1 IMMP Survey123 Instrucons -- 2020 Survey123 is an ArcGIS app designed for collecng data in the field on a tablet. If you would like to record data for the Integrated Monarch Monitoring Program electronically instead of using paper data sheets, follow these instrucons to download the app and data entry forms onto your tablet. You may choose to use Survey123 for some acvies, and paper datasheets for others; it is up to you and your preference. Survey123 is strongly recommended for the Site Descripon form, as it makes subsequent visits quick and easy. For more in-depth acvies like Acvity 1, recording on paper in the field may be more appropriate. An online data entry portal is currently in development with a goal of compleon in 2020. If using paper datasheets in the field, you may enter your data in Survey123 or in the data entry portal once completed. Check for updates at www.monarchjointventure.org/IMMP. IMMP Survey123 Instructions -- 2020

Survey123 is an ArcGIS app designed for collecting data in the field on a tablet. If you would

like to record data for the Integrated Monarch Monitoring Program electronically instead of

using paper data sheets, follow these instructions to download the app and data entry forms

onto your tablet. You may choose to use Survey123 for some activities, and paper datasheets

for others; it is up to you and your preference. Survey123 is strongly recommended for the

Site Description form, as it makes subsequent visits quick and easy. For more in-depth

activities like Activity 1, recording on paper in the field may be more appropriate.

An online data entry portal is currently in development with a goal of completion in 2020. If

using paper datasheets in the field, you may enter your data in Survey123 or in the data entry

portal once completed. Check for updates at www.monarchjointventure.org/IMMP.

An Internet connection is necessary to download Survey123 app and forms, but it is not

necessary for collecting data in the field. Data will be stored on the tablet until you have an

internet connection. Then you will be able to submit your form(s).

uninstall and reinstall the latest version of the software (version 3.3.64 or higher) on your computer or

update the app if using on a device. The latest software version has functionality not available in previous

versions.

If you participated in the IMMP in previous years, old forms may still appear in your Survey 123

application, even after you download the new version. You will need to DELETE LAST YEAR’S FORMS (see

page 4) and DOWNLOAD THE NEW ONES. The old ones will no longer allow you to submit data.

A. Download the Survey 123 Application

On a Mobile Device

Downloading the Survey123 application is easy on a mobile device such as a tablet or phone. Simply go to

your App Store and search for “Survey 123 for ArcGIS”. Click to download. DO NOT SIGN IN; see below.

On a Computer

Do this if you expect to collect data on paper datasheets and then submit it early in the season.

1. Click on this link to access the Survey123 application download page: https://www.esri.com/en-

us/arcgis/products/survey123/resources

2. Click the Windows or MacOS download button (depending on the platform of your computer)

under the Survey123 field app header.

3. Launch the installation from the downloaded file by either clicking RUN or clicking on the

installation file in your browser when prompted. Alternatively, the installation file

may be saved in your computer’s downloads, and you can find and launch it from

there.

4. Click the Next buttons on the following installation screens that appear, and agree to

the terms and services. Keep the default folder location.

5. A Survey123 icon will appear on your desktop. DO NOT SIGN IN; see below.

After Installation

You do not need to open this program. Do Not Sign In. Instead,

click on the links provided on the next page.

B. Download Data Entry Forms to the Survey 123 Application

Once you have downloaded the Survey123 app, download the survey forms by clicking on the following

form links (or pasting into a web browser).

Data Entry Forms

Fill out an initial Site Description Form when you select

your site. It will generate an official Plot ID that you will

use for all your future activity data submissions. You will

also submit a COPY of this form for every subsequent

visit to the site (disturbance & vegetation composition

info only).

Conservation Site Project Description:

This is part 2 of the Site Description activity. If you are

monitoring a conservation site, please fill out this form

once per year (you may also update it throughout the

year as needed).

Form Instructions

1. Click on all links (previous page) to the forms you need to download

(or copy/paste them into a browser).

2. Click the X (upper left hand corner of form) to close out of any

surveys that have opened automatically when you downloaded them

(choose “close and lose changes”). Check to see that all the forms you

will need have downloaded.

If you close the whole application and open it again, you will see all

your downloaded forms. Unless you *delete them (see below), these

forms will now always be there for you to use every time you conduct

a new survey.

3. Click on a form to launch a survey. The first survey that you will

conduct is the Site Description (see next section).

Deleting Forms

Monarch Joint Venture may occasionally update these

data entry forms. They will instruct you if you need to

delete your local form and re-download it from the cloud.

To delete, click on that form in Survey123 and then click

on the three bars in the upper right-hand corner to access

the delete button. Submit any unsubmitted forms before

deleting.

