It’s not what a company does that makes it stand out; it’s how the company does it. That Alphanumeric Systems has survived more than 30 years in the volatile information technology industry is testament not only to its strength of vision, but also to its X-factor: customer service.

“We’ve weathered the ups and downs,” says Alphanumeric controller Rebecca Jones, who has worked for the company for more than 27 years. “There aren’t many IT companies that have lasted this long.”

Established in 1979, Alphanumeric has served pharmaceutical, state and local government, education, healthcare and professional services clients with integrity, innovation, expertise and flexibility. The privately-held, woman-owned enterprise has received numerous awards and accolades, including, among many, 15 years as a CRN Magazine VAR 500 Solution Provider, and Triangle Business Journal’s Top IT Networking Company.

Those accolades stem from Alphanumeric’s decades of experience delivering comprehensive, cutting-edge and flexible technology solutions to save costs and drive efficiencies for a varied clientele.

“We’re able to work with every size business because all of our solutions are scalable and so we’re able to adapt to the needs of our customers,” said Kristen Sandstrom, Alphanumeric’s vice president of human resources.

And like the information technology industry itself, Alphanumeric, too, has evolved constantly.

In March 2009, a major change came when longtime owner Darleen Johns sold the company to Karen Braswell. The transfer maintains Alphanumeric’s proud history as a woman-owned IT company, but brings with it a new vision of leadership, headed by Mrs. Braswell and her husband, Alphanumeric president, Harvey Braswell.

“I have full confidence that Mr. Braswell’s experience and insight along with Mrs. Braswell’s tremendous amount of energy and business savvy will propel Alphanumeric to the next level,” Johns said in a press release announcing the transfer of leadership to Mr. and Mrs. Braswell.

And in the first months under new guidance, Alphanumeric already has set the stage for growth. Jones attributes this success to Alphanumeric’s strong, established reputation, and to the direction of Harvey Braswell. “I feel like he’s the captain of the ship,” she said. “He knows what direction we’re headed.”

That direction — a move for growth, while refining focus on positioning Alphanumeric to be its customers’ most trusted technology services partner — is only an extension of what is the crux of Alphanumeric’s 30-year success story. Using every solution provided as an opportunity to build lasting relationships with customers and to earn — and keep — their trust for the long-term, and providing mutual benefits to Alphanumeric and each of its valued customers have been important cornerstones of how Alphanumeric does business.

There is, in fact, a reason Alphanumeric is called the IT partner you can trust.

A BOLD POLICY: CUSTOMERS MATTER

It shouldn’t be a bold statement, but Alphanumeric values its customers.

“We want to be respected by our customers such that they would want to refer us to other potential customers,” said Alphanumeric owner Karen Braswell.

Hers is a common-sense observation: happy customers beget more happy customers. But it’s one that is too often overlooked, lost in a grab for short-term gains. Then again, it’s not often, either, that a company maintains the type of lasting relationships with clients that Alphanumeric boasts.

Alphanumeric’s vice president of operations, Jonathan Register, estimates roughly 90 percent of Alphanumeric’s clients renew or extend their contracts, making their partnership with Alphanumeric a long-term alliance. “It’s our focus on customer satisfaction, as well as retaining highly qualified and certified IT experts,” he said. “We help them solve their business issues.”

That focus on problem-solving is the guiding force behind Alphanumeric’s adaptable service offerings and history of providing tailored solutions and advice to customers, no matter what their needs might be.

“We are a company that over the years has demonstrated that we are very flexible, we deliver on time to our clients, and if we don’t have the right resources for the client, we will help them identify the right resource,” said Alphanumeric’s vice president of marketing and sales, Betsy Justus. “I don’t know of many companies that do that.”

Register added, “We want to help them grow their business.”

