GETTING STARTED

ID Attend-Getting Started

Begin by double-clicking the ID Attend icon on your desktop

You will then be prompted to enter your ID Attend username/password

If this has not been issued, you will be advised on what you should base your username on e.g.

a teacher code such as CA34j (Claudia Anthony of class 34j). NOTE the password is case

You are now ready to begin, using ID Attend.

You will be brought to the following Interface:

Note: The teacher and administration results and search interface will differ, I.E Admin are

able to locate all classes. Teachers will locate relevant classes.

You may begin by entering your

Period, Teacher Code, and Room

to find that particular classes’ roll.

Additionally find class rolls by entering Year, Home Group and your Teacher Code. You may also find

classes, students and timetables via barcode by scanning printed class lists containing the Class Code or

Student barcode.

Finding a class and displaying

If you teacher timetable code has been associated with your IDAttend login then IDAttend will default to that code and only show your classes for that day. Excursions will show in the list in Blue and any Timetable Variation Classes will show in Red. There are two ways of finding a class either by filling in the details, Period and Teacher, at the top right hand side of the screen with Display photographs (large or standard size) for an individual class and click the Display button or clicking the ‘Find’ button for a list of classes. The list may be limited to a Year, Home Group or Teacher Code. A list of classes will be displayed in period order based on the selection criteria entered, if any. The ‘Clear’ button will clear the search fields. If you have been assigned to a class as a supervising teacher for that class on the day, that class will also appear in your list of classes to be marked. The SUP box will be ticked and the teacher code of the original class teacher will be in the Orig. Teacher field. Attendance on Excursions and Timetable Variations can also be taken on this screen by selecting the relevant Excursion or Variation Class from the appropriate list. In this screen you are also able to view and adjust a class history for a selected number of days, for example 10, 20, up to a full term. Attendance can also be adjusted by right clicking an individual entry and selecting an entry. A ‘Legend’ button at the bottom right side of the screen once clicked will show a description of the attendance codes.

Marking the attendance list

Once classes have been found ‘double-click’ the required class in the list to open the class

attendance interface:

Student portraits will be

displayed with a green P,

indicating that the students are

present for class. It is up to the

teacher taking the attendance

to click on the portrait to mark

them as absent, indicated by a

Along with marking a student as present or absent, by right-clicking the portrait you will be

presented with a further list of options to indicate that particular student’s status.

As an example of using this function, a teacher may indicate a student with a Mark As Late

For Class (Approved). You will be presented with a window to type the reason as to why the

student is approved late I.E note from parents.

Complete the record by clicking Save.

Complete the record by clicking Save.

Once attendance has been taken, click the button. This will record that particular

class’ attendance into the system.

The student’s

Printing Class lists and barcode scanning

To begin printing class lists of the recorded attendance, go to Lists>Class Lists and you will be

presented at the following interface:

After completing the fields to find the required class list to be printed,

you may click the Preview to see how the list will appear on paper.

Please ensure that a default printer has been

set up for class list printing.

Enter Year, Home Group,

Teacher, Class, date and

specific period of the required

class to be printed into a class

list.

If you wish to print an

Excursions Class

List, you may enable

that feature here.

In this section, you are able

to select a number of printing

options and preferences

including, format of class

Printing Expanded

Printing on ID Attend allows for a variety of options and preferences for administration and

staff to use.

Before printing any lists, attendance or reports etc. The default printers must be allocated I.E

printer set up for class lists and barcode attendance lists or thermal receipt printers for

producing student passes, late slips, uniform passes and more.

To allocate printers to be set as the default, go to ‘File>Default Printers’ and you will be

presented at the following interface:

Along with barcoded lists, you may also print a number of other formats which can be

previewed such as: Class Student Lists, Class Student List with barcode (Format 2), Period

Class Lists, Composite Lists, Timetables and Class Barcode Lists.

To access these list options, go to and you will be presented with a scroll down of the

list types.

The formats of class lists to preview and print can be set with a range of preferences at the

print interface including colours, borders, portrait or landscape photos, widths and lengths,

page specified and more.

