What about if you had to do a second piece of English GCSE coursework? Choose a sensible file name for this second piece.

In your functional skills exam, you will probably be asked to create a range of documents, perhaps business letters, a spreadsheet, a presentation or even a database report and save them to your area.
You might be asked to print out a screenshot of the files that you have saved. Why do you think you might be asked to do this?
The main reason is so that the examiners can check you have given all of your files a sensible file name for each task.

In the table below, write down a sensible file name for the tasks that you might be asked to do in the exam.

Setting Up Folders

TASK 1
In your Functional Skills folder, create the following folder and sub-folder structure as shown in the diagram below.
TASK 2
Once you have set up your folder structure, create a new word processed document. Write the title, ‘television advertising plans’ at the top of the document and save it to the ‘television’ folder.
TASK 3
Create a new spreadsheet file and save it into the 2010 folder giving it the title, ‘budget 2010’.
TASK 4
Make a copy of your ‘budget 2010’ spreadsheet and paste it into the 2011 file. Rename it ‘budget 2011’
TASK 5
Create a new presentation file and save it to the UK folder with the name, ‘UK supplier training’.

Compression

Task
1. Go to the functional skills folder – Files and Folders and find a fairly large document (don’t open it). Right click on the document and look at the properties.
What is the file size of this document?
2. Now right-click on the document name and choose ‘send to’ and then ‘compressed folder’. Save it in YOUR Functional Skills Folder.

Information
Storage space is expensive especially for an organisation like a school where there are hundreds of students and teachers who need their own area to store their documents and files.
If you tend to store large files which contain images and media you could soon find that you run out of space.
File size is also an important factor to consider when you need to send an attachment with an email. Most email clients have a file size limit and if the file you want to send is too large then it simply won’t allow you to send it.
You can get around these two issues to some extent by compressing your files and folders.

File Properties

You can easily find out a lot of detailed information about a particular file.
Using Windows Explorer, go to your area. Find a file that you want to examine i.e. a word processing document, a spreadsheet, a presentation etc.
Don’t open the file, just have the file name visible.
Right click on the file name. Go down to the bottom of the list and choose ‘properties’.
A window similar to the one on the right should open.
Make sure you have the ‘General’ tab selected and then answer the following questions.
1. What is the name of your file?
2. What is the file type?

3. What software application would be used to open this file.
4. Click on the ‘change’ button. Are there any other software applications that would be suitable to open this file?

6. What is the size of this file?