It’s in keeping the customer’s best interests in mind that Alphanumeric has been able to establish itself as a valuable partner to its customers, not only for short-term solutions, but as a trusted adviser and go-to source for any issues that arise. Steve Chase, Alphanumeric’s vice president of outsourcing and emerging markets, said, “We have a history — and have created a legacy — of understanding our clients’ business so well that we can offer ideas and solutions to any problems.”

But it takes more than having answers to get clients to ask questions. From the very initiation of the customer’s relationship with Alphanumeric, the customer-first attitude is reflected in the company’s willingness to listen closely to customer challenges, offer consultation and utilize subject-matter expertise to find a dynamic, out-of-the-box solution to the issue. Then, Alphanumeric works to build a lasting professional relationship based on trust and integrity.

“You need to be honest about what you can deliver. And you need to deliver what you promise,” Karen Braswell said.

Because Alphanumeric is privately-owned and its leadership is concentrated, the company is able to react quickly to clients’ needs, and because the company is large and focused enough to deliver complex solutions, living up to such high expectations is not only possible, but standard practice.

But when the standard practice is to show a genuine concern for the long-term health of customer relationships, the expectations don’t seem that high.

“It’s not all about money,” said Justus. “It’s customer satisfaction that’s important to us.”

Under the leadership of owner Karen Braswell — who acquired the company in March 2009 — and president Harvey Braswell, Alphanumeric is poised to grow into its fourth decade of business, helped by its expert management staff.

“We’re invested in skilled, expert people in the public sector and commercial marketplaces,” said Harvey Braswell.

As the company looks to pursue growth opportunities into its fourth decade of business, reaching new markets and territories, the expertise and experience of the management team only becomes more paramount. But Karen Braswell has faith. “They’re very capable,” she said. “I trust their judgment. They’re energetic and open to new, creative ideas.”

“They want to grow the business as much as I want to grow the business.”

The eight-member management team — Karen and Harvey Braswell; chief financial officer Jay Trepanier;

controller Rebecca Jones; vice president of sales and marketing Betsy Justus; vice president of operations Jonathan Register; vice president of human resources Kristen Sandstrom; and vice president of outsourcing and emerging markets Steve Chase — possesses a diverse array of experiences from public relations to accounting to management for companies of all sizes in industries as varied as construction and healthcare.

And with each member of the team concentrated in Alphanumeric’s Raleigh headquarters, the obstacles of larger companies with complex hierarchies don’t apply. “We have open communication between all of us,” Karen Braswell said. “That’s extremely important to be successful in business.”

But not only are the leaders of Alphanumeric successful in business, they are also successful in their endeavors with various professional and philanthropic organizations, including the North Carolina Technology Association, North Carolina Center for Public Policy Research, Greater Raleigh Chamber of Commerce, Juvenile Diabetes Research Foundation, National Charity League, and North Carolina Children’s Hospital.

Leading by example, the management team instills Alphanumeric’s core values — integrity, innovation, expertise, flexibility, commitment and corporate citizenship — and corporate vision at every level. “Our commitment to our clients and our service level transfers from the management team throughout the whole organization,” Sandstrom said.

That’s why, Sandstrom said, it’s not just the management team that possesses high-level expertise and certifications, and a drive to exceed customers’ expectations, but the engineers and salespeople, too. If a standard solution doesn’t quite fit the needs of a customer, said Alphanumeric vice president of outsourcing and emerging markets Steve Chase, “We’ll flip it in a heartbeat.”

To determine exactly what the best solution is, even a solution that the customer might not have thought of, said Betsy Justus, Alphanumeric’s vice president of marketing and sales, “We ask the questions that we know are important.”

But for Alphanumeric’s consultations and singular solutions to succeed, they must be supported by the expertise necessary to determine the best course of action, and then to implement it. So all Alphanumeric staff, from the management team to the sales staff, is highly-qualified and maintains an array of information technology certifications.

The flexibility in Alphanumeric’s approach is an uncommon virtue, and it’s one that makes the company’s offerings adaptable, and applicable to customers in any field.