C. Site Description

Fill out an initial Site Description Form before submitting any monitoring data, as this form will generate

an official Plot ID. You will use this Plot ID to identify your site for all activity data submissions. You will

also submit a COPY of this form for every subsequent visit to the

site (disturbance & vegetation composition updates only). The

Conservation Site Project Description is a separate form that you

must download and complete when monitoring a Conservation site.

See details below.

There are four pages of this form. The green arrow at the bottom right will move you to the next

page. The green back arrow will return you back to the previous page. Items with a red asterisk are

REQUIRED FIELDS; other questions may depend on them.

GENERAL INFO

SPECIAL PROJECT CODE: Leave this blank unless you are running a

special project through MJV.

SITE NAME (OPTIONAL): Enter a site name if applicable.

YOUR NAME: Type your full name.

OTHER OBSERVER: If you had a partner in the field, type their name(s)

here.

VISIT DATE: Click inside the box. Pick the date you visited the site from

the calendar.

STATE: Use the dropdown menu.

LAND OWNERSHIP: Select the type of ownership and answer any follow-

up questions.

The first time you fill out the Site Description for

your site, mark ‘No’ for the ‘Follow Up Visit’

question. See below for subsequent visits.

RETURN VISITS

Check ‘Yes’ when you come back for another day of monitoring. This will direct you to questions

about vegetation composition and disturbance—factors that may change from visit to visit. All other

fields should stay the same. See page 11 for more detail.

MONITORING PLOT SETUP Answers to the following questions generate the official Plot ID for the

site.

ORIGINAL SITE TYPE: Select the Original Site Type from the options in

the drop-down menu. The original site type is the category to which the

site was assigned in the mapping tool. (Note: In the West, this is the

site’s milkweed suitability rank – high, medium, or low.)

VERIFIED SITE TYPE: Select the Verified Site Type from the drop-down menu. This is the actual site land

use/land cover category, and may differ from the Original Site Type.

Note: In the West, select the landcover type that is closest to what is on

the ground—scrubland, shrubland, or desert should be labeled as either

Protected or Unclassified Grassland.

For Agricultural sites: If you survey in the field, the verified site type

will be Agricultural (in-field survey). If you conduct the Ag Edge

protocol, the site type will be Agricultural (field edge survey). Fill out a

separate Site Description for each of these.

MONARCH BLOCK NUMBER: Enter the 6-digit Monarch Block number

(include leading zeros as needed to achieve 6 digits). This is the

number of the block in which your site is located that you got from the

IMMP mapping tool or an IMMP coordinator.

SAMPLING POINT NUMBER: This 6-digit number (from the mapping tool

or an IMMP coordinator) or code (if you created a self-selected site)

identifies your specific site. Enter leading zeros as needed to achieve 6

digits. CLICK RETURN TO GENERATE THE PLOT ID.

OFFICIAL PLOT ID: This is automatically populated using the three

fields above. Use this full code for all activity data form submissions.

DATA SHARING: Choose the level to which we can share data collected

on this site. Enter “Point” unless the landowner or manager requests

otherwise on the Landowner Waiver.

PLOT CONFIGURATION: Choose the type of plot that you will set up at

your site (this should have been determined during Montioring Plot

Setup).

*CENSUS SURVEYS ONLY -- AREA SURVEYED: If you are conducting a

census survey, record the area of your plot (in square meters). Note: 1

acre = 4,047 sq. meters.

CAPTURE THE STARTING POINT (Point 1)

Regardless of the plot configuration, you

will be asked to capture or enter the

coordinates of a starting point. For

Census surveys, record the approximate

center of the site.

Click the map where it says, “Press to

capture location using a map.”

If you already have the coordinates of

P1, enter them manually in the search

box on the map.

If you need to obtain coordinates of P1

in the field, turn on your device’s

location (in the device settings) and

follow the directions in the box below.

Locational services active if satellite icon is flashing.

If no locational service or you are not in the field when

filling out the form, enter the coordinates manually here

(latitude, longitude), and click return.

A red pushpin will appear when location is found.

You can drag the map to fine-tune location of pushpin if

it is off (requires data service so basemap will load).

Click here to submit coordinates.

START BEARING: Enter a start bearing – the direction of the first side of the plot (not required for Linear

plots). The bearing will be between 0 and 360 degrees where 0 is North, 90 is east, 180 is south, and 270 is

west. Enter a whole number (round to the closest whole number).

POINT 2, 3, 4 COORDINATES – Depending on your plot configuration, you may be prompted to record the

latitude and longitude of other points. For Linear plots, Point 2 is 500m from P1, in the direction of

oncoming traffic if relevant. For Standard Rectangle or Square plots, record the remaining plot corners.

