Large windows offer an abundance of natural light and most access the wide sweeping verandas looking over the port skyline. All queen rooms feature; air-conditioning, complimentary foxtel, in- house movies, complimentary WIFI, mini-bar, tea and coffee facilities, hair dryer and comfortable queen bed and pillows.

In-room features include a king size bed, air conditioning, mini-bar, tea and coffee facilities, complimentary WIFI, in-house movies, foxtel and access to the wide sweeping verandas to take in Port Hedland’s skyline and port views.

Terms and CONDITIONS
Confirmation of Booking | DepositA tentative booking will be held for a period of 5 days, after which time if written confirmation has not been received the booking will automatically be released. A deposit of the room hire fee is required 14 days prior to the date of the event. If the deposit and booking form are not received by the due date The Esplanade Hotel reserves the right to cancel the booking and allocate the space to another client. For security reasons, all event booking forms require the credit card to be filled out.
Confirmation of Final Numbers It is advised to confirm final numbers for your event 7 days prior to the day of the event. The guaranteed number of guests attending the event is required by 10:00am, four (4) working days prior to your event. If final numbers are not provided, the highest estimated number of guests as advised on the booking form will be confirmed. Clients will be required to pre-pay according to final confirmed numbers. If numbers increase on the day of the event, the client must pay for the extra cost. If numbers decrease on the day of the event, the client must pay for the confirmed numbers.
Cancellations All cancellations must be made in writing to the Event Coordinator. The following cancellations fees apply to events bookings: Within 10 Days 50% of deposit Within 7 days – 50% of the retail food cost.
Postponement Clause Any event needing to be postponed must be done so at least 30 days prior to avoid penalties. This event can be rebooked within a 90-day period. The postponement of an event can be shifted once without penalties.
Payment Is required no later than 5 full working days prior to the function. Payment can be made by cash, bank cheque or credit card. *For all credit card transactions, a non-refundable handling fee of 1% (including GST) for MasterCard or Visa and 3% (including GST)
for Diners, and Amex card will be levied for the total value of your account. Where credit card details have been provided as means of booking, the customer authorises the hotel to charge the outstanding balance to that card. Please note, any additional food or beverages served on a consumption basis must be settled at the completion of the function
Price Variations and Minimum SpendsEvery endeavour is made to maintain our menu prices, staff charges and setup as originally quoted to you, however they are subject to change. Should any increase incur, we will notify you immediately. Minimum spends may apply to all rooms and areas and are to be confirmed with The Esplanade Hotel Events Coordinator. Room hire is not included in the minimum spend. If the agreed upon minimum spend is not reached The Esplanade Hotel may apply a surcharge.
Food All food selections must be confirmed and advised to the venue 10 days prior to the date of the event. No food of any kind will be permitted to be bought into the venue by the client or any other person attending an event, with the exception of birthday cake in which a cakeage fee will be charged. Menus are subject to change due to availability.
Beverages The Esplanade Hotel reserves the right to refuse the supply of alcoholic beverages to any guest attending the event that are considered to be underage, intoxicated or behaving in an offensive manner. No beverages of any kind are permitted to be bought into the venue by the client or any other person attending the event.
SecuritySecurity is compulsory for all events over 100 guests at $120 per guard, per hour. Legislation also requires at least 2 guards rostered on when security is required. The client is responsible to conduct the event in an orderly manner and in full compliance with applicable laws. The Esplanade Hotel reserves the right to intervene or eject any or all guests from the event if their actions are considered illegal, noisy or offensive.

Underage Guests All underage guests must be in the accompaniment of their parent or court appointed legal guardian for the duration of the event.
Signage Nothing is to be nailed, screwed or adhered to any wall, door or other surface or part of the building. Signage in The Esplanade Hotel public areas is to be kept to a minimum and must be approved by the Events Coordinator in writing prior to the event.
Equipment, Decoration and EntertainmentTo personalise your event for a unique atmosphere, we are more than happy to arrange special equipment, decorations or entertainment through our range of suppliers. Charges may apply dependent on the arrangement and it is advised that ample notice is given to the Event Coordinator in order to make these arrangements and to avoid disappointment. No entertainment is to be arranged without approval from the General Manager in writing. Confetti, glitter or any other decoration of that nature is not permitted; a cleaning charge will apply if these are used.
Theft and Damage The Esplanade Hotel does not hold responsibility for any theft, damage or loss of any goods brought into the venue or in the outdoor public car park. The client is financially responsible for any damage that is sustained to the venue or any other property owned by or in the care and custody of The Esplanade Hotel, which is caused by the client or any other person attending the event. General and normal cleaning is included in the cost of the event, however additional charges may be payable if the event has created cleaning needs above and beyond normal cleaning.
Termination of Event Without limiting any other rights, The Esplanade Hotel may terminate the event if you and or any of your guests or invitees fail to comply strictly with these terms and conditions; or an event which is beyond reasonable control, which prevents the holding of the event. It is the responsibility of you, the Organiser, to inform all guests of The Esplanade Hotel’s Terms and Conditions.
