Registration and Travel Information

Registration As a faculty member, you will be registered for the meeting and sent an email with a link to the CAP19 website to complete your

registration. Your registration will allow you access to:

• Receptions • Connection Café and Exhibits • Plenaries • Inspiration Stage • All industry workshops • Course Materials website • Access to education courses (see Auditing Courses)

For CME: You may also register for courses of interest to you before they are open to the public. CME fees will apply for courses you do not teach; therefore, you will be responsible to pay the applicable registrations fees (ie, Global or Daily Fee).

Hotel Reservations

The link to the CAP19 website will also allow you to make hotel reservations. You MUST make your hotel reservation online when you complete your registration. Hotel reservations must be made using the registration link in order to receive the discounted rate.

You will be required to submit credit card information to secure your hotel reservation. Your card will be charged upon arrival. If for any reason you must cancel your reservation, please do so at least 72 hours prior to the scheduled arrival date.

Airline Reservations

To arrange airline travel call: 847-832-7800 in Illinois or toll-free 800-323-4040 ext. 7800, Monday through Friday between 8:00 AM and 5:00 PM (CST).

When making your reservations, please inform the agent that you are faculty for the CAP19 Annual Meeting in order to direct-bill your airfare to the CAP.

Course Structure and Materials Guidelines

Due Date for Materials

All course materials must be submitted in the format specified by August 6, 2019. Instructions on how to submit materials can be found on the Faculty Resources webpage. Refer to the Course Structure and Materials Guidelines section of this handbook to find detailed information on the type of course you are presenting (eg, general course, round table, virtual microscopy). NOTE: All presentations must be Windows/PC compatible.

Prework Course Materials

Faculty can provide prework course materials for attendees to prepare for the course prior to the meeting, in addition to standard course materials. Some examples of prework materials may include: a course outline, relevant journal articles, case study examples, survey and links to external websites. Prework materials are due the same day as course materials, August 6, 2018.

Online Course Materials

All faculty and registered CME attendees will have exclusive access to course materials via the CAP19 website, planned to launch on September 10, 2019. After successful login to the Course Materials site, all materials are available for viewing and/or printing until November 18, 2019. Materials include all course presentations, prework, supplemental materials and references with permission by faculty.

Taking Notes in Course Materials

Internet access will be available in classrooms, but we encourage attendees to download the materials prior to the course and save them locally.

25th. PCs are loaded with each course’s presentation(s) for review. Technical assistance is also available.

Role of the Course Director

Course Director

The course director is responsible for ensuring that the course meets the learning objectives based on the accepted course topic. If there are other faculty members teaching with the course director, it is the director’s responsibility to make sure that all presentations and materials support the course topic and objectives. The course director also is responsible for the course agenda; therefore, if one of the presenters makes any significant changes to his/her presentation, the course director must be informed of these changes.

Self-Assessment Modules (SAM) Courses

SAMs Faculty developing a Self-Assessment Module (SAM) with their CAP19 course will be contacted separately regarding SAM

requirements and timelines. See the Instructions for SAM Authors handout on the Faculty Resources webpage for additional information. CAP staff will provide templates and guidance in the development of your SAM materials, including post-test items.

Honorarium Policy

Honorarium Policy

Course materials are due August 6, 2019. Partial payment of the honorarium will be paid to faculty who fail to meet this deadline. Partial payment of the honorarium will also be paid to faculty whose course has been canceled due to low enrollment (provided that faculty have submitted required course materials by the deadline).

Course Cancellations

Minimal Attendance Required

Although we fully expect all courses to attain peak registration levels, the CAP reserves the right to cancel courses that do not meet minimal attendance expectations. A decision to cancel courses will be made no later than August 21, 2019 and affected faculty and registrants will be notified immediately.

Please note that the CAP will pay a partial honorarium (provided we receive required course materials by the due date) and waive the networking registration fee. Airfare or any cancellation fees related to airfare will also be covered.

Auditing Courses

Audit a Course

As a CAP19 faculty member, you will be able to audit education courses at no charge. Entry into the courses will be based on seating availability; no registration required. Note: Round Tables are excluded and no entry is allowed. No CME credit will be offered for audited courses. If you plan on attending education courses for credit, you are required to pay the applicable registration fees (ie, Global or Daily Fee).

Course Structure and Materials Guidelines

General Courses Round Tables Video Microscopy

Description These lecture courses provide general to in-depth detail to the course topic.