For Irregular Plots, record three points that help to outline the plot.

To get the coordinates, open a mapping application such as Google Maps, with your location enabled.

Hold your finger on top of the blue dot, which represents your location. Coordinates will appear in the

address bar. Copy these into these point fields, making sure to follow the exact format provided.

Click NEXT PAGE

DISTURBANCE

RED IMPORTED FIRE ANTS – If you live in a Southern state, you will be

asked about the presence of Red Imported Fire Ants in your plot and

the number of mounds observed.

DISTURBANCES IN THE PLOT – If there are disturbances in > 10% of the

plot, click YES, then check the specific disturbance(s) you observed.

Estimate the percent of the plot disturbed by each.

If there is a disturbance not listed, manually enter the type of

disturbance under “Other Disturbance” at the bottom of the list.

VEGETATION IN PLOT

For all vegetation categories, estimate the percent cover of each. If there

are none in the category, choose “None.”

GRASSES – Grasses

FORBS – Optional: enter up to three species. This is not a drop-down. Just

type common or scientific name.

WOODY PLANTS – Shrubs

WOODY PLANTS – Trees

Optional: enter up to three species. This is not a drop-down. Just type

common or scientific name.

NOXIOUS WEEDS – Optional: choose “Not Assessed” to bypass. If elected,

choose up to five. This IS a dropdown list containing federally listed

noxious weeds. This is not synonymous with invasive plants. Find your

state’s official noxious weed list as a reference, or skip this section.

Start typing the common or scientific name of a weed species and you will be presented with selection

choices. (If the species you seek is not present, choose ‘other’ and type it in). Then estimate the percent

cover of the noxious weed.

WETLAND FEATURES – If you have selected anything greater than 0 here,

you’ll be prompted to enter the type of wetland features observed within

the plot. Select the most dominant if more than one.

SURROUNDING LAND USE & SITE TYPE SPECIFIC INFORMATION

ADJACENT LAND USE OF MONITORING PLOT

Record the landuse/cover types that are directly adjacent to the

monitoring plot (no more than 100 meters from the plot boundary). In

other words, what is directly neighboring your plot? Example: if your plot

is surrounded (on all sides) by a larger protected grassland, you will only

select “Protected Grassland.”

Record the conservation status of your monitoring plot. A conservation

site is defined as land that is managed in some way to maintain or restore

habitat, protect biological diversity, and/or to enhance ecosystem

services. This may include private land set aside for pollinators, land

enrolled in the Conservation Reserve Program, or others. If “Yes,” please

complete the additional Conservation Site Project Description form (with

help from the land manager/owner as needed).

If your site is Agricultural or a Right-of-Way, you will be prompted to answer the following:

Agriculture: In-field survey – Record the type of field and if the field is planted, the dominant crop on that

field.

Agriculture: Edge survey – Record the average width of the edge and the dominant crop adjacent to that

field.

Rights-of-Way (ROWs) – Record the type of right-of-way. If a roadside, indicate the road type and the

average width of the ROW. If the ROW is mowed, indicate the width of the mowed vegetation.

Click NEXT PAGE

SUBMIT DATA

Click the GREEN CHECK at the bottom right side of the form

to submit your data.

– If you have an internet connection (and are ready to submit your

data), you can click SEND NOW to submit.

– If you do not have a connection (or are not ready to send), click,

SEND LATER and your data will be saved in your outbox.

– If you want to go back to edit the form, click on CONTINUE THE

SURVEY.

SENDING LATER

– When you are ready to submit your data, open the form again and click the Outbox.

– Your unsubmitted form will be listed. You can either: 1) Click the SEND button to submit your data, or

2) Click on the file to add or change information.

– Once successfully sent, the file will be stored in your Sent Box.

You can also resend data from your sent box if you need to make a correction. It will override the

previously submitted data. Click on the file in your sent box, choose EDIT AND RESEND SURVEY, make

changes, and resubmit.

SENDING A SITE DESCRIPTION FOR SUBSEQUENT VISITS

To submit a Site Description form for a follow-up monitoring visit, open the

Site Description form, click on your Outbox, and click on the previously

submitted Site Description form. Choose ‘Copy the sent data to a new

survey’ and proceed.

Check ‘Yes’ for ‘Is this a follow up visit?’ You will then be promted

to only answer questions about disturbance and vegetation

composition (page 2 of the paper datasheet).

READY TO SUBMIT DATA?

Click the GREEN CHECK at the bottom right side of the form to submit your data.

