and National Trust policy, we try to use locally sourced and fairly traded products wherever possible. Please let us know of special dietary requirements with at least three weeks’ notice. To help the catering team prepare for your arrival could you ensure that anyone that has food allergies has a completed Allergy Declaration Form for each

separate allergen, these should be sent on to us as soon as possible.

We don’t employ meal supervisors, so it is very helpful if visiting staff help our education staff supervise meal-times and ensure good standards of behaviour.

Night – time Visiting teachers are in charge of the children’s welfare at night-time. Children need sleep! From experience, we would suggest a kind but firm stance on bedtimes, particularly on the first night – extreme tiredness is not the answer. If a sanction is required, exclusion from the following morning’s activity is a pragmatic threat which can be carried through. We suggest a 9-9.30pm bed-time.

Gift shop A small selection of postcards, stamps, fair trade chocolate, purses and goods made from recycled materials are available as well as National Trust branded items. Children may like to bring a small amount of pocket money, but shopping is not high on our agenda! £5 is sensible, £10 an absolute maximum.

Review To get the most out of each day, we suggest an organised review of the day is very worthwhile. This usually takes the form of a diary session but could be Circle time or art-work. We ask visiting teachers to take responsibility. We will provide each child with a Centre diary and/or a John Muir Award record book. For National Trust and school staff, we meet straight after breakfast to review the previous day and plan the day ahead. Security The Centre’s outer doors are locked at night, once our duty member of staff is ‘on call’. All National Trust Stackpole Outdoor Learning staff are cleared with the DBS. Because of the residential aspect, schools should check that adults accompanying the group, who are not school staff, have DBS Disclosures. We often enjoy help from volunteers who are asked to provide DBS clearance if over 18yrs. On departure at night the duty member of staff will check that all ground floor windows are closed, and access doors locked. We recommend that visiting staff double check all doors and windows before retiring for the night. National Curriculum All of our activities can be linked into your school’s curriculum – whether Geography, STEM, PSE and Citizenship, Education for Sustainable Development or Curriculum Cymraeg. Many visiting groups do fantastic follow-up work back at school. We are happy to adapt our courses to your curricular needs. If you do have any particular needs, please let us know in advance.

Maximum numbers We have beds for 40 children and 4 staff with a wheelchair friendly room on the ground floor in Kingfisher, and a further 17 beds in the adjoining Shearwater Wing. This makes our normal operating capacity 61 people (including accompanying staff). We do have an additional building suitable for groups (Kestrel) which sleeps 35 people over 12 rooms and has its own common room and kitchen. As this unit is bookable by non-school groups up to two years in advance so we can’t always guarantee its availability. For groups of over 60 people we will endeavour to use the Theatre as our dining room instead of the smaller Kingfisher dining room as this can become very cramped with large numbers. Lost Property We endeavour to make sure that everyone goes home with all their belongings, but we do find lost property items after almost every course. Clearly labelling all items will go a long way to solving this issue. As we only have limited space for lost property items at the centre the following procedures will be upheld. Small items of obvious value (electronics, prescription glasses etc.) will be stored for one year. Coats, jackets, walking boots and wellies will be stored for no more than 3 weeks before being disposed of / or donated (at our discretion). Low value items such as underwear and t-shirts are normally disposed of immediately if not collected at the end of a course. We ask that postage costs are refunded if we have to return lost property

1.3 Contacting us

I’m sorry, but we don’t spend a lot of time sitting in our office. I realise that this makes contact with the Centre quite frustrating. The centre reception is manned, between 9:00am and 5:00pm on weekdays or can be contacted by email at [email protected] . The best time to catch centre staff is between 9:00 and 9.30am. Email is probably more reliable. There is a phone in the Centre Kitchen itself which is the best bet for contacting resident teachers from your school. We also now have a mast providing a reliable mobile signal at the centre (but only if you’re on EE!).

7. Risk Management at Stackpole

This document confirms that National Trust at the Stackpole Centre operates a robust system of risk analysis and management, which includes risk assessments for all activities led by National Trust staff.

Licence Details The Adventure Activities Licensing Service (AALS) inspects activity centres and other activity providers on behalf of the HSE. If the Licensing service is satisfied that the provider complies with nationally accepted standards of good practice, risk analysis and management systems the Adventure Activities Licensing Authority (AALA) issue a licence. More information on activity licensing may be found on: www.aals.org.uk .

Our AALA provider reference number is R0032 and our current licence number is L14740.

We are currently inspected every two years; our last inspection was on 2nd May 2019, our next inspection is due in May 2021. All our risk assessments and operating procedures are examined by AALA during their inspection. These documents are available for inspection at Stackpole but will not normally be sent out.

Staff Competence For each licensable activity all staff leading that activity hold either a relevant National Governing Body qualification or a statement of competence signed by an appropriately experienced and qualified person consistent with the requirements of the Licensing Regulations. Copies are available for inspection at Stackpole.

Risk Assessments/Operational Procedures for Adventure Activities These are inspected as part of our Adventure Activities Licence. AALS recommends the following; Safety management documents such as operating procedures and qualification matrices are technical documents that most clients are unlikely to understand fully. It is clearly ill advised for decisions about their appropriateness to be made by someone without sufficient technical expertise and experience. Subsequently we believe that if a school, LEA or individual receives copies of risk assessments or procedural documents, and does not comment on them, it would be reasonable for the provider to assume that the client was accepting of them. If something was subsequently found to be deficient with them we believe the school or LEA would end up with at least SOME of the responsibility.

Child Protection We operate under the National Trust’s ‘Working with Children and Young People’ policy. This is consistent with current good practice. All our education staff have undergone an enhanced DBS (or CRB) check.