Daily Absences

When parents call to say that a student will be absent for a day the Daily Absences function may be used to quickly enter these students into the system so that teachers can see that these students are absent for the whole or part of a day.

Any students absent will have an X or X or X displayed on their photograph for that class.

This function is accessed via the Admin menu, the purpose of this function is for the manual

entry of students absent for the whole day, part of the day or a number of days. This is

normally done in advance with a parent calling in or providing notice but may be done later as

well.

To begin manual entry of student absences, you must first call up the student via a search. Admin>Enter Daily Absences or press F3. You are now presented at the following interface

Once you have entered the student to be noted as absent:

Student ID entered, you can set the date(s) for which the student will

be absent as well as the reason or type of absent and a reason or

comment for reference.

Reports

In IDAttend select ‘Reports’ to view a list of reports. Please note that all report settings saved are on a per user basis. Student Attendance Report - Absence Report – Select the Term/Semester or the Date range you are after or ‘Today Only’. This report can show the whole school, individual years, home groups and individual students. You may select which type of absences is shown on the report. You have the option to select different type of absents or ‘All Absences’ Days Absent Report – Again select the date range required for the report and year and/or Home Group. You can select the number of days absent required to search on for example ‘1’ or ‘3’. The report allows for ‘Individual Days’, ‘Total Days Absent only’ or a ‘Summary’. You can preview and then print the report or save as a CSV File. Daily Attendance Report - This report shows period by period absences for a single day only. The report may be used to show which students have been present in the day but also missed one or period’s unexplained (possible truants). Late Report - This report will produce a list of students who have been marked as late as well as whether it was an approved late or not. The report may be run for either ‘Late for School Report’ or Late for Class Report’. The ‘Late for School Report’ is only valid if the Student Passes, Late to School function is used. Student Attendance Report - This report shows the number of periods per class using the date range selected, the number of periods marked present, not approved absences, approved absences. It also shows the percentage of attendance for each class. Classes where attendance is unknown, students are assumed to be present for the percentage of attendance. Students on Work Experience, Off Campus etc. (Curriculum absences) are regarded as Present. There are 2 percentage columns. %1 is the percentage of attendance based on the number of periods present and %2 regards approved absences as present. %1 is the more accurate figure.

There is also the option to restrict the report for example to only show those students who have a percentage of attendance of 80% or less. Use the option in this example as per below.

Class Absence Report – This report shows class absences for a given date range. It may be for a particular teacher and/or individual class. The report shows all absences, or unexplained only, from individual classes over the selected date range. The report has a number of grouping options. Daily Percentage of Attendance Report This report calculates the number of students present for each day for both Male and Female Students and calculates an overall percentage of attendance per day for the date range selected. There is also a Days of the Week option which will show the average percent of attendance for each day in the timetable cycle.

Days Absent Report This report will show the number of students with a user defined more/less days absent. It can be based on either a number of periods absent in a day or absent for all periods in a day. The report may also be limited to Unexplained or Truant absences only. The report can show either each student’s individual days absent or a total number of days absent. Evacuation Report This report can quickly generate a list of students grouped by either year or Roll Group and whether they are present or not as at the date/time specified. Any student, where it is not known if they are present or not, will be assumed to be present. If a student pass/receipt printer is connected to the computer IDAttend will give you the option to print the report to the receipt printer. This is generally much quicker than to a laser printer. If printing to the receipt printer you also have the option to only print those students that are absent, which is generally a smaller list. Students Present Report Similar to the evacuation report in that it is based on a particular date/time. It will show a list of those students present and group them by the option selected.

Classes Where Attendance Not Taken This report will show any classes, for the date range selected, that IDAttend considers have not been marked. The report also takes into account any Substitute or Supervision teachers that have been entered in the Class Teacher Substitute/Supervision function. This report also has the ability to email the report to those teachers if required. There is also an option in School Setup to have this report run each time a teacher logs into IDAttend.

If using the email option an email will be sent to each teacher with the Email Text setup in the box and listing the classes that the teacher has not marked. Normal email signature rules apply to this function.

All reports are first previewed on the screen (Preview button) and may be printed from the preview screen if desired. A few reports have a CSV File export option.
