Gateway for Fleet system is designed to transform the way we transact Fleet business both in the Broker market and internally.

• The system is real time with access and view options being available to all our underwriters and sup-port staff providing unrivalled support capability.

• We also offer market leading support, with a service standard of 15 minutes for response to any referrals generated.

• The system allows you to complete the basic data capture and request a quote. It also allows you to view the quote response whether, a quote has been obtained, referred, declined or an error has occurred.

Once a quote has been obtained you can view the quote documents, accept the quote and generate policy documents. All documents are instantly produced in electronic format for onward transmission to your client.

! Before you begin this process, please ensure that you read this document carefully.

1. To access the Gateway for Fleet select ‘Gateway - Trade Online’ on ‘My Services’.

1. On the find a client screen, you can search for a Client (by ‘Client name’, ‘Client postcode’, ‘Client reference’, ‘Quote number’ and ‘Policy number’) and see a list of all the clients that match the search criteria. Client records will be listed and will display up to the last 20 clients details.

2. Select ‘Reset’ to clear the criteria and begin a new search.

3. Select ‘Create Client’ to begin the Quote process.If the client already exists, use the existing client record and do not create a new client every time.

The ‘Client details’ page is a data capture screen where the basic client details are entered.

The ‘Client Summary’ page lists all the quotes associated to that client.

Upon selecting the ‘New Quote’ button, the ‘Get a New Quote’ screen appears.

• As a broker your agent details will pull through from your log-on.

• Use the postcode look-up to quickly find the client address.

• Once your client is created click ’Save’.

• Alternatively, return to the Find a client screen by selecting ‘Back’.

• You can choose to ‘Edit’ an existing quote or begin a ‘New Quote’ for that client.

As a broker you can only see quotes set up for your agency.

• As a broker you can only see the product facilities assigned to your agency.

• Click on ‘Proceed to Quote’ against the correct product and begin entering quote data.

Complete all the required details including ‘Cover End Date’

The ‘Business Details’ screen is where the client business type and history is captured which also includes some details about their existing cover.

• The policy duration can’t exceed 1 year.

• The cover end date will automatically populate to 1 year if left blank.

• The policy duration must be greater than 90 days.

• Press ‘Next’ to move through the data capture journey.

• We will not offer a quote if you have ever been refused insurance.

• We will not offer a quote if the trade type does not meet the set criteria.

• The system will decline if the number of years the business has been established does not meet the set criteria.

• Business address - only select if business address is different from clients address.

• If client is VAT registered select ‘Yes’ and enter VAT number.

• Existing excess - capture previous insurance excesses as we usually try to mirror the client’s previous values.

On the ‘Vehicle Summary’ page, the policy excesses are pre-populated from the data entered in the Business details screen. The user can also alter one of these aspects in the add vehicle capture should this be needed.• Enter policy ‘Cover’ and ‘Use’.

Unspecified Fleet

• If unspecified fleet, add total number of vehicles and answer risk management questions, and upload a vehicle schedule.

Step 8- Vehicle Summary

Specified Fleet

• Confirm if NCD rated or not and enter your vehicles details required.

• Select ‘Add vehicle’ to specify each of your vehicles.

Vehicle Details

• If a vehicle is unregistered then change ‘Unregistered’ to ‘Yes’

• If you do not know your registration number change ‘Registration number known’ to ‘No’

• Questions dynamically change depending upon your vehicle type.

• Use registration look up where displayed to pre populate all the vehicle details.

• If the look up returns the wrong vehicle or does not find your vehicle, you can select the vehicle details from a list of drop downs.

• Select ‘Modification’ and ‘Security/Tracking device’ where they exist.

• As standard we issue blanket certificates for all vehicles that require a specified certificate. Please select ‘Yes’ and answer the relevant questions.

Occasional Business Use

• If you require Occasional Business Use (OBU) select the ‘Yes’ to the appropriate option.

! !OBU Option 1: Input the requested details.

• There are certain trades, where we do not give business use for and if selected, this will refer to an Underwriter

OBU Option 2: This is business we do not want to write.

• This will refer to an Underwriter. Please provide as much information in the box specified to help with our Underwriting decision.

On the ‘Driver Summary’ page, only add drivers outside the standard acceptance criteria need to be specified.

Step 9 - Driver Summary

• You can choose to ‘Add’, ‘Edit’ or ‘Remove’ a driver from the specified list.

Driver Details

• Update fields shown with as much information as you can.

• Only medical conditions notified to DVLA needs to be recorded.

• If a driver has any convictions including pending convictions select ‘Yes’.

• Only drivers with a disqualification or more than 6 points should be added. You must add all convictions for that driver.

The ‘Claim summary’ page is where you will be able to capture all claim information associated to the Fleet client.

Step 10 - Claims Summary

• The screen gives the ability to either compile a fleet experience (if fleet rated) or capture individual claims if applicable.

• If the risk is NCD rated you must specify claims individually

• The number of specified should match the number given in the ‘How many claims in the last 3 years’ field

• Upload claims experience.

Claims Summary- if fleet rated is ‘Yes’

If Fleet rated = ‘Yes’ the following claims experience data capture screen appears.

• Answer ‘Yes/No’ by the data available question to generate current year, year 1 and year 2 if fleet rated.

• The period start and end dates are back filled and calculated from the cover start date. You have the ability to alter these where the policy may have been short termed.

• Enter all details of previous and current claims experience.

• Upload any supporting documents and declare ‘Yes/No’ that all claims information has been supplied as requested.

The ‘Quote Summary’ screen displays the quote outcome and will generate a status of ‘Obtained’, ‘Referred’, ‘Declined’

Step 11- Quote Status

Obtained Quote

• For obtained quote at this stage you can now create documents for your client.

• If you would like the full documentation in PDF format sent to another email address, enter the new address in the ‘Broker Email Address’ field.

Referred Quote

• When a quotes status shows ‘Refer’ this needs to be reviewed by an LV= Underwriter on how to proceed with the quote by either applying appropriate terms or declining the quote.

• To have this referal reviewed by your local branch, click on ‘Refer to Underwriter’.

Accepted Quote

• Once a quote status is obtained you can choose to accept the quote.

• To accept a quote, select ‘Accept’ and you must agree to the stated assumptions.

Please carefully read all the assumptions. If you do not agree with the assumptions we will not provide a policy. You will need to contact an Underwriter.