Round Tables are planned as opportunities for attendees to share best practices related to specific pathology topics with colleagues in a small group discussion format. Lunch is provided.

Video Microscopy Tutorials feature equipment that projects slide images to an overhead screen using a high-quality video camera mounted to a microscope. Instructors may also supplement the glass slide presentation with static images projected through PowerPoint or digital slides through the laptop and software.

NOTE: Faculty will receive instructions with details regarding training sessions for use of the video microscopy equipment.

Time Varies with course: 1, 2, or 3.5* hours.

*3.5-hour courses are 3 hours of teaching and an additional ½ hour for a scheduled break.

Discussion is 1 hour. Course is 2 hours.

To accommodate other tutorial sessions, we must strictly enforce scheduled time limits.

Scheduled Break

3.5-hour courses: 30-MINUTE BREAK may be divided into two 15-minute breaks or kept as one 30-minute break.

Capacity Varies with course: Maximum audience attendance for each course is 40–200.

Maximum audience attendance is 10. Maximum audience attendance is 30.

Course Materials Content

Course objectives; Comprehensive content, including use of case studies to illustrate important points; Summary of the presentation; “Pearls of Pathology” regarding practical messages and information that attendees can use in their daily practice; references

Discussion questions; Key learning points summary; Relevant articles or other supplemental materials that support your topic; references

As a guideline, the number of cases presented in a 2-hour session is seven to ten.

Presentation Tips

Follow a Clear Structure

• Start with an intro, followed by clear topic areas organized in a logical sequence, and end with a conclusion, summarizing main points and key take-away messages.

• “Chunking” the body of your presentation into main topics helps the audience to follow and recall the information better.

Create Slides that are Easy to Read

• If your presentation is one hour, you should have approximately 30 slides. This may vary depending on the amount of information on each slide.

• A general guideline is to have one content-rich slide for every two minutes.

Consider the Length of Your Presentation

• Use a font size/type that is that participants can easily read. The recommended minimum font size is (Arial) 14. Avoid shadowing text.

• Be sure to label all pictures and graphs so participants can refer to them later. • Keep your slides simple–include no more than 6 words per line, 6 lines per slide. • Use of color and bolded text should be limited to emphasizing key words or points.

Use Validated Content

• All recommendations involving clinical medicine in a CME activity must be based on evidence that is accepted within the profession of medicine as adequate justification for their indications and contra-indications in the care of patients.

• All scientific research referred to, reported or used in CME in support or justification of a patient care recommendation must conform to the generally accepted standards of experimental design, data collection, and analysis.

Comply with HIPAA and Copyright Laws

• Remove all patient identifiers from laboratory studies, x-rays, imaging studies, slides, etc., OR obtain written permission from the patient to use his/her information as part of your presentation.

• Obtain permission to include such things as photographs, graphics, pictures, and cartoons or make sure they are properly referenced.

• At a minimum, proper attribution should be included on tables, figures, algorithms, material copied and pasted from websites. • Avoid using any trade names or product endorsements. • If discussing specific health care products or services use generic names to the extent possible. If you need to use trade

names, use trade names from several companies when available, and not just trade names from any single company.

Presentation Tips, cont’d

Keep the Audience’s Interest

• Explain the content in your own words and share your experience/expertise through examples, stories, and commentary. • Use jargon-free language. • Regularly interact with your audience. • Use interim and final summaries to reinforce learning points.

Be Energetic • Be enthusiastic. Enthusiasm is contagious and will capture the audience’s attention.

• Use commanding arm gestures to emphasize a thought or point.

Use Your Eyes and Body

• Establish eye contact with your participants throughout your presentation. • Ensure your body language is neutral, open and relaxed. • Move with purpose—pacing will make you appear nervous to the audience.

Use Your Voice Effectively

• Put real feelings into your voice to avoid being monotone. • Vary your volume. Emphasize the important points in your speech by increasing your volume. • Vary your rate of speech. Don’t lose your audience by speaking too fast.

Control Your Nerves

• Practice, practice, practice! Be ready to deliver an exciting presentation. • Control your nerves by maintaining eye contact and speaking loudly. • Aim for a friendly, relaxed atmosphere. • Think of your presentation as a “conversation.”

Handle Questions Effectively

• Repeat the question and share your answer with the entire audience. • Admit when you do not know the answer—don’t bluff. • Keep your cool. Change negative questions into positive ones.