Public Sector SuccessSpecialized solutions for GovernmentHaving served customers in the public sector since its inception, Alphanumeric Systems has needed to develop an in-depth understanding of the specific challenges its customers face in the course of their work — budgetary limitations and federal and state regulations, chief among those issues. But instead of viewing the unique characteristics of a client’s business as an obstacle, Alphanumeric views it as a challenge, striving to provide top efficiency while remaining 100 percent compliant with all regulations, including HIPAA, Sarbanes-Oxley, PCI, GLBA, FISMA and FERPA.

Because of its in-depth understanding of how government clients must address their technology concerns, Alphanumeric has earned many state contracts, including ITS Term Contracts in North Carolina to supply supplemental staffing and technical services and an SC ITMO Professional Services contract in South Carolina; and vendor contracts with Sun, Okidata, Xerox, HP, Symantec and Quantum in North Carolina, and Cisco, HP and Samsung in South Carolina.

Three decades of experience with customers in the public sector ought to have resulted in some understanding of how their business operates, but it’s testament to Alphanumeric’s level of understanding and uniquely applied solutions that the company has seen its clients renew and extend contracts for most of those thirty years.

Delighted CustomersCase StudiesA major pharmaceutical company needed a trusted partner to provide application support for a wide range of business-critical and non-business critical applications. Alphanumeric delivered incident resolution, maintenance support, project activity and standby/call-out support, as well as adapting its services to accommodate implementation of new applications and decommission of old ones. From this partnership, the pharmaceutical company increased efficiencies and business continuity by ensuring the reliable service and operations of its applications.

A national food-producer’s IT architecture combined multiple-vendor directory services and operating systems, a disparate set of management tools, and a back-office ERP system that required further third-party applications to allow company and client collaboration. Alphanumeric worked in tandem with Microsoft to develop and implement a new, robust system for the food-producer, that standardized the company’s IT architecture, delivering consistent end-user experience at the desktop, and enhancing corporate communications to realize a significant cost savings and enable a shift to proactive, project-based IT support for the food-producer.

A regional bank with 17 offices in eastern North Carolina needed to improve end-user service levels. The IT staff also needed to off-load tactical IT support issues from existing staff — allowing these resources to focus on current projects that provide business value to the bank. After consulting with Alphanumeric to identify its needs, the bank chose to add managed desktops, Patch Management and Server Management and implement regular on-site scheduled maintenance. AlphaCare Technology Managed Services have delivered significant cost reductions in Maintenance and Management.

The largest school district in South Carolina needed temporary deployment services, but has limited time to deploy workstations and printers while school is not in session. Alphanumeric met the client’s needs by assembling and managing a team of engineers, led by senior Alphanumeric engineers, to remove old workstations and set up new ones.

Long-term partnerships bring major success

Through the past 30 years, Alphanumeric Systems has built its business on a foundation of long-term

partnerships and customer satisfaction. So it should come as no surprise that some of Alphanumeric’s most profitable partnerships are also its longest-standing.

The company’s two largest revenue contracts — each generating between $2 million and $5.5 million annually — stem from partnerships that have lasted 16 and 30 years. State government clients have worked with Alphanumeric since the company’s inception, and customers in higher education have partnered with Alphanumeric for 20 years.

But these long-term relationships haven’t gotten in the way of Alphanumeric’s vision of growth. Also among Alphanumeric’s top customers are more recent additions in the healthcare and manufacturing industries. As Alphanumeric builds onto its existing customer base, reaching clients of all sizes — from community colleges and regional banks to major national food producers and pharmaceuticals — its ability to attract and retain customers is apparent in Alphanumeric’s record of continued success.

Delighted Customers

A community college, serving 5,800 curriculum students and approximately 9,300 continuing education program students, had outgrown its server and needed to upgrade. Alphanumeric worked with the college’s technology managers to understand current needs and future goals, then provided a recommended new SUN infrastructure — determined by Alphanumeric engineers in conjunction with SUN partners — and a disaster recovery plan that would support the college’s needs now and into the future. Proactive adaptation to the college’s projected future growth and updated disaster preparedness gives the client the security that their IT system will provide reliable service in the years ahead without impeding the college’s institutional and business goals.