CONSERVATION SITE PROJECT DESCRIPTION

If your site is managed for conservation, you will fill out the Conservation

Site Project Description form – you will have to open up this form

separately (link provided on page 3). Consult the land manager/owner as

needed for help with this section. There is an ‘other’ and ‘unknown’ choice

for all questions.

PLOT ID: Enter the Plot ID for your site. Example: UGS-000034-000012. (

SITE NAME (OPTIONAL): Enter the name for your site if applicable.

NAME OF LANDOWNER/MANAGER: If known, please list the name and for

the landowner or manager of the site.

TITLE & ORGANIZATION/AGENCY: If applicable, list the title or agency

associated with the landowner or manager.

CONTACT INFORMATION (OPTIONAL): If known, please list the contact information for the landowner or

manager of the site in case we have follow-up questions regarding

management activities.

Choose the management focus for the site.

YEAR: List the rear that conservation management began at the site.

PROJECT TYPE: Indicate the type of project associated with the site (e.g.

general resource management, pollinator planting).

CONSERVATION PROGRAM(S): Choose the conservation status or program

the land is enrolled in. Choose all that apply.

PREVIOUS LAND USE: Select from the dropdown menu.

MANAGEMENT HISTORY: Check all management actions that have been

conducted within the plot and the most recent date of that action (year,

month/season), if known. (List all prior dates and details in the notes section

for each management action. You may know additional information such as

area applied, frequency of application, grazing schemes, stocking rates, etc.

Enter this in the notes as well.)

PLANTING DETAILS: If your plot has been seeded or planted, add the following

information by planting/seeding event. Click the + button to add another

planting/seeding event.

• Date of planting/seeding

• Area planted (acres)

• Seed mix name (if applicable)

• Seeding method

• Species name

• Quantity planted by species and units

• Unit type (PLS or bulk)

Click on the Activity 1: Milkweed & Blooming Plants form and click COLLECT.

PLOT IDENTIFICATION & VISIT INFORMATION PLOT ID: Use the Plot ID code that was

generated in the Site Description form.

SPECIAL PROJECT CODE: Leave this blank

unless you are running a special project

blooming plant list will not function

LEVEL OF BLOOMING PLANT ID: Select

whether you chose to conduct an Option A

survey (identify blooming plant to species)

or an Option B survey (noting the presence

or absence of blooming plant).

MILKWEED BETWEEN SUBPLOTS - BELT

TRANSECTS: Mark ‘Subplots’ unless you

have specifically chosen to count milkweeds

between subplots as well as within (belt

transects are more typical in the West

where milkweeds are sparse).

SUBPLOT NUMBER

The subplot number will auto populate, beginning

with 1.

BLOOMING PLANTS

Record if there are blooming plants in the subplot.

If you enter ‘Yes’ more options will appear below.

Option A

If you are conducting Option A surveys, start typing

the species in the dropdown box and select it

when it appears.

Mark which section the blooming plant first

appears in. To add another species, click the Plus

sign.

Option B

If you are conducting Option B surveys, mark the

first section that contains a blooming plant.

MILKWEEDS

If a milkweed is present in this subplot, enter the

common or scientific name. As you type, choices

will appear. If you do not see it on the list, type

OTHER, and then type it into the field provided.

Enter the number of plants of that species AND

the number of stems.

To record a second milkweed species, click

the Plus button.

When you are done with a subplot, tap the last

Plus sign near the bottom of the page to move to

your next subplot.

TIPS

The counter tracks which subplot you are on, and

how many you’ve completed in total. You can

scroll back and forth to view or edit your data.

You can delete a subplot using the trashcan icon.

If you cannot identify a plant, either select a

genus (e.g., “Solidago species”) or type

UNKNOWN PLANT.

At the end, make some notes about what each

Unknown plant looked like, so you can enter

species names later if possible.

FINAL QUESTIONS

If you surveyed fewer than 100 subplots, you’ll be prompted to explain why.

MEANDERING WALK

Before leaving the site, meander through the plot and record any species in

bloom that were not already recorded in your subplots.

Record any milkweed species present that were not already recorded in

your subplots.

Lastly, you will be asked if you conducted

the Meandering Walk Survey after subplot

sampling. If you did conduct the walk,

record approximately how long it took you

to complete (in minutes).

E. Activity 1: Milkweed & Blooming Plant – Census

Click on the Activity 1 Census form and click COLLECT.

PLOT IDENTIFICATION & VISIT INFORMATION

PLOT ID: Use the Plot ID code that was

generated in the Site Selection Form.

Plot ID format: XXX-000000-000000

Keep all leading zeros

while it was within your 5m survey radius.