Accommodation and Overnight supervision We hope you find the centre warm and welcoming. Most of the student’s rooms in Kingfisher have between 3 and 4 bunk beds per room and have shared toilet and shower facilities. Single or twin en-suite rooms are available for accompanying teachers.

Staff and pupils with additional needs. A ground floor bedroom is available for children or staff in both Kingfisher and Shearwater who may require use of a wheelchair. Please let us know if you have any staff or pupils that have additional mobility needs as we are able to hire in hoists, specialist beds and other hardware needed for them to enjoy their stay. We have a Hippocampe All-Terrain Beach Wheelchair that includes a harness and a choice of wheels for both footpath and beach use. We can also hire an additional beach specific wheelchair if required. Wherever possible we will endeavour to provide these at no additional cost to the pupil or school. Night-time supervision is the responsibility of visiting teachers. A member of National Trust staff will be on-call (by telephone), but off-site, in the event of an emergency. Visiting staff act in loco parentis for the duration of the visit. Transport We have two 17 seat Ford Transit minibuses and will hire additional minibuses when necessary. All buses we use have forward facing seats and full seatbelts. They are subject to Class 5 MOT tests and have a professional PCV maintenance check on a regular basis. Records of the maintenance schedule are available for inspection at Stackpole.

Fire Protection An up to date fire risk assessment is in place for the entire Centre complex. A fire drill will be carried out with every school group. All fire prevention equipment is professionally checked and maintained. A record of fire drills and inspections is available at Stackpole.

Activity Equipment All specialist equipment is provided. As far as the Centre is reasonably aware all equipment will be fit for purpose and is inspected as part of our Adventure Activities Licence. Records are available for inspection at Stackpole.

Insurance Arrangements

The National Trust’s insurance policies run from February to February. At the time of writing the current policy details are:

8. Insurance Details

The Centre has a current Licence from the Adventurous Activities Licensing Authority for its outdoor activities. All activities led by NT staff are risk assessed and run under stringent operating procedures which are reviewed on a regular basis. Accidents and near misses are reported, recorded and analysed for trends. However, please remember that the final responsibility for safety, conduct and welfare of the young people in your group will remain with your staff in charge of the group for the duration of your visit. Please note a teacher or responsible adult should accompany each daytime activity group (in addition to NT staff).

The Trust has insurance in place to cover its own legal liabilities to an indemnity limit of £10m. (Zurich Municipal QLA-22QD45-0013). The Trust requires the visiting group to have its own Public Liability Insurance to a level of at least £5m. If you have visited before, and your insurance details are the same there is no need to send details. If not:

If your school/organisation is in the maintained sector – unless you know you have separate insurance – I suggest you check with the Local Education Authority to see if you are covered by the LEA’s block insurance. If you are, all you need to do is to show that on the Under 18 Indemnity and Confirmation form (there is no need to return the Evidence of insurance form). Please would you return this at least 14 days before your visit to confirm your cover.

If you are not within an LEA will you please pass on to your insurer the enclosed Under 18 group evidence of public liability form and ask them to complete it and return it to Matt Lister at the Stackpole Outdoor Learning Centre.

9. Bedroom Plans

To help you plan who’s sleeping where, room plans are available for all of the accommodation units. Please note. The numbers of beds in Shearwater was altered in 2017 and now sleeps 17, Kestrel now sleeps 35 people upstairs and an additional 3 beds are in an wheelchair accessible room off the ground floor courtyard (the old Snake Pit rooms for those of you old enough to remember that far back!). Drive west from the Severn Bridge following the M4 all the way to Carmarthen.

At Carmarthen join the A40, signposted St Clears.

At St Clears roundabout take the first exit on to the A477 signposted to Pembroke and Pembroke Dock and Tenby.

After Milton take the left fork (A4075) to Pembroke.

At Pembroke you come to a mini roundabout – take the second exit down the hill, past ATS on the right at the bottom of the hill.

Turn left after the school onto the B4319 to Castlemartin, up a steep hill.

At the top of the hill turn left at the junction marked Stackpole / Bosherston / Castlemartin B4319 (this road junction was modified in 2012 and some Sat-Navs / older coach drivers still don’t know it exists!).

Follow brown signs for Stackpole Centre. The B4319 will take you through St Petrox. Do NOT follow signs to Stackpole Village or Stackpole Quay!

At a junction marked Bosherston (left) and Castlemartin (right) turn very sharp left (almost going back on yourself) down a lane marked Stackpole Centre, Home Farm and Stackpole Walled Gardens.

At the end of the road turn right, and then take the second right turn into the Stackpole Centre complex.

14. Stackpole Payment Details The cost of this year’s course for your particular school is now found on your Confirmation Letter and is exclusive of VAT, which most schools will be able to reclaim. This cost does not include transport to and from your school. Please note that some activities have an additional cost per person charge for Skomer (£20 each) and for visits to Pembroke Castle (£3.00 each); also due to the high instructor to participant ratio required for watersports on the sea, kayaking and coasteering have an additional cost of £10 per child. Between 1st March and 31st October, cost is based on a minimum number of 30 children visiting. There is a free staff/adult place for every ten children attending (or part thereof) and we gladly give free places for any staff required as carers for children with additional needs. Any further adults attending will be only be charged for catered accommodation at £30 + VAT per night. Paying by purchase order? We will need to be advised of any purchase order numbers that your finance department require well in advance of any invoices being sent – we recommend that this be created at the time of booking your trip for the coming year and passed to our staff at that time. There will be a deposit required prior to your course of £500 per group house, which is not returnable in the event of cancellation. This will be invoiced.