A state real estate commission needed to ensure the maintenance of its IT systems, but had a limited staff. Alphanumeric supplied the commission with incident management, monitoring and first-level remediation of servers, and desktop monitoring and patch management. Alphanumeric also supplied the commission with a pre-paid support block for expertise as needed.

A full-service provider of global logistics services with facilities near Raleigh, N.C., and Memphis, Tenn., wanted to improve availability, enhance business continuity and start to build a disaster recovery solution. Alphanumeric provided the company with a two-phase solution, in which new HP servers and an HP Storage Server were installed with backup software and a secondary tape backup at the client site, and then equipment was moved to a hosted facility to provide failover in the event of a disaster.

The central system office representing 36 colleges in North Carolina needed dedicated IT support help, but its small staff couldn’t support it. The office needed a partner it could trust to monitor and manage its IT infrastructure remotely, and offer assistance with remediation when alerts happen, or in case of disaster. Alphanumeric extended an existing partnership with the office, implementing the AlphaCare support system. The office can now focus its resources on its core business while its IT infrastructure is maintained by Alphanumeric.

Thirty years in business is quite an accomplishment in the constantly evolving information technology industry. But for Alphanumeric, it’s only the

beginning.

“I don’t have any question that we can go as big and as far as we choose to,” said Alphanumeric owner Karen Braswell. “But at the same time, we’ve got to be able to deliver to our customers.”

That’s why the future of Alphanumeric begins now, with careful implementation of strategic growth efforts that ensure the company’s ability to move toward its goals.

Under the direction of its new president, Harvey Braswell, Alphanumeric has stated its intention to pursue dramatic growth, starting with the company’s already strong customer base.

Among these key goals is increasing annual recurring revenue by winning more long-term contracts as Alphanumeric reaches new customers. Alphanumeric’s chief financial officer, Jay Trepanier, explains the importance of establishing recurring revenue: “It’s the whole gateway for us to grow.”

With that gateway opened, Alphanumeric is poised to extend its reach into new territories, establishing its

presence throughout the Southeast and Mid-Atlantic regions, and to build upon current successes to reach farther into new industry markets, too.

To begin this process, said Harvey Braswell, “We’re going to be competing for long-term contracts as independent contractors, or sub-contractors for larger vendors.”

“We’re bringing in senior-level leadership with expertise in the markets we’re looking to reach into,” he said.

And to ensure that Alphanumeric is on the cutting-edge of the information technology services industry, the company already is implementing steps toward ensuring Alphanumeric will be able to provide proactive solutions to its future clients.

“What we’re doing now is ratcheting up the size and complexity of our deals to enable us to pursue new customers,” said Betsy Justus, Alphanumeric’s vice president of sales and marketing. “We are expanding and repositioning our current service offerings to be in line with what our customers are going to need.”

Some of the means of reaching Alphanumeric’s ambitious goals include building a world-class call center; developing solutions for application support; implementing different financial and business

approaches that are new to the marketplace; investing in new staff with expert qualifications; providing further leadership training for the management team; and developing new tools to solve increasingly complex issues and to reach beyond the current customer base.

Of course, foresight is hardly new for Alphanumeric, a company with 30 years of experience and success in the information technology industry. Alphanumeric’s proactive and forward-thinking business practices have already carried the company for three decades, and through a difficult economic climate. “Most companies are declining or fighting to maintain their current levels,” Trepanier said. “We’re growing.”

Now, with a renewed focus on growth, those same principles are in position to drive Alphanumeric’s success into the decades ahead.

And given Alphanumeric’s past and present successes, the future can’t help but look bright.

“A lot of companies are looking to save costs and drive efficiencies,” said Trepanier. “That’s an opportunity for us.”
